Introduction

Using This Manual

The subject of this guide is communication — easy, quick, clear communication.

This manual provides step by step procedures to configure, program, and maintain an

Amtel network. It is intended primarily for the SYSTEM ADMINISTRATOR, the

person who will coordinate the initial set up and programming of units on an Amtel

network.

The manual is divided into sections; each section describes programming functions at

individual units and programming functions from a remote keyboard. Worksheets

which can be used for the recommended planning, documentation, Amtel unit set up,

and programming functions, are provided at the back of this manual.

Section 1: Introduction

Section 2: Addressing

Section 3: Programming a Keyboard, Panel or Wallmount Unit

Section 4: Customizing a Keyboard, Panel or Wallmount Unit

Section 5: Installation Information

Section 6: Problem Solving and Error Messages

Section 7: Templates and Worksheets

Format

The text for this manual is formatted in the following manner:

• BOLD CAPITALIZED words denote buttons and keys on the units.

• A box with text in this form represents the display screen of a unit along withthe associated text

TEXT SHOWN DURING PROCEDURE

• CAUTION NOTES will be in dash-line boxes.

CAUTION: regard with particular care

A Word from Amtel

Please READ

This one page introduction is the beginning of a long-term partnership. A word about

alerts and messages. And — almost forgot — reminders.

Amtel communicates with words. We make a distinction between the words that com-

prise alerts, messages and reminders in order to describe and make use of the different

applications provided by our software.

An alert is a communiqué designed to firmly get your attention. Upon receipt the unit

beeps; the alert is displayed and stored in the electronic storage bin. It will persist until

such time that you recognize its existence with a reply, or it will time out and be

stored. An alert is used to announce a telephone call, a visitor, etc.

A message, in contrast to an alert, is stored for later review and action. Upon receipt,

the message is briefly displayed on the screen, date and time stamped and stored in the

electronic recall storage bin. Think of it as an electronic “while you were out” mes-

sage slip.

A reminder is a communiqué that you can prepare during a period of calm and then

have appear at another time to prompt your attention, as well as that of others, to is-

sues that might otherwise have been forgotten. You may use reminders for meetings,

scheduled routine maintenance, appointments, etc.

Your Amtel provides you with audible signals to gain your attention when the forego-

ing appear. You can control the intensity and frequency of the sounds to meet your

requirements.

Our quick guides and manuals provide you with all the requisite information needed

to make your Amtel partnership productive and pleasurable.

This Powerful Amtel Communication System

The Amtel Direct-Line system is a powerful tool for controlling and routing incoming

calls, handling visitors, and keeping everyone in your office fully informed on a

need-to-know basis.

In order to accomplish essential tasks, interruptions must be kept to a minimum. It is

important to have the ability to screen calls and move messages around the office

without interrupting or distracting others.

The Amtel Direct-Line system provides a channel of communication with which you

can send alerts, messages, and reminders, quietly and in a timely manner to persons

while they remain free to continue a meeting or telephone conversation. In this way,

information that may even affect a current conversation can be delivered confiden-

tially, without interruption. Staff can now decide if a communication merits an inter-

ruption.

When You You Can Do This . . .

SEND

ALERTS

• Announce a telephone call or visitor.

• Eliminate “telephone tag.”

• Page someone.

• Keep everyone informed quickly and easily.

• Communicate with someone who is on the telephone or behind closed

doors in a meeting with minimal interruption.

SEND

MESSAGES

• Eliminate hand written messages.

• Store messages for later review.

• Print outgoing messages to produce a “To Do” list, or keep a phone log.

SEND

REMINDERS

• Remind anyone of appointments, meetings or returning phone calls.

• Remind yourself of important dates/events (birthdays or

anniversaries).

USE THE

TIMERS

• Time a phone conversation or consultation – print the time as hard

copy to a companion printer.

• Time procedures by counting from a user-defined time to Ø.

ACTIVATE

A STATUS

• The Amtel can inform others while you are away from your desk

about where you are and when you will return, when an alert is

received at your unit.

• Incoming alerts to your unit are automatically answered with

information as to your whereabouts and/or time of return.

SET A

PASSWORD

• Protect remote recall of messages or programming of your unit by

setting an individual password.

• Protect some of the programming of units by setting a setup password.

Unit Overview

The Amtel Direct-Line system configuration may be designed using a combination of

our four models: keyboard, panel, wallmount, and printer. Each unit is a powerful

tool for controlling incoming calls, handling visitors and keeping everyone informed.

Every system must have at least one keyboard unit for programming functions, and it

features a full-size keyboard for ease of typing. A panel or wallmount unit offers a

touch keypad with programmed phrases eliminating the need to type. An optional

printer can also be used with the Amtel Direct-Line system.

assigned a unique 2 character, alphanumeric address to

communicate with other units. Addresses are normally assigned

and maintained by the System Administrator.

ALERT

An alert is a short bit of information that is sent when you want

an immediate response. An alert is limited to one screen (29

spaces) of text. When an alert is received, the unit will emit a

single beep and display the alert text. You can send an alert to

announce a phone call or visitor, or to converse with another unit

— think of it as Amtel’s “chat” feature.

CDD

An optional device that will flash an external device (such as a

lamp) when an alert or message is received. It is used as a visual

signal in addition to an audible beep.

CENTRAL

TIMEKEEPER

The designated keyboard unit that maintains time and allows the

user to modify the date and time for the entire network by

sending electronic time updates to all other units set to “auto.”

There must be only one central timekeeper per network.

CHOICE

BUTTONS

The buttons on a panel unit or wallmount unit used to modify the

text fragments of a phrase before sending a response, or

initiating an alert or message.

COMMAND

CODE

A two or four digit number used to activate some programming

steps by the System Administrator.

DISTRIBUTION

LIST

A list containing two to twenty addresses of other units on the

same network. It is used to define a specific group and assigned

a unique group address.

ELAPSED TIMER The elapsed timer counts up like a “stopwatch.”

ELECTRONIC

STORAGE BIN

The memory of the unit that stores alerts, messages and

reminders.

EMERGENCY

ALERT

A communication sent globally alerting all units of an

emergency.

EVENT TIMER The event timer counts down to Ø.

FASTWIRE

A mode of communication that provides instantaneous alert and

message delivery. Fastwire is the recommended setting for

Amtel units in the 600 and 700 series.

Assigning an Address to a Unit

For proper operation each unit must be assigned an address.

• The address identifies an Amtel unit. (Like an extension number on the phone.)

• Each Amtel unit must be assigned a unique 2 character address, acombination of letters (A through Z) and/or numerals (Ø through 9).

• Addresses are usually assigned and maintained by the System Administrator.

• Addresses can be protected from change by entering a setup password.

Note: The unit address can be the user’s initials or the location of the unit.

Note: If there is more than one unit with the same address, communication delivery

can be unreliable.

• In order for a panel unit or wallmount unit to communicate with other units, itmust be programmed with a user directory.

• The user directory begins the second time a phrase button is pressed.

• When assigning addresses for a user directory, it is recommended you useWorksheet #1 in the back of this manual.

The user directory:

• Should contain the addresses of the units with which it will communicate.

• The addresses should be listed in priority order. The most frequent contactsfirst. The order they are listed in is the order the user will scroll through them.

• Each panel unit or wallmount unit can have its own custom user directoryunique to that unit.

• It is recommended that the global address + + be one of the entries in the userdirectory in order that global alerts and messages can be sent.

• A user directory may contain a group address (+Ø through +9) from thedistribution list.

• A panel unit or wallmount unit is capable of storing 21 addresses — the initialaddress plus 20 user directory addresses.

• The initial address (default ZZ) can only be programmed from a keyboard unit.

Note: This is the first address to appear when a phrase button is pressed.

• To view a user directory, repeatedly press a phrase button.

Programming a Group Address

A group address is used to identify a distribution list. When used it will send an alert,

message or reminder to all units contained in that distribution list.

A distribution list is a list containing two to twenty addresses of other units on the

same network and zone. It is used to define a specific group and assigned a unique

group address.

Each unit can be programmed with up to 10 unique distribution lists. Each distribu-

tion list can contain a maximum of 20 addresses per list.

Note: A distribution list can only be viewed at the unit which contains the list.

Programming an Initial Address

Programming an initial address for all units from aremote keyboard unit

The initial address is the first address to appear when a phrase button/key is pressed,

or on a keyboard when the ALERT ENTER, MESSAGE ENTER, or REMINDER ENTER

key is pressed.

Note: The factory default is Z Z.

The initial address can be:

• the same for all buttons/keys for a unit

• or individual buttons/keys can be assigned a different initial address

Note: It is recommended that the unit’s initial address be set before programming in-

dividual phrase buttons/keys with the initial address.

If you send communications to the same unit frequently, it is recommended that their

address be programmed for your unit’s initial address. If an individual phrase but-

ton/key is frequently sent to another unit, it is recommended this button be assigned

its own initial address. This will save time when sending communications, allowing

the user a one touch action as opposed to scrolling to the correct address or typing the

address.

• how often a renotice beep will sound when an alert is not responded to.

Factory default setting(s) is - 3Ø/Ø1/ØØ where

• 3Ø is the number of seconds an alert will be displayed.

• Ø1 is the number of times an alert will appear.

• ØØ is the number of appearances of an alert before sounding a renotice beep.

Note: Please understand that this function may appear to be confusing as you read it.

We can explain it better than write it. Please do not hesitate to contact your local

authorized Amtel dealer or Amtel Systems Corporation, and we will be delighted to talk

with you. That being said, we will attempt to write this as simply as possible.

We will use as an example a setting of Ø5/12/Ø2:

When a single alert is received, and it is not responded to, it will display a total of 60

seconds (5 seconds, 12 times), and sound a renotice beep every 10 seconds (5 sec-

onds, 2 times), and then will be sent, automatically, to the unit’s electronic storage bin.

When multiple alerts are received, and they are not responded to, the unit will scroll,

displaying each one every 5 seconds and sound a renotice beep every other time an

alert is displayed. While scrolling, each alert will be separated by the term NEW ALERT

the first time the alert is displayed, then NEXT ALERT every other time.

In order to respond to an alert while in the scrolling mode, the alert must be displayed.

ALERT RENOTICE

This function manages:

• the length of time a received alert is displayed.

• how fast it will scroll when multiple alerts are received.

Please do not hesitate to contact your local

authorized Amtel dealer or Amtel Systems Corporation, and we will be delighted to

talk with you. That being said, we will attempt to write this as simply as possible.

We will use as an example setting of Ø5/12/Ø2.

When a single alert is received, and it is not responded to, it will display a total of 60

seconds, (5 seconds, 12 times), and sound a renotice beep every 10 seconds (5 sec-

onds, 2 times), and then will be sent, automatically, to the unit’s electronic storage bin.

Customizing Units

Customizing Text Fragments and Phrases

A phrase is the text displayed on the screen when a phrase button/key is pressed.

Phrases can be changed to meet network and/or personal preferences. Pre-

programmed phrases can be changed.

Phrases can be programmed in one of two ways:

• as a complete phrase, for example: I’LL CALL BACK, or

• with one or two pre-programmed text fragments.

A text fragment is a portion of text within a phrase that can be modified at a wall-

mount or a panel unit by using the choice buttons. A text fragment list provides the

user with options to complete a phrase.

EXAMPLE: The phrase: I’LL CALL BACK _____, can be modified with up to

ten choices such as, “IN 10 MIN,” “TOMORROW,” “NEXT

WEEK” (see fig 4.1 list Ø).

• A keyboard unit only uses complete phrases. To change a phrase, thekeyboard user types new text.

• A panel unit or wallmount unit uses complete phrases in addition to phrasesusing text fragments.

Note: Text fragment lists must be programmed and assigned a list number to be able

to be inserted into phrases. Use Worksheet #3 to assist in this programming function.

It is a good idea to first determine the phrase and list the different ways to complete

the phrase. This list will become the text fragment list.

Programming Text Fragment Lists

Text fragment lists can only be programmed from a keyboard unit. When program-

ming a remote unit, the remote access must be set to “Program.”

Text Fragment(s):

• are used by panel or wallmount units to modify a phrase.

• are contained in text fragment lists.

• are limited to 12 characters, including spaces.

• should be entered in the order the user will scroll through them.

• are identified by the flashing text in a phrase.

Emergency Alerts

An emergency alert is a communication sent system wide, alerting all units of an

emergency. Although all units on the network receive the emergency alert, it is not

necessary to program all units to be able to send the alert. The function, to send an

emergency alert, will not be enabled unless the programming procedure is performed.

If you program an emergency alert key or button, it is important to label the key or

button accordingly.

When the emergency alert is sent:

• it overrides all other network functions.

• turns the network to maximum beep volume and display brightness.

• every unit on the network will continuously beep in a distinctive two-tonealarm until the alert is canceled.

• the displayed text at the receiving unit should display the address where theemergency alert was initiated and the emergency alert phrase. (When

• the sending unit is silent and will display a pre-programmed phrase which canbe different from the receiving units, so as not to further disrupt and causeadditional anxiety at the location of the emergency.

CAUTION: Be sure to identify the emergency key/button so it is not

pressed accidentally.

EXAMPLE:

Sending unit’s screen:

SUMMONING ASSISTANCE

Receiving unit’s screen:

**emergency AT FRONT DESK**

• The sending unit will flash the pre-programmed phrase, assuring the senderthat the emergency alert is being transmitted.

• An elapsed timer is activated at the sending unit when the emergency alert isinitiated but is not displayed until the emergency alert is canceled.

• The emergency alert can only be canceled at the sending unit by pressing theCLEAR key/button which returns the network to normal functions. (The timerat the sending unit is still counting up and displays the day of the week, theelapsed timer counting up, and the current time of day.)

• Press TIMER, to stop the timer. The emergency alert is time and date stamped, and the response time and will be stored it in the unit’s electronic storage binfor later recall

• Press the CLEAR key/button to return the sending unit to normal functions.

• Only one emergency alert per unit can be stored.

EXAMPLE: Your keyboard unit address is AA and is one of 6 units on a net-

work, the other addresses: BB, CC, DD, EE, FF. You decide that

units BB through EE, which are located in a production area, might

have a common emergency experience. You choose to exclude FF.

(Therefore, all units will receive the emergency alert, but FF cannot

send one.) Further you choose EMERGENCY AT FRONT DESK as

a common alert. Simply, you enter the address BB through EE into

your unit, you select the key or button that will send the emergency

alert and you enter EMERGENCY AT FRONT DESK as the emer-

gency alert phrase.

In the event that an emergency alert is initiated, each of units AA

through EE will cause SUMMONING ASSISTANCE AT FD to be displayed at

all receiving units on the network. Of course, you may choose a

unique emergency alert to be displayed for any or all units. In that

case, you do the programming one address at a time.

Setting a status is a way of letting other Amtel users know when you are away from

your desk, or, if you are in a meeting, it can also act as an electronic DO NOT DISTURB

sign. When activated, your status will flash on your unit’s display. When an alert is re-

ceived, your unit will automatically respond with the status phrase. For example —

OUT TO LUNCH / RETURNING AT 1 PM.

The keyboard and panel unit have factory default status phrase keys and buttons.

Some wallmount models may not have a default status phrase, however it can be pro-

grammed to have a status. The phrase can be customized for any unit from a remote

keyboard unit. To program units remotely, the unit being programmed must have the

remote access setting set to “Program.”

• Only a keyboard unit can program a status for itself, or remotely for anotherkeyboard, panel or wallmount unit.

Installation Information

Two Installation Methods

Amtel’s Direct-Line system is easily installed in either of two methods:

1. Using a “spare pair” of existing telephone wires.

Each Amtel unit requires the use of one pair of designated wires for datatransmission. Most offices contain telephone cables with several pairs ofwires that are not in use. Each Amtel unit may use one of these “spare pair.”If there is no spare pair available, it will be necessary to pull new wires.

2. Using a “group power supply.”

A 28 volt group power supply is used to provide both power and datacommunication. We supply two types of four conductor wire (plastic orteflon coated), which is run from the group power supply to each of theAmtel units. For a keyboard or panel unit, the wire is terminated at a customwall plate and connected to the Amtel by way of a power/data cord.Wallmount units are connected by a wiring harness (pigtail) which passesthrough the back of the unit. Detailed wiring instructions are provided withthe group power supply.

If you are unsure as to which method to use, talk to your in-house telecommunications

manager, building manager, or electrician. You may also want to check your local

building and fire codes before installing any wire.

Contact a local telephone installation company, telephone interconnect company, or

similar business that can take care of your wiring needs.

If you have any questions, please do not hesitate to call your Amtel dealer or us direct

at 1-800-999-8903.

unit is not working at the new location:

1. Check the mode of communication –fastwire/hardwire.

2. Same zone as other units on the network.

3. Are hardwire cords plugged in properly? Makesure the hardwire cable is plugged securely intothe I/O port, and in turn, plugged into the properAmtel dedicated RJ-11 jack.

4. Try swapping this unit with another workingunit. If another unit still is not able to establishcommunication at your location, you will needto have the vendor that did your hardwiringcheck the network wiring.

5. If all units stop communicating, check to see ifany electrical or telephone work has been donein your building. You may need to have thevendor that did the hardwiring check thenetwork wiring. Electrical or telephone workerscan interrupt the Amtel network.

6. Sometimes you can re-establish communicationby simply unplugging and re-plugging the unit(similar to rebooting a computer).

a) Check the data jack in the back of the Amtel.b) Check the power cord. (Caution: unpluggingmay cause loss of memory if the battery is deador not functioning.)

7. If something is plugged into an Amtel jack thatis not an Amtel, one or all units may notcommunicate.

Worksheet #2 Group Address — Distribution Lists

If you find that you are frequently sending communications to the same units, sepa-

rately, it may be convenient to include their addresses in a distribution list and assign a

group address.

An address is assigned to each distribution list such as, “Managers” or “Accounting”

or “Employees” and the members are then listed, by user initials/address.

Every time you send an alert, message, or a reminder from a keyboard to the group

address of the distribution list, the communication will be sent to each individual

on the list. Group addresses are given the address of + followed by the list number

(+Ø through +9). 20 addresses per group address.

AMTEL JUST KEEPS GETTING BETTER

Our Customers Spoke & We Listened!!

At Amtel, we value our customers, and we understand that this fast-paced world is be-

coming more complicated all the time. Therefore, we have streamlined our units with

some new features to ensure that the Amtel Direct-Line Text Communication System re-

mains the leader in text communications. And, best of all, the Amtel unit is more

user-friendly and the overall operation of the Amtel unit is enhanced. The new functions are:

SET GLOBAL ALERT BYPASS (keyboard, panel and wallmount)

An Amtel user now has a choice how their Amtel unit will respond to global alerts.

Before, when any Amtel unit on the network replied to a global alert, only the respond-

ing unit would clear and return to idle mode. The global alert remained on all other

Amtel units until the alert timed out before returning to idle mode.

Now, when any Amtel unit (set to On) replies to a global alert, all Amtel units (set to

On) will immediately return to idle mode. However, when a unit receives a global alert

and it is cleared using the CLEAR button, only that unit will clear and return to the idle

mode. This feature can be enabled or disabled through programming.

SET ALERT/MESSAGE BEEPS (keyboard, panel and wallmount)

Before, alerts were announced with a single beep, and messages were announced with

three beeps. Now, an Amtel user has the choice of announcing an alert with three beeps

and a message with one beep or vice-versa.

SET EMERGENCY ALERT (keyboard, panel and wallmount)

Before, all units received the emergency alert (code blue). Now, it is possible to pro-

gram specific Amtel units to receive an emergency alert (code blue) by setting this

function to On. A unit set to Off will not receive an emergency alert, however the unit is

still able to send an emergency alert. The benefit is that you may not want a code blue to

be received in certain areas of your facility.

SET SEND AS MESSAGE (panel and wallmount)

Before, the SEND AS MESSAGE button sent a phrase as a message. Now, the SEND AS

MESSAGE button can be programmed to send a phrase in one of three ways:

• Normal – When pressed, the SEND AS MESSAGE button will send the phrase asa message.

• Warn User – When the SEND AS MESSAGE button is pressed, the prompt SEND

AS MESSAGE? is displayed. Press the SEND AS MESSAGE button again to send thephrase as a message. Press SEND to send the phrase as an alert. Press CLEAR toreturn to idle mode.

• Map-To-Alert – The SEND AS MESSAGE button has the same function as theSEND button. Both buttons will send the phrase as an alert. The user is notwarned and sending of messages is disabled, except when responding to astored message.
