Chart Assignment

Overview For this assignment, you will use Excel to:

• Enter and format data • Insert clipart (online picture) • Create two formulas • Insert and modify a column chart

The colors, font sizes, and types must remain the same as those on the copy from your instructor. You do not need to put the assignment title on the worksheet. Make sure that you put your name in place of the title. The assignment needs to be sent to the instructor electronically before midnight of the due date.

Lesson 1: Enter the Labels and the Numbers What you do What happens 1. Click in cell A3 to make it the active

cell. 2. Enter each of the labels in column A,

as shown here. 3. Press the Enter key after each label is

typed.

When you press the Enter key, Excel recognizes that you have completed the edit and moves down a cell.

4. If you need to correct a mistake: a. Click in the cell and retype

the entry. -OR-

b. Click in the cell and make corrections in the formula bar.

What you do What happens 5. Increase the column width so the

entry in cell A7 displays fully in column A.

To modify the column width:

a. Place the mouse pointer in the column header and on the border between column A and B.

b. With the mouse pointer appearing as a double headed arrow , drag to the right.

The column width has increased. The contents of A7 displays within the column and the cell.

6. Apply the wrap text format to cell A5.

a. Click in A5. b. On the Home tab of the

Ribbon, select the Wrap Text tool.

The row height is increased to display the contents of cell A5 within the column and the cell.

8. Enter the labels in cells B3:F3. 9. Enter the numbers in cells B4:F8.

Note: The numbers in cells B9:F10 will be formula results. You will enter the formulas later in this lesson.

10. Use AutoFit to change the width of column F.

a. Place the mouse pointer in the column headers on the border between F and G.

b. With the mouse pointer appearing as a double headed arrow , double click.

11. Repeat step 10 for any other columns that are not wide enough to display the data.

Lesson 2: Change Row Height and Insert ClipArt (Online Picture) What you do What happens 1. To increase the height of row 9:

a. Place the mouse pointer in the row headers on the border between row 9 and row 10.

b. With the pointer as a double-

headed arrow, drag down until the row is 36 points in height.

Row 9 is increased in height to accommodate a picture of an ice cream sundae.

2. Insert a sundae picture: a. In Office 2013, select the Insert

tab, then Online Pictures. In Office 2010, select the Insert tab, then Clip Art. In Office 2011 (Mac), select Insert from the menu, then, Clip Art.

b. Type “sundae” in the search box for office.com and press the Enter key.

c. Double click on a picture to select it.

The picture displays in the worksheet.

3. Drag the file handles (small circles or squares on the border of the picture) to resize the picture to fit in cell A9.

Alternatively, enter a width or height for the picture in the size box on the Picture Tools-Format tab of the Ribbon. Or the Format tab on the Mac.

The picture is resized.

4. Place the mouse pointer over the picture. With the pointer as a four-pointed arrow, drag the picture to place it in cell A9.

Lesson 3: Use AutoSum Formulas What you do What happens 1. Click in cell B9 to add a formula that

sums the values in cells B4:B8 (B4 through B8).

2. On the Home tab of the Ribbon, locate the AutoSum tool in the Editing group. On the Mac, select the Formulas tab.

3. Click on the down arrow for the AutoSum tool.

4. Click on Sum. Caution: Do not click in the worksheet until after the next step. If you do, Excel thinks that you want to change the formula that it is creating.

Excel creates a formula =SUM(B4:B8).

What you do What happens

5. Click on the Enter tool in the formula bar to accept Excel’s formula.

The formula is entered in cell B9 and the formula results display in the cell. To view the formula, look at the formula bar.

The contents of cell B9 is the formula =SUM(B4:B9). If a value is changed in one of the cells included in the formula, the formula results are recalculated by Excel and the new results display in the cell.

6. Click in cell B10 to create a formula finding the average amount of sodium in cells B4:B8.

AutoSum tool and select Average. Excel does not create the correct formula, because it selects cells B4:B9.

8. To correct the formula: Use the mouse with the pointer as a wide, white cross and drag through cells B4:B8. -OR- Change the formula in the formula bar to read =AVERAGE(B4:B8).

9. Press the Enter key or click on the

Enter tool to accept the formula.

10. Use AutoFill to copy the formulas. a. Click in cell B9. b. Place the mouse pointer on the

AutoFill square, which is the black square in the lower right corner of the active cell. The pointer will be a thin, black cross.

c. With the pointer as the thin, black cross, drag to cell F9.

When the mouse pointer is shaped as a thin, black cross (the AutoFill pointer), Excel’s programming looks for a pattern.

Excel selects B4:B9. Only cells B4:B8 should be included in the Average formula.

What you do What happens 11. Look at the formulas in row 9.

To see the formulas, one at a time, click on a cell, such as C9 and review the formula in the formula bar.

Excel incremented the column in the formula by one, as you dragged across the row. B to C to D to E to F

To see all the formulas at once, click on the Formulas tab of the Ribbon. Click on the Show Formulas tool. Click on the Show Formulas tool again to return to the normal working view.

On the Mac, click on the Formulas tab, then, Show > Show Formulas. Click on the Show > Show Formulas tool again to return to the normal working view.

12. Click in cell B10. 13. Use AutoFill to copy the formula to

cells C10:F10.

14. The values in cells F9 and F10 are

expressed as decimal equivalents. The values should be formatted as percentages. With the mouse pointer as a wide, white cross, select cells F9:F10. Click on the Home tab of the Ribbon. In the Number group, click on the

Percentage tool . Alternatively, click on the down arrow for the Format box in the Number group and select a format.

The value shown is 14.2.

After selecting to decrease the number of decimal places to none (zero), the value is formatted as 14. Excel rounds the value in the cell.

Lesson 4: Background Fill for the Cells

The Fill tool colors the background of cells. In this assignment, try to match the fill colors of your Instructor’s example.

What you do What happens 1. Select the cells.

With the mouse pointer a fat, white cross, drag across the cells to be filled with a particular color. In this example, A4:A10 are selected.

The cells are highlighted.

2. Select the background Fill.

a. On the Home tab, click on the down arrow of the Fill tool

b. Select a color that displays or

from the larger color palette at More Colors.

If you select from the palette at More Colors, your selections display on the Fill tool’s menu under Recent Colors.

3. Continue to select cells and apply a background fill, until the worksheet is similar to the example from the Instructor.

Lesson 5: Insert and Modify the Chart What you do What happens 1. Select the cells A3:E8.

These are the cells that contain the row labels, column labels, and the data that are to be included in the Chart. The Percentage of Fat, Totals, and Averages are not included.

The selected cells are highlighted.

2. On the Insert tab, select the column

Chart tool .

On the Mac, select the Charts tab, then, the Column Chart tool.

The list of available column Charts displays.

3. Select the 2-D clustered column Chart.

A 2-D clustered column Chart is created and displayed in the worksheet.

What you do What happens 4. Move the Chart.

a. Place the mouse pointer on the border of the Chart. The mouse pointer will be a four-pronged arrow.

b. Drag the Chart to below the data.

5. Add a legend to the Chart.

a. Click on the Chart Elements

Smart Tool. This tool displays to the right of the Chart.

b. Point to Legend and click on the down arrow.

c. Select Right to display the legend to the right of the Chart.

On the Mac: a. Select the Chart Layout tab. b. Click on the down arrow for

Legend. c. Select Legend at Right.

If these commands do not display, the Chart is not selected. Click once on the border of the Chart to select it.

The legend displays. The plot area of the Chart is resized. The category labels on the X axis are rotated.

What you do What happens 6. Remove the Chart Title.

a. Click on the Chart Elements

for the Chart title.

By default, the Mac does not display a Chart Title. It may be selected on the Chart Layout tab.

7. Place the mouse pointer on one of the

corner file handles on the Chart’s border.

With the mouse pointer as a double-headed arrow, drag to make the whole Chart larger. The Fat columns are easier to view.

8. To change the Fill color for a column

series, click on one of the columns.

In this example, the Sodium series is selected.

The file handles (small circles) display on the border of all five of the columns in the Sodium series.

9. With the series selected, select the blue color to match the Chart sample from your instructor.

The color of the series columns is changed.

10. Repeat steps 8 and 9 for each of the series.

What you do What happens 11. To change the color of the plot area,

click in a blank area of the plot.

The plot area is selected.

Note that the file handles display only on the borders of the selection.

If file handles display on the gridlines, you clicked on one of the lines. Click in the blank area between the gridlines to select the plot area.

12. Select a fill color.

13. Review the Chart and modify it if necessary, so that it closely resembles the Chart assignment example.
