This Customizing step must be executed in the productive system as well.

You must schedule a job to set up regular e-mail dispatch. You must store program RSCONN01 with variant SAP&CONNECTINT in the job. Set the job up so that it starts the program at half-hourly intervals (at least) with the parameter INT.

SAP recommends that you enter '*' as the address area. This ensures that all e-mails can be sent.

SAP Business Partner is used for:

You must check the standard settings for the Business Partner. The address type XXDEFAULT must be maintained in the Business Partner Address table, so that the system can find the address. You must check that the forms of address you require are maintained in the relevant table (Business Address Services). Moreover, you must check the academic titles stored in the table of the same name (Business Address Service).Note: You will find the above-mentioned tables in the IMG in the section Cross-Application Components -> SAP Business Partner.

Groupings are assigned predefined number ranges.

The Business Partner number ranges are valid in all clients. You must flag one number range as the internal standard number range. This is required by E-Recruiting. You should define number ranges with external number assignment for Business Partners that are transferred from external systems with the same numbers.

Number range objects can be transported. Note that before a transport occurs, all intervals of the selected number range object are deleted in the target system, so that only the exported intervals exist in the target system after import. The number level current at the time of export is taken as the import value. Dependent tables are neither transported nor converted.

The Customizing step SAP Business Partner must be executed in the production system as well.

Technical Settings: Search Engine

E-Recruiting uses the current version of TREX

E-Recruiting uses TREX (Text Retrieval and Information Extraction) as its search engine.

If you want to use the search functions for candidate data, job postings, and so on, you must install these search functions and the PHYTON enhancement "XML attribute extractor".

For more information about installation and installation checks, see SAP Service Marketplace at service.sap.com.

The service contentserver enables users to access documents in the document area HR_KW (document repository for HR objects). The document repository stores attachments, search profiles, and so on. The service must be activated.

Users require a communication user to access documents.

Documents must be indexed if they are to be found in search profiles by the search engine. The document area HR_KW (document repository for HR objects) must be activated for this purpose. The HR_KW area is also responsible for classifiying the stored documents.The Customizing step Activate Indexing must also be executed in the production system.

To check that the search engine works properly, select the document class HR_DOC. There must be uploaded documents in the system for the check to work properly.

Each service is assigned a class, which contains instructions for its execution. The class must implement the interface IF_HRRCF_PERIODICAL_SERVICE.

The customer name range in the Services system table starts with Z*.

The relevant periodic services must be activated for each client.

Errors that occur during service execution are logged in the application log, where they can be evaluated by the administrator (transaction SLG1).

SAP recommends that you adopt the entries contained in the standard system relating to the services for search profile creation.

Program RCF_PERIODICAL_SERVICES (E-Recruiting: Periodic Services) reads entries in this table.

To achieve the most up-to-date search results, SAP recommends you specify a period of between 10 and 30 minutes. The search does not consider any changes to data until the search profile has been created.

The Customizing step Schedule Background Process for Periodic Services must also be carried out in the production system.

Integration with Crystal Reports

You should assign queries to users using the Role Maintenance transaction (PFCG). On the Personalization tab page, you can assign a user group to a role. This assignment is unique, in other words, a user group may be assigned to exactly one role. However, since multiple roles may be assigned to a user, a user may be assigned to multiple user groups.

A connection to Crystal Reports enables users to access the start page of Crystal Reports from E-Recruiting and request reports there.

You require additional licenses for Crystal Reports.

The Customizing step Set Up Integration with SAP Organizational Management is always required - when you run SAP ECC (SAP ERP Central Component), Human Resources Extension (EA-HR) together with the add-on SAP E-Recruiting in one system, or also with two separate SAP ECC systems.

During ALE distribution, parts of the enterprise structure are transferred to E-Recruiting. Employee data is stored in the form of the SAP Business Partner, which is created for each employee in E-Recruiting. The employee's personal data, address data, communication data, employee ID, and the link to the relevant user are stored here. If no user exists, the system automatically generates a user for E-Recruiting. The method PROCESS_IDOC of the BAdI HRALE00INBOUND_IDOC deletes all S-P relationships between positions and persons from the inbound IDocs. The Central Person (object type CP) is assigned to the Position (object type S) instead of the Person (object type P). The BAdIs from the standard system that you want to use must first be activated.

An RFC destination (SM59) must be set up:

ERP case: RFC destination to same system and client

Standalone: RFC destination to HR system and client

Data is collected by extractors in the various integration units. You can integrate integration units individually, and in this way only synchronize data that you actually need. You can define your own integration units and fill them using extractors.

If you want to use extractor classes, you require ERP2004 as the backend system.

The service ERP_EE_TO_INT_CAND is entered in the table of active periodic services.

In the Customizing step Determine Rules for Data Synchronization, you specify how many days should lie between two synchronization runs. In the step Define Triggers for Data Synchronization, you specify how changes to employee data are transferred from the HR System to SAP E-Recruiting. Data changes are transferred to the employee ID using a table that contains change pointers. Changes to the data of the following infotypes are supported:

Example for the Talent Warehouse: PRIV_EXT Data privacy statementThe data privacy statement is integrated in multiple BSP pages. This means that you can store different data privacy statements for different BSP pages. For example, the data privacy statement for a candidate registering in the Talent Pool is different from the statement used for an external candidate applying for a job using the application wizard.

E-Recruiting uses Smart Form forms to display data overviews and job postings. The corresponding forms are delivered in the standard system and are automatically used by the system if you do not make alternative settings in Customizing. You can replace the standard forms with your own Smart Form forms. You can find combinations of BSP application and parameter types in table T77RCF_UI_PARAM precisely for this purpose.

Recruiters can send the results of reporting to their e-mail addresses. These lists can be output in PDF or HTML format. In the standard system, parameter DISPLAY_PDF is assigned to the BSP application HRRCF_QUERY. The parameter is not selected, in other words, the default format is HTML.

If Crystal Reports is integrated in the standard reporting page, the recruiter can access and run Crystal Reports using a link in E-Recruiting. This requires that the URL for the BSP application is entered as the parameter value for CRYSTAL_URL. This is assigned to the BSP application HRRCF_QUERY by default. If no URL is stored, it means that Crystal Reports is not integrated.

When a link to an external URL is called, the link is opened in a new window.

An OTR alias containing the text of the link may be assigned to the link and the start page group. You can do this by selecting an existing OTR alias or creating a new one. The text is displayed on the user interface.

You can also assign an OTR alias to the start page (title and description). For information on how to make changes to OTR texts, see SAP Note 579365.

When URLs are generated, the indicator for the start page in the URL („rcfSpId“) should refer to the number of the new start page, for example, the new start page 9001 is called with rcfSpId = 9001.

Basic Settings: Enterprise Structure

SAP E-Recruiting has its own structure for companies and branches

Companies are stored in E-Recruiting tables, while branches are stored as business partners

The maintained branches can be used to determine which countries the candidate can select under Employment Opportunities(optional setting in Customizing for Search)

You can differentiate your application processes on the basis of companies. For example, you can implement different forms for correspondence activities for different companies.

Candidates can use companies and branches as search criteria when searching for jobs and thus find out about postings for a specific company.

SAP recommends you maintain companies and branches directly in the application, not in Customizing (IMG). E-Recruiting provides administrators with the necessary user interfaces in BSP applications for this purpose.

When you create a branch, you can assign it to a company.

Basic Settings: Attachment Types

Definition of attachments

Assignment of attachments to Recruiting objects

Attachment types indicate the thematic content of attachments, such as resume, job description, or reference.

You can use the BAdI HRRCF00_DOC_UPLOAD (BADI for uploading documents) to check files that are uploaded as attachments to the E-Recruiting system. The BAdI contains a number of methods that you can implement as required, including the following:

CHECK_ATTACH_FILE_TYPEThis method checks the data type of an attachment. You can specify which data types may be uploaded for a given HR object. If the data type of an attachment is not stored, the file cannot be uploaded. The user receives a message to this effect.

CHECK_ATTACH_FILE_SIZEThis method checks the file size of an attachment. You can specify a maximum file size. Files that exceed the allowed maximum cannot be uploaded. The user receives a message to this effect.

CHECK_NUMBER_OF_ATTACHThis method checks the number of files already uploaded for an object. You can specify the maximum number of files allowed or the maximum storage space required for all files. When the allowed maximum is reached, no more files can be uploaded. The user receives a message to this effect.

CHECK_ATTACH_VIRUS_VIA_VSA This method checks files for viruses before storing them on the database. The method uses the virus scan interface that is generally available as of SAP NetWeaver 04 to integrate external virus scanner programs.

Reasons for a status change

Assignment of a status to a status reason is always based on one of the five E-Recruiting objects

When a user changes the status of an object, he or she assigns it a status reason explaining why a given status has been assigned. For example, a recruiter might change the status of an applicant to rejected because the candidate is overqualified or has too high salary expectations.

You can assign multiple reasons for the status of an object type.

Statuses are SAP objects. You cannot define or change statuses in E-Recruiting.

SAP delivers fixed, predefined statuses. However, you can define status reasons of your choice.

You have the task to create a new start page, start page group, and link for the SAP E-Recruiting system.

You must create new activities in the context of Talent Relationship Management.

You want to configure an existing container sequence.

1-1 Define links for start pages

1-1-1 Enter 99## (## = group number) as the start page ID.

1-1-2 In the Name field, enter “Link to SAP Homepage ##”.

1-1-3 Enter the link PAOC_RCF_UI/LINK_ZU_SAP as the OTR alias and choose OTR to enter the OTR text “Link SAP Homepage”.

1-1-4 Enter the external URL: http://www.sap.com.

1-2 Create start page group

1-2-1 Enter 99## (## = group number) as the start page group ID.

1-2-2 As the group name, enter New Start Page Group ##.

1-2-3 In the OTR Alias Title field, enter PAOC_RCF_UI/PERSONAL_PAGES.

1-2-4 In the OTR Alias Descr. field, enter PAOC_RCF_UI/PERSONAL_HOME_PAGE_DOCU1. Enter an introductory descriptive text for this OTR text.

1-2-5 Assign the link you just created to it.

1-3 Define start pages

1-3-1 Enter 99## (## = group number) as the start page ID.

1-3-2 As the start page name, enter Recruiter HR316 ##.

1-3-3 Select the application class: Internal or External Application

1-3-4 As OTR Title, enter PAOC_RCF_UI/PERSONAL_PAGES.

1-3-6 Save your entries.

1-3-7 Assign the following group to your start page: 1002 (Reporting) and the start page group you defined in the previous exercise.

1-3-8 Call transaction SA38 and enter the program RCF_GENERATE_URLS.

1-3-9 Copy the URL that was created for the purpose of calling an internal start page for the recruiter. Paste the URL into your Internet Explorer.

2-7-5 You can check the result of your backend configuration as follows:

- Log on to the E-Recruiting system as Recruiter.

- Choose Talent Relationship Management on the start page.

- Choose Start Search.

- Select a candidate from the list and first create the new activity “Flight Event ##” for the candidate, followed by the new activity “Invitation to Flight Event ##”.

3 Configure container sequence

3-1 Name Context Group 99##.

3-2 Configure container sequence 1000 (Requisition) in such a way that it only contains the following elements: 1000 (Requisition: General Job Information), 1002 (Requisition: Job Requirements), 1001 (Support Team), 1004 (Requisition: Status).

3-3 Call program RCF_GENERATE_URLS (protocol https, language EN) and execute it.

3-4 Copy the URL that was created for the purpose of calling the start page for the recruiter with your context and paste it into your Internet Explorer.

3-5 In the system (logon as Recruiter), check to ensure that the container sequence has been configured correctly.

1-3-7 Double-click Assignment of Groups. Choose New Entries. In the SeqNo. field, enter 0001 and assign the following group to your start page: 1002 (Reporting) (double-click group 1002). Once again, in the SeqNo. field, enter 0002 and assign the start page group 99## you defined previously to your start page. Save your entries.

3-1 Define your own context with the ID HR99## (## = group number) and name Context Group 99##.

3-2 Configure container sequence 1000 (Requisition) in such a way that it only contains the following elements: 1000 (Requisition: General Job Information), 1002 (Requisition: Job Requirements), 1001 (Support Team), 1004 (Requisition: Status). To do so, choose New Entries and call container sequence 1000. Enter Requisition Group 99## (## = group number) as the name. In the OTR Alias Title field, enter $TMP/DESC, and in the OTR Alias Descr. field, enter $TMP/DESC_LONG.

Double-click Assignment of Elements. Enter the context you created, in the SeqNo. field, enter 0001, and select element 1000. Carry out the same steps using sequential numbering for elements 1002, 1001, and 1004.

3-3 Call program RCF_GENERATE_URLS (protocol https, language EN) and execute it.

3-4 Copy the URL that was created for the purpose of calling the start page for the recruiter with your context and paste it into your Internet Explorer.

3-5 In the system (logon as Recruiter), check to ensure that the container sequence has been configured correctly.

Logon as Recruiter Requisitions Maintenance Create Requisition. You can now see the changes made to the container sequence.
