Introduction

What is FlexLessons?

FlexLessons is VirtualJobShadow.com’s powerful new lesson creation and assignment tool. It allows admins/staff to seamlessly combine VirtualJobShadow.com activities with additional content to create custom lessons that students/users access right on our platform.

These lessons can help students explore career pathways, make connections between their interests and career possibilities, learn about the importance of soft skills, develop postsecondary plans, and much more.

Through FlexLessons, admins/staff can share their lessons with other staff on their license. They can also access and assign any of our VirtualJobShadow.com sample lessons (housed in the tab called VJS Lessons). While having so much to offer, FlexLessons remains intuitive and user-friendly. Getting started is a simple, three step process:

It is important to note that lessons and assignments are related but distinct items within FlexLessons. A lesson is a group of activities that an admin/staff has compiled with the intention of assigning it to users. When an admin/staff assigns a lesson, he or she creates an assignment. This assignment is an instance of its parent lesson that is accessible to one or more users.

Imagine you created a lesson entitled, “Building Your Resume” that includes a group of activities designed to teach users how to write strong resumes. When you assign “Building Your Resume” to your 2nd period students, your students don’t have access to your lesson directly. They have access to an instance of your lesson. This instance is an assignment.

Because of this distinction, different actions can be performed on lessons and assignments. Therefore, they are housed in two different places on FlexLessons. Lessons are housed in the “Lesson Builder”, and assignments are housed in “Assignments”.

Key Terms Admins/Staff- Individuals that can build, manage, share, and assign lessons on FlexLessons. **Please note that all references to admins/staff in this user guide pertain to customers who have access to a VirtualJobShadow.com account.

Students/Users- “Students” or “users” are interchangeable terms. Students/users access their assignments from their VirtualJobShadow.com dashboard. They complete their assignments directly on VirtualjobShadow.com. **Please note that students/users need to have a VirtualJobShadow.com account in order to be assigned a lesson.

Lesson- A group of activities that an admin/staff has compiled with the intention of assigning it to student users.

Lesson Activity- A lesson segment, such as Custom Quiz, Career Profile, etc.; also includes introductions and lesson completion segments.

Assignment- An instance of a lesson that has been assigned to one or more student users.

Lesson Builder- The FlexLessons interface in which admins/staff can create new lessons. It houses:

a. The lessons an admin/staff has built b. The lessons that have been shared with an admin/staff c. VJS Lessons d. An admin/staff’s archived lessons.

Assignments (interface)- The FlexLessons interface which houses the assignments an admin/staff has created. Here, admins/staff can edit assignment settings, view user submissions, grade user submissions, close assignments, and delete assignments.

Publish- Publishing a lesson allows an admin/staff to assign it to users or share it with other staff. Until an admin/staff assigns the lesson or shares it, no one else will be able to see his/her published lessons. Once lessons are published, they can no longer be edited. They can, however, be previewed, cloned, and archived.

Share- Sharing a lesson makes it available to other admins/staff within a license. As an example, if you created a lesson entitled “Exploring Your Strengths” and your peers want to be able to assign it as well, you can share it with them. PLEASE NOTE: You can only share lessons with other admins/staff on the same license as you. This means that a teacher will be able to share lessons with other admins/staff at his/her school while a district administrator will be able to share lessons with admins/staff that work in all schools within his/her district.

Shared (Tab)- The “Shared” tab in an admin/staff’s Lesson Builder contains all of the lessons that have been shared with him/her.

Clone- Cloning a lesson creates an unpublished copy of it. Use this functionality to create an editable copy of a published lesson, to create an editable copy of a lesson that’s been shared with you, or to create an editable copy of a VJS Lesson.

VJS Lessons- These are pre-built lessons readily available to all our customers. Accessible on admins/staff’s Lesson Builder interfaces, these lessons can be assigned directly or cloned so that admins/staff can edit the content. They are functional examples of different types of lessons that can be created with FlexLessons.

Preview- Previewing a lesson or a lesson’s activities allows you to view it/them the way your students would.

Archive (a lesson)- Archiving a lesson moves it into your “Archived” tab. Lessons in your “Archived” tab can be viewed and unarchived at any time. They can also be deleted.

Assign- To assign a lesson is to create an assignment from it that students can access. This assignment is an instance of its parent lesson.

Close (an assignment)- Closed assignments are those which students can no longer submit and admins/staff cannot edit.

Manage (an assignment)- Managing an assignment encompasses many actions, including: adding users to an assignment, viewing user submissions, editing an assignment, closing an assignment, and deleting an assignment.

Grade (an assignment)- When admins/staff grade their assignments, they assign numerical values to their students’ submissions that students are able to view on their My Assignments interface.

My Assignments: The name of the interface in which students/users access their assignments.

Getting Started

1. Create a Lesson

1.1 To create a lesson, click on the “Admin” tab at the top of your VirtualJobShadow.com interface and click “FlexLessons”. This will take you to your Lesson Builder interface.

1.2 Click “Create New Lesson”. A pop-up will appear requesting that you give your lesson a title. Do so, then click, “Create Lesson”.

1.3 Once on the lesson interface, you will see three blocks: “Lesson Introduction”, “Add Activity”, and “Lesson Completion.”

1.4 Click on “Lesson Introduction” to provide your users with an introductory message. Your message might include their learning objectives, key vocabulary terms, or an overview of what they’re about to do. Click “Save & Preview” to see how your page will look to users. When you are ready, click “Save & Close” to navigate back to the lesson interface. You can modify your introductory message any time before you publish your lesson by clicking the three vertical dots on

the right side of the introduction block. Note: If you choose not to compose an introductory message, a default message will appear for users.

1.5 Click on “+ Add Activity” to add an activity for users to complete. You can select from one of our VirtualJobShadow.com activities or from our list of additional activities. You can add as many activities as you would like to your lesson. As you integrate activities, they will appear as blocks between “Lesson Introduction” and “Lesson Completion”. You can rearrange them by grabbing the arrows on the right-hand side of the blocks and dragging them up or down.

1.6 All activities come with overviews, step-by-step directions for admins/staff, and “Save & Preview” buttons so you can see how users will experience them. When you finish creating an activity, click “Save & Close”. You can edit, delete, or preview activities any time before you publish your lesson by clicking the three vertical dots on the right side of their blocks. For more information about each activity, please visit p.13 for our Activity Guide.

1.7 Click on “Lesson Completion” to provide your users with a closing message. Click “Save & Preview” to see how users will view this page. When you are ready, click “Save & Close” to navigate back to the lesson interface. You can modify your closing message any time before you publish your lesson by clicking the three vertical dots on the right side of the completion block. Note: If you choose not to compose a closing message, a default message will appear for users.

1.8 You can also preview your entire lesson by clicking on the yellow “Preview” button on the bottom of your lesson interface.

2. Publish a Lesson

2.1 Publishing your lesson allows you to assign it to students/users. Before you do so, be sure to preview the way your users will experience your lesson by clicking the yellow, “Preview” button. When you’ve finalized your lesson, click on the green “Publish Lesson” button. You can also publish lessons directly on your Lesson Builder Interface by clicking the “Publish’” button beside them.

Please note: Once a lesson is published, you can no longer edit it. If you would like to edit a published lesson, you must clone it. See section 4.2 for more information about cloning.

2.2 Once published, the status of your lesson will appear as “Published” in “My Lessons” on your Lesson Builder interface. From here, you can assign it to users.

3. Assign a Lesson

3.1 Locate your published lesson on your Lesson Builder Interface. Click the green, “Assign” action text.

3.2 Give your assignment a title that your students will recognize. It should be similar to your lesson’s title, but with added information that will help you identify the students it’s assigned to. For example, if your lesson is entitled, “Setting Career-Related Goals”, and you want to assign it to your 2nd period class, your assignment title could be, “2nd Period: Setting Career-Related Goals.”

3.3 Select a due date for your assignment.

3.4 Decide whether you will require students to complete the assignment’s activities in order.

3.5 Decide whether you will allow late submissions. If you do, users will be able to submit an assignment after its due date. If you don’t, users will not be able to submit late work.

3.6 Enable or disable grading. If enabled, you will be able to give users a grade for their work. They will see this grade on their Assignments interface.

3.7 Select the groups or individual users that this assignment is for. When you’re finished, click on the green, “Create Assignment” button.

3.8 That’s it! Your students now have a VirtualJobShadow.com assignment, which they can access right on their My Assignments interface. Please see our “The FlexLessons User Experience” section for more information about how assignments appear to users.

Going Pro Because lessons and assignments are distinct from one another, managing lessons and managing assignments involves taking different actions. It also involves navigating to different places within FlexLessons:

To manage your lessons, navigate to the “Lesson Builder”. To manage your assignments, navigate to “Assignments”.

4. Manage Your Lessons

To manage your lessons, navigate to the Lesson Builder within FlexLessons. There, you’ll see a table that lists the lessons you’ve created along with the actions you can perform on them. You can share, publish, edit, clone, preview, or archive unpublished lessons, and you can share, assign, clone, preview, or archive published lessons.

4.1 Sharing: You can share published lessons with admins/staff under your license at any time by checking the “Shared” box next to their titles. You can also access any lessons that have been shared with you by clicking on your “Shared” tab.

4.2 Cloning: When you clone an unpublished lesson, you create a replica of it that is also unpublished. When you clone a published lesson, you create a replica of it that is unpublished. This functionality is especially helpful because although you cannot directly edit published lessons, you can edit their clones.

4.3 Archiving: Archived lessons are lessons that you’re not actively assigning or preparing to assign. They can be accessed and unarchived at any time through the “Archived” tab. Unlike other lessons, they can also be deleted. Archiving lessons is a great way to keep your Lesson Builder interface organized. Please note: Moving a lesson to your “Archived” tab does NOT affect any assignments you created from that lesson.

4.4 Unarchiving: Unarchiving a lesson moves it from your “Archived” tab to your “My Lessons” tab. To unarchive a lesson, navigate to your “Archived” lessons tab. Locate the “Unarchive” action text and click on it.

4.5 Deleting: To delete a lesson, navigate to your “Archived” lessons tab. Locate the “Delete” action text, and click on it. Please note: A deleted lesson cannot be recovered. Also important: Deleting a lesson does NOT impact any assignments created from it.

5. Manage Your Assignments

To manage your assignments, you must navigate to your Assignments page. There, you will see a list of your active assignments, along with ways you can search for and filter those assignments. Click on the “Manage” action text beside the assignment you would like to monitor, edit, add users to, close, or delete.

Once you click, “Manage”, you will be taken to an interface that contains the name of your assignment, its specifications, a list of users it’s been assigned to, and actions you can perform upon it.

5.1 Editing: To edit an assignment’s title, displayed staff or Administrator name, due date, or settings, locate your list of active assignments. Click on the “Manage” text beside the assignment you want to edit. Then, click on the blue, “Edit Settings” text that appears on the upper left-hand side of the page. A pop-up will appear with fields that you can change. Click “Update” when you have made your desired edits.

5.2 Adding Users: To add users to an assignment, click on the blue “Add Users” button that appears above the list of users. Select the groups or individual users you would like to add to an assignment, then click the green “Add Users” button. This assignment will now appear on those users’ Assignments interfaces.

5.3 Exporting: To export your list of assignments as an Excel spreadsheet, click on the grey, “Export” button that appears beside the blue, “Add Users” button.

5.4 Closing: Closing an assignment prevents users from submitting further changes/ work to it. When you close an assignment, you can no longer edit it/ add users to it. If you have enabled grading for that assignment, you can still grade that assignment. Click on the yellow “Close Assignment” button at the top of the page to close it.

5.5 Deleting: If you want to remove an assignment from one or more users’ Assignments interfaces, you can delete it. To delete an assignment from ALL users’ interfaces, click on the “Delete” action text that appears beside an assignment’s title. To delete an assignment from one user’s interface, locate the name of the user whose assignment

you want to delete. Click on the “Delete” action text in that user’s row. PLEASE NOTE: If you delete an assignment from a user’s interface, all of that user’s progress will be erased.

5.6 Reviewing Users’ Submissions: Locate the user whose work you want to see. Click the “View” action text beside that user’s name. This will bring you to a chart which displays a list of the assignment’s activities, the user’s progress towards completing those activities, and “View Submission” action text. Click on the “View Submission” action text to see a user’s submissions for particular activities. For a comprehensive report of a user’s work for all activities within an assignment, click on the red “Download” button at the top of the screen. This will open up a downloadable, printable PDF in a new window that contains all of a user’s submissions for an assignment.

6. Grade Your Assignments

Some, but not all activities within FlexLessons involve submitting work that may be considered subjective or can be evaluated against a rubric. When you have created an assignment that incorporates one or more of these activities, you can grade that assignment. Note: if you choose not to grade an assignment, you will still be able to see which assignment activities were completed and which weren’t. You will also be able to view users’ submissions.

6.1 Enabling Grading: There are a few ways to enable grading for an assignment. First, while you’re assigning one of your lessons, you’ll see a checkbox that says, “Enable grading?”. Leaving this blank prevents you from grading the assignment. Checking it enables you to grade the assignment.

After you have created an assignment, you can enable grading by clicking on the “Manage” button next to its title on your Assignments interface. You will see blue text in the upper left-hand corner that says, “Edit Settings”. When you click on this text, you will see a pop-up with an “Enable Grading” checkbox. Checking this box enables you to grade this assignment.

You can also enable grading by clicking on the “Grade” button next to an assignment’s title on your Assignments interface. If you have not previously enabled grading, a pop-up will appear asking you to enable it. If you have enabled grading, you will be taken directly to your gradebook.

6.2 Your Grading Interface: For each assignment in which grading is enabled, there is a Grading interface. This contains a scrollable menu of users’ names on the left-hand side, as well as a display screen. When you click on a user’s name, a chart will appear in the display screen that contains all of an assignment’s activities along with:

1. Whether or not the user has completed each activity. 2. The option to view that user’s submissions. 3. A box in which you can enter a grade for the assignment as a whole.

6.3 Navigating to Your Grading Interface: There are two ways to navigate to your grading interface (for assignments in which grading is enabled) once you are on your Assignments interface:

● Option 1: Locate the assignment you would like to grade. Then, click the “Grade” action text beside its title. ● Option 2: Locate the assignment you would like to grade. Then, click the “Manage” action text beside its title.

You can choose to grade all users’ submissions by clicking “Grade All”, or you can navigate directly to one user’s submissions by clicking on the “Grade” action text beside his or her name.

6.4 Assigning a Grade: To give a user a grade for their work on an assignment, navigate to that assignment’s grading interface. Click on that user’s name within the left-hand menu. View the user’s submissions. Then, enter the percentage (1-100) that reflects the quality of the user’s assignment submissions overall. Click “Save Grade”.

6.5 Locking an Assignment to Enable Grading: If you select a user from the left menu who has not completed the assignment you want to grade, an unlocked lock will appear next to the user’s name, and you will see a message in the display screen asking you to lock his or her assignment. Locking the assignment will prevent that particular user from submitting further work and enable you to grade what they have submitted. If you would like the user to complete the assignment before you grade it, do not lock it.

7. Access Reports on Your Assignments

There are multiple places you can access reports on users’ work within FlexLessons. Some are within FlexLessons itself, and others are in the “Reports” section of VirtualJobShadow.com. Steps 7.1 - 7.4 provide guidance on reviewing users’ work within FlexLessons. Steps 7.5 - 7.10 provide guidance on accessing users’ work within “Reports”.

7.1 To access users’ work within FlexLessons, navigate to “Assignments”. Locate the assignment that you would like to review, then click the “Manage” action text. From there, you will be taken to a page that lists users’ names, their progress towards completing an assignment, the date they completed the assignment (if they completed it), their final grade, and some action text.

7.2 When you click on the “View” action text next to a particular user, you will be taken to a page which lists all activities within an assignment, the progress the user has made towards completing them, and “View” action text. When you click “View” next to a particular activity, the user’s work will appear in line.

7.3 On this page, you can also view a user’s work for all activities within an assignment by clicking the “Download” button at the top of the screen. This will open a downloadable, printable PDF in a new window listing all of a user’s submissions for that assignment.

7.4 Another way to access users’ work is through an Assignment’s Grading interface. Locate the assignment that you would like to review, then click the “Grade” action text. This interface will contain a list of an assignment’s activities for each of your users. Next to the activities for which there are available submissions, you will see the “View” action text. Clicking this action text will allow you to see a user’s work for a particular activity in line. Next to some activities, you’ll

also see “PDF” action text. If you click on this, a new window will open with a downloadable, printable PDF of that user’s submissions for a particular activity. 7.5 To access users’ work within the “Reports” section, navigate to “Reports” by clicking on the “Admin” tab at the top of the page or by way of the left navigation menu. You will be taken to a page which prompts you to “Choose Report”. Select “FlexLessons” from the dropdown menu.

7.6 From there, you can find an assignment by clicking on the “Choose an Assignment” search bar. This will call up a dialog box containing all of your CLOSED assignments. Important: You can only run reports on assignments in the “Reports” section of VirtualJobShadow.com if they are closed.

7.7 Search for the assignment you would like to run a report on. Click the checkbox beside it. Finally, click the green “Select Assignments” button at the top of the dialog box. Please note: You can run reports on multiple assignments at the same time. If you choose to select more than one, you will NOT be able to see the date each user submitted an assignment. You will also NOT have the option to view a PDF of a user’s work for that assignment. See below screenshot and sections 7.8 and 7.9.

7.8 The dialog box will disappear, and a green “Run Report” button will appear in your window. When you click on it, a chart with users’ names will appear. Next to their names, you will see the title of the assignment, license name, date submitted, date completed, final grade, and export PDF action text.

7.9 Clicking on the “PDF” action text will open a downloadable, printable PDF containing all of a user’s work for all activities within an assignment.

7.10 You can also choose to click on the grey “Export” button above the chart of users’ names. Clicking on it downloads an Excel spreadsheet containing the same information available within the chart, listing users’ names, the title of the assignment, license name, date submitted, date completed, and final grade.

Introduction More than a dozen activities make up the building blocks of FlexLessons. They come in two types: a. VirtualJobShadow.com activities and b. additional activities. Admins/staff can combine them in any way they want, making the lesson possibilities endless. To help you get started, use this guide to learn more about each activity.

VirtualJobShadow.com Activities Career Profile You can select one or more career profiles for users to explore. VirtualJobShadow.com offers hundreds of career profiles to choose from, all housed in Career Central. Many include our signature job shadowing videos, and all career profiles include text that describes job responsibilities, education requirements, earnings, future outlook, and work experience requirements.

Career Assessment You can select a career assessment for users to take. VirtualJobShadow.com offers three to choose from, each offering its own insights into the career pathways that align with users’ interests and priorities.

● The Career Clusters Interest Survey- This helps users identify the Career Clusters that align with their interests. ● The O*NET Interest Profiler- This helps users identify the type of work that would suit their interests best. ● The O*NET Work Importance Profiler- This helps users identify the types of work environments that would align

with their priorities.

Resume Builder Direct users to write their resumes using our Resume Builder. Our Resume Builder provides scaffolding and helpful tips that guide users in generating professional resumes.

Videos Add any video(s) on the VirtualJobShadow.com platform for your users to watch. You can even build a playlist! Select videos housed in Career Central from any of the following video categories: Job Shadowing, Career Cluster Overviews, Life Skills, and Q & A. You can determine whether users can skip any videos in your playlist. Please note: Users will not be able to fast forward through any videos assigned to them in this activity.

My Careers Users will browse careers on Career Central and favorite appealing careers by clicking on their profiles’ heart icons. Doing so will store these careers in “My Careers”. Direct users to select and submit up to 5 of their favorite careers from this inventory to your assignment.

My Colleges Users will browse postsecondary schools on our College Search tool and will favorite appealing schools by clicking on their profiles’ heart icons. Doing so will store these schools in “My Colleges”. Direct users to select and submit up to 5 of their favorite schools from this inventory to your assignment.

My Jobs Users will browse job/internship opportunities on our Job Search tool and favorite appealing opportunities by clicking on their profiles’ heart icons. Doing so will store these opportunities in “My Jobs”. Direct users to select and submit up to 5 of their favorite opportunities from this inventory to your assignment.

Goal Setting Direct your users to create up to 10 short- or long-term goals using our Goal Setting tool.

Postsecondary Plan Direct users to create a postsecondary plan using our Postsecondary Plan tool. They will indicate the level of education they wish to receive, their top postsecondary school choices (if applicable), and their top career choices. It is important to note that users must have previously added schools to “My Colleges” and careers to “My Careers” in order to identify them as top choices on their postsecondary plans.

Other Activities Reading Provide your users with a body of text to read. You can cut and paste a passage or write your own material.

Written Response Direct users to submit a written response. This could be a short, informal piece of writing, like a reflection, or it could be a longer, more formal piece of writing, like a cover letter.

External Link Provide your users with a link to a webpage that you want them to visit.

YouTube/Vimeo Video Provide your users with a YouTube or Vimeo video to watch. Video links not housed on YouTube or Vimeo are not supported by our system.

Task Checkbox Give users a task to complete outside of VirtualJobShadow.com. Examples include visiting a career fair, interviewing a family member, applying to an internship opportunity, etc. Users will indicate they have completed their assigned task by clicking on a checkbox.

Custom Quiz Assess users’ knowledge by creating a quiz for them to take. Choose from a bank of quiz question types including multiple choice, listing, true/false, yes/no, and short answer.

User Interface The FlexLessons user interface is designed for easy navigation. It allows users to meet their career preparation standards and objectives at their own paces.

When users log in to their VirtualJobShadow.com accounts, they will see a tab in their top nav bar entitled, “My Assignments”. This is where they will access their My Assignments interface. If users have any new assignments, a red bubble with the number of new assignments they have will appear above this tab.

Users’ assignments will appear on their My Assignments interfaces. There are three categories their assignments will fall into:

1. To-Do: This view contains only the assignments that users have not yet completed. New assignments and in-

progress assignments will appear here. 2. Completed: This view contains only the assignments that users have completed. Assignments that are

incomplete and cannot be submitted late will also appear here. 3. All: This view contains all of a user’s assignments.

Within each category, users can filter their assignments by date assigned or due date. Date assigned is the default filter. If users filter by date assigned, they will see the assignments that are newest first. If they filter by due date, they will see the assignments that are overdue or due soonest first.

Completing Assignments

Activity Progress

Admins/staff can determine whether users must progress through an assignment’s activities in order or not. Either way, users must complete all of an assignment’s activities before they can submit it.

If users are able to progress through an assignment’s activities in any order that they choose, a yellow “Skip” button will appear at the bottom of each activity’s page. Clicking this enables them to navigate to the next activity without having completed their previous one. They can also jump around from activity to activity by clicking on their titles in the left navigation menu.

No matter how users are able to progress through an assignment’s activities, they can always review previously completed work. This is especially helpful if a user is engaged with an activity that requires the application of information gleaned in a prior activity. Because all users’ work autosaves in FlexLessons, they are able to leave an activity they are currently working on, review a previously completed one, and return without losing any work.

Once a student/user submits an assignment, he/she cannot make any further changes or edits to it.

VirtualJobShadow.com Tools and Features as Assignment Activities

Whenever an activity directs users to access a VirtualJobShadow.com tool or feature, it contains a link to that feature. By clicking on the link, users navigate outside of their assignment.

When they do this, they will see a red banner across the tops of their screens. This will contain their directions, along with a button that says, “Return to Assignment.” Users can click on that button at any time and return to their assignment.

This means that any work users complete with VirtualJobShadow.com tools/ features is accessible both inside and outside of FlexLessons.

As an example, imagine your users have set goals on their own with the VirtualJobShadow.com goal setting tool. If you were to incorporate the goal setting feature into an assignment for those same users, they would be able to access and submit the goals they’d previously set.

Similarly, if you directed users to complete an assessment through an assignment, they can access that assessment’s results both within their assignment and outside of it.

It is important to note that when you add one of our three assessments into an assignment, users will always be asked to start a new one, even if they have previously completed the assessment you selected.

Viewing Grades and Accessing Work

When an assignment has been completed, users can view their grades (if applicable) and their submissions. First, they must locate their completed assignment in either the “Completed” section or the “All” section of My Assignments. Then, they must click “View Results.” This will bring them to a page that contains their final grade (if applicable), information about which activities they completed, and a button labeled, “Download”. Clicking this button opens a PDF in a new tab which contains all of their submissions for that assignment.

Please note: Student’s final grades will appear as “Waiting for Grade” until an admin/staff gives the assignment a numerical grade.
