I. Executive Summary

2015-16 was another outstanding year for the Department of Intramural-Recreational Sports. 2015-16 was the second full year of operation of the Student Recreation Center. The SRC continues to enable us to serve students in a multitude of ways. From expanded informal sport opportunities to increased Intramural Sports competition, to an expanded fitness class program, the SRC continues to improve the out-of-class experience at the University of Louisville.

2015-16 was an outstanding year with many successes to highlight. In February, the SRC hosted a 3 on 3 Basketball Tournament sponsored by UPS. Many of the upper-level management from UPS were in attendance. UPS awarded many prizes for the over 100 participants in the event, which was well-received by our students. Intramural-Recreational Sports also hosted the ACC Recreational Sports Director’s Workshop at the SRC. With 34 attendees, it was the largest-attended workshop in the history of the event. Our ACC colleagues were extremely impressed with the SRC. It was an excellent opportunity for us to showcase our program to our ACC colleagues. We clearly are one of the strongest programs in the ACC.

The usage of the SRC and the total program continues to be outstanding. Between the SRC and the HSC Fitness Center, there were 578,863 visits. The total number of unique users was 16,104, which represents an incredible number of participants. As we did last year, we had Institutional Research do an analysis of our usage this year. Unfortunately, that data is not yet available.

The leadership under which we serve is Student Affairs continues to be outstanding. It was great news when Dr. Michael Mardis was named to the permanent position of Vice-Provost for Student Affairs and Dean of Students. This appointment now solidifies the leadership in Student Affairs for the foreseeable future. We are extremely proud of Dr. Mardis since he worked in our program for nine years. We are extremely appreciative of his continued support of Intramural-Recreational Sports.

2015 was another successful year in the Intramural-Recreational Sports Department. While last year was a transitional year in getting the SRC operational, 2015-16 wsa the year when we were able to further develop our programming. All areas of our program- Informal, Intramural, Fitness, and Sports Clubs- have record participation. The SRC now provides us the outstanding facility that provides us the vehicle to serve our outstanding student body.

II. Collaborations

One of the primary strengths of our program is the volume and quality of collaborations that Intramural-Recreational Sports has with different departments across campus. These collaborations serve to enhance the department’s ability to effectively serve our various constituency groups. The following is a summary of our numerous collaborations:

Athletics We work closely with Athletics in cooperatively sharing the use of each other’s facilities. Our students benefit from getting to compete in outstanding venues such as Cardinal Arena (Basketball Championships), Bass/Rudd Tennis Center (Tennis Tournaments), Wright Natatorium (Swim Meet), and the Trager Stadium (Track Meet). Participating in these venues enhance the experience of participating in Intramurals for our students.

U-Fit Program Intramural-Recreational Sports is collaborating with Health Promotions in allowing them to use the Fitness Lab in the SRC for their U-Fit program. Health Promotions trains students on how to train other students. This is a very popular program and a good collaboration for us to be involved in.

Financial Aid Office Our department works closely with Charlie Schnell in the Financial Aid Office to recruit College Work Study students to work in the Intramural Department. Our department is the most popular place for CWS students to work on campus. By developing this relationship with Financial Aid, it assists us tremendously with our student wage budget by having a large number of CWS students.

International Center Intramural-Recreational Sports works with the International Center and offers two “International Nights” in the SAC, one in the Fall and one in the Spring. The purpose of these programs is to expose International students to IM-Rec Sports. Many of the participants are part of our Badminton Club, which has a high percentage of International students.

University Archives This year we collaborated with University Archives to convert our Intramural Champions Board to digital form. They converted over 7,000 champions pictures to preserve over 50 years of Intramural history. These pictures were then loaded into a touchscreen television and prominently displayed in the front lobby of the SRC.

Orientation We are very involved in Orientation. We have a table at the information fair and are part of the presentation on campus involvement. After several attempts, we now have the correct situation within the Orientation program where we are able to reach out to a high volume of students. We believe it is important to have a strong presence at Orientation to expose the incoming freshmen to our program.

Marching Band Our collaboration with the Marching Band continues to evolve. We work with them in scheduling and field maintenance. We have made it very clear to them that they are a full financial partner in the expense of maintaining the Intramural Field. They were extremely cooperative and while it is not our ideal situation, we are making the best of it. This year we allowed them to use SGA Field for their pre-season Band Camp.

Learfield Sports Our arrangement with Learfield continues to be a financially successful one for our department. In this time of financial stress, Learfield has done an excellent job in providing our department with additional revenue that we need to operate our program. Our partnership is unique in that we continue to be the only recreational sports program in the country with an agreement with a sports marketing firm. We look forward to the future with the opening of the SRC and the new marketing opportunities that will develop.

University EmergencyMedicine We have a partnership with University Emergency

Medicine to enable us to have Automatic External Defibrillators in our facilities. Dr. Price wrote our prescriptions on our AED protocols. This relationship is important because of the necessity for our staff to be able to respond to a cardiac emergency.

Service Solutions One of the components of our successful operation is the work done in cleaning and maintaining the SRC facility. Service Solutions (SSC) is the cleaning company that we secured to maintain the SRC. They have done an excellent job in this area. Having a facility that is clean adds to the positive experience our students enjoy.

Bursar, Registrar, and Card Office With the opening of the SRC and the advent of the Student

Recreation Fee, we have developed a strong relationship with the Bursar, Registrar, and Card Offices. There are many intricacies related to student enrollment and the assessing of the recreation fee. All three of these offices have been extremely helpful in resolving issues.

Summer Athletic Camp With the closing of the SAC, the Women’s Volleyball, Women’s Basketball, and the Cheer camps all transitioned to the Student Recreation Center. We look forward to continuing to host all of these groups in the SRC.

Welcome Week Last year on the Wednesday of Welcome Week we hosted two events- the first, Playfair, was held on the SRC Turf Field. The second was held in the SRC at the conclusion of Playfair. It was called “Hit the SRC” where the incoming freshmen familiarized themselves with the SRC. SAB also set up a lounge on the SRC Plaza serving a variety of mocktails. Also, Dale Ramsay and Debby Woodall continue to lead a walking tour of campus athletic facilities on Friday of Welcome Week.

American Red Cross The SRC has become an extremely important venue for the American Red Cross as they conducted five Blood Drives here last year. We are pleased to collaborate with the American Red Cross and assist them with this vital community service.

Housing Move-In Day We assist with Housing Move-In Day in August.

Field Days Our department participated in Welcome Weekprograms for the Dean of Students Office.

Student Athletic Tickets Dale Ramsay assists SGA with the Student Athletic ticket registration process. He and Justin Peterson chaperoned the student trip to the Chick-Fil-A Bowl in Atlanta and Music City Bowl in Nashville.

First Aid Classes John Smith teaches First Aid Classes to both the Intramural Sports and Student Involvement staff as well as other university employees.

Speech / Literature Distribution Policy Dale Ramsay, under the auspices of the Dean of Students

Office, works with off-campus groups to ensure they are in compliance with the University’s Speech/Literature Distribution Policy.

Welcome Tents Dale Ramsay, David Rice, and Justin Peterson assist with the setup of the Dean of Students Welcome Tents for the first two days of classes. We scheduled the staffing of the tents and kept them supplied with water, apples, and information. This was extremely successful, as the students appreciated the fact there were people available to assist them during the hectic time at the beginning of the academic year.

Physical Plant We have an excellent relationship with the various trades in the Physical Plant. We have spent a great deal of time cultivating these relationships. We receive excellent service from the Physical Plant. In an effort to show our appreciation to them we work closely with them on our extremely popular Faculty/Staff Golf Outing. Many Physical Plant employees participate in the tournament. They assist us in obtaining sponsorships for the event as well.

Various Academic/Service Units In an effort to promote the SRC, we invite a wide variety of

campus departments to use the space in the SRC for meetings. This enables us to showcase the SRC and promote Intramural-Recreational Sports to our university colleagues.

III. 2016-17 Strategic Initiatives

1. Continue to stabilize the funding for the Student Recreation Center. Ensure all student categories (ie: Ultra Program) are properly paying the Student Recreation Fee.

2. Continue to work in collaboration with Admissions to increase the number of Sports Club student scholarship recipients by 10%.

3. Continue to identify revenue for Intramural-Recreational Sports by working with the Student Affairs Development Director on naming opportunities in the SRC and working with Learfield and OCM on identifying new sponsors.

4. Create an app for the Department of Intramural-Recreational Sports in an effort to increase the marketing of our programs.

5. Continue to expand program offerings- adding two online competitions, online fitness videos, Bubble Ball, etc.

IV. Intramural Sports Staff

The Department of Intramural Sports has 11 full-time employees and 5 Departmental Assistants. During 2015-16 we also employed 179 student employees who served as facility workers, fitness instructors, event assistants, student supervisors, and sports officials. The strength of our Department continues to be the dedication and loyalty of the staff. The full-time staff has in excess of 200+ years of service to UofL in the Intramural Sports Department.

It was a difficult year in that we had two of our student employees pass away- Najam Mughai and Lottie Eicher. They were both well-liked by both the students and our staff. It is always tragic when young people lose their lives. They will both be missed.

We welcomed two new staff members this year. Danielle Lavender is the new Fitness Departmental Assistant and Carolyn Meiman is the new Facilities Departmental Assistant. They replace Joe Gamsky and Ryan Ramsay, who both received their Master’s Degree and are currently teaching in Oldham County and Jefferson County, respectively.

We continue to have a close working relationship with the Department of Financial Aid to ensure we are able to get an ample number of Federal College Work Study students to fill our need for hourly student employees.

V. Academic Unit Support

We have an excellent relationship with the Health and Sports Studies Department. HSS uses the SRC for many of their activity classes during the fall and spring semesters. These classes benefit our program in that they help drive traffic to our facility and expose them to our program. HSS is also using our classrooms to teach three classes. It is good that their students are in the SRC. We also provide valuable internship opportunities for the HSS students. Dale Ramsay is also an HSS faculty member, teaching classes in Recreational Sports Management and Sports Officiating. Many academic student groups as well as several academic departments are utilizing the meeting rooms in the SRC. With the closing of Crawford Gym, we will be hosting more HSS classes in the SRC in 2016-17.

We also provide our facilities for many academic units who wish to have recreational programs.

VII. Activities That Support Diversity

One of the strengths of our program is its diversity of participants. Our motto of “A Sport For Everyone and Everyone In A Sport” promotes inclusiveness in all aspects of our program.

In Intramurals, there are a high percentage of African-American students who participate in Flag Football and Basketball. The student group Porter Scholars was again very active in the Intramural Sports program this year. Our student staff is extremely diverse in both gender and ethnicity. The majority of our Intramural Sports supervisors and officials were African-American students.

Our program is also popular with International students. We host International Nights in both Fall and Spring semesters in the SRC. The majority of the members of our Badminton Club are International students. A large number of International students also participate in our Soccer Leagues.

It is obvious that all segments of our program are popular with the rich and diverse student population of UofL. It is also apparent that these students view our facilities as a place where they feel comfortable participating in our various programs.

VIII. Informal Sports

The Intramural-Recreational Sports program completed its second full year in the Student Recreation Center in 2015-16. In recent years we also previously managed Humana Gym, Crawford Gym, the SAC Recreational Center, and the Cardinal Corner Game Room. We no longer manage these facilities.

Our focus is now on the Student Recreation Center and the HSC Fitness Center. Using the CSI software management program we are now able to more accurately track our facility usage. During 2015-16 there were 16,109 unique students who used one of our two facilities, which is an incredible number of students utilizing our centers. This also makes a tremendous statement about the popularity of our program.

The following numbers indicate the total number of visits to our two facilities in 2015-16:

Student Recreation Center 521,725HSC Fitness Center 57,136

----------578,861

This number of visits is a 4% increase over the 2014-15 totals, which were up 21% over the previous year. Since the SRC has opened, our informal use is up 25%. These numbers reflect the interest in our program.

Student Recreation Center (SRC)

The University of Louisville Student Recreation Center is a NIRSA Outstanding Facility Award winner, an Education Finalist Award winner, a LEED Certified Gold facility and a leader in terms of student involvement on campus, contributing to the University of Louisville being named one of the healthiest colleges in the United States. With the help of faculty, staff, and loyal students this year has been a great year to be a Louisville Cardinal.

Here are the usage numbers for the year for all areas of the SRC:

Main Weight Room 158,693Sport Club Room 6,8861st Floor Gym 108,833MAC Court 21,332Group Fitness 29,849Golf Simulator 2,031Running Track 8,067Racquetball Courts 7,686Mezzanine Fitness Area 62,517

3rd Floor Gym 82,599Turf Field 23,450Classrooms 6,708Qdoba Gaming Area 1,640

Main Strength and Fitness Center

This year in the main weight room we saw a total of almost 160,000 users. This number is very similar to last year’s numbers, with a slight shift in male user percentage. This year there was an increase in the amount of male users participating in physical education classes which increased the total percentage from 62% to about 76%. The weight room has the largest selection of weight machines, making it a great space for heavier lifters. It also has a large selection of cardio machines, a Lifefitness Synergy piece, a large array of squat racks, power racks, free weights, benches, seats, adjustable benches, dumbbells, belts, bands, ropes, weight plates, and most recently a BoxMaster Tower, which was utilized by our free fitness classes, such as Combat Boxing. The cardio machines, whether they be bikes, treadmills, stair climbing machines, or elliptical, provide a unique experience for every user with access to individual TV channels, as well as internet access. This allows them to ease their exercise by browsing internet sites such as Facebook and YouTube. The multiple styles and amount of machines helps to prevent users from having to wait for their workout and allows them easy access from one machine to the next, while allowing them to complete their workouts as stress free as possible.

Sports Club Studio

This area recently added more mats to cover the floor and wall in this room increasing the area that can be used by our classes and clubs. It also allows more space for users to utilize during their workouts. The total number has decreased in the last year because of a decrease in the number of martial arts classes from that room, and the loss of our Wrestling Club.

Main Gym Floor

This year saw nearly a 15% increase in our usage for the first floor basketball courts. This new shine and traction was a factor in the total number of users for the year, with an increase of about 15,000. This area serves as a venue for such events as competitive pickup games which had the main gym floor filled to capacity much of the spring during the evening hours. ROTC conditioning helped increase our numbers during the morning hours. The format and openness of the gym allows on-lookers to join in on the comradery that happens nightly on the courts and helps to display what the students of UofL are able to do in their SRC. It is also the site for special events such as the dance and cheer camps, and Male High School’s Project Graduation.

Multi-Activity Court (MAC)

This area was host to many intramural events, physical education classes, and pickup games of sports including floor hockey, soccer, and handball. Not often during intramurals seasons would the MAC Court be empty, with many teams using the free time available to practice and other users utilizing the large space for soccer or volleyball. The open framing to the court allowed students to look in on the events and classes, often encouraging them to become more involved themselves. The total participation numbers for the MAC Court came out to be 21,332. This is a decrease from last year, which is attributed to not hosting the middle school age group of the cheer camp in the summer.

Golf Simulator

The Golf Simulator saw a slight increase of users this year, with participation peaking in the months leading to the end of the semesters. This space is more popular with males but is steadily drawing attention from more females, including those who are part of the intramural golf team and those are just practicing to become better. This is always a hot spot on our facility tours drawing attention with the high tech shot diagnostic and abundance of realistic golf courses.

Running Track

With the winter lasting longer than usual and the amount of rain that happened this year the running track was used at high volumes. This track, which is 1/11th of a mile saw in increase of almost 10% this year. The indoor track allowed those who wanted to get a jump start on their cardio for marathon season, beach season, or just stay in shape during the cold and wet months to stay on track with their fitness goals despite the inclement weather. It also provides a very convenient place to jump in and do a bit of mileage in between sets in the weight room or to mix up your cardio routine.

Mezzanine Fitness Area

The Mezzanine Fitness Area houses a smaller area of cardio machines free weights than the first floor weight room but still provides ample space for any user’s needs. The area includes cardio machines, free weights, dumbbells, kettle bells, benches, stretching machines, and a matted area for more comfort when doing floor exercises while providing a little more privacy than the open weight room. This area is typically more popular with our female patrons, but is slowly becoming just as popular with our male patrons as well, providing them a few more options and the privacy needed for an adequate workout experience.

17

Department of Intramural-Recreational Sports2015-16 Annual Report

Upper Gym Floor

The 3rd floor gym has been the site for many intramural games, fitness classes, club usage and special events. The 3rd floor houses 3 basketball courts that are used for intramural basketball, which is where a large number of our users can be found during the intramural season. It has also become a great place to go if you want to learn how to play a new indoor sport, such as volleyball, badminton, or even fencing. It also hosts special events such as cheer camps, ROTC conditioning and the occasional fundraiser. The total number of users has increased from 76,793 to 82,599.

The Great Lawn

The great lawn is a great place to be when the weather permits it. Many users can be found playing pickup soccer, participating in classes, and making friends during the many practices held by the numerous club teams. It hosts the Rugby, Lacrosse, Ultimate Frisbee Clubs, as well as many physical education classes including ultimate frisbee, soccer, and flag football. The turf field is also a popular destination for athletes and students in their off time to increase and improve their cardio capabilities, where they can be seen sprinting, running ladders, and going through circuits. This often leads to other students and users joining as an opportunity to better themselves and meet new people with similar goals. Usage this year increased from 23,336 to 23,450 with the majority of the users being male.

Racquetball Courts

Racquetball Court usage was down a bit this year, with no real reason that we can see other than racquetball is very cyclical in this area. We saw quite an uptick in our last full year in the SAC that has carried over to the SRC. Apparently that wave has started to recede and the numbers have started to return to what we would consider normal. Without the strong, regular base of some of the faculty/staff that we had at the SAC the number have come back down to about where we expected.

Outside Plaza

The outside plaza is a great place to be in the warmer seasons. The space is used heavily during welcome week on campus to spread word about what is going on on campus as well as special events happening in the SRC. It is also a big part of health awareness week where you can often find a huge inflatable colon that grabs the participant’s attention and talks about the importance of medical screenings.

Qdoba Gaming Area

The gaming area tends to be most popular with our male users, but is mainly used for the T.V.s and the access to sports networks. On any given night during school users can be found lounging and relaxing after a stressful day of classes watching their favorite teams and hanging out with their friends in a semi-private area that allows them to relax a little more. The gaming systems find their peak usage during midterms and finals times when students need a way to relax and relieve stress for the upcoming exams. It also is a space for onlookers to sit and watch as their friends conquer during intramurals events as well as a great resting spot for those enrolled in P.E. classes.

Group Fitness Rooms

The Group Fitness rooms are utilized for many of our free classes offered to students and members. These classes include Yoga, Zumba, Barre Fitness, TRX, Ballroom Dancing, and Cycling. It also provides private practice areas for groups and individuals to practice their dance routines with the abundance of mirrors that wrap around the rooms. There has been a slight decrease in user numbers, partly because of the lack of conferences and meetings that are usually hosted in the rooms. Our total numbers were 29,849 with a majority of the users being female.

Classrooms

Our classrooms host many versatile events including staff events, physical education classes, vendor meetings, HVAC meetings, gaming club, CCF and fraternity bible studies, and Red Cross blood drives. We often have groups and organizations interested in reserving this space for their events for access to the projectors, smartboards and copious amounts of seating. The number of users is down from last year only because we had a few less formal HSS classes than last year. The numbers went from 7,124 to 6,708 in a year.

Improvements

We have replaced another section of the fence surrounding the Turf Field. The original fence that was put up during initial construction was far too flimsy and quickly became beat up and unsightly. We also ordered what is known as ‘military’ ties, which are very heavy duty fence ties. We replaced and added many of them to the long section of the fence running between the field and Kurz Hall.

In the Weight Room we added the BoxMaster Tower, which has been extremely popular with the weight room crowd. We have also used it to hold a Combat Boxing Class, which was very well attended.

IX. Health Science Campus Fitness Center

The HSC Fitness Center now in its fourteenth year of operation had a substantial increase in facility visitors from the previous year. During the 2015-2016 calendar year we had a total of 54,290 users. This was accomplished in part by brainstorming sessions during our weekly staff meetings in which we discussed ways to better reach our ever expanding HSC Campus population. Three strategies we agreed would assist in achieving this goal was to have an HSC Fitness Center tent at ”Welcome Back” in the medical school quad, a booth at dental school Orientation, and an Open House here at the center. Other factors’ leading to our spike in attendance was the dramatic increase in aerobics room usage and an extra attendance count from 9-9:30PM. We added additional Group X classes like Pilates + and HIIT (High Intensity Interval Training) to our list of classes offered. Furthermore we made sure to keep the most popular Group X instructors to retain participants. There was also an increase in aerobics room reservations such as Get Healthy Now, a Salsa dance group and Chinese cultural dance group. A significant surge in our informal cross-fit group workouts aided in the rise in attendance as well. We are also seeing a rise in the number of students the medical and dental schools are accepting into their 1st year classes. Those students seemed to be particularly involved with the HSC Fitness Center this year.

Like last year, our center experienced many positive changes to improve user satisfaction. Our most significant change to the center was the replacement of all weight equipment and the addition of a Box Master and two Marpo Rope Trainers. Our old selectorized equipment was purchased in 2002 when the center opened. The equipment was in such great condition we received money back for each machine (13 pieces) from the new equipment vendor. We replaced these with nine Hoist Dual Function selectorized machines. This helped us minimize our space limitations and add more exercise options for our users without cluttering the facility. Another major change was in our free weight area where all of our dumbbells, weight benches (adjustable and stationary), Max Rack and Smith Machine were replaced. The Box Master and Marpo Rope Trainers have allowed us to incorporate the Cross Fit trend spreading throughout the fitness industry into our center. The Marpo Rope Trainers in particular have been a big hit with both our young (students) and old (Faculty/Staff) users. This year’s improvements completed phase two of our centers equipment overhaul (phase one was completed last year with the addition of new cardio machines). Supplementary additions made during the year included the installation of a Reach Media system and a cable booster for our spinning bikes. The Reach media system included a new 42 inch TV placed at the entrance of the center and allows us to display university and departmental news and events. The cable booster allowed us to eliminate a big issue for our users. Previously we used an ordinary splitter which caused intermittent reception, split screens, damaged media cards and loss of channels among our five spinning bikes. Some much needed improvements came in the form of new student staff shirts and a refinished aerobics room floor. The staff

shirts added both a professional look as well as uniformity making it easier for our users to identify our student staff. As was the case with our strength equipment the aerobics room floor was original to the facility’s opening. The refinishing of the aerobics room floor was something we had discussed for several years and we decided to include it in phase two of the centers renovation. Our users have been very complimentary of this improvement and have raved about its clean look and sure footedness during exercises. The HSC Fitness Center said goodbye to a few student staff members and welcomed several more this year. During the course of the year we lost nine students, five to graduation and four to pursue other opportunities. To counteract these losses we hired seven new students to our staff four of which were a part of the Federal Work Study program. Fortunately, we were able to add more student workers from the Belknap Campus which had been a real issue in the past. Luckily, during the year there were no changes in Facility Managers or Departmental Assistant positions. This has helped improve continuity at the center.

For a second year in a row the HSC Fitness Center underwent several major improvements, which have greatly enhanced our user’s workout experience. We hope to continue this upward trend with more facility upgrades in the coming year. We continually meet to discuss ways to continually improve the opportunities for students on our campus.

X. Intramural Sports

This year was a record breaking year for the Intramural component of the department. For the third straight year we had a record number of teams register for our Basketball League with 120 teams participating. We also saw record numbers of teams and participants in Indoor Soccer, Sand Volleyball, and Court Dodgeball. The new Student Recreation Center and the input that we get from the students greatly impact these numbers. We try very hard to keep the schedule fresh and exciting from year to year.

We saw a higher than normal staff turnover this year with four undergraduate supervisors graduating and bringing in four new ones. We also saw our Departmental Assistant for Intramural Sports graduate and replaced him with a former Undergraduate Supervisor. We had some challenges early on this year with a new Departmental Assistant and four new undergraduate supervisors. Fortunately everyone adjusted to their new roles fairly quick and the issues that we had early did not last very long.

Facility space inside the new student recreation center is a lot easier to come by than it was in the SAC. We have had no trouble scheduling Volleyball or even our record number of Basketball teams, due to us having three basketball courts always at our disposal. The MAC Court has allowed us to offer Indoor Soccer, Floor Hockey, and Team Handball. Having only 1 MAC Court has started to be challenging with the number of Indoor Soccer teams that we have had, but so far we have been able to accommodate every team. Our outdoor space received a major boost last summer with a complete renovation of the SGA Fields. The fields were leveled and completely re-sodded. We also over-seeded the fields with rye in order to lessen the wear and tear on them in the spring. Our participants took notice of the improved field conditions and were very appreciative.

This was the third year of using IMLeagues for scheduling and the second of using the REC*IT mobile app. Everyone seems to have a much better grasp on the use of both of these applications and both have made our job of communicating with participants easier. We have done a good job of pushing REC*IT to our students as this allows for all schedule changes and departmental updates to be sent directly to participant’s phones.

All-Campus Points Championship

This year saw only the Campus points race came down to the very end, with both the Fraternity and Woman’s Closed races being wrapped up relatively early on. The organizations that were able to put together consistent performances all year ended up beating out all of the other competitors.

22

Page 23: Summer Orientation - University of Louisvillelouisville.edu/.../about-us/annual-report-2015-16.docx  · Web viewFinancial Aid OfficeOur department works closely with ... We usually

Department of Intramural-Recreational Sports2015-16 Annual Report

In the Fraternity Division one organization rushed out to an early lead and was never seriously challenged for the Championship the rest of the year. Sigma Phi Epsilon won the Fraternity Points Championship by 360 points over Beta Theta Pi.

The Campus Division saw a few competitive teams but we saw one organization rise above all others this year. The winning organization made a late charge and was able to come out on top at the end of the year. This year’s Campus Points champion was Pi Kappa Alpha, winning by 155 points over the Intramural Sports Department.

The Women’s Closed point’s race saw a little back and forth between two organizations during the year with one group finally taking control during mid-season and never looking back. This year’s point’s race was won by Kappa Delta by 140 points over Chi Omega.

Sportsmanship

As with every year the department strives to encourage sportsman-like acts while enforcing rules set in place to discourage unsportsmanlike conduct of the participants. Many protocols have been put in place to make participants aware of the standards the department has set for sportsmanship. Participants must sign a sportsmanship contract and are read a sportsmanship statement at every game prior to taking the field in order to remind them of their pledge to remain good sports. Ultimately the department would like to have zero ejections over the course of the year, unfortunately this year we had sixteen ejections, with four occurring in Flag Football, two in Indoor Soccer, two occurring in Soccer, seven occurring in Basketball, and one occurring in Team Handball. All of the ejected participants were dealt with in a firm but fair manner. Our hope is that after participants are ejected once that they will not have any more issues on the field during Intramural play.

Intramural Handbook

The 2015-16 Intramural Handbook continued to be a valuable tool for the participants. This handbook gave participants answers to a lot of their questions and allowed them to become informed participants. The handbook serves as a measure of checks and balances for the participants in order to be certain that the Intramural program is upholding the responsibilities set in place in the handbook. The Intramural Handbook is getting updated this year to make sure that several rules including the eligibility rules are easier to understand.

Officials

This year we continued our trend of having many new and inexperienced officials for most of our sports. The students that came out to be officials this year spoke volumes

23

Page 24: Summer Orientation - University of Louisvillelouisville.edu/.../about-us/annual-report-2015-16.docx  · Web viewFinancial Aid OfficeOur department works closely with ... We usually

about the quality of students that are on campus as they were all very intelligent and quick to learn even though officiating is not easy. Most of the officials that we had this year were freshman so the Intramural Department is very optimistic about our officiating crews in the future. If any of these students return to officiating again next year then we will have a very strong core of officials to build on.

Championship Nights

The Intramural Sports department has made it a point to create exciting events when possible for not only the participants but the spectators as well on “Championship Night”. This year we continued our tradition of holding our Basketball Championship in Cardinal Arena at the SAC. The participants love the opportunity to play in a Division 1 arena for their championship nights. We held the Flag Football Championships on the Intramural Field and made an effort to make it a bigger spectacle than in years past. Both were well-attended by spectators and had a feel of something bigger than just an Intramural championship. Not everyone can say they played in a major Division I sports venue like the students who participated in the Swim Meet, Track Meet, and our Tennis Tournaments. Thanks to a great working relationship with the Department of Athletics our participants have been awarded these opportunities.

Intramural Sports Awards

This year was our 29th edition of the annual Intramural Sports Awards. This year’s Awards Banquet saw another large turnout at the World Famous George J. Howe Red Barn. We continued the tradition of giving out official’s awards in honor of Dale Orem, Frank Nuxoll, Alfred Smith, Tony Crush, Chris Brawner, and James Breeding. We also gave out the Rusty Michalski Award for the second straight year.

As is the tradition for this event various students and organizations were recognized for their achievements throughout the school year. This year the awards were heavily discussed among the intramural staff to ensure the top candidate would receive each award.

Intramural Council

The Intramural Council gave us some valuable feedback during the town hall meetings that we held with them. The Intramural Council continues to be a valuable asset for the Intramural Department as they give us a direct opportunity to talk to each organization individually. The council members continue to have an increased workload with the use of IMLeagues and REC*IT. They know that they are responsible for making sure that everyone in their organization is on their on-line roster by the deadline. This year we continued to use the Intramural Council to keep our program fresh. It was from their recommendation that we moved some sports around on the schedule for next year.

Changes Implemented for 2016-2017

After discussions with IM Council we have decided to only make a couple of changes to the Intramural schedule for next year.

The decision was made to move Sand Volleyball from a Fall event to a Spring event in order to have a volleyball event in both semesters.

We are moving Court Dodgeball from the Spring to the Fall to help balance out the semesters with Sand Volleyball being moved to the Spring.

We are also taking Bowling Doubles off of the schedule and adding a new sport, Bubbleball to the schedule.

Recommendations

Continue to develop partnerships with outside corporations to provide the best experience possible for the participants of the program. Continue to develop ways to recruit and retain sport officials.

Adjust marketing techniques to match the needs of a very tech savvy generation.

Continue to adjust the Intramural schedule to keep it fresh and keep the student body engaged and interested in the program.

Aggressively market the mobile application for IMLeagues, REC*IT, to increase communication between the department and the students.

XI. Marketing and Promotions

Marketing was a major focus of our program this year. Our goal was to greatly expand our level of interaction with our student population, mainly through the increased use of social media as well as enhanced visual promotion. Last year we released 3,198 pieces of information through these platforms. This year we released 5,823, an increase of 82%. They featured not only things like important dates coming up, classes, etc. but real time promotional releases from events while they were taking place. The entire staff has been a part of this emphasis and it has now become a part of our culture. The quality of our printed and designed materials was much better than it has been in the past and we increased our number of visual displays by a good number over previous years. This year we completed 39 different marketing projects. The projects included every program area and featured many instances of “cross promotion” that included more than one program area. They ranged from tabling to social media to printed material to digital media. We are continually moving our marketing efforts to include many different platforms in an effort to reach the highest portion of our total community as possible. In addition to the visual and social media efforts, we made a number of personal promotional appearances to groups like the Board of Directors of the Alumni Association, SOS staffers, RA and RDs, and a host of other organizations. We are starting work on a departmental app that will unquestionably further raise our marketing profile. We hope to have this launched be Welcome Week.

Twitter

One of our major goals was to become much more active not only in social media, but specifically Twitter. We conducted some extensive marketing projects during Orientation early in the fall to build our number of followers. We are right at 1,400 now, an increase of 200. We also made it a point to release information every day on events that would be taking place as well as to send out promotional “tweets” during activities to generate interest. All of our program areas have access to the account so we are able to get out information very consistently. It was great to have from an intramural standpoint as schedule changes and weather conditions could be sent out very easily and actively “re-tweeted” by different organizations. We were also very active in the fitness area, promoting classes at both the SRC and the HSC Fitness center every day. The facility staff did a good job of promoting hours of operation, upcoming holidays, locker renewals and other things. We made a major step forward in establishing this as part of our daily routines with much of the staff and will look to continue so in the future. Twitter is tracked by “engagement” and “impressions.” Engagement is someone taking some sort of action on your tweet such as liking it or re-tweeting it. Impressions are the total number of people who see your tweets as a result of others re-tweets. We are averaging over 53,000 impressions per month. Professional advertising agencies report that the average rate of engagement for a tweet is 0.1%. We average 0.9%, which is far above the national professional

27

Page 28: Summer Orientation - University of Louisvillelouisville.edu/.../about-us/annual-report-2015-16.docx  · Web viewFinancial Aid OfficeOur department works closely with ... We usually

Department of Intramural-Recreational Sports2015-16 Annual Report

advertising rate, but many of our tweets are in the 15 to 25% range which shows tremendous engagement. Our average is low because of many tweets relating to sport club practice times etc. that receive no engagement and average 0’s into our figures.

Reach Television

As part of our overall marketing emphasis, we made much more effective use of our REACH digital monitor system. During the year we posted 212 different screens or slides on the system promoting every program area in some fashion. That is an increase of 25 over last year. Every roster due-date, change in hours of operation, special fitness class as well as messages from our corporate partners were on the system, which goes out to 16 of our 42 monitors throughout the SRC. In addition we have posted several videos on the system that promote different program areas. Our graphic art student, Nick Cook, did some fantastic work for us in this arena and came up with a number of slides that were very unique and attention-getting. We added a new REACH screen at the HSC Fitness Center which has been very well received. It has the perfect location, at the end of the ramp leading into the building. The staff there has been very good at learning and using the system on a regular basis.

Alumni Memberships

We continue to work with the Registrars’ Office in promoting the program to every graduate of the university. This year we were able to distribute almost 5,000 pieces of information to current graduates through a printed information sheet placed in the diploma package. We are starting to see an increase in the number of students who paid the recreation fee prior to the opening of the new SRC who are eligible to receive 6 months of membership (free) for every semester they paid the fee prior to opening. We want to make sure and include that information on the materials we are able to distribute through the Registrars’ Office. We hope to retain a high number of those former students as alumni members when their free period of membership is completed.

With our new format of allowing alumni to join for 3, 6, 9 or 12 months at a time, our number of members is very fluid and fluctuates greatly depending on the time of the year. The main factor that drives memberships is parking. The lack of parking, and more importantly free parking, for alumni anywhere near the center will always be a determining factor in how successful the program might be. The opening of a 24 hour fitness center in the nearby Cardinal Station shopping area has also had an effect on our membership as they have free parking and membership rates of $10 per month. We know of a number of alumni and faculty staff former members of ours who now use that facility.

New this year, John Smith attended graduation practice with the list of students who had paid the rec fee and qualified for free membership time as a result. We provided

28

Page 29: Summer Orientation - University of Louisvillelouisville.edu/.../about-us/annual-report-2015-16.docx  · Web viewFinancial Aid OfficeOur department works closely with ... We usually

Department of Intramural-Recreational Sports2015-16 Annual Report

membership information to those who did not have free time coming and helped inform many people who did have free time coming of their status. It was a great promotional and informational endeavor for us. We have had a good number of students who qualify for a period of free membership come to the office and start theirs. This can be good for us down the road as we can work on retaining them when their free time expires.

Dependent ID Validations

This program continues to be popular and appreciated by students, faculty and staff. In a period of time when cost of living raises are small, benefits cost more and more, and general inflation eats up more of everyone’s discretionary income, a real value like this is a very strong public relations tool for our department. We have had a strong response from families at the Health Science Campus Fitness Center and have more intentionally marketed the program to families on that campus. We released information through the UofL Today email feature at the start of each semester. As with other membership programs, our rates for dependent IDs have changed to reflect the student recreation fee.

Summer Orientation

For the second year we had our own info fair during Orientation, partnering with the Greek system, which is a good fit for us. Every afternoon during the attendees’ break, they are able to visit us in the breezeway of the Life Sciences Buildings. We have been involved in many different formats with Orientation over the years, but this one works well for us. There aren’t a lot of other groups vying for the student’s attention at this session, which is great for us. We had staff from the intramural, fitness, club and marketing areas of the program at each of the ten sessions. We had between 3 and 8 staff members at each session.

Web Page

Our new design has eliminated some redundancy in our previous site and is much easier to navigate. We are making good use of it in every program area. With the re-design, we now have the Student Affairs event calendar running on one of our scrolls which is great not only for us, but helps cross-promote events through other unit sites. Our page continues to be one of the cornerstones of our overall marketing program. We were very aggressive in changing pages and keeping fresh information up. We have learned through our involvement with Orientation how important the web page is to incoming students as many of them come to our table already familiar with our program. Our numbers listed below put us in a very successful category of web use. Our duration and pages per session numbers are particularly impressive and higher

29

than national averages. Having almost 22,000 unique users is very strong for us considering the number of students at the University. Intramural Web Site:

Pageviews – 146,341 Duration – 1:31 Page per session – 2.39 Unique Users – 21,954

Learfield Sports Properties

We have seen a few other universities begin to use our model of partnering with a professional marketing company, but we will always be one of the pioneers in this model nationwide. Learfield is very connected to the Atlantic Coast Conference and is a national player in terms of sports marketing. Marketing, in the context we are talking about here, is about corporate relationships and financial gains for the department and not promotional ventures.

Partnerships with corporate entities come with a high level of expectations from a compliance standpoint. It is crucial for us in our ability to retain current partners and attract new ones, that we complete all of our obligations in a timely manner. This entails a consistent effort and awareness from our entire staff. Last year we did not fail to complete any of our obligations to any of our partners. John Smith has regular meetings with the Learfield representative responsible for our program to insure both our compliance and to investigate potential corporate partners.

Our long-time partnership with Qdoba was terminated this year. That was a national decision by Qdoba’s marketing team. They eliminated all local marketing and are only doing national campaigns.

We have had regular meetings with Learfield over the year and continually discuss possible new clients and ways to expand our sponsorship program.

Graphics Art Student

One of the best things we have ever done on the marketing and promotion front was to hire Nick Cook to help us with the visual presentation of our materials. Nick is a very talented graphic artist and very creative person. He has significantly raised the quality of every area of our program in this area. His work has appeared on our web site, REACH digital monitor system, posters and printed materials. Nick graduated this year. Replacing him will not be easy but one of our incoming intramural supervisors is strong in this area and we plan on dedicating a portion of her office hours to this area.

XII. Assessment

For the year we completed 27 assessment projects that were included on our annual master plan. Now that we have been in the SRC for a period of time, our assessment focus is moving from decision making (i.e. equipment selection etc.) and now into use and the impact on retention and recruitment we have. Every program area was looked at in some fashion during the year.

Document Releases To All Media Outlets Weekly

We keep a log documenting all of our releases through Twitter, Facebook, digital monitors, printed materials, Vibrations, UL Today, web pages, videos and appearances. This can be used to show our comprehensive approach to keeping our community informed about programs, events and facilities. This year we had over 5,800 information releases of some type, almost doubling the amount from 2014-15.

Select And Hire Department Assistants

Department assistants are regular employees of the University, only they are 80% FTE. We will have to go through the regular hiring process to add these positions to our staff. We completed the search and hiring process for two Department Assistant positions in 2015-2016.

Perform Quarterly Facility Inspections

Because of the newness of our equipment and the sheer number of pieces we are dealing with now, we are making our inspections quarterly rather than monthly. Monthly inspections will still happen, only the type of equipment will change. For example, one month all cardio equipment will be inspected, the next month all the free weights, and then the following month all the selectorized equipment. We feel that this schedule will still insure the safety and proper upkeep of the equipment, but will allow us to do more in depth inspections this way rather than try to complete every piece every month. The strength and fitness staff will complete the inspections on their equipment. The spreadsheets used to check every piece of equipment is too large to format and to show an example of here. They are on file with John Smith should they need to be verified.

Establish Informal Focus Group

31

Page 32: Summer Orientation - University of Louisvillelouisville.edu/.../about-us/annual-report-2015-16.docx  · Web viewFinancial Aid OfficeOur department works closely with ... We usually

Department of Intramural-Recreational Sports2015-16 Annual Report

We re-implemented our informal focus group this year. To make sure we were getting honest feedback and not just approval from students we already knew, John Smith walked the facility asking people he did not know if they would like to serve on a group like this. He recruited 5 students to go with the faculty/staff and alumni representatives on the group. The group met two times during the year to talk about the history and rationale behind the SRC regulations, budget scenarios and potential impact on the facility, summer hours of operation, as well as how the group serves as a customer service watchdog service for the department. All 5 of the students graduated this Spring so new members will need to be found in the Fall.

Select New Strength Equipment For The HSC Fitness Center

Phase two of the renovation of the HSC Fitness Center took place this year. That phase included the replacement of the strength equipment as the cardio was done the year prior. After much research into different brands and types of equipment, we selected Hoist dual function pieces to replace the selectorized equipment. This saved a significant amount of space in the facility due to each piece doing the same function as two pieces that it replaced. We also replaced the Smith machine, power rack, dumbells, racks, and larger weight plates. The difference is very noticeable and very much appreciated by our clientele on the HSC Campus. Tim, Justin and Addina were each tasked with different research projects and we then met as a group to review different lines of equipment and compare cost/piece ratios etc. Addina was tasked with developing a physical master plan for the location of every piece of equipment in the center as a project to enhance her internship.

Conduct A User Satisfaction Tool For The SRC

As the SRC was approaching two years of operation, we wanted to conduct a general user satisfaction tool of some kind. This could be written, could involve a number of interview sessions or could be a town hall type of function. Those variables as well as a schedule for the project will be determined at the planning meeting. We collected almost 500 responses to the tool. The observations are listed below. We developed a rubric to conduct the project.

Continue Web Statistics Study

We are now utilizing Google Analytics to track hits, page visits and duration of visits. A pageview is a record of the individual pages someone visited while in our total site. Those records will help us shape the look, feel and function of our page in the future. Our pageviews, duration and pages viewed per visit are all very strong and above national averages. Our number of unique users is very high when you consider the student population of our camus.

Perform The Installation Of Critical Updates And Virus Protection Installations

We changed our machines to do updates automatically, which means we no longer maintain a record of the updates. Previously, when updates were released John and David R. would manually come around to each machine in the office to complete the updates. Having them done automatically is safer for the department as it protects the machines during the time that John and David would have been coming around to perform the updates. The important thing is that we did not lose a machine to a virus or preventable problem during the year.

Continue Global Viewer

Global Viewer is a program that will enable us to control the tuning of all TVs and monitors in the SRC from a desktop computer. John, David Hatfield and David Rice will have administration rights to the system. Through the system, all of the TVs in the SRC can be controlled from a person’s desktop pc. This includes having the sets come on at a specified time and go off at a specified time so the facility manager does not have to go around the entire facility making sure they in an appropriate setting at any given time. We use this function particularly over holidays or times the facility’s hours of operation may be modified.

Continue To Evaluate Needs For SRC Instructor Staff

Keeping our classes current and making sure we are knowledgeable about new fitness trends will require us to continually evaluate the need both for numbers of instructors but also types of instructors. The new class format of being free and not fee-based, will no doubt have ramifications in our ability to stay current with the fitness industry. This is done on a continual basis and numerous changes have already been made for the 2016-2017 year.

Document Attendance Numbers Of All Group X Classes.

We will need to document the attendance/popularity of the classes. With the personal training program starting its second year, we will want to be able to document the number of sessions and number of people taking advantage of the program. Attendance will help drive our efforts at knowing what types of instructors we need to be recruiting. Below is an example of the spreadsheets that are kept by semester, for both the SRC and HSC Fitness Center.

Determine Types Of Classes To Offer

The information gathered in the attendance numbers will help guide us in determining the types of classes to offer in the future. That information will be helpful but will not be the only factor used, as it will not take into account emerging trends in popular fitness class types. Changes for future classes based on these tools are being implemented for the upcoming year now. The fitness staff is continually monitoring trends in the group X arena and are always looking to insure our programs are reflective of those.

Investigate Moving Spin To Larger Studio

Spin Cycling is one of our most popular classes. It is limited in size by the number of bikes as well as size of the studio it is currently held in. Our fitness staff will investigate the cost of adding more bikes which would also require a move to a larger

studio and how that might impact scheduling of other classes. This is something that is still being studied and has been included in our assessment projects for 2016-2017 as well.

Assess Officials In All Sports

We want to continue the process of evaluating our officials, both for our benefit and theirs. It will help us with training and thus improve the level of officiating for the participants, as well as help individual officials improve to the point where they may be able to get some of the community work we have access to. The intramural staff observed and assessed officials in every sport. Instruction was given during breaks in play to individual officials and crews. Assessments were used to make assignments for tournament play at the conclusion of regular season contests.

Continue To Formalize/Document Council Agendas

Six years ago we began keeping agendas from all council and IM Staff meetings. These are helpful in the event of a problem after the meeting, we can go back to our agenda and document that the topic was covered. It also helps us to document our efforts at building community and our continued efforts at improving sportsmanship. We will continue to formalize our Council agendas and document all topics covered. Agendas were documented for all Intramural Council meetings for the year.

Conduct Team Sport Satisfaction Tool For Each Team Sports

We are reviewing the structure of our existing “town hall” meetings. Years ago we conducted written satisfaction tools at the end of team sports. We didn’t like the in-ability to respond to questions etc. those gave us so we started having “town hall” meetings at the end of each team sport so we could have dialogue. Those are conducted at the IM Council meeting most closely scheduled to the end of each team sport. Participation in those has not been good and we don’t get much dialogue at all from them. We are looking at whether they should be a stand-alone event open to all participants or other changes that we can make to increase participation in them. We kept the town hall-type of meetings for the 2015-2016 year but are going to a new format of a written tool at the end of each semester rather than at the end of each team sport next year. We think the feedback we receive will be more accurate in that manner.

Track IM League Utilization

Now that we are using IM Leagues across the board in all divisions of play, we want to find out how our utilization compares to other universities and to our own

40

Page 41: Summer Orientation - University of Louisvillelouisville.edu/.../about-us/annual-report-2015-16.docx  · Web viewFinancial Aid OfficeOur department works closely with ... We usually

participants. We will look at the number of single sign-ins and other parts of the platform to evaluate our use of the program.

Our utilization of IM Leagues remains high. With record numbers of teams in several sports this year, we know our use increased. IM Leagues does not allow us to access that information like we can with Google analytics and Twitter analytics, so we can not derive specific details. We do know we were one of the top 10 schools in the nation in logins last year and had more this year by a noteworthy amount. We are talking to IM Leagues to see if there is a way we can begin to access that information in a specific manner.

Continue Follow Up Phone Contact With Injured Participants

Last year we made 116 phone calls to participants who had been injured in our program. Every person who had an injury report filled out received at least one call to check on their condition and offer the department’s assistance. The calls are very good tools for us. They show concern and intent to follow up with our participants. I have talked to many parents when making the calls and the good will we receive from the calls is very significant. From a legal standpoint they are important but more importantly from a moral standpoint they are critical to our department and should be continued with no question. We usually receive some sort of thank you statement from every injured participant during these calls so they are appreciated. We refer insurance and medical expense payments to Sandy Russell.

Document All AED Inspections

Our new machines perform a nightly self-check inspection. Our inspections for the current year have been completed and all machines are in compliance. This year was the year that our current pads expired and as a result of the inspection have been replaced.

Document All Staff Certifications

We keep a spreadsheet on every certification issued from our department training classes through the American Heart Association. We also keep the certification sheets turned into the AHA for documentation as well. We are able to provide information on any staff member’s certification at any time. This also helps us track renewal times for every certification. Louisville Fire and Rescue also documents this information for us.

All staff certifications along with expiration dates are maintained and available from John Smith. An example is below. Names in yellow are from other departments or agencies that we provided training for.

Track All Injury Reports

With this tool we want to develop a database so that we can track all reported injuries. We then will be able to compare injury rates between indoor & outdoor activities, structured program to informal program. We will also categorize the severity of all injuries and compare statistics between sports and related activities. This may have implications in our future training and certification plans. Results of the injury tracking are discussed in the safety area of this report. We use the statistics gathered from this project to tailor our training in the summer for our staff. We complete the course as specified by American Heart, but will also spend some extra time in areas that appear to be more common for us to respond to.

Include A Specific Question On Injury Response To Team Sport Satisfaction Tools

Injury response is a topic at all town hall team sports meetings. There were no responses from anyone reporting poor response to an injury situation. Most people had compliments to the way our staff responded. This has already been a regular talking point in all of our town hall meetings but should be continued.

Inventory Response Bags On Regular Basis

Our bags were inventoried at the conclusion of every team sport and at the mid-point of each of those. The bags were kept stocked and ready for any response that we may have encountered.

Continue Regular Facility Inspections For HSC Fitness Center

Monthly facility inspections are completed and turned into John Smith for documentation. Inspection forms include all weight and cardiovascular pieces of equipment as well as building and general equipment. The forms used are too big for inclusion in this section but are available for review at any time.

Conduct A Site Review For Safety Response

Our clubs practice and play in various locations. We need to review those locations to make sure our clubs have appropriate mechanisms in place in case of an emergency medical situation. Those that cannot document the availability of a certified first responder with CPR and First Aid certifications at the various facilities used, should be required to send club members to become certified through our office or through existing classes with the Louisville Fire and Rescue/American Heart Association. This should be completed by the sport club coordinator.

Provide First Aid Bags To Appropriate Clubs

With clubs practicing at different venues, we want to make sure those that are in facilities other than ours (where we have responders and equipment available) have access to basic first aid supplies. We will supply those clubs with a first aid bag and stock it whenever they indicate that it is needed. Our most competitive clubs, such as ice hockey and rugby, have arranged to have medical staff on site for practices and contests. We make the provision of bags available to all clubs.

Review Learfied Status On A Regular Basis

We are finishing up our sixth year partnering with Nelligan Sports Marketing, now Learfield Sports Properties, to generate income for our department through the selling of advertising and other promotional programs. We continue to review and explore new ways of furthering our relationship with the firm. Learfield has been aggressive in pursuing potential leads for us. John Smith meets with Lisa Turner at least monthly to insure compliance and discuss future sponsorship opportunities. Most of our compliance obligations revolve around the intramural program. That staff has done an exemplary job of making sure those things are fulfilled. Learfield provides us with an excel spreadsheet with all partners and obligations at the start of the year which we follow to insure total compliance.

XIII. Technology

Technology continues to drive most of our daily functions. Fortunately for us, most of our equipment is relatively new and we had very few issues to deal with. From an operations standpoint, having 160 points of connection and 20 computers in the SRC, a satellite television system, digit television system and touchscreen display, projectors and smart boards, we are very technology dependent. All of our machines are up to date on virus protection and malware programs. During the year we also successfully implemented an encryption program on all machines as required by federal regulations. Given the number of machines and different platforms we are dealing with, it is critical that we maintain and utilize these in the best manner possible. One of the best advancements we made in the area of technology was being able to gather information from more differing sources than ever before. We were able to supply Institutional Research with a wealth of information for a demographic study that compares “regular” and “non-regular” users of our facilities to grade point average and persistence (details in the assessment section of the report). We continue to look for new ways to use technology in every phase of our operation. During the upcoming year we will have to move every computer in the department to the Windows 10 operating system. That will involve a significant amount of hours and scheduling to complete machines not only in a timely manner but also in a way to impact the user to the less degree possible.

XIV. Safety

During the year we had 51 staff members certified to use the AED machines and respond to emergency medical situations through the American Heart Association. Our certifications are now on two-year cycles so the number of responders certified in a given year and the number of responders available to use are not the same figure. A number of our responders were certified in the previous year and some of our responders graduate or leave the department for one reason or another. Since changing to the American Heart Association rather than the American Red Cross for our certification and training programs, we have received much stronger support. Louisville Fire and Rescue uses American Heart and has a center dedicated to CPR/AED and First Aid downtown. The same people that teach the professionals how to respond to any situation are available to help us with any scenario we may encounter. Our certifications are now done in-office rather than having to go through Kansas City, making it much timelier in getting them done. The American Heart Association is also much more stringent in teacher qualifications. John had to teach a class for Louisville Fire and Rescue this year to retain his instructor certification, something he never had to do for the American Red Cross. This only makes our response program stronger.

These 50+ trained responders are called “designated responders” Heartsaver CPR and First Aid through the AHA. At least one of these staff members is on duty in our facilities and at our programs at all times. As a staff, we responded to 116 documented emergency medical situations last year that were deemed serious enough for our supervisors to complete written reports The increased numbers of participants we are dealing with now in the SRC compared to previously in the SAC makes our response program even more paramount.

Our current method of training designated responders makes our response to these situations quicker and more thorough than our previous method of mass training to a lower level of skill. Each of the 116 injured participants that had a response form filled out received a follow up call to see if they needed assistance of any kind and just to show concern from our part. Some of these injured participants are from out of town or even international students who do not know a doctor or where to go in Louisville. We refer to orthopedic and general practice medical professionals when asked as well as provide assistance in communicating with Risk Management regarding insurance protocols.

Our injury breakdown was markedly different this year. 68% of our injuries were bone/joint related. Last year that number was 35%. A slight majority of our responses are to bone/joint injuries. Blood injuries make up the next most responded to situation at 17%. Head injuries coupled with concussion symptoms comprised make up between 13 and 15% of our injuries and the other 2% were random cases of dizziness, nausea etc. We have seen an increase in the head/concussion injuries which is likely related to the increased number of sports that have the potential for collisions such as indoor soccer, team handball, and the increased popularity of flag football and

48

Page 49: Summer Orientation - University of Louisvillelouisville.edu/.../about-us/annual-report-2015-16.docx  · Web viewFinancial Aid OfficeOur department works closely with ... We usually

Department of Intramural-Recreational Sports2015-16 Annual Report

soccer. The increased numbers of people in the informal program participating in pick-up basketball have also had an impact on that injury rate.

Our First Aid Room continues to be a great addition to our response program. We have what amounts to a physician’s exam room adjoining the front counter area of the facility. Now, if a person is hurt, and we are able to move them, we can provide privacy and a better level of treatment with the room. We have used the room a number of times since opening the center and every patient has commented on the improved comfort level they derived from the privacy provided.

Our response bags were inventoried and re-stocked on a regular basis. Our AED pads where all changed out this year and have a two year window of use from this point.

We also continued our department protocols for MRSA to insure we were on the leading edge of dealing with this potentially deadly virus. There are no current certifications available from national health/safety agencies dealing with the prevention of MRSA, which prompted us to develop our own training program.

XV. Fitness

Group Fitness Classes

After 2 years of operation in the Student Recreation Center (SRC) attendance in the group fitness classes remains consistent with a slight dip in participation numbers from 9400 to 9200 participation hours between the Health Science Fitness Center (HSC) and SRC. The variety of classes offered remained consistent with the addition of a few new formats in HIIT (High Intensity Interval Training), Restorative Yoga, and Butts & Guts. Zumba, Barre Fitness, Cycling, Butts & Guts and Power Yoga remain our most popular classes, averaging 10-23.5 participants per class. Our most popular classes continue to begin after 5 PM so we will focus on scheduling classes and instructors in the evenings, however still offer classes during the early morning at SRC and mid-day on the HSC campus.

Our in-house training program went well this year as we hired 4 instructors last year that participated and taught for us last spring and will continue teaching for our department. The charge of only having student instructors at the SRC will always be a challenge for us as we had 4 instructors graduate this year and move on. Some of their classes will need to be filled, which we will look to do using our in-house training program and advertise for certified instructors within the student population at U of L. Our lowest averaging classes will be dropped from the schedule in order to utilize our instructors and space most efficiently and not have similar classes competing for the same participants. We will continue to partner with NETA (National Exercise Trainers Association) and bring them to campus regularly to certify students that we work with in our in-house program.

One class we added in the spring that was not on the Group X master schedule because it was not taught in the fitness studios was Combat Boxing. That class proved to be popular even with male students and was taught on the main weight room floor and in the Sport Club Studio. One of our student staff members who has boxed semi-professionally taught the class two evenings per week and averaged about 4.5 students per class. In the future we look to add this class to the master Group X schedule and advertise it as a Boxing/Conditioning class. We anticipate this class to gain popularity with some of our male students as it tends to be a more intense workout that our male students tend to prefer.

Personal Training

The CardForce Personal Training Program has been operating for 2 years and remains consistent in numbers. This past year we totaled over 340 sessions, serving 23 different clients. Though the number of clients served is not high given that there are over 20,000 students at the University of Louisville, the clients participating in personal training sessions are repeat customers. This is a strong indication that the service has proven to be successful for the clients and their goals are being met or

they are seeing positive results. We had 10 trainers work for us this past year and all are students that are certified by a nationally accredited association in personal training as well as CPR & AED.

We created an in-house training program to develop students interested in becoming a certified personal trainer as well as developed a relationship with NETA (National Exercise Trainers Association) to come to the SRC and offer a 2 day personal training certification workshop. Now that we have two Departmental Assistants (DAs) in the fitness area, one focuses on our group fitness instructors and one focuses on developing our personal trainers. With two years of the program behind us and 10 trainers on staff our focus for the future of the program will be on marketing to increase the number of clients we serve as well as increasing the training and continuing education for our current staff. Our Departmental Assistant is updating our training manual over the summer and creating educational/ training sessions for our trainers before the fall semester begins. The additional training and increased marketing should enhance our goal of creating a healthier, more engaged student body and campus community. The more students, faculty, staff and alumni we can engage, the greater opportunity we have in promoting a healthier lifestyle that could affect their lives outside the University.

Fitness Assessments & Mini Fit-Checks

As we continue our collaboration efforts with the Office of Health Promotion in providing facility space for the U-Fit Program for U of L students we will always monitor whether this is the best utilization of the space provided. Currently our Personal Trainers work out of the Fitness Lab that doubles as an office for our two Departmental Assistants as well as the U-Fit Program. Consideration may need to be given to creating additional or alternate office space for our DAs if our Personal Training Program continues to grow as well as the U-Fit Program to ensure the client privacy during one-on-one meetings by minimizing or eliminating interruptions. With continued emphasis being placed on educating our personal trainers, more time may be spent in the fitness lab this year utilizing the assessment and specialized fitness equipment.

One program we look to modify and enhance is our Mini Fit-Checks we have offered in the past. We want to expand this program to include fitness demonstrations and fitness-related questions and call it “Meet the Trainer.” We will continue to offer the free body composition and blood pressure screenings but will also have a featured ‘Exercise of the Week’ that the trainer and/or intern will demonstrate during the weekly table time in the SRC Lobby. We plan on having one trainer and a Fitness Intern from the Exercise Science Department staff the table every session with evening and daytime hours available.

Max Night

The Max Night Program was created last year by one of our former Departmental Assistants and was a weightlifting competition where students could ‘test their limits’ and attempt to lift their maximum weight in a safe environment in the bench press, barbell squat and deadlift. Just like the previous year, the contest started with a great deal of excitement but did not finish with a great deal of participation as the absence of a “big prize” for the winning lifts proved to be a determining factor. Staffing for the program is not a concern as we have used our fitness interns, fitness staff and personal trainers to serve as spotters and loaders/unloaders for the event. If we continue the program we will need to secure a sponsor for the event or put resources into funding prizes for the winning participants.

CardFit Challenge

The CardFit Challenge is a collaborative event we have done for once per semester for 3 years with the Office of Health Promotion. The event is typically held during the first week of classes each semester to promote a healthy and active opportunity for students to socialize and become engaged on campus. This past year we offered the Scavenger Hunt: CardFit Photo Challenge in the SRC that was not well-received. Despite a great deal of planning, marketing and staff for the event, the participation numbers were low. We anticipate continuing the collaborative program with the Office of Health Promotion and trying different events until we get something the campus community enjoys and will participate in.

XVI. Sports Club Federation

The 2015-16 school year was another excellent one for the Sports Club Federation. The Federation began the season with 22 members and added three clubs (Men’s and Women’s Volleyball, Wrestling) while losing four over the course of the season (Wrestling, Women’s Rugby, Tae Kwon Do, Soccer) bringing our number to 21 active groups. We met with several groups concerning the formation of future clubs, which we look forward to in the upcoming year.

Sports Clubs are student groups dedicated to a particular sport, which separate them from other recognized student organizations and competitive intramural sports. Our roster currently enjoys competitive clubs, instructional clubs, and social groups. This diversity lends strength and credibility to our program and allows us to offer a wide range of differing sport and recreational options.

Our Sports Clubs have been allowed to expand and include community and alumni members as well, which lends stability to the clubs by not limiting involvement to just the few years participants attend the university. We believe we are one of the few, if not only, sports club programs in the country that allows community members, which is something we are very proud of. The clubs are lucky to have the strong leadership that they enjoy, with many clubs having an experienced and dedicated individual overseeing all aspects of their respective club. This is perhaps the largest contributing factor for the continued success of our clubs and one that we will continue to foster amongst the membership. This also would not be possible without our community membership program, which justifies its existence in a strong and very visible way.

We knew that with the opening of the new Student Recreation Center in October 2013 many changes were in store for the sports club program. Whereas previously we had clubs meeting and practicing in various different areas of campus and in the community, we now have a facility that is capable of housing a variety of different clubs and hosting a multitude of activities. With the center’s opening, we are able to provide dedicated practice space to 17 of our clubs in one facility.

We also knew that the new center would affect the makeup of our club roster, which has proven to be accurate as well. Previously, the majority of our clubs were instructional in nature, with competitive clubs becoming more popular but not the majority. When the SRC opened, we have seen a significant shift toward competitive clubs, which is a trend we see continuing in the immediate future. In the future, it will be entirely possible to add several clubs based solely on our ability to provide appropriate practice and meeting space in the SRC, which is a luxury we previously did not enjoy. Sports Club Federation meetings are now held in the classrooms of the building as well.

Another exciting change to our program was our new partnership with the Office of Admissions. Last year we began working with Admissions in an effort to attract a

higher level of student and athlete to our program by educating potential incoming freshmen of the availability of academic scholarships from the university. Our clubs were able to use this information to actively recruit potential club members and offer them the possibility of receiving significant financial aid. This year we had 12 students take advantage of this program. We were tasked with increasing this number by 10 percent for the coming school year, which is a number that looks easily attainable. Initially this idea was implemented through four of our competitive clubs. We have now opened this idea to all of our groups and introduced some better athletes to our club program.

Our clubs once again participated in the Dean of Students Office Field Day as well as the RSO Fair at the beginning of the school year in August. For the first time this year, all of the clubs were invited to participate in Campus Preview Day, which for us was held in the Student Recreation Center. In May, David Rice was a guest on the radio show “Louisville Today with Mark Hebert”, which included an 11-minute interview segment. This was an exciting experience which brought well-deserved recognition to our club sports program.

Unfortunately, the end of the school year also saw the end of the over 40-year tenure for our Tae Kwon Do Club, which closed its doors in May. At its peak, this club was one of the largest on campus, with over 250 members. We congratulate the club on its outstanding run and will keep the possibility of reopening alive for a future time.

The following is a brief outline of the accomplishments of our twenty-one clubs for the 2015-16 academic year:

Aikido Club

The Aikido Club had a successful year in 2015-16. The group continues to see a consistent membership with 12-15 students attending regularly. Club meetings were held on Tuesday and Friday evenings and Saturday morning in the SRC. In January the group hosted a Kagami Biraki seminar, which is a new presentation designed to renew participant’s motivation for training. Four members of the club were promoted in rank this year. In March, the club attended a seminar in Chicago where this promotional testing was held. All four members were successful, bringing a full quarter of the club to black belt level or above. The club currently has eight black belt-level or above instructors. This level of leadership gives our club one of the highest levels of accomplished instructors in the region and speaks to the dedication they have to their discipline. Aikido is one of our oldest clubs and continued its long tradition of excellence this past season.

Badminton Club

The Badminton Club is one of the longest-tenured clubs on our roster, being active for almost 40 years. Practices were once again held on Friday evenings in the SRC. Membership of the club consists of a strong international contingent, with members from Malaysia, Indonesia, China, Japan, Singapore, Hong Kong, Nepal, India, Russia, Germany, England, Scotland, Canada, and the United States. The club is truly one of the most multicultural and diverse of all student groups. The club donated canned goods for Christmas food baskets and also made contributions to the Angel Tree. Finally, the group was a guest at the Intramural Sports International Nights held in November and March, where their diverse membership was a welcome addition to the evenings. The Badminton Club continues to do well under the leadership of Mr. and Mrs. Charles Norton, and will no doubt continue to do so.

Ballroom Dance Club aka: “Dancing with the Cards”

“Dancing with the Cards” had an outstanding year. This year members learned a number of different popular dances, including the east coast swing, lindy hop, cha-cha, salsa, waltz, west coast swing, argentine tango, bachata, and the charleston. These dances were taught in a structured monthly rotation, with a new dance each month taught at their Tuesday evening practices. Tuesday evening practices had a consistent 20-40 student in attendance, usually closer to 40. The club hosted a Saturday night fall dance in September in Lutz Hall which was well-attended. A highlight of the spring was a 1920s Gatsby-themed dance in the Red Barn, which was an exciting new event for the club. The group also participated in Reggae Fest at the Red Barn in April. With the continued solid leadership of Jim Beggan and a strong core of student participants, the club looks to become more active in the dance community and increase its membership in the coming year.

Baseball Club

Our Baseball Club posted an impressive 11-8 record. Included in that record were wins over Eastern Kentucky, Dayton, Indiana State, Ohio State, Depaul, Wright State, Indiana, Illinois, and Xavier, leading to a second place finish in NCBA Division II. Home games were once again played at Beechmont Park. Three members of the club were nominated for NCBA All America, which will be announced in the summer. A highlight of the season occurred in April, when the club was able to play in the new Crosely Field in Cincinnati, which is an exact replica of the original Cincinnati Reds’ home field. The future of the club baseball team will include a summer season in the River City league which will consist of 20 games, all played locally. The Baseball Club had an exciting season and looks to back it up with an even better showing in the coming year.

Men’s and Women’s Bowling Club

The status of the Bowling Club is in question after a slow year on the lanes. Practices were once again this season held at Executive Strike and Spare on Tuesday nights. This year the Men’s club did manage to compete in 6 events throughout Kentucky, although none after February. The women did not participate in any tournaments. We will monitor and guide the Bowling Club and see what the future may hold for the group.

Fencing Club

The Fencing Club once again proved to be a fully functioning recreational group that continues to do its business well. Weekly practices were once again held in the SRC on Monday and Wednesday evening and Saturday afternoons. Saturday practices were moved to the MAC Court, which was well-received and beneficial to the group. In January, the club held a mock tournament in the SRC, and for the first time in several years, members of the club participated formally in sanctioned tournaments. Stanley Raispis competed in the EKU Halloween Open (finishing 2nd) and the Bourbon Open, and Theo Randles parried in the Music City Series and Arnold Classic. The club also travelled to NKU and EKU to participate in joint practices with their clubs. In the future the group is planning to host a tournament in the SRC, with competition to be held in the MAC Court area. The Fencing Club is the oldest active club on our roster, with continual existence at UofL since 1948, and we look for it to remain a strong club well into the future.

Golf Club

The Golf Club entered its second year with an eye toward competition, which they realized in competing in a regional tournament at Grand Victoria Golf Club in

56

Indiana in March. The group met on Thursday evenings in the SRC with a consistent group of 6-8 members gathering to play the various courses available. In the future the club looks to play some competitive matches against local and regional schools, compete in additional regional events as a team, and join a collegiate golf club conference. It is also looking to become a Recognized Student Organization, which should only benefit it going forward. We are anxious to see what the future holds for the Golf Club.

Ice Hockey Club

The UofL Ice Hockey club experienced what was by all accounts its most successful season ever in 2014-15. The group completed a full 40-game schedule and posted an excellent 24-15-1 record. Iceland Arena was once again the venue for their home matches this year and the group was able to travel to Indianapolis, Lexington, Oxford, OH, Wright State, Davenport, Akron, Cincinnati, Toledo, and Athens for contests as well. Qualifying second for the TSCHL Tournament, the club defeated Ohio University 7-5 to bring home its Conference Championship for the second consecutive season. Traveling to the ACHA Regional Tournament in Washington, DC as the #9 seed, the team beat Princeton before falling to Penn St. in overtime thriller. In February, the club held a “Kids Day” where kids were admitted free to a game and invited to skate with the team afterwards, and were given free pucks. In March, Coach Brian Graham was a guest on the “V Show” on ESPN Radio to promote the team. In April, Coach Graham was awarded the Sports Club Mendy Award, and the club was rightfully awarded the Outstanding Sports Club Award at the IM Awards Lunch. Finally, in May the club was featured on ESPN’s Sportscenter, as anchor John Buccigross wore at UofL road hockey jersey live on-air, giving the club an incredible amount of exposure. It was another outstanding year for our Ice Hockey Club and we look forward to many more in the future.

Kempo Karate Club

The University of Louisville Kempo Club completed another productive and successful year. Practices were again held in the SRC on Monday and Thursday evenings. The group currently has 5 masters and 10 overall black belts which provide a consistently high level of instruction. Members of the club were able to test and advance in various disciplines, including Kempo, Jujutsu, Aikijujutsu and Karate. The group continues to bring in guest instructors at its clinics, which has been well-received by the members. The Kempo Club is another of our oldest and most well established clubs and continues to lead by example on how to run a successful group.

Men’s Lacrosse Club

During the 2015-16 school year, the Men’s Lacrosse Club at U of L improved on a very good 5-3 record with an outstanding 8-2 record and a second consecutive trip to the NCLL Tournament in Chattanooga. Practices began in the fall and the club was on the SRC field on Monday and Wednesday evenings. The spring schedule saw a trip to Eastern Kentucky and Western Kentucky, capped by an impressive road win at #7 Ohio State. Home matches were played at Thurman-Hutchins Park and Bellarmine Field against Eastern Kentucky, Marshall, Bellarmine, and Northern Kentucky. The season was highlighted by a special match against Eastern Kentucky held at the Elizabethtown High School field. With the club’s postseason invite secured, the group travelled to Tennessee-Chattanooga in April, where they defeated the host Mocs in the NCLL Deep South Conference Championship game for the club’s first-ever conference championship. This earned club an invitation to the NCLL league playoffs, which unfortunately they were not able to attend due to Kentucky Derby commitments. We are proud of the club’s continued good play, and with no graduating seniors this year, things look very bright for the coming season for our Men’s Lacrosse Club.

Women’s Lacrosse Club

Women's Club Lacrosse had a successful inaugural season with 18 players managed to compete in 12 games in the Women’s Collegiate Lacrosse Association (WCLA), which is incredible for a brand new club. The club was able to secure grants from the Kentucky Lacrosse Association and from the SGA. In January the group had a major success when they hosted a USA Lacrosse Coaches Clinic in the SRC, which granted them tremendous exposure and gave them credibility in the local lacrosse community. The club was able to work closely with the Men’s Lacrosse Club team and participated in the first (and hopefully annual) Boys vs Girls UofL Lacrosse game, which was enjoyed by both sides. The club’s leadership will return with the experience from this year and we will be better prepared to compete at a higher level in 2017. With only 3 seniors departing and at least 10 new players arriving on campus, the future is very bright for our program. We are proud of the success and organization of this new group and look forward to what may lie ahead.

Racquetball Club

The Racquetball Club made a nice rebound this year. Practices were again held on Wednesday evenings and Saturday afternoon in the SRC. Members of the club participated in the Kentucky State Double Championship (winning the C Division), the Kentucky State Singles Championship, as well as the UofL Intramural Tournament (taking 1st and third in Singles). A change in leadership was crucial to the success the club enjoyed, and the group has gone from being on questionable to very

steady ground. We are happy with their progress and look to see further successes from the club in the future.

Men’s Rugby Club

The Men’s Rugby Club completed its eighth season. After graduating several players the club was faced with a younger team with not very much experience. Practices were held on Tuesday and Thursday evening on the SRC Great Lawn. Successes included wins over Cincinnati, Bowling Green State, Miami University, and Kent State, finishing the Spring 7’s season with a 5-5 record. Off the pitch, the men sponsored a Blood Drive in the SRC in conjunction with the American Red Cross. The group made recruiting trips to Chicago, Nashville, and Baltimore, and hosted a recruiting weekend in April for prospective student/athletes. The club also founded the Junior Cardinal Rugby Academy, which was an 8-week training clinic for beginning rugby players ranging in age from 7-16. This was very well-attended and gave the club excellent exposure to the local rugby community and credibility from younger but growing players. In summer 2016, club members will attend training camps in Denver, Vero Beach, and even Natal, South Africa. Finally, we thank Coach Ken Mance for his dedication to the club and wish him well as he moves to Michigan to be closer to his children. From its beginning, we charged the leadership of the Rugby Club to do things the right way, and it is obvious that they are taking this charge seriously. We are excited about the future of our Men’s Rugby Club.

Women’s Softball Club

Women’s Softball entered its second season on unstable ground, as the members from last season either graduated or moved on from the club. Efforts were made to secure additional players, and they were able to play nine games overall, although there were no victories attained. Club President Joni Schmidt did an admirable job keeping the club active, but the future is definitely in question for this club. We will monitor the group’s progress and provide any support possible to keep the club going in the future.

Table Tennis Club

The Table Tennis Club is in its third year on the Federation roster, with an expressed purpose of providing recreational and instructional opportunities. Practices were held weekly on Wednesday and Friday in the Cardinal Corner Game Room, with 10-12 people regularly attending. The most visible event was the club’s move to the SRC in May. With the temporary closing of the Cardinal Corner Game Room due to the SAC’s impending construction and addition, it became necessary to move the club into the SRC. This was a very positive move for the club, as it will give it increased exposure and a consistent practice time. Going forward, the club will practice on

Friday evenings and Saturday afternoons on the third floor SRC courts. With a permanent home the Table Tennis Club looks to take off in the coming year.

Tabletop Gaming Club

The Tabletop Gaming Club is a group of gamers who use the SRC classroom space as a place to meet and play games. Meetings were held on Wednesday and Friday afternoons and often the sessions ran well into the evening, and it was not unusual to see two or three different games being played simultaneously. The club was able to secure donations of games from several major game publishers, including Aldarac Entertainment Group (AEG), Steve Jackson Games, and Stoneblade Entertainment. They also participated in International Tabletop Day in April as well as World RPG Day last June. A group such as this underscores our mission to provide recreational opportunities to all of our community, and we are proud of the role they play in our program.

Tae Kwon Do Club

It is with regret that after over 40 years as an active sports club, the Tae Kwon Do Club closed its doors at the end of the school year. The club had seen dwindling membership over the last several years and the group voted to close after its May promotional testing. The club was able to hold promotional testing in August, December, and May before closing. We would like to acknowledge the efforts of longtime club representative Rick Lichvar and Lead Instructor Pat Smith for their many years of dedicated service to the Intramural Sports Department. We are completely open to the club restarting at a future time.

Tennis Club

The future of the Tennis club is in question after a season without any tournament participation and sparse attendance at club practice times. Practices were scheduled on Tuesday and Wednesday evenings and while there were students who came to practice, they dwindled as the year went on. We will monitor the activities of the club and hope to see improvement in the coming year.

Ultimate Frisbee Club

The 2015-2016 school year started as a rebuilding season and ended with success for the Ultimate Frisbee Club. Once again, the group fully utilized the SRC Great Lawn and conducted its practices regularly on Tuesday and Thursday evenings under the lights. Weekly practices were well-attended, and it was obvious that it was easier for the club to attract participants with their visible practice space. The makeup of the

60

club was much younger this year, with graduation and attrition hurting its viability. The group was able to participate in two tournaments where they had respectful finishes, including a win against Kentucky. They managed to advance to their sectional tournament, where they placed sixth and advanced to the regional tournament in Fair Oaks, Indiana. With new individuals leading and new leadership structure in place, we are proud of the club’s success and optimistic that the future will be a bright one for the Ultimate Frisbee Club.

Men’s and Women’s Volleyball

Our newest clubs to the roster are Men’s and Women’s Volleyball. These clubs founded at the beginning of the school year and are a direct result of the availability of practice times in the Student Recreation Center. The two groups shared practice space on Friday afternoon and Saturday morning, which contributed to the success of each team. The women participated in tournaments at Purdue and Bellarmine, while the men played at Tennessee and Indiana. The groups also co-hosted a co-ed tournament at Southern Indiana Sports Center. Additionally, each club was able to secure bids to the national club volleyball championship, held at the Kentucky Fair and Exposition Center in April, where the girls finished 5th in their division and the men finished 17th in theirs. These two groups had an outstanding first year and we look with anticipation to what they can accomplish in the future.

Wrestling Club

The Wrestling Club briefly restarted in the Fall semester but was only active for one month before closing its doors for the second time. They managed to participate in several practices, utilizing the Mat Room space on Wednesday evenings. At this time it is unknown if there will be a Wrestling Club in the future.

Soccer, Wrestling, Women’s Rugby, Tae Kwon Do Clubs

The Soccer, Wrestling, Women’s Rugby, and Tae Kwon Do Clubs were closed this year due to inactivity. It is unknown at this time if these groups will be able to restart in the future.

XVII. Special Events / Programs

UPS 3 on 3 Basketball Tournament

We hosted the first annual UPS 3 on 3 Basketball Tournament this year in the SRC. UPS was looking for ways to provide some fun for students, as they are concerned that they recruit so much on campus that people are starting to view them in a negative light. They did have job opportunity information available for people that were interested, but this was an event for fun and participation and not a big recruiting campaign. We had a number of high level administrators from UPS present, some of whom spoke to the assembled crowd of participants. We had almost 30 teams for the tournament, a good turnout for a first time event. There were three women’s teams in that total. The third floor courts were full at the start of play. UPS was excited about the atmosphere and number of individuals attending. Dale and Justin did an outstanding job of running the tournament while facility staff took care of many other details. UPS was tabling at the entrance of the building and had a visible presence throughout. UPS is considering adding other events with us to make sure they have some type of presence in both the fall and spring semesters.

IM Extravaganza- A Night Of Champions

This year we re-worked our IM Extravaganza event. In the past we have run this event on the Sunday of Welcome Week and geared it towards the incoming freshman, with a few structured events and info tables for our department and clubs. This year we still had the info tables for our department and clubs, but we decided to have more structured activities. The events were very similar to the events that would be seen at most of the All-Star game festivities in professional sports. We had a 3-point contest, Clear the Goal Soccer Shootout, Wiffleball Home Run Derby, Floor Hockey Slap Shot Challenge, QB Accuracy, and Max Night. The night was a major success and the format will continue to be updated every year to continue to make it a success.

Faculty/Staff/Alumni Golf Scramble

The Intramural and Recreational Sports Department sponsored the 24rd Annual Faculty/Staff Golf Scramble, which was held on Friday, June 12th at Quail Chase Golf Club. This event brought together 108 golfers from the university community consisting of faculty, staff, retirees, spouses, alumni and vendors. The teams were requested or chosen according to their handicap or average score. Everyone who participated received a round of golf with cart, an excellent pre round lunch from Sodexo Dining Services, logo golf towel and a chance to win team prizes, individual skill competition prizes, and a $216 skins game. The weather was outstanding again which always plays a vital role in the tremendous success of the event. This annual golf event has provided a great opportunity for the Department of Intramural Sport to give something back to the university faculty/staff community.

Project Graduation

Project Graduation is one of the best outreach programs that our department is involved with. For the past two years we have provided the recreation space in the SRC for post-graduation celebrations. The parent association from Male High School coordinated the evening activities and providing food and door prizes for the graduating seniors. Project Graduation provides a safe alternative to the alcohol-related parties normally associated with high school graduation.

This past year the Department of Intramural Sports hosted the Male High School Project Graduation in the SRC Recreational Center. The SRC provided an excellent venue for the evening lock-in events. The lock-in brought over 275 graduates to campus. Their parent committee did an excellent job in assisting with the evening activities. Most students arrived around 11:00 p.m. and left around 5:00 a.m.

NCA/UCA Cheerleading and Dance Camps

The Intramural and Recreational Sports Department, for the last 23 years, has hosted Cheerleading and Dance camps for National Cheerleading and Dance Association (NCA/NDA). These camps are well-attended and the organizers are extremely pleased with how they are accommodated at the University’s Student Recreation Center. The SRC not only provides first class facilities and services but the location is ideal for access to campus housing and dining services. This past year we hosted four Camps (UDA Dance Camp, NCA/NDA Dance & Cheer Camp, NCA Speed Cheer Camp and a NCA/NDA College Camp for Cheer, Dance and Mascots). The NCA/NDA camps brought over a 1300 campers to campus.

International Night

The Intramural Sports Department once again hosted two International Nights this year. Friday evenings are a popular time amongst the International Students who use our facilities, and it was decided to market specific events toward this population during these times. These events have evolved over the years. With the opening of the Student Recreation Center we used the evening as a way of attracting international students to the new center, and exposing them to the various new amenities available to them. The addition of the MAC Court proved an attractive new option for the evening, with soccer being popular worldwide. We again worked with the International Center, who helped us market the event directly to the various international clubs. The Fall 2015 event was highlighted also by a drawing for tickets to a home football and home basketball game, which was well-received by the participants. Once again our Badminton Club provided a strong international presence, as it is the most diverse of all of our sports clubs. These evenings were appreciated by the participants and are good outreach efforts for our department towards our International student population. In the future we will engage the

different international student groups directly leading up to these events, with the intention of gathering information about what sort of activities our International Night should include.

Canoe Regatta

The Canoe Regatta is a very unique event but one that is undergoing some changes. It does continue to be the only event on our schedule that features higher female participation than male. Even though it is great food and free for participants, we are seeing a decline in participation at the pre-race lunch at the Red Barn. We will assess whether it will be feasible to continue to offer this in the future. The key to the event is to send the UGA staff out to McNeely Lake early, before lunch ends, to secure the areas we need. We have had rescue personnel from the Louisville Police and Fire Departments the past 10 years and it appears that we have found a more consistent group to work with in this critical area. They have been more than cooperative and have provided a high level of emergency response capabilities should they be needed. The event is still popular and a great addition to our calendar as it may be the only one of its kind in the nation, but the declining participation is at least attention-grabbing from our end.

Track Meet

The Track Meet continues to be a signature event for us. The use of the Cardinal Park Track, PA system, and scoreboard add a very real sense of quality to the event. Not many intramural departments in the nation are still offering a track meet anymore. The changes in the throwing areas, moving them to the main track complex, made the meet much easier to administer this year. We do have to complete the discus before starting any running events but that is not a problem. The shotput area is immediately adjacent to the track, next to the Marshall Building where the sand volleyball court used to be. This year’s meet got moved from the fall to the end of the spring semester due to a new Athletic Department policy of not utilizing any of their facilities when they had a home contest going on. We now not only have to be aware of the track’s schedule, but also mainly of home soccer matches as we won’t be able to use the track on those dates. Participation was down this year due to the change. When the points races are all but decided, the track meet tends to not attract the number of participants that it does in the Fall, which was the original reason to move it from its traditional late Spring date to the Fall. There were no independent teams in this year’s meet and only a few women’s closed teams because of the date change. From an administrative standpoint, it was the smoothest meet we have ever had. The new system of having participants check in at our tent and then the heat sheets given to the starter eliminates a lot of dead time between heats and events.

XVIII. Activity Evaluations

Ultimate Frisbee

This year we had 44 teams with 556 participants take part in both the tournament and the league. This year we ran a tournament for the fraternity, women’s closed, and campus divisions, while keeping the league for Men’s Open and Co-rec, divisions. This year’s Champions were Floppy Discs, Redisculousness, IMS, Sigma Chi, and Chi Omega.

Kickball

This year we ran all 3 kickball tournaments as one day events. We played the Campus tournament on a Friday and the Women’s and Fraternity tournaments on a Sunday. We saw our number of participants go from 304 to 317 and our number teams go from 27 to 29. This year’s champions were Sigma Phi Epsilon, Delta Zeta, and Sig Ep C.

Suggestions:Play all 3 tournaments on a Sunday afternoonUse a line-up card next year

Canoe Regatta

We could not have asked for better weather for this year’s event. For the first time in a long time we did not have a single boat capsize this year. All in all 170 people entered the boats and as is traditionally the case more females participated in this event than males. Pi Kappa Alpha won the Fraternity division and Kappa Delta won the Women’s Closed division.

Flag Football

The weather actually seemed to cooperate a little more than normal this year and the Flag Football season was very successful. We saw a record number of teams sign-up this year. We had 89 teams up from 83 last year with 1263 participants up from 1,200 participants last year. With a sport as fast-paced as flag-football, injuries are bound to occur and this year was no different. We had several cuts and bruises along with some concussions and knee dislocations. Sigma Phi Epsilon was the champion of this year’s Fraternity division and Chi Omega won the Women’s Closed Divisions. Championships were also won by The Purple Turtles, Blue Ballers, Pulp Friction, and Sigma Chi B.

Track Meet

The Track Meet ended up not happening until the spring semester this year. We had to cancel the meet due to rain twice in the fall and finally decided to move it to the spring. Despite being a little windy the weather in the spring was ideal for a Track Meet. We had 166 participants that came out to take part in a variety of Track and Field events. Chi Omega won the women’s division while Sigma Phi Epsilon won the men’s overall title.

Tennis Singles

We ended up with some really nice weather for the tournament this year. We had 89 participants play in this year’s tournament, up from 68 last year. William Zempel from Lambda Chi Alpha (Fraternity), Savannah Treece from Chi Omega (Women’s Closed), and Jason Porter from PIKE (Campus) were the winners of this year’s tournament.

When it was all said and done Sigma Phi Epsilon, Kappa Delta, Sig Ep Red, and Dream Team (Corec) walked away as Champions.

Suggestions:Marshall Court has been removed. We will need to plan accordingly for next year’s tournament

Tug-O-War

We could not have asked for much better weather than we had this year for Tug-O-War. Only point’s division teams participated in this event again this year and we saw 160 participants on 15 teams compete. In the end, Sigma Alpha Epsilon won the Fraternity title, while Delta Zeta took home the women’s title.

Volleyball

This year we saw 637 participants on 58 teams take part in our Volleyball League. We decided to only use 1 ref this year for all regular season games and everything seemed to go just as smooth as it did with 2 refs in the past. Pi Kappa Alpha won the Fraternity division, Delta Zeta won the Women’s Closed division, Notorious D.I.G. won the Co-Rec division, El Chupacabras won the Campus division, Nothing But Net won the Men’s Open Division, and Bicuspid Babes won the Women’s Open division.

Sports TriviaSports Trivia is always one of the more enjoyable events on the schedule each year. We had 14 teams up from 11 and 54 participants up from 44 compete this year. After taking a test, the teams were seeded and then paired against each other until we had a winner. We were unable to find an updated game again this year, so we created our own questions for the elimination round. This year’s Fraternity winner was Beta Theta Pi, while the Men’s Open winner was Let’s Get Quizzical.

Suggestions:Continue to look for an update game

Turkey Trot

The 62nd Annual Turkey Trot took place on a day that featured a lot of sunshine. We used the same course as last year, which is different than the old course, due to the construction that was taking place along 3rd street. This year we had 98 participants, up by 2 from the previous year. Chi Omega won overall in Women’s Closed for the second consecutive year, while Beta Theta Pi won for the fourth consecutive year in the Fraternity division. As is normally the case with this event, the campus police played a major role in the event running so smoothly.

Suggestions:Check the course before the race due to construction along 3rd street

Delta Zeta won the Women’s Closed division, Sigma Chi Blue won the Fraternity division, IMS won the Campus division, and Deep Three’s won the Men’s Open division.

Swim Meet

The swim meet continued to be a unique event for the students as it is one of the very few events of its kind in the nation. The event was again hosted in the Ralph Wright Natatorium and with the help of the Natatorium staff the event ran extremely efficiently. This year we had 95 participants take to the pool. The team champions this year were: Pi Kappa Alpha (Fraternity), and Delta Zeta (Women’s Closed).

We had 120 teams sign up to play, which breaks last year’s record by 8. We also saw an increase of 80 participants from last year bringing our total this year to 1,230. While some of the teams came out just wanting to have a good time, many of the games were extremely competitive and often times, played down to the wire to determine a winner. This year we tied the Graduate Basketball league into the Basketball league to try and make the scheduling of those games easier. It worked well this year and we will continue to do it this way in the future. In the end, the teams who rose to the challenge to take home the Championships were: Fraternity – Sigma Phi Epsilon, Women’s Closed – IMS, Campus – Sig Ep Red, Men’s Open B –Just Do It, Co-Rec – Back That Pass Up, and Women’s Open – Lady Dandies.

Golf Tournament

We held the golf tournament at Cherokee Golf Course again this year on a Friday afternoon. This event is still only for points for the fraternities so our numbers remain a little low every year. New this year we changed the format from a single ball tournament to a 2 man scramble format. The change was a success so we will continue to run the tournament with this format every year. This year we had 43 gofers show up and compete in the tournament. We had a beautiful day weather-wise which really helped with our turnout. Sigma Phi Epsilon won the scramble overall with Wehrman/Tobergte and Bell/Shaffer having the lowest scores.

Disc Golf

We held the Disc Golf Tournament at Iroquois Park’s Disc Golf Course. This year we saw our numbers increase with 18 teams signing up, up from 10, with a total of 40 participants, up from 28. The weather was a little windy and cold so the numbers were impacted a little by that.
