Overview SureClose Advantage 3.8 includes additional Security features, product enhancements, and defect corrections for the migration of select SureClose Professional users. This document provides a brief explanation of what has been fixed and an introduction to new features implemented with this release.

For more information about any of the new features, refer to SureClose Advantage Online Help and search for the specific topic.

Deployment Date: September 20, 2013

Post-Installation Considerations After the new version has been deployed and prior to your logging in, it is recommended that you complete the following post-installation tasks: • Delete Temporary Internet Files • Delete Cookies

Deleting Temporary Internet Files (MS Article ID: 260897)

The Temporary Internet Files (or cache) folder contains web page content that is stored on your hard disk for quick viewing. This cache permits Internet or MSN® Explorer to download only the content that has changed since you last viewed a web page instead of downloading all the content for the page every time it is displayed.

Administrators can customize Temporary Internet File settings to prevent modifications. Contact your System Administrator if you cannot access the Internet Options dialog box or the General tab.

Steps 1. Close Internet Explorer® and any instances of Windows® Explorer. 2. From the Start menu, point to Control Panel and then select Internet Options. The Internet

Options dialog box displays. 3. On the General tab, locate Temporary Internet Files and then click Delete Files. The Delete

Files dialog box displays. 4. If available, select the Delete All Offline Content check box and then click OK. A confirmation

message displays asking if you are sure you want to complete the delete process. 5. To confirm, click OK.

Note

Be patient when performing this task, if the Temporary Internet Files folder contains a significant amount of web page content, then this process may take several minutes to complete.

Deleting Cookie Files (MS Article ID: 278835)

Files starting with the word Cookie may remain in the Temporary Internet Files folder even after opting to delete them. You can delete these files; however, it is recommended that you make a backup copy of cookies prior to deleting them because these files may contain information for a customized web page or login information for a website that you do not want to lose. If needed, contact your System Administrator for assistance or refer to MS Article ID: 221523.

Steps 1. Close Internet Explorer and any instances of Windows Explorer. 2. From the Start menu, point to Control Panel and then select Internet Options. The Internet

Options dialog box displays. 3. On the General tab, locate Temporary Internet Files and then click Delete Cookies. The Delete

Cookies dialog box displays. A confirmation message displays asking if you are sure you want to complete the delete process.

4. To confirm, click OK.

Features and Functionality This section introduces new features and functionality added to SureClose Advantage 3.8.

New in This Release SureClose Advantage 3.8

• The ability to auto-file barcoded documents has been added. For more information, refer to Setting Barcode Usage.

• File search has been improved and new search fields have been added. For more information, refer to Searching Files.

• File history is now available. View historical data or search for specific file activity. For more information, refer to Viewing File History.

• History reports are now available for tasks, activity logs, and terms on a file. For more information, refer to Viewing History Reports for Tasks, Activity Logs, and Terms.

• Now any team member on a file that is a template user can re-template a file. For more information, refer to Re-Template a File.

• Adding notes to the activity log has been improved. When adding notes, pressing the Enter key no longer saves and closes the log entry. Instead, pressing the Enter key moves the cursor to the next line allowing for continued text entry. For more information, refer to Adding Notes to the Activity Log.

• The ability to import documents while working in a file has been added. For more information, refer to Importing Documents.

• Spell check has been added. For more information, refer to Using Spell Check.

• Now documents can be transferred, split, or deleted from the document viewer. For more information, refer to Transferring, Splitting, and Deleting Documents.

• Delete a message while transferring or splitting a document without closing the Split and File Document page. For more information, refer to Deleting Messages when Transferring or Splitting Documents.

• Three new features have been added to the Admin page:

- Managing Associated Companies and Branches

- Editing Company Information

- Viewing User Reports

Home

Setting Barcode Usage A new Auto-File Barcoded Documents check box has been added to the Profile page on the Home tab. This check box has been added to the Preferences section of the Profile page. When selected, all barcoded documents sent by email will automatically be placed in the correct file and placeholder set up for that barcode.

Searching Files File search has been improved and new search fields have been added. Previously, when searching for files, only one search criteria (File Number, MLS Number, Escrow Number, or Title Number) could be used per search. Now searches can include multiple criteria.

New Corporate Key fields and new date range search fields have been added to help narrow the search.

To search using date fields, enter a date using MM/DD/YYYY format or click the calendar icon and select From and To dates.

Note

Future dates cannot be used when searching for File Create Date or File Last Modified Date.

Enter the search criteria then click Search. Search results will display in a grid below the search options.

The Select number of files per page entry indicates how many records display on each page. The default selection is 50 files per page. To change the default, click the drop-down and choose from 50, 75, 100, 125, or 150. Paging has been added to help navigate between pages.

Note

A new File Search Displayed Per Page selection has been added to the Profile page on the Home tab.

Files

Adding Notes to the Activity Log Changes have been made to the action of pressing the Enter key when adding Notes to an activity log entry. Previously, pressing the Enter key in the Notes section would save and close the log entry. This functionality has been improved so that when adding Notes to a log entry, pressing the Enter key moves the cursor to the beginning of the next line allowing for continued text entry. This improved functionality is available when adding a new log entry or editing existing logs.

When finished, press Save to save and close the log entry.

Note

Pressing the Enter key with the curser in the Subject line saves and submits the log entry.

Viewing History Reports for Tasks, Activity Logs, and Terms A new History button has been added to the menu bar of the Files tab for Tasks, Activity Log, and Terms. When viewing Tasks, Activity Log, or Terms on a file, click the History button to view historical records or search for specific activities.

When selected, the history page displays. The history page includes search options, paging and historical activities listed in a grid.

Use the search options to search for specific file activity. Searches can include dates, times, targets and operations. Click the Calendar icons next to From Date and To Date or type a date using MM/DD/YYYY format to search for activities that occurred within a date range. Enter specific times using hh:mm format to search for activities that occurred within a time range. The Operation drop-down menu can be used to search for specific activities.

The Select number of history records per page entry indicates the number of activity records that display on a page. The default is 50 records per page. Use the drop-down to change the number of records per page. Use the paging feature to navigate between pages.

Viewing File History A new History button has been added to the menu bar of the Files tab. Use this button to view the history of a file or to search for specific activity or information about a file.

Users that have access rights can view file activity. Select a file then click History. The file history page displays with search options and paging above the grid and file activity records listed in the grid.

Use the search options to search for specific file activity. Searches can include dates, times, targets and operations. Click the Calendar icons next to From Date and To Date or type a date using MM/DD/YYYY format to search for activities that occurred within a date range. Re-Template a File Re-Template access has been expanded to all team members on a file.

Prerequisites • Must be a team member on the file • Must have Re-Template node selected on Application Security Profile • Must have Re-Template node selected on File Security Profile • Must be a template user

Now all team members that have re-template permissions and are a user on at least one template have access to re-template a file. Team members that have re-template access but that are not already a template user will receive a pop-up message.

Click the Re-Template button on the menu bar of the Files tab to re-template a file.

Note

The Re-Template button will not display for team members that do not have re-template access.

Use the Template drop-down selection to choose a template and click the check-boxes for each Option that should carry over. When finished, click Save.

Importing Documents The Documents menu bar has been updated. The Transfer button has been removed and Transfer Documents is now available on the Move drop-down menu. Use Transfer Documents to moved documents from the file you are working in to a different file.

A new feature, Import Documents, has been added to the Move drop-down menu. Now, documents can be imported directly into the file you are working with from a second file. Imported documents will display under a new Documents Imported folder with the date and time stamp included in the folder name.

When working with a file, click the Move button and select Import Documents from the drop-down menu. A file search screen displays. Use the drop-down selection to choose either File Number or Address/Description. To narrow the search, select the Recent Files or Archived Files check boxes.

Note

When searching for archived files, a File Number or Address/Description must be included.

Note

If you click Import before searching for a file, a message will display reminding you to search for a file before documents can be imported.

Enter search criteria and click Search. When searching for Recent Files or Archived Files, multiple results may display. Click on the file you want to import documents from to select the file. A list of available documents displays.

Click on the document you want to import and select it. Press and hold the CTRL key to select multiple documents. Select the Record on the Activity Log check box to create a record of the action. Multiple documents can be imported as one PDF by selecting the Convert to single PDF check box. After the documents are selected, click Import.

Messages

Using Spell Check A new Spell Check button has been added to the Rich Text Editor. Click the Spell Check button to correct misspelled words any time you are sending a message, sending a notification, adding a task, or scheduling a reminder.

Note

Click Source on the Rich Text Editor to view, edit, or write a message in HTML. The Source button can be used to toggle between normal and HTML views.

The new Spell Checker includes basic spell check operations as well as additional features. When the Check Grammar check box is selected, basic grammar errors are identified and suggested corrections will display under Spelling Suggestions.

To customize the way spell check searches for spelling errors, click the Setup button. Select one or more of the spell check Options check boxes to force the spell checker to search for specific criteria including: Case Sensitive, Ignore ALL CAPS, or Ignore Words Containing Numbers. Click the Personal Autocorrect Reset button to remove words from the Auto-Correct dictionary. The Reset button will only be active if a word has been corrected using the Auto-Correct button.

Transferring, Splitting, and Deleting Documents A menu bar has been added to the document viewer. The menu bar includes Transfer, Split, and Delete buttons. Now non-secure documents can be transferred, split, or deleted directly from the document viewer.

Select Transfer to transfer a document directly to a file. Select Split to separate and file a document into multiple placeholders in a file.

Click the Delete button to delete the attachment and the message. A pop-up message will display providing an opportunity to continue or cancel the action. Click OK to permanently delete the original message and all attached documents.

Deleting Messages when Transferring or Splitting Documents A new Delete Original Message check box has been added when splitting or transferring a document that is attached to a message. When transferring an attached document to a file or splitting an attached document, select the Delete Original Message check box and click Save to delete the original message.

A pop-up message will display providing an opportunity to continue or cancel the action. Click OK to permanently delete the original message and all attached documents.

Note

The Delete Original Message check box is not available for secure messages.

Admin Three new features have been added to Corporate Tools on the Admin tab. Users must have administration rights set up on their security profile to use the new features. New features include:

• Manage Associated Companies/Branches

• Edit Company Information

• View User Report

Managing Associated Companies and Branches Click the Manage Associated Companies/Branches hyperlink to display a list of all companies that are associated with your company. Double-click any company in the list to open the Company Settings and Defaults page where company details and contact information can be edited or added. For more information, refer to Editing Company Information.

Editing Company Information Now users with administration rights can edit company information and set company defaults from the Admin tab. On the Admin tab, click Edit Company Information to open the Company Settings and Default page.

Company Name, Branch Name, and Company Website fields are located under Company Information.

The company address, email, telephone and fax information is located under Contact Information. Set up a Faxing Solution using the drop-down menu. Add or remove a company from your contact list using the Personal Contacts and/or Corporate Contacts check box.

Use the Notes section on the bottom of the page to add or edit contact notes.

Click Save to save any changes you made. Click Cancel to close the Company Settings and Defaults page.

Viewing User Report A View User Report hyperlink has been added to the Admin tab. Now users with admin rights can view and edit user profiles.

Use the search features to search for a specific contact. The Search By selection defaults to User. When User is selected, all search fields are available. When searching for a Sponsoring User, only the First Name and Last Name fields are available. When Sponsoring Company is selected, only the Company field is available. Use the Search Scope options to further narrow your search. Click Search to begin your search. Results will display on a grid with seven columns. Click a column header to sort the results. The yellow column header indicates results are sorted by that column.

When the results display, the information is pulled from the user’s profile. Results are initially sorted by Name using last name, first name format. The Company column displays that users company. The contacts Sponsor will display either a company or a user depending on the users sponsor from the profile page. The Allow column indicates if a user has log in access. The Online column indicates if that user is currently logged in. The First column indicates the date the user logged in for the first time while the Last column indicates the last time the user was logged in.

Single-click a contact to select that contact and activate the menu bar buttons. Use the menu bar on the View User Reports page to add New contacts, edit or add Security settings for a contact, view the

History of a contact, or Delete a contact. Click Close to close the View User Reports page and return to the Admin menu.

Click the Security button on the menu bar to add or edit user security settings including Allow Login, Application Security Profile, Email Login information, and Username.

Click the History button on the menu bar to view a user’s activity. Search for specific user history based on Date and Time ranges. Use the Target and Operation drop-down menus to search for specific activity records. The paging feature is available to help navigate through pages of activity records.

Double-click a user to open the User Profile page for that user. From the Profile page, the Administrator can view or modify settings in the users profile including Personal Information, Contact Information, Preferences and Security.
