Please familiarize yourself with the information – including the policies and procedures - found in this handbook. For teachers new to e-Learning please take a moment to ensure you follow the Startup Check list- Appendix 4. All the best this semester and please connect with our e-Learning Central Team at anytime and to help you and your students with a rich and engaging online experience. Expectations You are strongly encouraged to: Use Adobe Connect as an instructional tool on a regular basis in your online classroom. Ask your students if they have an IEP or have special needs and follow through on supporting these students. Use the LMS Quiz tool throughout the semester if your students are writing a final supervised online exam.
All e-Learning students have the right to…
The e-Learning program expects students to …
Expect a safe and supportive online environment. Attend every class (log on every school day Monday to Friday)
Know how they are evaluated in each subject. Follow all OSR (home) school rules and classroom expectations.
Expect impartial and courteous treatment from their teacher.
Exhibit a respectful and courteous manner and attitude in the online classroom
Discuss with their OSR (home) school administration/guidance counsellor questions of an academic or personal nature regarding e-Learning.
Refrain from any inappropriate language or behaviour, in particular that which is disruptive, profane, harassing, or intimidating.
Expect academic assistance from their teacher. Follow their school and board policy regarding plagiarism and crediting sources.
e-Learning has many advantages for students and for teachers. Because of these advantages, online learning has become increasingly popular and its extraordinary growth shows no sign of slowing down. As the illustration at right shows, however, online learning is not without its challenges. Without our help, e-Learning students could feel lost, frustrated and alone. Teacher effectiveness makes all the difference. If we create caring and engaging learning communities our students will be able to enjoy the advantages of online learning.

Policies & Procedures
Evaluation
Multiple evaluation opportunities are highly recommended. Students benefit from multiple opportunities to demonstrate their learning. Meaningful feedback and multiple evaluation opportunities keep students on their toes and optimistic about their chances to succeed All marks should be clearly listed on a legibly organized mark sheet, using computer software such as MarkBook. For e-Learning, the mark calculation methods align with your curriculum area, Regional Centre school and the Toronto District School Board Policy. The student will be evaluated on the basis of a term mark (70%) and final summative evaluation mark (30%). Final summative evaluations consist of:

Summative Assessments
Please vet exams and culminating activities (summative evaluation – 30%) with your subject Curriculum Leader and/or school administration.
Here’s the procedure for summatives: (see page 13 for the revised online exam process)
Teachers send the dates & times of culminating activities to ELCO. (note: Not all courses will have exams, some will only have culminating activities)
ELCO reminds teachers to inform and confirm with each student the date and time of online exams and/or due dates for culminating activities
ELCO will send OSR schools a confirmation of their e-Learning students and summative assessment dates & times if applicable
Reporting
It is important that students know how they are doing in their online course. Frequent meaningful feedback helps them know where they stand, what their strengths are and where they need to focus their efforts for improvement. When student marks are updated regularly on their standing in your course, unpleasant surprises and upsets can be avoided.
e-Progress Reports
e-Learning teachers send electronic e-progress report to their students/parents and a summary to [email protected] early in the semester. The Lead Principal will email teachers a template to complete with the following information for each student: assignments submitted, assignments due, absences, and progress (E, G, S or N). Once all teachers have submitted their reports, the ELCO will send the interim progress reports to the e-Learning Contacts and VPs at the OSR schools.

Trillium Reports
Our students receive two formal reports per semester:

final For the final report use the same mark entry method as at your day school. Include a mark, one comment* and learning skills.

*IMPORTANT NOTE Comments must be from the TDSB Comment Bank – do not write your own. There are now comments specific to e-Learning. Please see Appendix 5
Course Outlines
Because teachers and students come to e-Learning from a variety of OSR (home) schools and backgrounds, it is important that the material presented in class is consistent and representative of the course outlines approved by the Ministry of Education and the TDSB’s Teaching & Learning Department. Make sure that you are very familiar with the outline of the course you are teaching. Please use the attached course outline template (Appendix 1) and provide a copy to your Regional Centre Administrators and email a copy to [email protected] by September 14, 2012. Note: If you are teaching a multiple section course, please collaborate with your e-Learning colleague to submit a common course outline. If you teach a grade 12 course, clearly indicate whether your class has a final exam. The e-Learning Central Office will place your course outline on file for reference should any questions arise.
Attendance
Regular attendance is important for the success of any student regardless of the type of program, but it is particularly important in e-Learning courses. In requiring regular attendance from your students, please use the following procedure: At the beginning of your course stress the importance of regular attendance (students must login every school day Monday to Friday) . Complete contact information for your students (based on Trillium registration) will be placed in your online locker by the e-Learning Central Office Please take progressive steps to re-engage students after several days absence:
Email the student
Call/email home to discuss the situation with the student’s parent or guardian
Call the student’s OSR school e-Learning contact (a list of all e-Learning Contacts is found on page 9)
Appendix 6 of this handbook provides an attendance follow-up log for you to use.

Starting this semester e-Learning teachers will take DAILY attendance using the Trillium Web Attendance (TWebATT) – this tool is not for your f2f classes

Each day teachers will record e-Learning attendance for the PREVIOUS day
TWebATT ONLY works on a TDSB networked computer; it cannot be accessed from a personal computer
Select the ZLERN Track if applicable and then your e-Learning class code
Activate (students who have logged in) preReg students (click submit to save)
Only mark students Absent, not Late
Here’s an example of how TWebATT works: o On the morning of Wednesday Sept. 12 the teacher goes to their D2L class list. o The teacher looks at their students’ Last Accessed date o They then open TWebATT and marks ABSENT any student whose Last Accessed date
was Monday Sept. 10th or earlier (the student did not login on Tuesday Sept. 11th) Check out the Trillium Web Attendance Quick Reference Card in Appendix 7.
*NEW* Non-Attending Students
From September 24th on an ongoing basis, eLCO will notify OSR schools of non-attending students (10 consecutive absents). OSR schools will encourage students to attend or will follow steps to drop (demit) students from e-Learning. Students with 15 consecutive absents will be demitted from the Online Classroom, and from the Trillium class list.
Verification of Class Lists
Verification of class lists takes place 3 times per semester. This is the procedure: eLCO emails both LMS and Trillium class lists to e-Learning teachers e-Learning teachers match class lists in the online classroom to Trillium Web Attendance class lists and report any discrepancies to their VP. RCs report discrepancies to the e-Learning Central Office
*NEW* Online Individual Education Plans
eLCO provides OSR school principals with a list of students with IEPs enrolled in e-Learning for the current semester/term as well as the names of the e-Learning teachers and e-Learning Regional Centre school contacts. The principal delegates to a staff member at the school (special education or e-Learning contact) the task of sharing the IEPs of all students enrolled in e-Learning courses with the associated e-Learning teachers. e-Learning teachers will receive via TDSB Outlook email a .pdf copy of their student’s IEP. Please follow this procedure:
Upon receipt of an e-mail containing a copy of a student’s IEP, immediately move the e-mail from your Outlook Inbox to a dedicated folder for IEP emails - do not save copies of the IEPs or e-mails to any other folder or drive
At the end of the semester/term delete all e-mails from the dedicated IEP folder - If any printed copies of IEPs are produced, at the end of the semester/school year shred all copies

*REVISED* Online Exams
Supervised online exams are held in grade 12 courses only. Students must have an opportunity to practice using the LMS Quiz Tool (unit tests, exam review quiz) before using it during their exam.

Setting Students Up for Success
Make Connections Our e-Learning students need our help every bit as much as our face-to-face students do; in fact, they need our help even more. Just because we can’t see them, doesn’t mean they’re not real. And vice versa. We have to make a really conscious effort to reach out to them. Call, page, email, … It will be worth the time and effort.
Mix It Up Using a variety of instructional strategies is just good teaching in any context, but it’s even more important for effective e-Learning. It’s overwhelming and daunting to look at masses of text. Visuals significantly increase student engagement. Multimedia helps keep your course colourful and interesting.
Be Responsive Timely and meaningful feedback is key to the success of our e-Learners. If assessments indicate that students are struggling, take the time to review and reassess. Trim the sheer volume of content and assignments to fit the needs of your students while meeting the overall curriculum expectations.
Keep it Simple Make sure your instructions are simple and clear. If wording in the LMS is convoluted or vague, edit it for clarity. If it’s your first time teaching a course, try doing the assignments yourself. If the instructions aren’t clear to you, they’re bound to be confusing for your students.
Own Your Course There’s a lot of content in your online course. This comprehensive coverage is great, but if left unaltered it can be overwhelming for you and for your students. Using your professional judgment and keeping the overall expectations in mind, customize the content and assignments to meet the needs of your learners. It’s your course.
Build a Community You can build a learning community with your students online. Model accepting and inclusive responses. Let your students put their own stamp on your course. Share their successes the way you’d display student work in a “real” classroom. You can make your class a place students will look forward to coming to each day.

Streamline your grading with the comment / markup features available in Adobe Acrobat Pro.
