The holidays are a joyous time of year – celebrating the warmth and love of family and friends. To the employees working on Christmas Day, thank you for sharing your warmth and love with our residents and making their holiday brighter. As a gesture of our appreciation, the Food Services Department will offer holiday meals in the Village Café at lunch and dinner on Mon., Dec. 25. For employees working third shift, a specially prepared, pre-plated meal will be provided in the Village Café on the first floor of the Washington Building on Mon., Dec. 25, from 2 - 3:30 a.m.

Festival of Trees Join us for the Festival of Trees on Fri., Dec. 8, from 10 - 11:30 a.m. and 1:30 - 3 :30 p.m. The creatively decorated trees will be placed on the first floor of the Masonic Health Care Center and end in the Roosevelt Assembly Room where you will encounter cookies, holiday music and even a jolly surprise! Voting will take place during this time to name the Grand Tree and two honorable mentions. The trees will stay up into the New Year for residents, visitors, family members and staff to enjoy.

Christmas Meals for Staff Working on Christmas Day

On Mon., Dec. 4, at 6 p.m., employees are invited to attend the Formal Gardens' Grand Illumination event being held on the Grand Lodge Terrace, Solarium and Square. Attendees can ring in the holidays by singing their favorite Christmas carols, sip hot chocolate and celebrate with friends and family while viewing the brilliant display of lights.

Floating Holidays

All full-time employees hired prior to Jan. 1, 2017, will be eligible to use the three floating holidays at their discretion.All full-time employees hired after Dec. 31, 2016, but prior to Oct. 1, 2018, will be eligible for one floating holiday to use at their discretion. Full-time employees hired Oct. 1, 2018 or later will not be eligible for the one floating holiday until 2019. Full-time employees' last day to use the floating holiday(s) will be Dec. 31, 2018.

All part-time employees in benefit status hired prior to Jan. 1, 2017, will receive four hours of holiday pay for nine holidays (six major holidays and three floating holidays) in lieu of time off. The total of 36 hours of time will be paid in the pay period in which the six major holidays occur in the amount of six hours per major holiday. All part-time employees in benefit status hired after Dec. 31, 2016, will receive four hours of holiday pay for seven holidays (six major holidays and one floating holiday) in lieu of time off. The total of 28 hours of time will be paid in the pay period in which the six major holidays occur in the amount of 4.67 hours. The hours paid will be prorated in the first calendar year of hire, depending on the date of hire.

In order to reward our employees for spending their holidays providing care to our residents, for all hourly employees, our benefit package includes paying the rate of time and one-half of your hourly rate of pay for hours worked between midnight beginning the holiday and midnight at the close of the holiday. Above is a list of the 2018 holiday schedule on which holiday pay will be paid.

The cut-off date for the use of 2017 floating holiday paid time off will be Dec. 31, 2017. Floating holiday paid time off hours will renew on Jan. 1, 2018. The West Donegal Township Local Services Tax (LST) is withheld on a per pay basis in the amount of $2 per pay for a maximum of $52 per year. There are several legitimate reasons for exemption from withholding of this tax and are defined as: Employees who expect to have total earnings for the year, from all employers, of less than $12,000 are eligible to complete a Local Services Tax Exemption Certificate. The certificate must be filed with both the employer and the political sub-division levying the LST and include the required documents that are defined on the exemption certificate. In the event that your earnings exceed $12,000, we will be required to activate the tax withholding, and a retro deduction will be withheld for the portion of the year that had been claimed as exempt. Employees who work for multiple employers may file an exemption certificate for the “non-primary” place of employment and identify the “multiple employers” section of the certificate as the reason for exemption. The certificate must be filed with both the employer and the political sub-division levying the LST, and include the required documents that are defined on the exemption certificate. Active Duty Military Exemption: In order to claim exemption, the employer must receive a copy of the employee’s orders directing them to active duty status. Annual training is not eligible for exemption. Employees are required to advise the tax office and the employer when they are discharged from active status. Military Disability Exemption: In order to claim exemption, the employee must provide a copy of the discharge orders and a statement from U.S. Veterans Administration documenting the disability. Only 100% permanent disabilities are recognized for this exemption. Religious Clergy Exemption: In order to claim exemption, the employee’s sole occupation within the jurisdiction imposing the tax is performing services as a member of the religious clergy. If you qualify for any of the above exemptions, you may obtain an exemption certificate in the Human Resources Office or the Payroll Office. After completing the forms, forward both copies, along with the required documentation, to the Payroll Office. This should be completed prior to Dec. 22, 2017, to be eligible for the exemption for the entire 2018 tax year. If you have any questions, please contact the Payroll Office at ext. 33102 for clarification.

2018 West Donegal TownshipLocal Services Tax

2017 Flex Time Payout! The Masonic Villages will issue the 2017 unused flex time payout on Jan. 5, 2018. If you currently are paid via direct deposit, the flex time payout will be issued as a direct deposit Automated Clearing House (ACH) transfer to the bank account you have set up for your net pay. If you currently receive your wage payment on a check, the flex time payout will be paid on a check. This payment will reflect any flex time remaining as of Dec. 31, 2017. In keeping with previous policy, any remaining time that is less than one hour will be forfeited because of the de minimis value. For eligible employees, 2018 flex time will be available for use effective Jan. 1, 2018. These available hours will be shown on the payroll wage statement received Jan. 5, 2018. Employees will have until Dec. 31, 2017 to use available 2017 flex paid time off hours.

Since you last filed a Form W-4 with your employer, did you: Marry or divorce? Gain or lose a dependent? Change your name? Were there major changes to: Your non-wage income (interest, dividends, capital gains, etc.)? Your family wage income (you and your spouse started or ended a job)? Your itemized deduction? Your tax credits? If you answered “YES” to any of these questions, or you owed extra tax when you filed your last return, you may need to file a new Form W-4. You can make any changes regarding your W-4 election through the employee self-serve in Workday. Now is the time to check your withholding. For more details, get Publication 919, How Do I Adjust My Tax Withholding?, or use the withholding calculator at www.irs.gov/individuals on the IRS website.

With year-end quickly approaching and W-2s and 1095 forms needing to be mailed to employees' homes, it is very important to have accurate addresses documented in Workday. Please validate your address and Social Security number in Workday.

If you have a change of address, remember to complete and submit the local residency form, as Payroll is unable to update address changes without the accompanying tax form.
