Whether you have participated in previous events, or are joining us for the first time, we are working hard to ensure that your TABEXPO experience is both enjoyable and commercially successful. Here is your official TABEXPO 2019 Exhibitor Manual. This manual has been designed to help you plan, coordinate and administer all the services you will need to make the most of your time in Amsterdam. In addition, TEM personnel will be available to help with any inquiries you may have – both prior to and in Amsterdam. In order that we can respond to inquiries as quickly as possible, please ask the primary company representative on your stand to keep this manual and copies of any completed order forms on hand at the exhibition build up and show. We ask that you complete and return all forms by their due date to ensure a trouble-free setup at the exhibition. If you have any questions, please do not hesitate to contact us. Admissions to the Exhibition For Exhibitor General Admission dates and times please see the show timetable. Exhibitors requiring access outside of those times must have the permission of the organizers. ALL staff must carry passes. These passes are NON-TRANSFERABLE. Passes in the possession of those other than the registered carrier will result in confiscation of the badge and access denied for all parties involved. To avoid congestion at the entrances, exhibitors must ensure that any staff members manning the stand have exhibitor badges. After Hours in Hall Events Parties or receptions held in the hall after hours will be subject to a charge of €500.00 per hour and are subject to the approval of both the organizer and RAI. This fee includes extended security, utilities, and other staffing. Aisles Aisle carpet color will be red.

Displays must be confined within the exhibitors stand space and must not be designed to obstruct the clear view of nearby stands or interfere with the flow of traffic (example: video monitor(s) should be placed where visitors viewing the monitor(s) do not block the aisle.) Exhibitors may not conduct demonstrations or activities that result in excessive obstruction of aisles or prevent ready access to neighboring exhibitors’ stands. Demonstrations are to be straightforward, professional, and relative to the displayed product. The use of demonstrators, gimmicks, mimes, magicians, robots, etc., in the aisles is prohibited at all times. Products or demonstration must be placed inside the stand boundaries and must not result in aisles being blocked. Equipment and/or furniture may not be in the aisle at any time. Special caution should be taken when demonstrating machinery or equipment that has moving parts, or any product that is otherwise potentially dangerous. Qualified personnel should conduct all demonstrations. Show Management reserves the right to evaluate the safety and appropriateness of demonstrations. Upon written approval from Show Management, cross-aisle carpet will be allowed to join exhibits for an additional charge.

Regulations regarding cross-aisle carpets are: • Written approval from Show Management at least 30 days prior to show start. • Aisle carpet may not be laid until the official service contractor has granted permission. • Aisle carpet must be pulled up immediately upon the close of the exhibition. • Company logos/company identification is allowed on cross aisle carpet. • Carpet that is laid in the aisle must be the same color as the stand carpeting it is connecting on

both sides. • The charge for cross-aisle carpet (minimum of 2 booths across from each other) is 25% of the

cost of total square feet/square meter of aisle space utilized. • Equipment or stand display properties are not allowed in the aisle at any time. • Cross-aisle headers are not allowed at any time.

Show Management reserves the right to invoice after an event if any one of the above conditions are found to exist at show site. Animals Animals are not allowed in the exhibit hall unless they are certified service animals for the disabled. Audio Visual Audio Visual equipment may be arranged through ACS Audio Video Solutions. Badge Control / Registration As TABEXPO is a private event, the show will be monitored by security at all entrances. Anyone entering the show area must always have his or her badge visible. Business Facilities The RAI Business Centre is located in the passage of the RAI Elicium, Level 1, and is open Monday through Friday, 8:30 am to 5:00 PM. The Business Centre offers a range of services including:

Cameras/Photography/Videotaping/Recording Show Management will allow cameras on the show floor; however, general photography of the exhibition is not allowed. Media and press personnel are required to obtain passes for their equipment from the Press Room. Exhibitors and attendees may take pictures within the show for purposes of company or annual reports, company media pieces, marketing materials, etc., but are ONLY allowed to photograph their stand. Under no circumstances will anyone be permitted to take photographs of an exhibitor’s product without the permission of the exhibitor. Many products on display at TABEXPO 2019 Amsterdam are innovative, one-of-a-kind or prototype items. Exhibitors should immediately report any instance of inappropriate photographing of company products or displays to your floor manager, security and/or show management. Car Parking Information Car parking is plentiful and easily accessed. There are over 4.000 parking spaces with 35 spaces for electric charging and 30 for disabled parking. All the parking garages have elevators and toilets that are suitable for use by those with disabilities. Pricing for RAI Amsterdam for parking is €4.00 per hour with a maximum of €25.00 per day. Carpeting / Flooring Full carpeting or finished hard flooring is mandatory for all stand spaces. Carpeting or flooring enhances your corporate image and continues the overall professional look of the exposition. It is recommended that you protect your carpet / flooring during move-in days. Carpet / flooring is not included with the Space Only areas. You may supply your own flooring or you may rent it from TABEXPO Online Ordering. All floor coverings must be fire retardant in compliance with local fire regulations. Catered Food and Beverages Dispensing of food and beverages is allowed from the booth for hospitality purposes only. You may order catered items online at TABEXPO Online Ordering. All catered items, including alcohol, must be ordered from the designated catering company. Cleaning General aisle cleaning will be carried out each morning before the show opens. Please note that exhibits will not be cleaned unless this service is ordered from the RAI at TABEXPO Online Ordering. Compressed Air/Gases The presence and/or use of compressed or liquified flammable gas is permitted only after written consent from the chief officer of the local fire brigade. The following conditions apply:

• No more than one propane or butane gas cylinder with a water volume not exceeding 26.2 liters may be present on the stand unless otherwise stated in the permit;

• No more than one gas cylinder with a volume not exceeding 10 liters may be present on the stand unless otherwise stated in the permit;

• The gas cylinders must be in an area that is not accessible to the public. This area must also be adequately ventilated.

• No artificial lighting, electrical switch box, fuse box or wall socket may be present in this storage area.

• No heating equipment or naked flame is permitted in this storage area. No smoking is allowed in this area.

• Gas cylinders must be stored in an upright position at a distance of 0.25m from each other and should be secured so as not be able to be tipped.

• A fire extinguisher must always be on stand and available.

Construction Materials Stand construction material and permitted manner of application follow:

• Softboard must be coated on all sides with a fire-retardant paint or varnish. • Hardboard must be coated on at least one side with a fire-retardant paint or varnish (on both

sides if the stand is not adjacent to another stand).

• Wood or fiberboard thinner than 3.5mm must be coated on at least one side with a fire-retardant paint or varnish (on both sides if the stand is not adjacent to another stand).

• Wood or fiberboard thicker than 3.5mm may be applied without special treatment. • Glass used vertically must be safety glass or glass with embedded crosswire reinforcement with

a maximum mesh width of 16mm in a wooden or metal frame with a minimum depth of 15mm. • Glass used horizontally must be safety glass or glass with embedded crosswire reinforcement

with a maximum mesh width of 16mm in a wooden or metal frame with a minimum depth of 15mm.

• Plastic sheeting made of expanded plastic and plastic rubbers must be of a quality that is not easily flammable and should comply with NEN standard 6065, fire propagation class 1 or 2. The material my not emit large quantities of smoke or vapors that are harmful to health. The material may not drip when heated.

• Metal Foil may not be used without special treatment. • Plastic Foil material must have been flame proofed in the production process and should comply

with NEN standard 6065. The foil may never be used as a cover or ceiling for a stand. • Paper products such as crepe paper, wallpaper, decorations and so forth must be flame proofed

and comply with NEN standard 6065. • Straw bales, cardboard, rushes, straw, mats, raffia, hay and so forth must be flame proofed and

comply with NEN standard 6065. The material must be immersed in a fire-retardant agent for at least 2 x 24 hours in order to meet the requirements.

• Fabric made from natural fibers such as cotton, linen, jute, wood and so forth must have been flame-proofed and should comply with standard NEN 6065.

• Fabric made of synthetic fibers must have been flame proofed during the production process and should comply with NEN standard 6065.

Deliveries The organizers cannot sign for deliveries. Please ensure that someone is on your stand to receive deliveries. As an alternative, your chosen courier can leave your delivery with the onsite goods handling contractor, DB Schenker, who will then deliver the package to your stand at an appropriate time. Postal packages to be delivered to your stand should be addressed to:

Deliveries should arrive before the opening hours of the show each day. Current Health & Safety regulations state that the use of trolleys is not permitted during show open hours.

Dilapidations All exhibits and stand fitting materials must be removed from the building 2200 hours on November 15, 2019. All SPACE ONLY stands must include details of their breakdown procedures within their method statements to satisfy the organizers that all stand materials and exhibits will be removed by this time. The space occupied by the exhibitor’s stand must be left in the same state at the end of the breakdown period as it was at the beginning of the build period. The charges incurred for any materials removed by the venue or the venue contractors at the end of breakdown will be passed on to the exhibitor responsible. This includes any stand fitting materials and carpet tape. Disabled and less able-bodied visitors Please ensure your stand and exhibits are easily accessible to all visitors. Disabled persons must be provided with the same service, on the same terms and to the same standard that is provided to others and it’s unlawful to not make a reasonable adjustment for a disabled person.

Stands should be designed to ensure that it is not unreasonably difficult for a disabled person to access their stand.

Platforms that exceeds 38mm in height or a part platform that exceeds 20m2 AND 38mm in height, MUST ensure that it is accessible to the disabled visitor and should contain clear and specified access and constructed in such a way as to conform to the following:

- Beveled with a ramp of no more than 5° (1:12 gradient);

- A minimum of 1000mm wide; and

- Fitted with a handrail on each side or other such division to avoid any trip hazard resulting from the change of floor levels.

Dismantling of Exhibit/Stand Exhibitors are required to maintain their exhibit intact until the close of the exhibition. Each exhibitor will complete arrangements for the removal of exhibitor material in accordance with dismantle procedures. All exhibit materials must be fully dismantled and packed no later than 2000 hrs. on November 15, 2019 and must be removed from the hall by 2200 hrs on November 15, 2019. Under no circumstances can materials be left for removal by the organizer. Failure to entirely dismantle and remove an exhibit will result in labor and debris removal fees charged to the exhibitor. Exhibitors shall also be liable for all storage and handling charges resulting from failure to remove crated and/or packed materials from the exhibition hall before the conclusion of the dismantling period.

Electrical Wiring The standard electrical socket is standard European 2 pin, 230 Volt and the frequency is 50 Hz. Use of another exhibitor’s power supply is strictly forbidden due to potential fire and hazard risks. In the event that the exhibit hall is damaged or destroyed due to negligence or failure on the part of the exhibitor to comply with the local fire agency’s fire and hazard regulation, the exhibitor is responsible and liable for all damages incurred.

Electrical services Lighting and power are not included for space only sites. Exhibitors who supply their own fittings must order the appropriate mains supply from the official contractor. If you wish to order electrical fittings and mains supplies, please complete your order online at need TABEXPO Online Ordering. Orders received after September 25, 2015 will be subject to a surcharge. This also applies to any orders received onsite. Temporary Power Supplies: Power to stands will only be switched on once the electrical installations have been inspected and approved. If you require power to run tools etc. during construction please remember to book a temporary power supply for buildup and breakdown as this will help avoid delays on site. Please note that two separate orders must be made for temporary supplies for build-up and breakdown; electrical services may be ordered at TABEXPO Online Ordering. Service desks will be situated at the front of both halls on site to help with any queries during build up. Electrical Work Regulations The floor of the exhibition hall contains ducts and boxes for all technical system connections. The location of these connections is shown on the technical floor plan which is available from the organizer. These box locations are indicated by small circles. The work of connecting stands to the mains power supply of the Convention Center is exclusively by Mansveld Expotech. Exhibitors are not permitted to provide their own power supply through generators.

• Stand Electrical installations must be fitted with sheathed cable having a cross sectional area of not less than 2.5mm2 or equivalent. The use of thinner wire for the power supply to wall sockets is strictly forbidden.

• An exception is made for lighting circuits which may have a 1.5mm2 cross sectional area provided that they not carry more than 2kW and the final circuits are fitted with an appropriate protective device.

• Electrical motors must be fitted with a thermal control and safety switch. • Truss stands and hanging truss must be effectively grounded. • Aluminum system stands must be effectively grounded. • Splitters are not permitted. • Every switch and distribution box must have a mains on/off switch. • Cables under RAIsed floors must be jointless.

Exhibitor Contracted Installations An Exhibitor Contracted Installer is a company or person, other than the official contractor, that the exhibitor appoints to provide services on the show floor during the installation and dismantle periods, and/or show days. All such installers must register at TABEXPO Online Ordering. All contractors must comply with the criteria set forth in the Exhibitor Services Manual and the exhibitor is responsible for the action of their Contractors. Contractors must also provide written proof of insurance to Show Management. False Ceilings / Canopies Water penetrable materials must be used in false ceilings and must conform to local fire code. Impenetrable materials are forbidden due to the potential fire and safety risks. Fire regulations There are strict regulations governing materials which may be used in the construction of stands and in the demonstration of products as laid out in Annex 1 Fire Service Regulations. Please read these instructions and regulations thoroughly and comply with all guidelines.

• During the buildup and breakdown periods, it is strictly forbidden to smoke or use open fire within the area of the exhibition hall.

• Exits, passes, corridors, emergency exits, staircases, etc., within the exhibition grounds must not be blocked under any circumstances.

• Fire extinguishers, hydrants, water taps, etc., situated in front of, in close proximity to, or behind stands must always be visible and easily accessible.

• Flammable materials (including, but not limited to, jute, crepe paper, paper-board, mats) must not under any circumstances, be used in the construction of the stand or as a part of the equipment or decoration therein.

• If woven materials are used to decorate the stand, they must be impregnated with fire resistant substance. Proof of fire rating should be available on demand prior to and at the exhibition.

• Exhibitors are prohibited from storing flammable materials (including but not limited to packaging, wrappings and containers) in or behind stands. Exhibitors are not allowed to set fire to flammable materials without written permission of the organizers in advance.

• The exhibits and material composition of the stands must be approved by the fire department, Amsterdam RAI, and the organizers of the trade show. In case of doubt, please contact the organizer. Representatives of all three authorities will inspect all stands.

• No one under the age of 18 may participate in buildup, exhibiting, or break down. • There must be free ingress and egress on all stands. In the case of double-deck or two-story

stands, there must be one straight staircase for under 50m2 total area. If the area is over 50m2, the approval of the local fire brigade is required. In addition, handrails must be installed.

• Two story stands (double-decker) requires a permit from the RAI’s Licenses desk and must be applied for at least two weeks prior to installation. Structural drawings and calculations should be submitted therein in triplicate.

• Structures such as two-story stands will be inspected at least twice by the RAI Licenses officer. The first inspection takes place during the construction stage when the structure is still open and easily visible. The second inspection will take place before the show opens. On this occasion the Licenses officer pays participation attention to structural aspects such as hand railings. The drawings and construction calculations serve as a checklist for the purposes of inspection. An inspection letter is always sent after an inspection. If the inspection reveals that the structures does not meet the requirements, it can be modified by the builder in order to comply. If it is not possible to modify the structure or it is not modified in time, an order may be made barring its use. If the exhibitor nonetheless uses the structure, enforcement action can be taken in cooperation with Zuid urban district council.

First aid The First Aid Centre will be staffed by medically trained personnel throughout the build-up, open and breakdown periods of the show. All accidents that take place in the halls during normal working hours are to be reported to the organizer’s office with medical attention sought from the First Aid Post if necessary. At any other time accidents should be reported to the show organizers office. Floor Load Limits Standard floor loads inside the venue is 3,000 kg/m2. The floor type is asphalt. Exhibitors shall provide at least 60 days notice, in writing, of their intention to bring any piece of equipment into the venue or to build anything that has point loads that exceed 12 tons. Exhibitors shall also supply complete with weights and dimensions. No fixings whatsoever may be made to Hall Floors, which is asphalt. Heavy loads should not be placed directly onto hall service ducts. Suitable spreading of loads must be achieved. Exhibitors who build a structure that has a point load of more than 12 tons must also submit this to the organizer 60 days in advance of the build. Health and Safety Health and Safety has become one of the most tightly regulated by the rules governing exhibitions. Under Health and Safety legislation exhibitors and their main contractors are responsible for all activities that take place on their stands throughout the event. This includes providing risk assessments and method statements as well as briefing and controlling of all staff, contractors and sub-contractors who work on their stand.

For ease of reference, please make sure that you have covered the following points: • Please take note of the construction work that is going on around you and above you. If you are

traversing the hall, it is likely that you will be passing through areas where overhead work is taking place. Please be vigilant and if in doubt, wear a hard hat.

• Appropriate safety harnesses and suitable head protection must be worn when rigging and working at any height from which an injury could result from a fall.

• Appropriate PPE should be worn at all times during build up and break down. Please ensure you have completed suitable and sufficient risk assessments covering the entire period you, your staff, contractors and sub-contractors will be onsite and if you are carrying out a complex stand build please ensure you have completed a method statement.

In addition | do not:

• Work beneath any rigging activity. • Use flammable materials as part of your display. • Have overloaded or insecure displays. Stands and displays must be safe and secure. • Work on leading edges. • Under any circumstances consume alcohol during working hours. • Overload trolleys.

In addition | do: • Observe the signs and instructions given by the organizers and RAI. • Ensure that all stand personnel and contractors are familiar with the fire and evacuation

procedures and locations of exits. • Ensure that any contractor employed by you has a sound knowledge of health and safety and

where appropriate (if 5 or more people work for the contractor), a health and safety policy and all relevant health and safety documentation (risk assessments, accident reporting procedure, method statements, etc.)

• Control vehicles properly on site - ask for someone to guide you while reversing. • Keep aisles free from rubbish and equipment at all times. • Treat all cables as if they were live and turn off equipment that is not in use. • Use the appropriate safety guards and clothing. • Make sure that hazardous waste is disposed of safely. Venue services can provide advice. • Ensure that measures are taken to minimize the impact of your operations on the environment. • Make sure that you are properly insured for the exhibition. • Maintain emergency gangways. • Respond to all reasonable requests from the halls health and safety management team when

directed to unsafe conditions or unsafe acts. If you do see anyone taking unnecessary risks, please report it to the organizers immediately. Your action could prevent a serious accident.

Height limits Height restriction for ‘space only’ stands is generally 6 meters measured from floor level and where the exhibition hall building allows. In addition, the organizer and venue reserve the right during the floorplan planning process, to further restrict the height limit of stand structures to assist with the overall aesthetic look of the show.

Insurance While every reasonable precaution is taken, the Organizers expressly decline responsibility for any loss or damage which may befall the person or property of the Exhibitor or his agent from any cause whatsoever. Exhibitors MUST take out adequate insurance coverage including employers and public liability insurance. Please refer to article XIII of the Rules and Regulations for levels of insurance coverage required. You will on request provide us with a copy of your policies of insurance and other evidence to confirm that the policy is in force and will inform us immediately if such insurance ceases to be maintained. In addition, contractors hired by the Exhibitor must provide proof of insurance prior to the show. Lack of appropriate liability or worker injury protection insurance will result in denial of access to the venue. Internet connections / Telephones Internet connections, laptops & telephone lines should be ordered through RAI IT & Communications by September 25, 2015. TABEXPO Online Ordering There is complimentary wireless available throughout the venue. The network name is RAI Free Wi-Fi. This network is available in any part of the venue. The network is a basic service and should be used for light internet service only. Users can expect a maximum rate limited bandwidth of 512 kbps. Once users select this network, they will be taken through some required fields. Upon completion and the acceptance, they may access the internet with no password required. This complimentary service is not supported by the IT team. There will be a link to a troubleshooting page that users can access should they experience difficulty using the free Wi-Fi service. The free Wi-Fi is NOT designed for business critical purposes. Exhibitors wishing to purchase an upgraded, supported wireless network that can be tailored to their specific needs must do so using the Internet form in the Appendix of this Exhibitor Manual. With any wireless service, there are potential wireless interference issues that should be considered when considering a wireless connection. A cabled internet service is the only way to guarantee a stable, rate limited (minimum of 1 x mbps) connection.

For those exhibits not set up by the deadline and that do not have a prior variance, Show Management reserves the right to “force” installation or to remove displays/materials from the exhibit floor at the exhibitor’s expense. Devices such as flashing, rotating, or blinking lights (strobe, beacons, etc.) in an exhibit are strictly prohibited. All lighting effects (including gobo’s) must be contained within the boundaries of the stand space and may not be projected into the aisles, other exhibit spaces, or onto the ceilings surrounding the stand space without prior approval from show management. Lighting, which is potentially harmful, such as lasers, or ultraviolet lighting, should comply with facility rules and be approved by Show Management. All ingress and egress of materials must be performed by the Official Show Contractor. Please see the timetable on page 5 of the manual for the buildup and breakdown schedules for RAI. Noise Noisily operated displays and exhibits will not be allowed. In general, exhibitors may use sound equipment in the stands if the noise level does not disrupt the activities of neighboring exhibitors. Speakers and other sound devices should be positioned to direct sound into the booth rather than into the aisle. Sound and noise should not exceed 60 decibels. Show management reserves the right to reduce the sound level, restrict or switch off any audio/visual display that causes complaints. The decision made by Show Management is final if such a dispute arises. Patents & Copyrights The organizers reserve the right to exclude or reject from the exhibition hall any exhibitor who, in the opinion of the show owners, is promoting, selling, marketing or exhibiting items or products that are in any way copies or reproductions of any other product or item already being produced or manufactured by any other exhibitor or manufacturer. Payment The final installment of payment for your stand is due by September 30, 2019 as shown on your contract. Cheques drawn only on UK based clearing houses should be made payable to TEM (Tobacco Events) Ltd. If you wish to pay for the balance of your stand by credit transfer our bank details are given below. Overseas exhibitors are encouraged to make payment by wire transfer. Please note: your contractors will not be permitted to access the hall unless full payment for your stand space has been received.

Payment for all show services is required prior to the service being rendered.

Personal Protective Equipment Safety shoes must be worn during build up and breakdown. Hardhats must be worn if there is danger of falling items. All persons working at heights of 2.5 or higher, must be secured with a harness and safety rope. Reflective safety vests must also be worn at all times during build up and breakdown. A Safe Working Practices Manual issued by the RAI may be found at the end of this manual.

Plan/Design Submission All double deck structures must be approved through the RAI technical team. You may request review of your booth design at TABEXPO Online Ordering.

Public Address system The public address system at the exhibition is for organizers’ official announcements and emergency messages only and is NOT available for use by exhibitors or visitors under any circumstances.

Reporting an Accident All accidents are to be reported to the Organisers Office, with any medical attention sought from First Aid if necessary. Retail policy TABEXPO 2019 is a ‘trade show’. The Exhibitor shall not sell from their stand without the express permission from the organizers before the show. Any exhibitor wishing to sell from their stand should make an application in writing to the organizers no later than 60 days in advance of the show so that each application can be judged on an individual basis. The organizers reserve the right to allocate and re-allocate space for these companies appropriately. The organizers reserve the right to refuse permission for sales to be made from an individual stand. Each application received by the organizers to sell items will be treated on an individual basis. The following criteria will be applied:

• The application to sell does not contradict the trade show ethic. In general terms this is where the trade exhibition provides trade buyers (the visitors) a forum to meet trade suppliers and manufacturers (the exhibitors). TABEXPO 2019 is not a retail opportunity to sell product to non-trade buyers and end users.

• That the products sold do not pose a security issue. • That the products sold do not affect other manufacturers exhibiting at the show

Rigging/Hanging Signs/Trusses Hanging signs are defined as signage that is suspended from the facility ceiling, directly over the contracted stand space. Please see section ‘Height Limits’ for details of height restrictions for rigged structures.

You may not rig any structure that would be deemed by the organizers as unfairly obstructing another exhibitor’s view, whether neighboring or opposite.

For health and safety reasons, RAI Rigging Department are the sole riggers allowed to attach to the structure of the building. All equipment that is to be suspended must be structurally sound, fit for

purpose, not in excess of the Safe Working Limit of the anchorage point and complies with LOLER. It must also be "flown” using approved rigging techniques. RAI Rigging Department are not responsible for the integrity of any hoist and fix performed by a third party. RAI reserves the right to refuse any equipment that is in breach of the legislation or rigged incorrectly.

RAI Rigging Department can supply the full range of rigging equipment from MEWPs, motors & control to 6mm drop wires and would be happy to advise on or discuss your rigging requirements. When ordering suspension equipment it is a legal requirement under LOLER to provide URVS with a plan, accurately showing the following:

• The suspension point locations and their orientation in relation to the building • The weight of each point • The "hook" height required • The date of the lifting operation • A brief description of the equipment to be flown • For an additional charge, RAI Rigging Department will perform the hoist and fix providing this

information is available. Failure to supply this information may result in RAI refusing to allow the equipment to be flown.

• The following list is a brief outline of the information for exhibitors and stand contractors who require rigging work:

· Fly height and weight restrictions exist in RAI, rigging requirements cannot be guaranteed until full details have been received and analyzed by Unusual Rigging Limited and the Technical Department.

· Plans produced by RAI Rigging Department from originals for rigging purposes must be signed off by exhibitors or their contractors before works can commence.

· Flown equipment above 400kgs must be treated as a complex structure and therefore subject to approval from an approved structural engineer.

· The maximum hook height of any is 6m. If the exhibitor requires more height they must inform RAI Rigging Department as soon as possible and supply all the relevant information. The height is dependent on the weight of the feature and therefore a height above 6m cannot be guaranteed. To achieve a height in excess of 6m may require specialist equipment or analysis; this could result in an additional charge.

All rigging work must be carried out in accordance with the National Arenas Association’s Guidance for Rigging in UK Venues.

In situations where bridling is unsuitable, the use of spreader beams should be considered. Where standard truss systems are employed for this purpose, they shall be subject to a structural report. Where specifically designed or manufactured beams are employed a certificate of independent test and examination must be available for inspection.

All suspended truss systems should have independent structural certification and should only be used within certificated design parameters. Particular attention shall be paid to the assembly of truss sections to ensure that braces are aligned correctly as per manufacturers’ recommendations and all connectors correctly fitted.

The slinging of suspended equipment shall be undertaken to manufacturers’ recommendations and in accordance with best practice.

Signs and banners supplied for rigging shall be checked to ensure they are fit for suspension. Sign suppliers shall be responsible for the integrity of signs and their suspension fittings. Screw-in eyes are not acceptable and the venue reserves the right to refuse to allow the suspension of any signs where the suspension fitting supplied is inadequate.

Due to the flimsy nature of materials used, paper signs may only be suspended if constructed from 'Tyvek' or a similar, approved material. Drop weighting to the bottom of banners may only take place when the weighting is completely sealed within the banner by positive means, such as stitching or vinyl welding. Provision of bottom drop weight pockets by gluing is not acceptable. Secondary or ‘safety’ suspensions may be required in certain locations. When required, they shall be installed to bypass the mechanical lifting unit, as a minimum, in case of mechanical failure. The venue reserves the right to restrict or refuse proposals that exceed the loading limitations of the roof structure of the hall.

Scaffolding Exhibitors planning on the use of scaffolding or access equipment for any aspect of exhibit installation or dismantle must supply their request in advance to Show Management and the General Services Contractor. Access equipment includes scaffold towers and mobile elevating work platforms (MEWP’s). This equipment may be operated on the premises if it can be proven to have been inspected and tested for safety in the previous 6 months. All requests are subject to approval by Show Management and must include the following information:

• Purpose for use • Area/position equipment will be erected. • Proof of minimum liability insurance required by the facility, Show Management and the General

Contractor naming all parties as additional insured. • Exhibitor agrees to hold Show Management, the facility, and the General Contractor harmless for

all damages and or injuries incurred while utilizing scaffolding. The venue requires all operators working on access equipment to wear head protection and full body harnesses and be attached to the equipment by means of a lanyard. Powered access equipment must only be used by competent persons trained in the use of the equipment who can provide a valid license or certificate to operate the equipment. Exhibitors are advised that all exhibit installation and dismantle must take place within the confines of the exhibit space; use of aisles is prohibited due to freight movement. Any exhibitor’s use of scaffolding that is deemed to be unsafe may be terminated at the sole discretion of Show Management, the facility, or the General Contractor. Smoking Policy The Netherlands has strict laws governing smoking in public places; this includes the venue for TABEXPO 2019. The Convention Center is a public building in which smoking is completely prohibited under the Tobacco Act (Tabakswet). This smoking ban applies to the entire Convention Center, including the underground car parks. The ban on smoking throughout the Convention Center includes e-cigarettes and is publicized by means of posters and communication of the RAI Live! Screens.

Outside smoking areas will be provided for exhibitors and visitors and will be clearly sign posted inside the exhibition hall.

The Organizers TEM (Tobacco Events) Ltd and hosts Tobacco Reporter and Vapor Voice will under no circumstances accept any liability for any company or employee found to be smoking inside the hall or on their stand.

We would appreciate that this is clearly pointed out to all representatives of your company before and during the exhibition dates to avoid any violation of the smoking laws.

Stand fitting / Shell scheme All interior stand fittings must be contained within the shell stand structure and not exceed 2.5 meters in height. Standard carpet color for shell scheme will be black. Any other color must be ordered separately at a charge to the Exhibitor.

When planning the interior of the stand, Exhibitors should take into account the following stand building regulations:

1. The Organizer will be responsible for the official identification and numbering of the stand. Company logos or full color fascia board graphics can be ordered at an additional cost.

2. Under no circumstances must wall panels be punctured by nails, screws, hangers, etc. Should this happen the General Contractor will invoke additional charges. Graphics and decorative items may be affixed with medium tack double sided tape or similar. For heavy objects, hanging brackets are available.

3. No painting or wall paper is allowed within the shell scheme.

4. On site alterations to the standard shell scheme package may be subject to a charge. Please notify the Floor Manager of any required changes prior to build up.

Corner stands will be built with two (2) open sides and adjoining stands will be built without a center wall unless otherwise specified to the stand contractor. All on-site inquiries concerning shell scheme should be directed to the Floor Manager.

Classic Shell Scheme – 2.5 meter high by 1 meter wide panels

Floor Covering – Needle punch carpet tiles / Black

Lighting / Power – Four (4) spots per 12m2 and one (1) power point

Furniture – 4 standard chairs, 1 table, and one waste basket per 12m2.

The General Contractor, RAI Services, can provide and fit interior extras for your stand. If you would like to order stand fitting extras please complete the Shell Scheme Additions order form on-line by September 25, 2015. A company name board is included with your stand. Please complete and return the Shell Scheme Nameboard online order form or the form located in the appendix to this Exhibitor Manual.

Each item of information should state the event name and stand number. Complete sets of information only should be submitted, together with a plan showing the location of the stand within the exhibition. If any complex structure is modified after the submission of the above information, plans must be re-submitted with details of all modifications and a structural engineer’s confirmation that the final overall design is safe for its purpose. Stands that appear to be complex, which have not been submitted for approval, will be challenged and construction may be stopped until satisfactory information has been received.

The venue reserves the right to monitor all construction activity and to challenge risk assessments and the methods employed.

Height restriction for space only stands is generally 6 meters measured from floor level, this includes any rigged structures, the top of which must fall within the 6 meter limit.

Please find below the regulations regarding walling: • Totally enclosed stands are not permitted on the exhibition floor • Exhibits and walling should be positioned in such a way as not to obstruct the view of the

exhibition or adjacent stands • Solid runs of walling along open perimeters are not permitted where this causes neighbour stands

being visually blocked off from the rest of the exhibition • Exceptions to this will be considered by the organisers on a case by case basis and only if all

affected neighbour stands have agreed in writing • The organisers reserve the right to refuse any designs, or request amendments to designs, which

in their opinion have a detrimental effect to neighbouring exhibitors or the overall look of the exhibition.

In order to assist our visitors with their orientation within the hall, we would ask that you include your stand number and company name within your design. Please note that faxed copies of any plans will NOT be accepted.

Storage Fire regulations prohibit the storage of packing cases etc. in areas behind your stand. However, our appointed Goods Lifting and Handling contractor, DB Schenker, will collect cases from your stand and return them to you at the end of the show. Should you require this service, contact DB Schenker as soon as possible. Taxis Taxis drop off and pick up point for taxis are at the main entrance for the RAI-Amsterdam.

TABEXPO 2019 RULES AND REGULATIONS

Article 1. ORGANIZER TEM (Tobacco Events) Ltd. Article II. EXHIBITOR AND CONTRACTOR “Exhibitor” is an individual or legal entity that sends a signed, binding application to exhibit to the Organizer and the Organizer confirms acceptance thereof by sending an invoice for the rental of the exhibition area. “Contractor” is an individual or legal entity that, under the Trades Register or the Business Register, is entitled to install and remove exhibition stands. Article III. BINDING APPLICATION FOR PARTICIPATION, PROVISION OF EXHIBITION AREAS

1. The focus and specialization of each exhibition is determined by the Organizer. 2. Signing up for any exhibition is subject to completing an application and acceptance of the Rules and Regulations. 3. An application sent to the organizer is binding upon the respective Exhibitor, including in cases where the Organizer cannot

meet all the Exhibitor’s requirements (such as type and size of the exhibition area, its location, etc.) 4. The Organizer leases exhibition areas and allocates the same. In so doing, the Organizer takes Exhibitor’s requirements into

account. 5. The Organizer reserves the right to accept, reduce or extend the scope of Binding Agreements and/or reject the same without

stating the reason. 6. Exhibitors are not entitled to sublet their exhibition areas to third parties. 7. Receiving an exhibition area is conditional upon payment for the same and for all services ordered plus taking out insurance to

cover damages that may be caused by the respective Exhibitor’s operations, to the extend specified in Article XIII, Paragraph 3. Exhibitors whose presentations are not installed by the Organizer are also required to lodge a security deposit the amount of which is determined by the size of the exhibition area and procure an installation card for each member of their installation group.

8. Should an Exhibitor fail to take over a duly paid-for and provided exhibition area by 5:00 PM on the day preceding the start of the respective exhibition, such failure shall be seen as a case where the Exhibitor has cancelled their participation in the period of less than 30 days before the event provided for in Article V, Paragraph 5 of these Rules and Regulations. The Organizer shall then be entitled to use such area (that has not been duly taken over) at their own discretion.

Article IV. REGISTRATION FEE, RENTING AN EXHIBITION AREA, SERVICES

1. The Exhibitor is required to pay the rental for the ordered exhibition area and the fees for all services they have ordered. Should the Exhibitor fail to meet this obligation, the Organizer is entitled to withdraw from the Agreement.

2. The amount of rent for exhibition areas is specified in the application. 3. The smallest indoor area than can be provided is 12 square meters. Exceptions are granted exclusively by the Organizer. 4. If the Exhibitor selects and orders services (such as furniture rental, minor equipment, carpet) for a presentation that is not

installed by the Organizer, the price of such services shall become subject to a 100% charge. 5. Services ordered after the deadline for orders set by the Organizer for each exhibition shall be subject to an extra charge of up

to 100%. Furthermore, the Organizer reserves the right not to accept such orders. Article V. TERMS OF PAYMENT

1. After receiving the application from the Exhibitor, the Organizer shall send an advance invoice with full amounts of the fees ordered by the Exhibitor.

2. The Exhibitor undertakes to pay the Organizer for rent of the exhibition area and the fees for all services they have ordered – the payment must be made by the due date stated on the invoice. The day of payment is the day when the respective amount is credited to the Organizers’ account. Should the Exhibitor fail to pay the invoice by the said due date, the Contracting Parties have agreed on a contractual penalty of 0.05% for each day of such default. If delayed with their payment, the Exhibitor is also required to provide reimbursement for legal assistance, court and out-of-court collection expenses with the out-of-court costs amounting to 25% of the due amount but not less than £ 500.00. Moreover, payments after the due date are subject to legislated interested rates. Payment of a contractual penalty does not relieve the Exhibitor from the liability for damages incurred, if any.

3. The Organizer is entitled to reject additional orders for services made seven (7) days or less before the start of the Exhibition.

4. Complaints made by the Exhibitor in connection with their payments to the Organizer must be in written form and filed within 14 days from the day of receiving the invoice concerned. No complaints shall be accepted after the lapse of the time period.

5. Should the Exhibitor fail to meet all their liabilities to the Organizer relating to the exhibition, the Organizer shall become entitled to attach the Exhibitor’s properties or have the same stored at the cost and liability of the Exhibitor to ensure that the outstanding liabilities are paid without the necessity of starting an out-of-court collection process. The Organizer is entitled to sell such exhibits publicly or privately or use the same at its discretion after the lapse of 30 days from the end of the exhibition, provided that the Exhibitor fails to meet the liabilities concerned. After selling the exhibits in question, the Organizer is obliged to count the difference between the proceeds of such sale and the value of the Organizer’s receivables plus the storage and sale costs.

6. Should the Exhibitor cancel their participation, the cancellation fees are as follows: a. Cancellation more than 60 days before the event – 25% of the exhibition area fee (rent) b. Cancellation between 30 to 60 days before the event – 100% of the exhibition area fee (rent) c. Cancellation less than 30 days before the event – 100% of the exhibition area fee (rent)

7. The cancellation of participation, if any, must be in writing and the cancellation advice must be demonstrably delivered to the Organizer. Should the Exhibitor fail to cancel their participation as described in the previous sentence, the Exhibitor shall become obliged, besides paying the cancellation fee, to provide the Organizer with compensation for all damages that may be caused by the Exhibitor’s non-participation. Furthermore, failure to take over a provided exhibition area under Article III, Paragraph 8 hereof is also regarded as cancelled participation.

8. The obligation to pay a relevant cancellation fee also arises in cases where the Exhibitor fails to pay the rent for their exhibition area before cancelling their participation.

9. If the Exhibitor becomes subject to bankruptcy proceedings, applies for settlement proceedings or starts dissolution proceedings before or during the exhibition, the Organizer reserves the exclusive right to withdraw from the Agreement, in which case the Organizer shall remain entitled to the respective amounts payable by the Exhibitor.

10. In the event that the exhibition is cancelled, all Application and the already provided exhibition areas shall be considered cancelled and Exhibitors shall be refunded all amounts they have paid minus actual costs incurred in connection with exhibition prearrangements at the day of such cancellation. Such costs may be distributed, in part or in full, to the Exhibitors concerned, the maximum amount in such case being 15% of the original amount of rent for the exhibition area. This form of reimbursement shall be provided within 90 days from the day of deciding to cancel the exhibition.

Article VI. EXHIBITS

1. The Exhibitor undertakes to present exhibits and services that are in line with the focus area (industry) of the exhibition. The maximum weight of exhibits is 400 kg / m2 if on a distributed platform. Exceeding the said limit is subject to written consent from the Organizer.

2. The Exhibitor / Installation Contractor undertakes to install the presentation and the exhibits in line with the applicable Exhibitor manual.

3. Selling goods at exhibitions without prior written consent from the Organizer is not allowed. Transport of exhibitions to and from the site is subject to Rules and Regulation stated in the freight forwarding section of the Exhibitor Manual. Exhibition areas stands and/or goods are taken over by Exhibitors or parties authorized by them. Should the Exhibitor or the party authorized to represent them fail to attend the takeover, the exhibits shall be unloaded onto the provided exhibition area at the Exhibitor’s risk and cost. These terms and conditions also apply to installation materials.

4. Exhibits and installation materials not removed by the removal deadline are subject to handling and storage fees charged according to the price list of the forwarding agent.

5. The Organizer sets the deadline for the removal of exhibition stands and exhibits. Exhibits and installation material found on the site after such deadline shall be removed and stored at the expense of the Exhibitor. The Organizer is entitled (publicly or privately) to sell the exhibits in the vent of the Exhibitors failure to collect the same within 30 days. If so, the Organizer is obliged to make a proper account, including the costs incurred. The Organizer is explicitly entitled to proceed in the manner in connection with such failure on the Exhibitor’s part.

Article VII. CUSTOMS CLEARANCE AND FREIGHT FORWARDING SERVICES Customs clearance and forwarding services must be ordered in writing from the exclusive forward agent appointed by the Organizer. The exclusive forwarder’s contact data are part of the Exhibitor Manual of the event concerned. Article VIII. CONSTRUCTION AND INSTALLATION OF EXHIBITION STABNDS, INSTALLATION OF EXHIBITS, TECHNICAL REGULATIONS AND GUIDELINES

1. The Exhibitor undertakes to make their staff and Installation Contractor familiar with the General Terms and Conditions of Participation, the Exhibitor Manual, and the Organizer’s Technical and Safety Regulations that are an integral part of these General Terms and Conditions of Participation and undertakes to ensure compliance therewith.

2. The Organizer sets installation and removal deadlines, granting exceptions only if it is possible in terms of available time and space. Such exceptions are subject to special fees specified in the Organizer’s price list.

3. The Organizer decides whom and under what conditions is allowed to enter the exhibition center to perform installation and/or removal work. The installation and removal schedule set by the Organizer is part of the Exhibitor Manual and must be complied with. Continuing the installation work after the end of the installation period is subject to written consent from the Organizer who must be approached no later than two (2) hours before the end of the official installation period. Deadline postponements are subject to financial compensation. Prolonging the installation period on the last day of installation before the start of the event is not possible.

4. The rules and organization instructions relating to installations, removals and the progress of the exhibition concerned are part of the Exhibitor regulations and/or relevant items of legislation applicable in the United Kingdom. The Exhibitors are obliged to make their own staff and contractors familiar with these obligations.

5. The Exhibitor/Installation Contractor is obliged to follow instructions issued by the Organizer or the fire protection organization the connection with the construction/installation, decoration, safety, maintenance and removal of their stand, promotion materials located in the stand, displayed exhibits and objects as well as the use of decorations. In the event of breaching these conditions, the Exhibitor shall entitle the Organizer to close the Exhibitor’s stand without being liable for any consequences of such action, and the Exhibitor shall not be entitled to any reimbursement of their payments.

6. In cases where the presentation is not installed by the Organizer, the Exhibitor/Installation Contractor undertakes to provide the following before the start of such installation:

a. Project Documentation to the exhibition site presentation as submitted for approval; b. Confirmation regarding the exhibition site presentation Installation Contractor; c. Trade License or a statement from the Commercial Register; d. Approved Project Documentation to the exhibition site presentation; e. If requested, a document providing payments of rent for the exhibition area, fees for services and project approval

and electrical fixture audit fees. f. Copy of an insurance policy made to cover liability for damages that may be caused by the Exhibitor’s/Installation

Contractor’s own operations to the extend specified in Article XIII, Paragraph 3; g. Document providing the lodgment of a deposit for the ordered exhibition area; h. List of names of all installation group members and a schedule of their work; i. Valid certificates held by the staff meant to install electrical fixtures and fittings. j. Valid audit report regarding protection and insulation of electrical machines, devices and equipment to be used in the

course of installing and removing the on-site presentation. 7. The exhibition halls are used exclusively for installation over the installation period, not for production of presentation items

and elements. Subject to written consent from the Organizer, manufacturing operations are performed in premises reserved for this purpose and can only start after payment of the applicable fee. The Exhibitor is obliged to ensure that the surrounds of their stand do not get soiled as a consequence of installing their presentation and use all available technical resources to avoid such a situation, as well as organize their own and their contractor’s work in a manner preventing such problems. The use of suspended (hanging) structures meant to be part of on-site presentation is subject to written consent from the Organizer. Furthermore, the installation of such structures can only be arranged for through the Organizer, according to the applicable pricelist and as late as after making the respective payment.

8. Pursuant to the Exhibitor Manual, the Exhibitor is obliged, no later than 2 months before the start of the installation, to submit a plan of their stand electronically or a model plus a simple drawing on the same scale after receiving their exhibition area as ordered. In the event of failure to meet the said deadline, the Organizer shall Charge £ 300.00 for this service (i.e., express processing of documents and certification of the project documentation). Furthermore, the Organizer reserves the right to disallow the Exhibitor’s participation in the exhibition.

9. Installation material must be brought on to the build site through gates specifically selected for this purpose. 10. Any and all interventions to the structural part of the hall and outdoor areas are prohibited. Adaptations as required by the

Exhibitor, if any, shall be exclusively arranged for by the Organizer, against a special fee. Furthermore, the Organizer is entitled to disallow the Exhibitor’s participation in the exhibition in the event of the Exhibitor’s failure to comply with the aforesaid provisions.

11. The Exhibitor/Installation Contractor performing the installation and/or removal work by means of their own resources is obliged to removal all material.

12. The maximum height of the stand is 6 meters. Approval is contingent upon submissions of design plans and may include engineer approval. It is the option of the Organizer, the venue, the fire marshal or the structural engineer to decline any given design for reasons of possible hazard.

13. Providing electricity, water, telephone lines and Internet connection to other parties is prohibited and may be a reason for stopping the supply. If the ordered volume of power is exceeded, the reconnection shall be subject to (1) increasing the installed capacity and (2) payments in cash. Installation Contractors must use masking tape and then two-sided tape before laying carpets.

14. The use of electric or gas cookers and immersion heaters is prohibited. 15. The Exhibitor/Installation Contractor is obliged to provide the Organizer’s staff and fire protection crews with every day access

(after the opening hours) to their on-site presentation. 16. The Exhibitor is obliged to start installing/dismantling their exhibition stand soon enough to ensure that such work is completed

by the deadlines sent for the in the Exhibitor Manual. 17. The Exhibitor is not allowed to dismantle the exhibition stand before the end of the exhibition and irrevocably agrees to pay £

750.00 in case of acting in breach of this provision. 18. When leaving their exhibition area, the Exhibitor is obliged to restore the site to the original condition and return all objects

rented from the Organizer in undamaged condition. If the Organizer is forced to perform additional work to restore the stand, the exhibition area or the on-site equipment to the original condition, such work shall be done at the cost of the Exhibitor.

19. Failure to meet the deadline for leaving the exhibition area is subject to a penalty of £ 50.00 per square meter of such unvacated area. Any and all extra costs incurred to the Organizer as a consequence of delayed installation and/or dismantle work shall be re-invoiced to the Exhibitor.

Article XI. CLEANING The Organizer is responsible for the cleaning of the exhibition site walkways and pavements. The cleaning of stands before the exhibition opens and during the exhibition is the responsibility of the Exhibitor and must be finished by the installation deadline. If the Organizer is forced to hire cleaners to project a professional appearance to a presentation area, a charge of £ 25.00 per square meter will be charged to the Exhibitor. Article XII. SECURITY

1. Over the installation and removal period and throughout the exhibition, the Organizer provides a general security service to safeguard the exhibition premises. However, this general security service provided by the Organizer does not rule out the danger of damage to objects and/or individuals. Should the Exhibitor deem it necessary for protection of their property, the Exhibitor shall order special security measures to protect their assets and presentation exclusively from the Organizer.

2. Orders of presentation related security services received less than seven (7) days before the start of the exhibition are subject to a 50% surcharge.

Article XIII. INSURANCE

1. The Exhibitor takes part in the exhibition at their own risk and shall not hold the Organizer liable for any third-party claims made in connection with damage incurred as a consequence of the Exhibitor’s participation in the exhibition.

2. The Organizer is not liable to Exhibitor, Co-Exhibitors and Installation Contractors for any form of loss and/or destruction of or damage to exhibits, exhibit presentation equipment, packaging, and packaging materials, regardless whether such destruction or other form of damage occurs prior to, during or after the respective exhibition.

3. The Organizer requires Exhibitors and Installation Contractors to take out insurance, at their own expense, to cover liability for damages that may be caused by their own operations, to the extent as follows:

• Exhibitors installing their stands by means of their own resources – € 20,000.00 • Contractors installing stands of up to 30 m2 – € 40,000.00 • Contractors installing stand of up to 50 m2 – € 80,000.00 • Contractors installing stands of up to 100 m2 – € 120,000.00 • Contractors installing stands of up to 200 m2 – € 160,000.00

4. Should the Exhibitor fail to comply with the aforesaid obligation, i.e., does not take our such insurance or is not able to demonstrate the existence thereof, the Organizer shall be entitled to prevent the Exhibitor from entering the exhibition premises until the point of taking appropriate corrective action.

5. Exhibitors who have not ordered thee stand installation service from the Organizer, the General Contractor, or the preferred Contractors, are obliged to provide, prior to the registration, that they have taken out insurance for the whole period including installation, exhibition and removal stages to cover their liability for damages that may be caused by their own operations.

Article XIV. FINAL PROVISIONS

1. Should the Organizer become unable to perform or organize the entire exhibition as planned due to circumstances that are out of the Organizer’s control (Force Majeure), the Organizer shall inform the Exhibitor, all the Organizers obligations arising from the signed Agreement shall become null and void, and no damage claims shall arise on the Exhibitors part as a result of such situation.

2. Smoking and using naked fire in the exhibition halls is prohibited. The Exhibitor/Installation Contractor is fully responsible for compliance in this respect.

3. The Exhibitor/Installation Contactor is fully responsible for compliance with the General Terms and Conditions of Participation, the Exhibitor manual and the Organizers’ Technical and Safety Regulations.

4. Should the Exhibitor breach the provisions in paragraph XIV.3, the Organizer shall be entitled to expel the Exhibitor from the exhibition and the Exhibitor shall not be entitled to any refund of earlier made payments.

5. The Exhibitor is entitled to file complaints regarding the Organizer provided work and services with the official in charge of complains without undue delay, in writing and no later than 48 hours after the end of the event, otherwise such entitlement shall cease to exist.

6. The Exhibitor shall follow the Organizer’s instructions in situations and circumstances not governed by these General Terms and Conditions.

7. The relations and disputes, if any, between the Exhibitor and the Organizer are governed by the Commercial Code (Act No. 513/1991 Coll. As amended).

8. Any and all exceptions granted by the Organizer require a written form.

Dear Exhibitor, TAB EXPO 2019 has appointed DB Schenker as sole official logistics provider at RAI exhibition and convention center. DB SCHENKER Fairs seamlessly combines freight forwarding and on-site handling services to provide a complete 'door-to-stand' package varying from a single box of brochures to any kind of heavy machinery. Schenker is proud to arrange all logistic for you;

- transport of the goods from the company to the event and vice versa; - unloading and/or reloading the goods at the venue; - temporary storage of the goods before or after the event; - storage of empty packing material during the event; - renting out various types of equipment (for example genie material lifts, etc.) To ensure the safety of people and create an efficient process, only DB Schenker employees are authorized to provide motorized or electrical means of transport in the halls and outdoor premises. This also applies for the electrical loading and unloading of trucks. Other parties are only allowed to use manually powered equipment.

1. Freight forwarding & onsite handling services Exhibitions preparations and logistics planning are closely connected. We can help you with all the planning for your stand logistics wise. - Transports If you need a transport before, during or after the exhibition, please do not hesitate to contact our staff via mail, phone or onsite at our exhibition office. - (Un)loading service direct to/ from stand by 3T forklift We (un)load your freight goods to/from truck/trailer on site and bring the goods to/from stand. - Warehouse & courier shipments If you want to receive packages at your stand, we can arrange this for you. Packages can be send at your convenience to our warehouse, located at the fairground. These goods will be unloaded at the warehouse, stored on site and delivered to your stand at the requested date and time. This service is also available for your courier shipments (courier companies do not deliver packages inside the halls of the fairground) and return shipments after the closing of the exhibition. Note: please make sure you sign up your packages by sending a pre-alert via email to [email protected] mentioning: waybill, tracking number, goods information and delivery date and time. - Air / Sea freight goods If you are sending any goods by sea or air freight, we can help you with the handling of the goods. Please read below instructions and contact us if you are planning to send your goods. - Empty packing material and full goods We pick up empty packing material (crates, boxes, pallets) and full goods (tools, ladders, pump trucks) directly at the stand at the end of the build-up period. After closing of the exhibition, we will deliver the stored materials to your stand. - Stand assistance To help you with the building of your stand or placing of your goods we can assist with forklifts or other motorized & manual material. We can also assist with the un-packing and re-packing of your goods. A supervisor of your company has to attend to acknowledge that we are working on behalf of you at your own risk. - Sale of exhibition goods If your goods are sold during the exhibition, please note the goods cannot be removed from the fairground, before the end of the exhibition, duty/taxes have been paid and permanent customs import procedures have been completed. - Return of the goods Our staff will make contact during the exhibition to collect instructions regarding the forwarding and return instructions, as well as to inform about necessary formalities.

4. Labelling / Packaging Please label your exhibition goods with our shipping label in the annex, page 8. For the packing of your goods, we recommend using stabile, waterproof and re-closable packing material. These materials should resist the storage of empties as well as return or further transport. All packing must be equipped with skids for handling by forklift- and pallet truck. Wood packing requirements apply in the European Community. Fumigation must be arranged for all wooden packing materials in the country of origin before shipping to Amsterdam. Exception for packing made entirely of plywood / wood chip board. To verify that the wooden packing has undergone heat treatment or Methyl Bromide treatment the following data should be marked / stamped onto the outside of the wooden packing clearly visible.

- IPPC Logo - ISO country code (= xx) - Unique number assigned to the company that has carried out the fumigation, namely a

national plant protection organization (= OOO) - Method of fumigation (=YY) - HT: heat treatment / MB: Methyl Bromide

5. Documentation Each shipment has to be accompanied by a full set of documents. Sea freight

Road freight In order to avoid any problems with customs authorities, please present all necessary customs documents such as T-form, Carnet ATA etc., certificate of origin / preference (if applicable*) to our office upon arrival at Amsterdam. *(G.S.P. FORM-A, EUR.1, ATR.1) Commercial invoice / packing list For the handling of your goods, commercial / proforma invoices are required. These should contain at least the following information:

- Full address of the exhibitor, hall and booth number (as consignee or notify) - Detailed description of the goods (incl. model and serial number/s) - Value of every single item as well as total (CIF)-value - Country of origin or manufacture

It is also possible to use a combined commercial invoice/packing list. This form should contain the above mentioned details as well as number of pieces, weight and dimensions. It will be of assistance to categorize the goods as follows:

6. Customs and import regulations For entry / importation of non-community goods, which are imported from third countries, a customs procedure is necessary. If you wish DB Schenker to take care of your customs clearance, we require a signed and stamped power of attorney and commercial invoice. Please get in contact with us in case you intend to send goods. Permanent import The release for free circulation either takes place upon entering the European Community or following transit procedures. When importing third country goods customs duty and import turnover taxes have to be paid. In addition, for certain commodity groups such as coffee, tobacco, spirits and sparkling wine excise taxes have to be paid. Temporary import By placing a transit procedure a security equal to the import duties has to be deposited at the customs office of departure. After the proper execution of the transit procedure the security will be reimbursed by the customs office of departure. The customs clearance can be either handled by us or a customs agent. 7. Liability and insurance Our liability ends upon delivery of the exhibition goods to the booth, even without presence of the exhibitor and only resumes again with the acceptance of the goods at the booth. We do not assume liability for any goods left in the empty crates, boxes or packing material. Waiting times according the rules of the fair organisation are not our responsibility. Possible damages etc. have to be acknowledged immediately and in writing to our on-site exhibition office at the fairground. The goods are not insured by Schenker International B.V., unless written on the order services are always at the risk of the customer. All transactions are subject to the Dutch Forwarding Conditions, including arbitration clause, in the latest version deposited by FENEX at the Registry of the District Court at Amsterdam, Arnhem, Breda and Rotterdam. The general conditions are at all times available for inspections, can be consulted via www.fenex.nl and will be sent to you upon request free of charge. We recommend signing a global fairs and exhibition insurance agreement to ensure you against any losses or damages of transportation as well as during the exhibition. Surely, we can arrange such an insurance if required. If you renounce this comprehensive insurance protection we would like to acknowledge you that in this case the continuous liability on the basis of the Dutch Forwarding Conditions (FENEX) will be effective. 8. Terms of payment Our invoices are raised to the forwarding agent charges according to our tariff and are calculated on a net basis. All invoices are made per exhibitor and/or stand and are due for payment straight after receipt. If your shipment is not handled by us, we have to ask you for payment of extra/additional charges on site. Major credit-cards are welcome. Following up processes required by RAI Amsterdam, every exhibitor and standbuilder requiring logistics services will have to fill in a credit card form for payment security.

This manual forms part of RAI Amsterdam’s Rules & Regulations (in Dutch, Accommodatiereglement), which provide a complete overview of the preconditions for participating in or organising an event in a safe and legal way. These rules can be requested via this link. All employers have a statutory duty to provide good working conditions for their staff. Employees and third parties are, in turn, obliged to exercise due care and caution in order to avoid health and safety risks. All employees, freelancers, standholders and visitors should use personal protective equipment in the correct manner when carrying out their activities, (see chapter 4).

a) Compulsory identification and age The Compulsory Identification Act states that everyone in the Netherlands aged 14 years and over must carry valid proof of identity at all times and, on request, produce this to a competent authority. In the RAI Convention Centre too, everyone must be able to show their ID upon request. For Dutch nationals the following documents are valid proof of identity:

Dutch passport, Dutch identity card or Dutch driving licence For non-Dutch nationals, the following documents are valid proof of identity:

Residence permit issued by the Aliens Department (Vreemdelingendienst) Non-Dutch passport in which the issuing of a residence permit has been noted by the

Aliens Department Identity card of an EU country; Refugee or aliens’ passport.

People who refuse to produce evidence of identity on request may be requested to leave the Convention Centre and, if necessary, forcibly removed. Persons under the age of 16 years are not allowed into the Convention Centre during the setup or breakdown of exhibitions, conferences and other events (including during holiday periods). Young employees who have yet to reach the age of 18 and interns/trainees may in carry out work only if this poses no danger to their health or the environment. If it may pose a danger to health or the environment, expert supervision must be present while the work is being carried out.

b) Safety codes All employers are responsible for the working conditions of their employees and for the safety of other persons in the immediate proximity of employees in the course of their work. Employees should comply with applicable regulations, directions, instructions and procedures connected with safety in the broadest sense. In addition, they should make people in their immediate proximity aware of the importance of complying with regulations, directions, instructions and procedures. A theft, accident or other emergency should be immediately reported to the emergency number (+31 20 549 1234) of the Convention Centre (see chapter 10). It is strictly prohibited to bring weapons into and/or bear weapons in or near the Convention Centre without authorisation.

During the exhibition setup/breakdown periods, RAI employees and suppliers are strongly advised not to walk through the exhibition halls, meeting rooms and lounge areas where the work is being carried out.

c) Work activities All work activities should be carried out with due care and without haste in order to minimise the likelihood of unsafe situations. Work pressure can be reduced by having a clear plan of action, taking sufficient breaks and

ensuring that responsibilities are clearly assigned. To prevent injuries, workers should preferably not wear rings, piercings, watches, bracelets or necklaces while working. Jewellery and loose clothing may in any event not be worn when working with machinery that contains moving parts.

Proper preparations should be made before work is started. Unsafe situations can arise if no or poor preparations are made. Unsafe situations should be reported immediately to the Event Manager of RAI Amsterdam (referred to below as the Event Manager) on duty. See also chapter 10.

The duty Event Manager should be contacted if any uncertainty arises about certain types of work.

When operating machinery, and during hoisting activities and catering work, personnel with long hair should wear it in a short ponytail or a hair net.

Equipment and tools may only be used for the purpose for which they are intended and whose operation is known.

d) Access policy

The Convention Centre is only accessible with a valid admission badge during setup and breakdown periods. With the exception of couriers’ services (for which special courier and supplier badges are made available) any person present in the exhibition halls during the setup and breakdown of events should register online for the exhibition/event concerned. Stand-builders and suppliers are explicitly requested to register in advance in order to ensure rapid access on arrival at the Convention Centre. Here are the links related to the access policy during setup and breakdown: Dutch English Registration may also take place at the relevant registration desk in the Convention Centre. A discernibly valid proof of identity (and a valid employment permit for non-EU residents) must be produced for this purpose.

RAI Amsterdam is not liable for any form of damage and/or loss of goods, tools or possessions. Nor is it liable for bodily injuries unless there has been intent or gross negligence on the part of RAI Amsterdam.

Everyone is responsible for their own working conditions and those of their colleagues and other persons who are in the place of work in the immediate proximity of the employee. Employers are responsible for supervising their own employees.

Work permits An application may have to be made for a permit or licence for certain types of activity. This can be requested from the Licences Desk or, in the event of work on the building, from the Building & Technology Department of RAI Amsterdam. A detailed explanation can be found in the Rules & Regulations. When rigging activities are required a proposal should be made to the RAI Account Manager. For a detailed explanation see the Rigging Manual, also available from your Account Manager. Event-specific licenses Ensuring quality is one of the main goals of RAI Amsterdam. To optimise the quality of its hospitality, RAI Amsterdam has introduced a major administrative innovation related to the licensing procedures for events. Thanks to a unique partnership between RAI Amsterdam and the Municipality of Amsterdam, the RAI was the first private company in the Netherlands to be allowed to regulate and enforce various event-related licences, namely: • event licences • object licences • licences for distributing flyers/samples • licences for stand and gallery construction • licences for placards and posters • collection licences • declarations of no objection to launching cable balloons • lottery licences • licences for barrel organs • licences for animals at the stand • licences for helium balloons (indoor) • licences for water objects at the stand Activities Decree Since January 2016, RAI Amsterdam has been covered by the Activities Decree for environmental management under the Decree on general rules governing the environmental management of sites (Activiteitenbesluit milieubeheer). This means that the RAI’s environmental permit has lapsed. RAI Amsterdam must comply with the requirements of the Activities Decree, which cover all activities in and around the Convention Centre, including activities which may cause environmental damage. Examples include surface water pollution, environmental damage, light pollution, odours and soil contamination. RAI Amsterdam’s activities are covered by bespoke rules when it comes to noise. Health, Safety & Environment plan A Health, Safety & Environment (HSE) project plan is designed to improve the working conditions of all those involved in technical project work and prevent accidents and damage to people’s health and damage to the environment. The plan needs to be submitted by the executive of the activities. The RAI-project coordinator is responsible for the approval of the HSE project plan. An HSE project plan must be prepared for the following types of tasks:

Projects with an estimated size of more than 500 man-days or projects with an estimated duration of more than 30 working days on which more than 20 employees work simultaneously at any point in time, or

Risky activities/locations, such as work: o with asbestos, involving the risk of legionnaires’ disease or explosives o activities in technical areas with active components that can be a hazard (involving risk of

being buried or trapped, working under increased air pressure (e.g. work in a caisson), working with diving equipment and risk of drowning)

o in elevated places, e.g. the roofs or the RAI sign (except to fix malfunctions) o with exposure to chemical or biological substances, or ionising radiation o near high-voltage power lines o involving the digging of wells and underground tunnel works (deeper than one metre) o involving the assembly or dismantling of heavy prefabricated components.

For all other activities, a permit must be requested via the RAI work permit application page. Toolbox The toolbox-meeting is a way of consultation with safety as the main topic. The meeting is focused on the current activities. The employer is responsible for a preventive and effective way of informing the risks a position has. Topics that most likely will be discussed at the toolbox meeting are topics related to safety (working with ladders, working on heights, roofs, working with electricity), recent accidents and the current situation on the floor.

Employers are responsible for ensuring that workers and third parties who are hired or contracted by them are properly briefed on the work they are to perform, the related risks, and the measures taken to prevent or mitigate these risks. In addition, employers are responsible for ensuring that employees are sufficiently trained and educated. RAI Amsterdam has set two standards: SCC (Safety Health and the Environment (SHE) Checklist for Contractors) and OHSAS 18001 as guidelines for its employees in its operational activities. In the future, RAI Amsterdam will also use these standards as guidelines for activities carried out by third parties.

Smoking is prohibited inside the all the areas of the Convention Centre, including in the underground car parks. Areas where smoking is prohibited are indicated by No Smoking signs

Smoking is permitted outdoors at the RAI only in the designated areas marked with a Smoking Area sign (figure 2). Cigarette butts must be discarded in the ashtrays provided in these areas.

Security officers monitor and enforce compliance with these rules on smoking.

Alcoholic beverages, recreational drugs and/or psychedelic substances may not be brought into or consumed in the Convention Centre during work.

Working in the Convention Centre while under the influence of stimulants or intoxicants of this kind is not permitted.

Everyone is required to submit to a search for prohibited stimulants or intoxicants when requested by a RAI Amsterdam security officer. Those who refuse to cooperate may be requested to immediately leave the RAI’s premises and grounds.

Aggression or violence in or around the Convention Centre is not tolerated. If a worker

engages in any form of aggression or violence, this should be communicated directly to the superior of the person concerned or to the duty Event Manager (in the case of outside contractors) and/or the Safety & Security department.

Any person who is confronted with any form of aggression or violence should not engage the person concerned in discussion.

An investigation may be instituted into the nature of the incident if an act of aggression or violence occurs.

Any person who has committed any form of aggression or violence runs the risk of being barred from the Convention Centre for a considerable time.

Employers must ensure safe and healthy working conditions for their employees. The Dutch Working Conditions Law requires that measures be taken in a certain order, starting with the source of any problem. This is also known as an occupational health strategy. The order of this occupational health strategy is as follows:

Source measures – An employer must first eliminate the cause of the problem, for example by replacing harmful substances with a safer alternative.

Collective measures – If source measures are not available or effective, employers must take collective measures to reduce risks. For example, they can install protective screens or an extraction system.

Individual measures – If collective measures are ineffective or insufficient, employers must take individual measures such as organising work in a way that minimises risk to workers (for example by job rotation).

Personal protective equipment – If the above measures are ineffective, employers must provide individual protective equipment such as earmuffs and protective goggles.

The crisis management plan is a collection of all plans and sub-plans intended to prepare the Convention Centre for an emergency. For this purpose, an emergency is deemed to be an unexpected event that causes damage or injury. During emergencies the crisis management plan governs the actions of the staff in carrying out their duties.

Preparation means taking measures in advance to deal with possible contingencies. Various preparations can be made to deal with potential emergencies, such as fire prevention measures. RAI Amsterdam also has its own in-house emergency response service (abbreviated as BHV in Dutch). In addition, RAI Amsterdam personnel follow crisis management training courses and are well informed about ways of preventing emergencies where possible.

The use of flammable materials is not permitted. Such materials may be used only if they

fulfil the requirements set out in the Rules & Regulations. All materials used in the construction of stands should comply with the requirements set

out in the building decree. Textiles used to carpet or otherwise decorate exhibition stands or halls should be

impregnated beforehand with fire retardants insofar as the material does not have fire retardant properties. Written proof of the fire retardant character of textiles must be presented upon request.

The use of the following substances/equipment is permitted only with the prior written permission of the RAI Amsterdam Safety & Security department:

o electrical and/or Calor gas equipment for demonstrating cooking, frying and deep-frying;

o compressed or liquid gases; o fire accelerant liquids; o non-ionising radiation equipment.

The use of flammable or explosive substances, gases and hazardous goods, including ionising radiation, is not permitted unless specific licenses have been granted; for instance for theatre fireworks and special effects.

Fire extinguishers may be used only to extinguish a fire. All fire extinguishers and fire hoses

should be properly reachable and visible at all times. Access must not be blocked. Fire extinguishers should bear a valid expiry date. If the expiry date has passed, this should be reported to be Technical Department of the

Convention Centre. Fire extinguishers that are not the responsibility of the Convention Centre (i.e. those

provided by third parties) are the responsibility of the party concerned. To prevent an outbreak of the Legionella bacterium, fire hoses may not be used for any

purpose other than extinguishing a fire. For activities involving a fire risk or flammable substances, users must bring their own

additional fire extinguishing equipment.

Naked flame refers to both a flame used during work which involves welding torches and blowtorches and to sparks generated by machinery (e.g. grinding equipment).

Before starting any work involving a naked flame, request a permit from the Building & Technology Department (afdeling Gebouw & Techniek) of RAI Amsterdam (see chapter 10).

Fire extinguishers should be kept within reach at all times during work involving a naked flame.

Personal protective equipment as described in chapter 4 must be worn when carrying out such work.

When work involves the use of gas, the gas cylinders should be positioned in a stable manner, secured against falling and protected from naked flame.

Leaving blowlamps and gas torches on when away from the place of work is strictly prohibited.

It should be possible to open emergency exits at all times; these exits must therefore be

kept free of obstacles (goods and rubbish). It is not permitted to lock the emergency exits or use them for a purpose other than escape

in an emergency.

The purpose of the in-house emergency response service (BHV) is to prevent accidents and other calamities as far as possible and mitigate their consequences. Members of the service (recognisable by their yellow vest with the letters BHV on the back) are in charge until the professional emergency services arrive. Thereafter their duty is to assist these professional emergency services. In view of the nature of the activities in the Convention Centre the BHV team concentrates on evacuating people from the buildings. During an evacuation those present must leave the building under their direction. Duties of the members of the emergency response team include:

Providing first aid in the event of accidents (if no first aid staff present). The provision of first aid includes the use of an Automatic External Defibrillator (AED); this can be recognised by the AED logo (figure 3);

Containing and fighting fires; Preventing and mitigating accidents; Sounding the alarm in emergencies and evacuating all

workers and other people from the building; Alerting and cooperating with the municipal or regional fire

service and other emergency services in the event of an emergency. Figure 3: AED

Swift action is required in the event of an accident or emergency. Every effort should be made to fight the fire or handle the emergency as effectively as possible.

In the case of fire:

Think of your own safety

Assess the fire and try to extinguish it if this can be done safely; If you cannot extinguish the fire, break the glass of the fire alarm; Always report the fire by calling number + 3120 549 1234, stating the exact location and

nature of the fire; If possible, lead any people who are in danger to a safe place;

A work accident is the result of an unfortunate chain of events that harms the health of the victim. Your first response should be to think of your own safety and that of other people. Where the work accident causes injury, the victim must be comforted and reassured as far as possible. Help to the victim should be limited to first aid. The provision of further assistance should be left to the experts such as emergency response team members or emergency service personnel.

Work accidents should be reported to the emergency number of the Convention Centre (chapter 10).

Any work accident, including a minor one, or unsafe or unhealthy situation should be reported by employees to their superior or the customer. The superior should report this immediately (but in any event within 24 hours of the work accident) to the RAI’s Health & Safety Coordinator.

Reports to the Health & Safety Inspectorate (Arbeidsinspectie) may be made only by the Quality, Safety, Health and Environment Manager and/or the Safety and Security Manager of RAI Amsterdam (chapter 10).

An accident report form should be completed when a work accident is reported. This electronic form should be completed by a first aider from RAI Amsterdam and is intended for all work accidents that take place in and around the Convention Centre.

When the evacuation alarm is sounded everyone should immediately leave the workplace by a safe route and proceed to the nearest safe assembly area outside the building. Assembly areas can be recognised by the assembly area icon (figure 4).

The nearest emergency door can be found by following the escape route signs (figure 5). In addition, everyone should follow the instructions of the emergency response team members. The escape route signs should be properly visible at all times.

The general traffic rules applicable under the Road Traffic Act (Wegenverkeerswet) apply in and around the Convention Centre. In addition, the following special RAI rules apply: Do Do not

follow the directions given by traffic controllers;

keep to the maximum speed (see figure 6) in the Convention Centre and exhibition halls of five kilometres per hour;

keep to the maximum speed on the outside grounds, the parking areas for goods vehicles and in the underground car parks of 10 kilometres per hour;

obey the rules and speed limits that apply in the Convention Centre (maximum speed of five kilometres per hour), which also apply in pavilions and tents erected on the outside grounds;

wear seat belts where applicable; use flashing lights, lights and signs on the

public highway or during loading and unloading;

drive on the right; traffic (including pedestrians) coming from the right has right of way;

keep all parts of the body within the vehicle while it is being driven,

sound the vehicle horn except when approaching a crossing where the view is obstructed and other traffic may be approaching; in such a case the horn may be sounded as a warning;

block at any time access routes designated for use by the emergency services;

take passengers if there is no place for them; drive under the influence of substances such

as alcohol, recreational drugs or medicines that impair (or can impair) your capacity to react;

drive faster than is permitted in the circumstances or conditions;

get distracted by using a mobile phone, social media or traffic walkie-talkies, reading papers or digital devices, or using sound equipment, while driving.

Traffic regulations Everyone should obey the (statutory) traffic regulations around the Convention Centre. General

Only approved vehicles (forklift, electric carts, aerial lifts, etc.) bearing a CE marking and approval sticker may be used in and around the Convention Centre. If the expiry date of the approval has passed the vehicle may no longer be used.

Persons under the age of 18 years are not permitted to operate forklifts, electric cart, etc. Forklift operators should have received sufficient training and instruction in the use of the vehicle.

They must produce a valid operating certificate when requested to do so. Certificate and driving licence (forklift, electric carts, aerial lifts, etc.) Anyone driving a vehicle should have a valid certificate for the relevant type of vehicle (forklift truck, electric cart, aerial lift, etc.) and should be satisfactorily trained in its use. A valid certificate for the relevant vehicle is sufficient within the Convention Centre and the adjacent underground car parks.

Anyone driving such a vehicle (forklift truck, electric cart, boom lift, etc.) on the RAI’s outside grounds requires not only a valid certificate for the vehicle concerned but also a valid driving licence. A T-driver’s license is mandatory for driving agricultural vehicles and motor vehicles on the public highway. A T-license is mandatory for:

Motor vehicles with a speed limit of max. 25-45 km/h. which will use the public roads. Caution: The areas around the RAI-areas belong to the public highway.

Motor vehicles with a speed limit of max 25-45 km/h, wider than 130 cm. A T Driver’s License will be automatically obtained by everyone who completed their B driving exam before 2015. The RAI’s outside grounds are deemed to include the area in front of the RAI along the

Europaboulevard as well as the Congresplein, the Parkplein, the roads providing access to and from the P1/P2/P3/P4/P6 underground car parks and the P6, P9, P10 car parks, and the cycle paths (including the Green Swath beside hall 8 in the direction of the Beatrixpark and the Strandzuid/Zuidpool area). These grounds do not include the P1, P2, P3, P4 and P7 underground car parks and the P4, P5a and P5b parking areas for goods vehicles.

Parking Vehicles may be parked only in parking places or places designated by RAI Amsterdam for this purpose. Vehicles may only be parked in the Amstelkelder (car park under the Amstelhal) for loading and unloading purposes and not for longer periods of time. Cycling

Bicycles may not be ridden on the path or against the direction of traffic. Front and back lights must be used in the dark. Bicycles should be inspected before use and any faults repaired.

Loading and unloading must be carried out in controlled conditions and only at the delivery bays

intended for this purpose. Pallets that are damaged or unfit for purpose may not be used. Poorly stacked pallets may not be loaded or unloaded. Driving with goods that protrude out of the vehicle is prohibited. Forklift trucks must use a flashing light during loading and unloading. Goods may not be placed in front of emergency doors, which must be kept free at all times. Fire

extinguishers and hose reels must also remain accessible at all times. Additional information for stage/theatre activities:

Safe conditions must be maintained during loading and unloading activities. This includes securing ramps or using a forklift for heavy materials.

Forklifts must have the proper fork length and be suitable for the relevant weight. They must also be inspected for faults before use.

Forklifts must be used in controlled conditions; badly stacked loads are not permitted. A forklift may not be overloaded (i.e. carry a load more than the prescribed maximum).

Passengers must never be carried on a forklift.

Operators must drive too fast around corners which could cause the forklift to roll over. Working or walking under the forks is prohibited. Forklifts driving in the halls must turn on their flashing light in order to be more visible. If gas-powered forklift trucks need parking for long periods they should be parked outside. A seatbelt must be worn unless the forklift is fitted with a closed safety cage. Operators must wear

appropriate personal protective equipment as described in chapter 4. If the warning lights are on, operators must also wear a safety helmet on the forklift.

Forklifts carrying a stacked load should be driven at walking pace. Forklifts should be driven in reverse if the load obscures the view ahead. The forks should be kept low when driving, with a maximum height of 15 centimetres above the

ground. Diesel-powered forklifts may not be used in the Convention Centre. The only exception to this rule

is where a load exceeds four tonnes, in which case the forklift should be fitted with a proper diesel particulate filter.

Forklifts or other vehicles driven on the public highway must be fitted with a complete set of working lights and, at the rear, two reflectors. They must also have mirrors and a working horn.

Batteries may only be charged at locations approved and allocated by Technical Services. Recharging of batteries is only allowed at designated charging stations (details available via Technical Services).

Spillage must be prevented and cleaned where necessary. The use of a work cradle is permitted under the following conditions:

The work cradle has a valid CE certification and a valid inspection sticker Only a few times in any given year Not more than four hours at a time Only in places that are hard to reach There should be an EU-CBI type certificate if it is possible for the hoisting machine to lift

the work cradle for more than three meters above the ground It is not possible to reach the location with other appropriate means

Aerial lifts include scissor lifts, boom lifts, genie lifts, telescopic booms and articulated booms. Before an aerial lift is used, all related safety equipment should be inspected.

Any faults should be reported immediately to the person in charge and be repaired before the aerial lift is used.

It is not mandatory to be leashed when working on a genie lift or a scissor lift when the upper body stays in the work cradle. The work cradle should be at least 110 cm high. Although it is not mandatory, RAI still advises to be leashed for your own protection.

It is mandatory to wear (approved) protection when working on all remaining types of lifts. It is prohibited to leave an aerial lift while it is in extended position. The lift must first be lowered to

the ground. An aerial lift may not be used in wind force six or higher or as indicated by the manufacturer. An aerial lift should always be positioned on a level surface. If the lift has struts, these should be

used in the correct manner. People in the work cradle should remain standing in the cradle (on both legs) at all times. It is

prohibited to raise the floor of the work cradle. Standing on railings is prohibited. Materials may not be allowed to project beyond the work cradle. An aerial lift should not be used for hoisting work. An aerial lift may be moved only if the boom is retracted and the lift is driven at walking pace. If

necessary, someone should walk in front to assist. Diesel-powered aerial lifts should be fitted with an effective soot filter.

Additional information for stage/theatre activities: the relevant safety regulations should be observed when using a single-person aerial lift (Geni/alp).

It is forbidden to stand on or step onto a pump truck while it is moving. Pump trucks may not be

used to carry passengers. Electric pump trucks fitted with a platform may not carry passengers. A poorly stacked load may not be carried. Batteries may only be charged at positions allocated by Technical Services. Recharging batteries is only allowed at designated charging stations (details available via Technical

Services). Spillage should be prevented and cleaned up where necessary.

For the purposes of this document, electric carts are understood to include all electric-powered vehicles.

Electric carts may not be driven with a badly stacked load. The speeds referred to in 3.1 above should be observed when driving inside and outside the

Convention Centre. It is not permitted to carry passengers, unless the vehicle is fitted with a passenger seat and the

passenger sits on this. Seatbelts must be worn if fitted to the vehicle. If the vehicle has a handbrake this should be activated when the cart is not in use. Charging batteries is only allowed at positions allocated by Technical Services. Recharging batteries is only allowed at designated charging stations (details available via Technical

Services). Spillage should be prevented and cleaned up where necessary.

Vehicles in an exhibition hall to carry out particular work should be driven out of the hall immediately

after the work is completed. During work in the exhibition halls the engine should not be left running while the vehicle is

stationary. If this is nonetheless necessary, the Event Manager should first be consulted. Unloading should take place outside the exhibition halls. Unloading in the halls may be permitted

by way of exception when arranged with the Event Manager.

In accordance with the Health & Safety regulations, diesel engines must be replaced with a different type of engine such as an LPG or electric drive. This regulation applies to forklifts used indoors which can carry less than four tonnes.

For diesel engine powered machinery for which replacement is technically unfeasible, measures should be taken to prevent exposure to diesel emissions or limit it to the level as indicated by the employer and as low as possible. The employer can comply with these obligations via:

Collective protection is preferable to individual personal protection. This is understood to mean protection intended for two or more persons. Employers should provide information about dangers and hazards in the workplace and about the purpose of personal protective equipment and how it should be operated, worn and used. If the use of extra protective equipment is required in the safety instructions, everyone must wear or use this. If more than one item of personal protective equipment is worn, the various items must be co-ordinated with one another. Personal protective equipment may be used only for the intended purposes and in accordance with the instructions for use. The safety instructions are indicated by means of pictograms. The meaning of the pictograms is explained in chapter 10. Employers must ensure that their employees and third parties who are hired or otherwise contracted to carry out work are properly informed about the activities to be performed by them and the related risks as well as about the measures to be taken to prevent or mitigate these risks.

People working at a height of above 2.5 metres or at heights where there is a risk of falling are obliged to wear fall protection equipment: a body harness, hook and lifeline with fall protection mechanism.

Fall protection equipment should have a CE marking and at least meet the requirements of NEN-EN 361:2002. The hook should be attached to a strong and fixed anchor and be able to carry a minimal force of 1000 kg. The fall protection equipment should be maintained and tested at least once a year. Proof of approval must be visible. Employers should provide approved fall protection equipment to employees. The fall protection equipment should be inspected by the user before use.

After any fall, the fall protection equipment should be recertified.

a) Footwear Safety shoes must be worn during the setup and breakdown periods in the exhibition halls, meeting rooms and lounges. During these periods, other passers-by in the Convention Centre are strongly advised not to enter the exhibition halls, meeting rooms and lounges (unless they are wearing safety shoes). This may be waived on the advice of the Safety and Security department. Safety shoes must comply with EN-ISO 20345 and bear a CE marking. It is recommended that class S3 safety shoes or higher be worn during setup and breakdown periods. Safety shoes should be properly maintained and kept clean.

b) Clothing Protective clothing should meet the requirements of EN 340 and be ergonomically sound, i.e.

comfortable and well-fitting. Clothing must be made available for warm or cold weather conditions, as appropriate. People working in the underground car parks and the outdoor grounds around the Convention

Centre are advised to wear a reflective jacket. It is obligatory to wear protective clothing during work which involves hazardous substances.

This includes operating a rinsing or washing machine, working in the battery charging station and working with naked flames.

Shorts may not be worn while carrying out fire hazardous work. Sleeves with cuffs or buttons may not be worn while operating machinery with moving parts. Work clothing for electricians may not have metal fasteners or zips. Clothing should be appropriate for the weather conditions.

c) Heavy duty gloves

Heavy duty gloves should have a CE marking Category I gloves provide protection against minimal risks (gardening gloves, home safety

gloves, etc.). Category II gloves provide protection against intermediate risks (working with rough objects,

tools, etc.). Category III gloves provide protection against very serious risks with a chance of fatal or

permanent injury (chemicals, temperatures above 100 °C, etc.). Gloves may not be worn when operating machinery with moving parts.

Employers are obliged to provide hearing protection to workers and to give instructions on its use. Employers must also inform workers about the possible dangers of noise exposure. Hearing protection means internal protection (ear plugs and otoplastics) and external protection (earmuffs). Otoplastics are preferable in the case of regular use in very noisy areas.

In the case of noise levels between 80 and 85 dB, the use of hearing protection is recommended. Hearing protection may also be desirable with noise levels under 80 dB. The use of hearing protection is obligatory with noise levels of 85 dB or more and must be supplied by the employer.

The use of earplugs or cotton wool may not offer sufficient protection against loud noises. Remember to take the maximum muffling effect of protective tools into account.

Additional information for stage/theatre activities: The visiting sound technician should warn anyone present before testing at high sound levels.

Head protection may consist of an industrial helmet or, in the case of catering staff, a hairnet or hair cap. A helmet must comply with EN397 and bear a CE marking. A hairnet or hair cap (for work in a kitchen) must meet the HACCP requirements.

Workers are obliged to wear a safety helmet when there is a danger of falling objects. Catering staff must always wear a hairnet or hair cap in accordance with the HACCP rules. Hairnets

may not be reused. Before starting work, workers must inspect their helmet for faults and check the expiry date. If this date has passed the helmet may not be used as it no longer affords protection. After a helmet has been hit by a falling object it may not be reused and must be replaced.

A padded cap is not a helmet, does not protect against falling objects, and is therefore not allowed.

a) Safety goggles: workers must wear safety goggles when carrying out work that poses a risk to the eyes, for example work involving hazardous substances or flying particles. Safety goggles should bear a CE marking.

b) Face shield: a full face shield should be worn if safety goggles do not provide sufficient protection

for the head. This does not protect against dust particles and gases.

c) Breathing protection: Breathing protection is obligatory for working in an environment in which there is inadequate ventilation or dangerous vapours or substances which can give off fumes, or where substances are released (e.g. sawdust or fine particulate matter). Breathing protection means, among other things, a dust cover or a half face mask with the appropriate filters.

d) Welding protection: Workers carrying out welding work must wear welding protection equipment.

Before starting work they should inspect their equipment for faults. Any faults discovered must first be repaired. The welding protection equipment should be modified in keeping with the type of work undertaken, such as electric welding, MIG/MAG or autogenous welding.

Personal protective equipment should be inspected for faults prior to every use and any faults repaired before work commences. If the faults cannot be repaired, the equipment in question may not be used. Personal protective equipment must be inspected on an annual basis and have a label with the next inspection date.

A detailed description of this subject and related matters can be found in the Rules & Regulations on the RAI Amsterdam website (www.rai.nl).

It should be possible to reach and leave stands (places of work) safely. A fire extinguisher must be kept within reach when carrying out work that poses a fire risk. Combustible items or parts of a stand must be shielded from the work. The task of connecting stands to the Convention Centre power supply is entrusted to a recognised

electrical contractor used by RAI Amsterdam. Power may not be generated in any other way. Regardless of which electrical contractor is used, the electrical inspections at the stands must be tested and approved by the Convention Centre’s recognised electrical contractor. The manager of RAI Amsterdam’s Technical Department is responsible for the electricity grid.

Transport routes should be of ample width and free of obstacles. All transport routes and gangways should be kept as free as possible of gear and rubbish. If work is being done on a stand, for example the laying of a floor, and there is no space on the stand for the gear and materials being used, things may temporarily be placed in the gangway. This applies only to items intended for the work being carried out at that moment and they should then be removed as quickly as possible. Preferably, however, these items should be stored outside the exhibition halls and then brought into the halls on forklift trucks.

Security officers are authorised to remove items (or cause them to be removed) if any instructions they give are not obeyed. Blocking access to fire extinguishers, fire hose reels, emergency doors, emergency showers and other safety facilities is strictly forbidden.

Only CE approved and properly maintained tools may be used. Electric tools should meet all

relevant requirements. To prevent injury, workers are not allowed to wear rings, piercings, watches, bracelets or necklaces

when working with tools and machinery with moving parts. Wearing jewellery and loose clothing is any event not desirable when using tools.

Tools, particularly electric tools, should be inspected before use. The use of damaged tools is prohibited.

When electric tools are no longer needed for work they must be completely switched off; this also applies during work breaks.

Tools should be stored in a way that precludes their use by unauthorised persons. When electric tools are used in the work area, this should be well-lit and stable. Workers are obliged to wear personal protective equipment as described in chapter 4. Tools should be used only for their intended purpose. Work equipment must be periodically tested and approved. The approval date must be visible on

the equipment. The latest approval certificate must be made available on request.

It is prohibited to remove, disable or switch off protection devices fitted to machines and tools. It is strictly prohibited to use a machine or tool if the protection is no longer present or is damaged.

It is strictly prohibited to carry out work involving live electrical current. Electrical work may be carried out only by NEN 3140 qualified staff. Personal protective equipment such as a helmet with face screen, rubber gloves and non-flammable clothing should be worn at all times. All installations (including wall sockets) should comply with the requirements of NEN-1010.

a) Before electrical work is started the following steps should be taken: 1. switch off all installations or equipment that will be worked on; 2. lock the installation by means of padlocks (lockout/tagout system); 3. check that all equipment is off. Use a two-pole voltage tester in accordance with NEN3140, not

a voltage-tester or induction test pen; 4. hang a tag or magnetic strip on the main switch clearly indicating that the switch may not be

operated and showing the date, the name of the event and the nature of the work being carried out (lockout/tagout system);

5. remove and take away knife-blade fuses if current is not permitted; these may be removed only by a qualified (trained) person;

6. enter a record of this in the wiring lists and wiring books of the power supply electricians; 7. cover with insulation material any parts that are live.

b) Before an installation is activated the following steps should be taken:

end or pause work; remove temporary earth or short-circuit connections; remove padlocks; replace safety devices that have been temporarily removed; replace temporarily removed devices that protect against direct touching; check whether the installation is deemed safe.

The activation of an installation should be carried out by a qualified person when instructed by the person responsible for the installation.

c) Locating an electrical fault:

Electrical malfunctions should be located by a qualified person. Other parts of the circuit should be covered with insulating material and warning signs should be put in position. Only double-insulated tools and electrical personal protective equipment may be used.

Cable entry holes in the floor must be sealed off when not used. Water pipes or electricity or ICT cables may protrude from holes in the floor, the position of which should preferably be marked.

Workplaces should be fitted out in accordance with ergonomic principles. To ensure proper hygiene, the workplace should be kept free of dust as far as possible and, in so far as work safety so requires, kept in proper order. Cables and wires should be tucked away as far as possible to prevent people from tripping. As safety is improved if cables and wires are taped up, hung up or covered with an anti-slip mat, this has been made compulsory by RAI Amsterdam.

The place where work is carried out should be sufficiently lit. There should be sufficient drink at the workplace to enable workers to warm up or cool down. There should preferably be an area where workers can warm up or cool down. The workplace should be adequately ventilated to ensure that there is sufficient uncontaminated

air.

Work should be organised in such a way, the workplace fitted out in such a way and the production working method applied or such aids and personal protection means used that the physical load entails the fewest possible dangers for the safety and health of the worker.

For their own safety workers should not manually lift and carry weights heavier than 23 kg. Workers should not push or pull weights stationary load heavier than 30 kg. Weights in excess of 25 kg should be lifted with the help of a mechanical aid. Employees should not push of pull a load heavier than 20 kg to keep it moving.

Lifting should be done by bending the knees and keeping a straight back. The load should be kept as close as possible to the body (figure 7).

Working positions should be varied as much as possible in order to prevent repetitive strain injury (RSI).

Every effort should be made to avoid spending lengthy periods kneeling or in an awkward or twisted posture.

Two rules apply specifically to the erection and dismantling of scaffolding and grandstands:

anyone involved in erecting or dismantling scaffolding or a grandstand at a height of more than 2.5 metres and working within 1.5 metres of the edge of scaffolding or grandstand must wear an approved safety harness and line; this is required by Dutch law, namely Article 3.16 of the Working Conditions Decree (preventing the risk of falls);

anyone involved in erecting or dismantling scaffolding or a grandstand and working on or under the uncompleted structure concerned must wear an approved safety helmet.

The use of raised platforms is recommended for stands with water and gas pipes, and/or a lot of electrical wiring across the floor (the stand builder can provide advice on this). When using platforms in a stand, it is important to keep in mind that the sides need to be sealed off and neatly finished, and the raised floor must fit within the boundary lines of the stand.

Working at height involves working on scaffolding, on a grandstand or multi-floor stand or on a roof.

a) Scaffolding:

Handrails and railings must be placed at least one metre above the work surface; Scaffolding material should be of good quality and comply with the requirements of NEN-EN

12811-1. Scaffolding erected inside the exhibition halls at a height of over 12 metres requires bracing. The scaffolding should be erected in accordance with the requirements of NEN-EN 1298.

A mobile scaffold tower may not be moved if materials or persons are present on the scaffolding. Mobile scaffolding may be moved only if the height is less than eight metres.

Scaffolding may be erected only on a firm, level surface. The use of stabilisers is obligatory. The scaffolding must be earthed when working with electricity. The work platforms of scaffolding and multi-storey stands should be completely boarded and

have proper edge protection (planks of at least 10 cm high). A guard rail should be fitted at a height of one metre above the work platform and an intermediate guard rail at 50 cm.

The maximum load for which scaffolding is designed to take must never be exceeded. The maximum load must be indicated on the scaffolding at eye level. Materials may never be stacked on a scaffold to a height in excess of 55 cm, unless extra guard

rails have been fitted. The work platform of a scaffold should be marked in order to prevent collisions and the risk of

people being hit by falling objects.

b) Inspections:

The builder, who uses scaffolding, should be in possession of an inspection certificate. The user may be requested at any time by the enforcing authority to produce the certificate. Scaffolding should be inspected and approved before use. This should be done by a person who is in possession of the scaffolding erection ‘B’ or similar certificate (this does not apply to mobile scaffolding). If the scaffolding has been approved, a green label bearing the date of the approval must be attached to it. In the event of alterations to the scaffold, follow-up inspections must be carried out before use.

c) Use:

The wheels of mobile scaffold towers should be blocked before work starts. The scaffolding should be climbed in the correct manner (on the inside). Work may not be carried out from elevations on the scaffold (such as a ladder). It is prohibited to carry out work on scaffolding that has already been partially dismantled.

General A ladder or stepladder should fulfil the requirements of the applicable standards

(e.g., NEN 2484 or EN131) and have a valid approval sticker. The rungs on a ladder or the steps on a stepladder should have an anti-slip

design. Working on a ladder or stepladder is permitted only if the use of other aids is not possible. Scaffolding or an aerial lift should be used for repetitive work. A ladder or stepladder should preferably not be used at heights of more than 2.5 metres. The

maximum height at which a ladder may be used is 10 metres. The access to a ladder or stepladder should be kept free at all times. If necessary, the area around the ladder or stepladder should be marked. Multi-section or extension ladders should be used in such a way that the various parts cannot

slide in relation to one another. Ladders must be secured against sliding.

Inspections

Ladders and stepladders should be inspected for faults before use. Do not use if faults are discovered, the inspection date has expired and/or the rungs are dirty. Ladders and stepladders should be inspected at least once a year and the next inspection date should be marked (legibly) on them.

Positioning

Do not place ladders in front of a door. If there is no other choice, the door should be locked. Rolling towers should be secured before being mounted. Ladders and stepladders should be positioned in such a way as to ensure stability during use. A ladder should be positioned at an angle of approximately 75 degrees. A ladder should be placed in such a way that the top or bottom cannot slide away. To maximise

safety secure the ladder or stepladder by a rope or stabilisation device. A ladder should extend at least one metre above the workspace to which it gives access. There

must be an adequate handhold present at the height at which people get off the ladder. The ladder must be positioned in the correct manner (i.e. not upside down or back to front) and

on a level surface.

Use of ladder or stepladder Ladders and stepladders may not be used when wearing shoes with dirty or smooth soles. Work must not be carried out if it is beyond reach, i.e. within arm’s length. The force during activities may not exceed 10 kg. Tools should be brought up with ropes or in a holster attached to a belt. A ladder or stepladder may be used only if weather conditions permit. A ladder or stepladder may not be used outdoors in wind force 6 or higher. A ladder or stepladder may not be moved while the user is still on it.

Approved fall-arrest protection must be worn when working at height of more than 2.5 metres, and

for activities performed on an aerial lift. A safety helmet must be worn when working at height (including rigging).

What are hazardous substances? Hazardous substances can be identified by the symbols on the packaging labels. These symbols indicate, for instance, whether a substance is highly flammable, poisonous, irritating, corrosive or caustic. R (Risks) and S (Safety) statements are also often indicated (on the safety sheets). R statements indicate specific risks and S statements indicate safety recommendations. In general, hazardous substances are considered substances that can result in health problems for anyone who comes into contact with the substance in the workplace. There may be hazardous substances that do not have a label or safety sheet at the location. These are usually hazardous substances produced during operational processes, such as welding fumes and incineration products. Working with or using cytostatic, carcinogenic and reprotoxic substances is strictly prohibited in and around the premises of RAI Amsterdam.

RAI Amsterdam should be informed before any work involving the use of hazardous substances is commenced.

Before the start of work involving the use of hazardous substances, the employer should inform workers about the risks posed by the substances concerned, the procedures to be followed and the safety measures to be taken, the use of the requisite personal protective equipment, the procedures and measures in the event of an accident or fire (including the use of fire extinguishers) and waste handling in accordance with section 8 of the Working Conditions Law.

Smoking and naked flames are strictly prohibited when working with hazardous substances. Collective prevention has initial priority in the case of hazardous substances. Collective prevention

includes: o using tools with an extractor and the extraction of hazardous substances by means of an

extractor hood; o providing adequate ventilation when weather conditions permit; o regularly cleaning the place of work.

A safety data sheet is obligatory for all hazardous substances and preparations (mixtures of substances). If a chemical product contains more than one per cent of hazardous substances, it must have a safety data sheet.

Personal protective equipment should be worn as described in chapter 4 if collective prevention is not sufficient.

Young employees under the age of 18 years are not allowed to work with hazardous substances. For the removal of hazardous substances (including containers of latex, paint brushes, frying fat,

etc.), contact our internal partner ICOVA (Environmental Services) on 020 549 3122.

It is strictly prohibited to smoke or to light a naked flame in the vicinity of places where hazardous substances are stored.

Fireworks in any form may not be brought into or stored in the Convention Centre unless a licence has been granted by the competent authorities.

Hazardous substances may not be stored along the route driven by forklift trucks or other means of transport.

Hazardous substances should always be placed in drip trays. Stocks of 25 litres or more of hazardous substances and environmentally hazardous substances must be placed in drip trays.

Gas cylinders or other high pressure cylinders should always be properly secured and protected against falling.

Explosive substances must always be stored outdoors at the location indicated in the licence. If no location is known, Technical Services should be consulted.

Other substances may be stored indoors if this does not compromise safety. Gas cylinders must bear an expiry date. It is strictly prohibited to store gas cylinders that have

passed their expiry date in the Convention Centre. Hazardous substances should not be stored in direct sunlight wherever possible. Oxygen cylinders may not be placed with cylinders containing flammable gases. Hazardous substances should be stored in accordance with guideline PGS-15 (previously: CPR-

15-1). Active stock (event related):

Active stock refers to the amount required for a given activity. The size/amount is aligned with the use for one day, as determined by RAI Amsterdam.

If the active stock is over 50 litres, a liquid proof drip tray is required with sufficient capacity to contain the entire content of the stock.

A welding cart with gas cylinders is considered active stock. A series of opened packaging units with various substances which are used on a regular basis

(such as paint cans in a painting workshop) are considered active stock.

For every event, standbuilders/organisers must ensure that there is a safety sheet for each hazardous substance that is visibly present at the work stations. A digital copy should be submitted via [email protected]. In addition to the safety sheet it should contain the following data:

the name of the exhibition/event; the stand number.

A battery charging area or station is understood to mean a place where the battery electric vehicles

are charged. The location for charging batteries is allocated by the Technical Services department of RAI Amsterdam.

It is strictly prohibited to smoke or to light any form of naked flame in the vicinity of a battery charging station.

Wearing personal protective equipment is obligatory when a battery needs to be removed from the vehicle. This must be done using the appropriate electrical tools.

The battery charging area should be properly ventilated. Any leaked battery acid should be cleaned up as quickly as possible. The incident should also be

reported to the Quality, Safety, Health & Environment Manager of RAI Amsterdam, the Licences

Officer or the Security Manager. If they are not present, the incident should be reported to the duty Event Manager.

The use of asbestos in the Convention Centre is strictly prohibited. An asbestos protocol applies within RAI Amsterdam, a copy of which can be obtained from the Building & Technology department.

Rubbish generated by work carried out in the Convention Centre must be sorted and disposed of in the ICOVA containers ordered from the webstore or the RAI Amsterdam refuse bags. Firms may not use their own refuse bags and these will not be collected by RAI Amsterdam. Rubbish should be sorted in the following way:

plastic in the special bags; wood in the special wood container; residual rubbish in the general container.

Hazardous waste such as used oil, paint residues and contaminated solvents should be separated before being handed in (see next section). Any residual waste or rubbish will be removed at the expense of the stand holder.

It is strictly prohibited to throw away hazardous (chemical) waste in the containers or refuse bags. The Environmental Services department of RAI Amsterdam should be contacted for the disposal of hazardous waste (such as paint). After written application to the Facilities department, hazardous waste must be placed in designated (sealable) containers in the original packaging with its obligatory product label. The firm concerned is obliged to remove empty paint tins, brushes, caulking cartridges etc. itself if no application has been submitted.

In the event of an environmental calamity, the emergency number +31 20 549 1234 should be called immediately (see chapter 10). There is deemed to be an environmental calamity if the soil or surface water becomes contaminated. In the event of an environmental calamity, the Quality, Safety, Health & Environment Manager of RAI Amsterdam should be contacted. If the Quality Manager is not present, the duty Event Manager should be informed.

All rules and regulations contained in the previous chapters should be complied with. Failure to do so

may result in the imposition of sanctions (see section 2 below). Security officers are responsible for enforcing the rules. Workers should immediately report unsafe situations to their superior. Instructions given by security officers should be obeyed at all times. Where situations occur that are

patently unsafe, an employee may be ordered by or on behalf of RAI Amsterdam to terminate an activity immediately.

Sanctions will be imposed if work is carried out in an unsafe manner or rules are not complied with as described in this manual. These sanctions may be imposed in the following manner:

employees working in an unsafe manner for the first time will be given an oral reprimand. If the situation is very unsafe, they may be ordered to stop the work immediately. Notice of this will be sent to the exhibitor and to the organisers at the end of the day;

if nothing is done to improve safety after the first reprimand, a second oral reprimand will be issued; if the first two reprimands are not complied with, the employee may be removed from the workplace.

A sanction and enforcement policy applies within RAI Amsterdam, more information on which is available from the Quality, Safety, Health & Environment department.

Liabilities

Various parties will be active at the location during conferences, events or theatre productions. Each party is responsible for creating a safe workspace for its employees and the other parties present. Informing one another of risks is a statutory obligation in accordance with Article 8 of the Dutch Working Conditions Law. As host, RAI Amsterdam has the final power of decision on whether or not to allow a given activity. The activities remain the responsibility of the party who carries them out.

Stage access

During setup and breakdown activities and changes made to the stage, access is prohibited to persons who are not involved in relevant activities as well as underage employees (with the exception of trainees/interns and cast members).

Access is only granted to guests and/or visitors during a (theatre) production after discussion with the stage manager on duty.

Training and information

Each party is responsible for properly informing all active employees, including flexible workers, trainees/interns and volunteers, about the activities to be performed, the related risks and the measures required to minimise these risks. Guests and visitors may not have access to the theatre via the backstage area and must always use the proper entrance.

The following principle is applied for “risky exhibitions/events in RAI Amsterdam”. Based on different characteristics, events/exhibitions are divided into three risk categories, namely, high, medium or low risk. Decor and constructions

All constructions and decors must meet the applicable requirements. Suspension points must be suitable for the weight to be carried, and the positioning must be stable. Walls and screens must be secured against falling.

For practicable construction for orchestras or choirs, railings must be installed whenever the height is one metre or more, and the parts thereof must be interconnected.

Extra regulations for hazardous waste (for details see Chapter 7)

All hazardous and volatile substances such as acetone should be stored in the designated cupboard. No hazardous substances are to be left in the dressing rooms if they are not being used

Oxygen/nitrogen/chemically inert gas cylinders used on stage must have a stable position and be secured against falling. Insofar as applicable, all hoses and connections must meet the applicable demands.

A license is required for bottles with flammable gases and the same regulations as indicated above apply.

Rigging and stage rigs Stage rigs

A rigging plan will be submitted to the stage manager at least two weeks in advance and include the setup of the rigs and the weight per rig. The materials connected to the rigs will be the responsibility of the using party. The stage manager and stage rig operator have the authority to refuse specific loads.

Rigging

A rigging plan will be submitted to the stage manager at least two weeks in advance. It will contain the position, content and load of the rigging points. The rigging handbook lists further requirements and guidelines.

Riggers and technicians only have access to the grid and catwalks after consulting the stage manager. The stage rig operator must be informed when accessing the grid.

Special effects

The stage manager must be consulted about the use of special effects at least two weeks in advance. Some effects require a licence, others require permission.

Safe and secure in RAI Amsterdam during event setup and breakdown

1. Access

RAI Amsterdam is only accessible to people in possession of a valid access pass. 2. Safety shoes

Approved safety shoes must be worn during the stand set-up and breakdown periods. 3. Safety helmet

An approved safety helmet must be worn when the safety sign is on in the exhibition halls. 4. Smoking, alcohol and recreational drugs

Smoking, drug-taking and the consumption of alcohol are prohibited. 5. Emergency exits

The emergency exits and yellow traffic routes should always be kept free of obstructions. The emergency exits should only be used in emergencies.

6. Fire extinguishers

Fire extinguishers should always be kept accessible. 7. Working at heights

Persons working at heights above 2.5 metres on a mobile scaffold or an aerial lift must be attached by a safety line.

It is not allowed to work on a ladder at heights above 2.5 metres for more than two consecutive hours. In these situations a mobile scaffold or an aerial lift should be used.

8. Transport

The maximum transport speed is 5 kilometres per hour inside and 10 kilometres per hour outside. The forks of a forklift truck that is in motion may not be more than 15 centimetres above the

ground. A forklift truck may not be used to transport or lift persons. It is forbidden to make telephone calls while operating a means of transport. Only trained personnel have permission to operate a forklift truck.

9. Young people

Persons under the age of 16 years are not allowed into the RAI during the setup and breakdown periods. 10. Materials and tools

Only approved (i.e. CE certified) machines and tools may be used.
