What is TeamBoard?

TeamBoard is an advanced presentation, training and communication tool, effective for use with both immediate and remote audiences. The TeamBoard can be mounted on a wall or on a stand, and also comes in a smaller, portable version.

Used as an electronic whiteboard, TeamBoard enables your computer to capture whatever you write and draw on it. Partnered with a Data Projector, TeamBoard acts as an interactive touchscreen. Its dynamic, interactive capabilities allow you to train, teach and make presentations without ever having to return to your computer. With TeamBoard, present PowerPoint slide shows, annotate during presentations and smoothly and successfully conduct Video and Data conferences.

Use the TeamBoard Draw application to capture all notes and drawings created on the TeamBoard. TeamBoard Draw offers a sharp image with “ink-like” lines as a result of its high resolution controller and advanced line-smoothing features. Users also have a variety of pen widths to choose from. All notes and drawings are automatically backed up by the AutoSave feature at configurable intervals.

TeamBoard’s surface becomes an effective touch-sensitive screen when used with your Data Projector. This interactive touchscreen transforms your fingertip into a mouse, allowing you to touch icons and display changes while maintaining your

audience’s attention on you and the TeamBoard at the same time.

Communicating with TeamBoard is easy. Participants are able to connect to your computer, view your TeamBoard from anywhere a network is available and actively participate in presentations. TeamBoard is designed to interface with T.120 data conference applications like Windows NetMeeting, but can also be used with more traditional video conference equipment (e.g. PolyCom, Tandberg, VTel). Your remote viewers see everything you do, as all of your TeamBoard actions appear on their remote monitors and television screens.

For more information refer to “Understanding TeamBoard’s Capabilities and Features” on page 49.

TeamBoard is an advanced presentation, training and communication tool, effective for use with both immediate and

50 Presenting, Training and Communicating with TeamBoard

remote audiences. The TeamBoard can be mounted on a wall or on a stand, and also comes in a smaller, portable version.

As an electronic whiteboard, TeamBoard enables your computer to capture whatever you write and draw on it. Partnered with a Data Projector, TeamBoard acts as an interactive touchscreen. Its dynamic, interactive capabilities allow you to train, teach and make presentations without ever having to return to your computer.

Use the TeamBoard Draw application to capture all notes and drawings created on the TeamBoard. TeamBoard Draw offers a sharp image with “ink-like” lines as a result of its high resolution controller and advanced line-smoothing features.

The TeamBoard can also be used without a projector, in Whiteboard mode. Whiteboard mode is used for capturing notes and drawings into the computer. Users also have a variety of pen widths and colors to choose from. Anything you write and draw on the TeamBoard is automatically captured by TeamBoard Draw. This content can be printed, saved, stored as multiple pages and more.

TeamBoard’s surface is an interactive touchscreen with the use of your Data Projector. This interactive touchscreen transforms your fingertip into a mouse, allowing you to touch icons and display changes while maintaining your audience’s attention on you and the TeamBoard at the same time.

You can use TeamBoard to present PowerPoint slide shows, to annotate during presentations and to smoothly and successfully conduct Video and Data conferences.

Scaling an Image This section explains how to resize an image when using TeamBoard Draw.

Scaling is a feature in TeamBoard Draw that allows the user to control image size in the Draw window. Whether an image is larger or smaller than the Draw window, when Scaling is enabled it resizes the image to fill the Draw window.

When the Draw window is resized, the image is scaled so you can still see the entire image. If Scaling is disabled, the image returns to its original size.

You may only see a portion of the image if it was originally larger than the Draw window. If this occurs, scroll bars will automatically appear to the right of, or below the image as required. Use these scroll bars to see different areas of the large image.

Note Scaling must be turned on when working in Whiteboard Mode. Scaling is always on when working with annotations.

In Interactive Mode, scaling can be very helpful during online conferences when there are multiple windows open and arranged on the desktop. If TeamBoard Draw is open and the window is not maximized, scaling enables you and the online participants to see the entire image in the Draw window.

1. Select TOOLS, SCALING.A bullet appears to the left of Scaling in the menu.

About Using TeamBoard as a Touchscreen

This section explains how to use TeamBoard as a touchscreen.

TeamBoard's large drawing surface becomes an effective touch-sensitive surface with the use of your Data Projector. Your fingertip acts as a mouse; you can touch an icon projected onto the TeamBoard and your audience instantly sees the computer react to the touch, and display the change on the TeamBoard.

Presentations with TeamBoard are highly effective. A valuable tool for instructing and presenting, use the TeamBoard ActionBar to control your slide presentations all the while maintaining the audience’s focus on you and TeamBoard. TeamBoard also allows you to annotate during your presentation by drawing on top of applications and presentations projected on to the TeamBoard.

Use the Virtual Keyboard to type information into applications, without leaving the TeamBoard.

To use TeamBoard as a touchscreen, a Data Projector must be connected to the computer and aimed onto the TeamBoard. As the projected image can vary in size and location, calibration is needed to align the touchscreen.

94

Once Interactive Calibration has been performed, the user can touch the TeamBoard with a finger or the stylus in order to operate applications. Applications may also be annotated in Interactive Mode.

• Use the button to black-out the screen. When the screen is blank you can use the ActionBar buttons to select pen colors for drawing and writing on the black-out. Press the button a second time to return to the slideshow.

Note The button feature allows you to black out the screen during a presentation, so that you can stand in front of the projector without having the light in your eyes.

113

• Use the button to display the Meeting Minder as a tool for taking minutes and assigning action items.

Note The functionality that TeamBoard enables with PowerPoint makes it an ideal tool for meetings, conferences, group discussions, planning sessions and more. The TeamBoard is a single solution to multiple user events and allows simple integration with a host of software tools.

PowerPoint and Annotation

If using Annotation with PowerPoint ensure that Annotation is launched prior to launching PowerPoint. For more information refer to “Launching Annotate” on page 105.

Build Effects and Transitions

PowerPoint allows “build effects” and “transitions” between slides. Build effects add special effects to the display of content in a slide. This may include, for example, bulleted lists flying in from the right, or text changing from one color to another as new topics appear and so on. Transitions allow you to add effects between slides. This may include, for example, effects such as shutters between slides or slides being replaced by dissolving and so on. The TeamBoard is the ideal tool to take advantage of these effects for presentations in which the focus is on the materials and the presenter.

Using Pack and Go in PowerPoint

The Pack and Go feature of PowerPoint allows you to run a slide show on other computers. The Pack and Go Wizard packs

114

all files and fonts used in a presentation into one file. When you intend to run your show on a computer that doesn't have Microsoft PowerPoint installed, you should include the PowerPoint Viewer. You can include linked files as part of your package, and if you use TrueType fonts you can include them as well. If you make changes to your presentation after you use the Pack and Go Wizard, just run the wizard again to update the package.

After you pack the presentation, you can unpack the presentation to run it on other computers.

1. To launch the Pack and Go Wizard select FILE, PACK AND GO.If the Pack and Go option is not available (in Office 2000) select FILE and wait three or four seconds for the full menu

115

to appear. Alternatively, click the chevrons at the bottom of the menu to expand the full menu.

2. Follow the steps of the wizard to create the show.

Note This format is ideal if a show is not to be altered by the presenter. However, the slide show may still be annotated or drawn on.

5 Customizing TeamBoard’s ActionBar Buttons with Macros

This section is recommended for users who want to further customize TeamBoard’s ActionBar Buttons with Macros. With Macros, you can assign the buttons functions specific to different software applications. Customizing TeamBoard’s ActionBar Buttons helps you to make the most of TeamBoard’s presentation, training and communication capabilities. Customizing is done using the TeamBoard Recorder to create Macros.

Note Use caution when working with TeamBoard macros. Many of the macros exist to simplify your interaction with software tools. Deleting or modifying these macros may result in undesirable problems.

The information in this section is divided into the following topics:• About Customizing TeamBoard’s ActionBar Buttons for

About Customizing TeamBoard’s ActionBar Buttons for Different Software Applications

To customize TeamBoard’s ActionBar Buttons for different software applications, you use the TeamBoard Recorder to create Macros. The TeamBoard Recorder is an advanced tool that can be used to customize TeamBoard ActionBar button functions for any Windows application. For such an application, each button is assigned a macro that is played back when the user selects that button on the TeamBoard ActionBar.

Tip Macros may be transferred easily from one computer to another. If one of your default TeamBoard macros is damaged you can replace it with an unedited source macro from another machine.

What is a Macro?

This section explains the purpose of macros.

A macro contains all the keyboard and mouse actions required to perform a specific event. You record a macro to capture all these actions. Then you can run a macro to play back the actions.

For example, TeamBoard includes macros for PowerPoint so that when you run a slide show, you can use the pen color buttons, on the TeamBoard ActionBar, to highlight items on a slide and you can use the navigation buttons to move forward and backward in the slide show.

However, you may be using an application for which no macros are provided. In order to customize a button on the TeamBoard ActionBar for one of these Windows applications, you must record a macro.

Customizing TeamBoard’s ActionBar Buttons with Macros 141

It is important to understand that macros must be recorded for each TeamBoard button, against each required application. Additionally, should the macro require mouse movement it will need to be recorded at each video screen resolution. For example, a macro that involves mouse movement recorded at SVGA (800 by 600 resolution) for a particular application may not play back properly on a screen running XGA (1024 by 768 resolution).

Tip Consider using keyboard shortcuts when creating macros. Most menu options in Windows are accessible by first pressing the Alt key once and then pressing the letter that is underlined in the appropriate menu. For example, the option FILE, PRINT can generally be accessed by pressing Alt then F and then P.

The default TeamBoard Recorder files contain play back macros for these common drawing and whiteboard applications at four standard video resolutions:• Microsoft Paint (mspaint.tmb)• Microsoft PowerPoint Slide Show (powerpnt.tmb)• Windows NetMeeting Whiteboard (conf.tmb)

What is a .tmb File?

This section explains the purpose of a .tmb file.

A .tmb file is a TeamBoard Recorder File. This type of file stores one or more macros. Macros are used to combine multiple steps in an application into a single, quick action to save you time. The macros play back within the application when you press the buttons on the TeamBoard ActionBar.

Working with Macros

This section explains how to work with macros in TeamBoard.

142 Customizing TeamBoard’s ActionBar Buttons with Macros

We recommend that you review the following materials carefully and create some of the sample macros described in this document before creating custom macros.

Tip Custom macros may also be recorded for you and inserted into the TeamBoard folder. For custom macro development contact Front Runner Publishing Solutions Inc. by e–mail, via the Internet, or by phone.

• Email teamboard@front–runner.com• Visit http://www.front-runner.com• Call either (416) 410–3250 (in North America) or call your

5. Make changes to the macro as required.

Targeting and Identifying a Macro

This section explains how to specifically target and identify macros.

Targeting a Macro

When recording a macro the target needs to be identified. The TeamBoard Recorder displays the running applications (open programs and files) that are available when macros are recorded. Running applications are identified by both the application (the specific file that is open) and the program (the

Customizing TeamBoard’s ActionBar Buttons with Macros 145

software) hosting the application. For the following information consider the illustration below:

In this example there are multiple running applications. Any one of them may be selected. Once selected, a specific method of identification must be made. Five options exist.

ProgramIdentification

Overview

Selecting Program, under Identification, associates the macro with the listed program, under Programs. The three applications listed are conf.exe, sol.exe and powerpnt.exe. A macro associated with conf.exe may have some problems running correctly as conf.exe is active twice. However, if a macro is

146 Customizing TeamBoard’s ActionBar Buttons with Macros

created for PowerPoint, only one instance of powerpnt.exe exists.

Program Examples

All of the following phrases identify a specific title.

1. conf.exeEntering this in the text area of the Identification assigns the macro target to be conf.exe. This macro will affect any open instance of this tool. It is not suggested to do this as the conf.exe program exists twice (once for the NetMeeting and once for the untitled Whiteboard) and will play back in a manner other than that intended.

2. sol.exeEntering this in the text area of the Identification assigns the macro target to be Solitaire. This macro will affect any open instance of this tool. Since Solitaire is a stand alone application with no files associated with it, the macro associated with the program will play back as intended every time.

TitleIdentification

For the following examples, consider that the four applications listed are NetMeeting - Not in a Call, Untitled - WhiteBoard -

Customizing TeamBoard’s ActionBar Buttons with Macros 147

Not in a call, Solitaire and Microsoft PowerPoint - [Sales Report.ppt].

Whole Title

Selecting Whole Title, under Identification, associates the macro with the entire listed title, under Applications. A macro associated with the Whole Title will only run if the title matches perfectly. Therefore, if a macro is created for Solitaire, it will only play back if the active application is the complete phrase Solitaire. It will not play back in any other instance.

Whole Title Examples

All of the following phrases identify a specific title.

1. NetMeeting - Not in a CallEntering this in the text area of the Identification assigns the macro target to be only NetMeeting when it is not in a call. This macro is poorly created as it is will only run if there is no current call. If a specific call is entered the macro will not run as expected.

148 Customizing TeamBoard’s ActionBar Buttons with Macros

2. SolitaireEntering this in the text area of the Identification assigns the macro target to be only Solitaire. This macro will play back only in an application titled Solitaire.

Title Prefix

Selecting Title Prefix, under Identification, associates the macro with the beginning of the listed title, under Applications. A macro associated with the Title Prefix will only run if the start of the title matches perfectly. Therefore, if a macro is created for NetMeeting, and an application called, say, NetMeeting - Not in a Call or NetMeeting - Conference is open, the macro will still affect it.

Title Prefix Examples

All of the following phrases identify a specific title prefix.

1. NetMeetingEntering this in the text area of the Identification assigns the macro target to be any application beginning with the word NetMeeting, regardless of application. This macro will affect any calls that are made with NetMeeting.

2. Microsoft PowerPointEntering this in the text area of the Identification assigns the macro target to be any application beginning with the words Microsoft PowerPoint. This macro will affect any open file in PowerPoint.

Partial Title

Selecting Partial Title, under Identification, associates the macro with any part of the listed title, under Applications. A macro associated with the Partial Title will only run if any part of the title matches perfectly. Therefore, if a macro is created for Whiteboard, and an application called Untitled - Whiteboard - Not in a call, or an application called Flowchart - Whiteboard - Conference is open, the macro will still affect either of these applications.

Customizing TeamBoard’s ActionBar Buttons with Macros 149

Partial Title Examples

All of the following phrases identify a specific title prefix.

1. WhiteboardEntering this in the text area of the Identification assigns the macro target to be any application containing the word Whiteboard, regardless of application. This macro will affect any application containing the word Whiteboard and is an effective way of targeting only the Whiteboard feature in Microsoft NetMeeting.

Title Suffix

Selecting Title Suffix, under Identification, associates the macro with the end of the listed title, under Applications. A macro associated with the Title Suffix will only run if the end of the title matches perfectly. Therefore, if a macro is created for .xls, and an application called, say, Microsoft Excel - [sales.xls] or Microsoft Excel - [growth.xls] is open, the macro will still affect it.

Title Suffix Examples

All of the following phrases identify a specific title suffix.

1. .xls]Entering this in the text area of the Identification assigns the macro target to be any application ending with the phrase .xls], regardless of application. This macro will affect anything ending in the extension .xls (generally a Microsoft Excel spreadsheet). This is a good macro if the effect is to automate processes in any such spreadsheet.

2. .ppt]Entering this in the text area of the Identification assigns the macro target to be any application ending with the phrase .ppt], regardless of application. This macro will affect anything ending in the extension .ppt (generally a Microsoft PowerPoint file). This is a poor macro as the PowerPoint slides may also be opened using the slide show viewer and therefore the macro may play back for a program for which it is not intended.

18. When all macros have been recorded, select FILE, SAVE AS and enter the file name as required.

19. Close the Recorder dialog box.

20. Restart the computer in order for the change to take effect.

Testing a Macro

This section explains how to test a macro once it has been recorded.

This can be done by using the Macro Recorder to play back a macro (for testing the macro only) or by assigning a macro to a trigger based on a button on the TeamBoard ActionBar.

Note Only use the Macro Recorder in this way to test new macros or to troubleshoot macros that do not work from the TeamBoard ActionBar. Once a macro is developed, tested and works as expected, create a trigger to run it from the TeamBoard ActionBar.

1. Select the macro you have recorded.

2. Click Play to run the macro a single time.If the macro does not play back as required, delete and record the macro with different settings.

Assigning a Macro Trigger

3. Select the macro to assign a trigger to.

154 Customizing TeamBoard’s ActionBar Buttons with Macros

4. Click Trigger. The Macro Trigger dialog appears.

5. Enter a value for the Trigger.

Note The trigger must be written exactly as shown. That is, the phrase ActionBar must be two words, each of which is capitalized. If this is not done, the macro assigned to the TeamBoard ActionBar does not work.

• ActionBar;0;0 to select the first button (Small Erase)• ActionBar;1;0 to select the second button• ActionBar;2;0 to select the third button and so on, until• ActionBar;14;0 to select the last button

6. Enter values for the O/S language, the EXE date and the resolution as required. For more information refer to “Trigger Settings” on page 156.

7. Click OK.

Trigger Settings

When a trigger is assigned to a macro the settings may be specified to affect the macro that is run based on various criteria. Therefore, a macro may be applied to run based on the installation language of the operating system, the date of the executable file or the resolution of the display.

O/S Language The language of the operating system. This code is a two or three character reference to the actual installation language. The three character code is specific to only one language. For a general rule use only the first two letters. Therefore ENU is the code for US English, ENC for Canadian English and EN for any English based language.

EXE Date This is the range of dates (inclusive) that the program version is associated with. The EXE date allows different macros to be triggered based on the version (the date of the executable file) of the software. Therefore macros may be defined for different releases of the same software.

Using the EXE date a macro may be created that is always associated with, for example, version 4.0 of PowerPoint. In this example the macro triggered depends on the date of the executable. Therefore, a specific macro may be triggered based on different dates of the powerpnt.exe file. The advantage of this is that you can create multiple macros that are triggered by the same application or program, but that run in a unique way if the procedures in the software differ between releases.

Desktop XResolution

The value of the width of the screen (for example, when in 800 X 600 resolution (SVGA) this value would be 800). This is only required if the macro is based on mouse movements. In this case, record a macro for all resolutions at which the macro might be played back.

Deleting a Macro

Important Use caution when deleting any macro. When a macro is deleted there is no undo. You are not asked to confirm the deletion of the macro.

1. Launch the Macro Recorder.

6 Frequently Asked Questions (FAQ)

This section contains answers to frequently asked TeamBoard questions. The topics in this chapter are divided into the following sections:• Basic Functionality Topics• Troubleshooting Topics• Conferencing Topics• Application Topics• General Topics

Basic Functionality Topics

This section explains how to solve some frequently asked basic functionality questions.

How does TeamBoard work?

The TeamBoard consists of a flexible layer of conductive film stretched over a rigid layer of the same film. When a marker, eraser, stylus, or finger presses on the board, the two layers make contact and the TeamBoard controller is able to determine the position of that contact on the board and the TeamBoard software translates it into coordinates on the computer screen.

What else do I need to make TeamBoard work?

The Serial TeamBoard requires a Windows-based computer and, to use the interactive touchscreen function, a Data Projector. The TeamBoard, controller, cables, markers, eraser, stylus, Serial Adapter, Power Adapter, Power Cord, installation software and instructional materials are provided.

168 Frequently Asked Questions (FAQ)

The USB TeamBoard requires a Windows-based computer and, to use the interactive touchscreen function, a Data Projector. The TeamBoard, controller, cables, markers, eraser, stylus, USB Cable, installation software and instructional materials are provided.

What type of computer do I need?

TeamBoard requires a Windows-based computer. Windows 95, 98, NT, 2000, Me and XP are supported. For more information refer to “Before Installing TeamBoard Software” on page 17.

Note If TeamBoard is used in conjunction with a very resource-demanding application, a faster computer, or one with more memory, will work better.

How is TeamBoard wired?

The USB TeamBoard has a USB Adapter that connects your computer to the RJ-45 cable. The RJ-45 Cable connects to the Controller, which is located on the back of the TeamBoard.

The Serial TeamBoard has a RJ-45 Cable that connects the Controller, which is located on the back of the TeamBoard, and the Serial Adapter, which is connected directly to the computer’s Serial port. The power source is also connected to the Serial Adapter.

Can I conceal the TeamBoard wiring?

The only cable that directly connects the TeamBoard to the computer is either the USB Adapter and/or the RJ-45 Cable. The USB Adapter cannot be concealed. To conceal the RJ-45 Cable, install the same cable in your facility walls, ceiling and/or floor, from the TeamBoard location to the computer location. Appropriate jacks should be installed at both of its ends. Additional pieces of short lengths of cable can then be

Frequently Asked Questions (FAQ) 169

used to connect the TeamBoard to one jack, and the computer to the other.

Note With the USB TeamBoard the RJ-45 Calbe should be no more than 50’ (fifty feet, or 15 meters) in length.

Can I use my old connected RJ-11 wiring for the H-series controller?

Only with a Serial TeamBoard.
