Seasons Greetings.
Hello and a very warm welcome to Issue 6 from myself and the TBCM team.I cannot believe that I am now writing my second seasonal greeting to you all.
Last December we were publishing Issue Number two, and now, in the blink of an eye, it is Issue Number 6!
It is because of you, the advertiser, sponsor, participant and reader that we are able to continue publishing TBCM.
On behalf of myself, Steve, Gyles, Robert and the team may I say a big thank you for supporting us since we started contacting businesses in March 2012.
On reflection we have come a long way since issue 1 way back in September 2012.
Our network of advertisers, sponsors and participants mean we are providing a lot more blogs, spotlights and regular features from you, the Tendring Business Community.
Our networking events have proved to be a great success this year and, as promised, we are still moving it around the Tendring area, and this we will continue to do.
Our last event, the first anniversary celebration, was held at the recently refurbished Kingscliff Hotel on Friday 1st November between 2:30pm and 5:00pm with complimentary drinks, including a warm Autumn Punch and an impressive buffet for all to enjoy, it truly was a great event.

Heading for the Cloud
The buzz at the moment is all about Cloud based accounting systems but what are they and should they be something you should
consider for your business?
A cloud based system is hosted remotely rather than on your desktop computer or server. It is an online system which you join via the web.
They offer many of the features of traditional desktop systems such as Sage and whilst they are suitable for many types of mature business they are ideally suited to small or start-up businesses enabling them to work closely alongside their accountants as both the accountant and his client can view and share the same information at the same time.
Cloud based systems offer a cost effective and in a lot of instances hassle free solution for the business as the software is hosted on remote servers removing the need to install and upgrade software or even make backups of your accounting data!
Because the software is accessed via an internet connection Cloud based systems can be accessed remotely wherever there is broadband connectivity through laptops, desktops, phones and tablets and so on.
There are some downsides. The very nature of Cloud Computing means that your data is stored with a third
party. You need to enquire and satisfy yourself as to the suitability of the provider and to ensure that they have suitable safeguards in place. Remember it is your responsibility to retain your accounting records for 6 years so take steps to ascertain whether the software providers backup and recovery safeguards are sufficient to ensure the safety and accessibility of your data. You will also need a fast reliable broadband connection - this may mean spending money on better internet connection services to reduce the likelihood of connection problems.
There are a number of cloud based accounting systems currently on the market including XERO, FreeAgent and SAGE One.

Always keep your glass half full
Firstly, may I welcome you all to our second Christmas magazine (Issue 6). We started out with Issue 1 in September 2012 and are now
looking forward to producing Issue 7 due out in March 2014!
I would like to say a big thank you to all of our advertisers,sponsors, participants and supporters of TBCM for theirongoing commitment to the magazine.
When we started out we promised that we would only publish good news, and this we have done, though there have been times when we could so easily have filled up an extra 20 pages of Tendring bashing to depress us all.
But NO! We leave all the bad news to other publications that seem to thrive on being harbingers of doom.
Our quarterly networking meetings (free to all advertisers and sponsors but open to all Tendring based businesses at a small charge) has been a great success, with venues being booked across Tendring from Harwich to Brightlingsea.
Now it’s time to take a well-earned break and turn ourattention to the festive season and our loved ones.
It is so important to cherish the times we have with ourfamilies and friends that sometimes we take it all forgranted and lose sight of what is important.
It’s nice to be successful, and of course financial security is what we all work so hard for in business.Recently I had a very serious illness diagnosed completely out of the blue with symptoms showing only once and I had absolutely no idea that I was ill.
I had a major operation in September and am now on the road to recovery. (Don’t believe everything you read about Colchester General Hospital, apart from the dreadful food, the surgical team who looked after me are, in my opinion, world class.) My point is, please live life to the full and make every day count. Make time to have that “check up” you always mean to book but somehow don’t get around to.
Life can throw up some unexpected things and knock you off course without any warning…so keep your glass “Half Full” and always try to be positive and enjoy every second.
May I wish you all a very Happy Christmas and above all a Healthy and Wealthy New Year.

Insurance is your friendWhatever field you work in insurance can prove a bit of a minefield.On the one hand you know it is important, but with all the other tasksinvolved in running your business, it can often become a “tick box”task. That in itself is fine in terms of making sure you have an insurancepolicy to provide your Employers Liability Certificate to hang on youroffice wall. But it doesn’t help in terms of considering the insurancepolicies that you must have, those that are useful and those that youcould probably do without.
Liability CoverSo as a business, where do you start? First off, you need your businesspackage policy. This will provide Employers Liability cover(compulsory if you employ people) and Public Liability to protect youagainst claims from visitors to your place of work. Beyond that thecover will provide cover specific to your business. Typically, this willinclude the premises (if you own the buildings), contents, businessinterruption to cover any period during which you are unable topractice etc. There are of course plenty of policies available that aretailored for particular business types so as to meet the specific demandsthis provides.
Legal ExpensesAfter these core policies you start moving into the optional, but veryuseful nevertheless, insurances. For example, a Legal Expenses policyprovides assistance via access to lawyers, and meeting their costs, inhelping you defend a range of actions that could be brought againstyou in the course of running your business e.g. employment disputes,HMRC investigation, compliance issues within your business arena etc.Elements of this will often be built into your package business policyand you need to ensure there is no duplication of cover with additionalpolicies you may consider taking out. Take it a stage further and aManagement Liability or Directors and Officers policy will provide thesame assistance and defence costs, but could also cover any damagesor personal liabilities that arise as a result of such an action.
Key PersonnelA further important consideration is the impact on the business if keypersonnel were unable to work due to illness or injury. For mostbusinesses and in particular smaller ones, some form of Accident andSickness or Locum policy will be very important to meet the ongoingexpenses; without it the business may struggle to continue.

Risk ManagementWhere am I going withall of this rambling?Well, the point is that the insurance requirements of your business arefar too important to be a tick box exercise - perhaps it’s best to call itrisk management. The insurance you have should be right andappropriate for your business. Your requirements need to be reviewedregularly and selection of the appropriate insurances should be madefollowing a structured risk assessment of your business as to what iscritical and/or high risk, what areas would insurance benefit thebusiness and what areas can the business effectively self insure, or atleast partly mitigate against the risk of loss.
Recognising and analysing the risks to your business, and mitigatingagainst them, is obviously good business practice but also means thatsourcing insurance can prove to be easier and more cost effective.
On deciding the appropriate insurances you need to select suitablepolicies. Covers provided by insurers can vary widely and thecheapest is not necessarily the best. Equally, there is a tendency forpolicies to carry various “bells and whistles” to create a perceivededge – but if they are not of any value to you, is there any point inhaving them?
You don’t even have to source the policy yourself. Buying direct ispossible and sometimes too easy, but it can prove a false economy.An insurance broker will be able to help you through the maze andensure you and your business are protected against appropriate risksand with a policy that meets the specific needs of your business. Butwhichever route you take, make sure the policies you choose are ofvalue to you, provide the right cover and at the right price – don’t justtick the box!

[Many employers are not aware that they
can be held responsible for a range of actions (or omissions) committed by their
employees such as assault, theft, sexual assault and discrimination, even if the actions of the employee are outside the scope of the employees authority or directly against the employers wishes. Richard Porter, Director and Employment Solicitor at TSP explains.
In the legal world this is known as vicarious liability; a principle which imposes strict liability for an employees wrong-doings on an employer and means that an employer must compensate those who suffer a loss as a result of the activities of its employees, for example:
Theft: In 2011 an employee was instructed to fumigate a container in which silver bars were stored. When in the container the employee stole a silver bar. The Court decided that there was a sufficiently close connection between the theft of the silver and the purpose of the employee’s employment for the employer to be held liable for the theft.The Courts have extended this principle of vicarious liability even further so that it also covers those who undertake work on behalf of an organisation but who may not necessarily be in their direct employment, for example:
Assault: In the 2006 case of Hawley v Luminar Leisure PLC the owner of a nightclub was held to be vicariously liable for a serious head injury inflicted on a customer by a door supervisor, even though the door supervisor was employed
by another company which had provided his services to the club. The Court looked at who had “control” of the supervisor at the time and decided that it could deem that the supervisor was in the “temporary employment” of the club.
TIP: Prevention is always better than cure! As an employer beaware of the risks you are exposed to regarding the conduct of your employees. Ensure your staff are trained regularly in how they conduct themselves in and out of the work place. Make sure your policies are up to date and always ensure you are properly insured.

Computer Viruses - 5 Common Myths
the files you backed up, your computer will be reinfected when you move the files back and open them.
Myth 5: Firewalls protect networks from virusesWindows comes with a firewall built into the operating system, but many users are misinformed as to what it actually does. Firewalls are designed for network traffic; their main job is to keep networks and computers connected to the network securely, and as such they don’t scan for viruses.Where they can help is if a virus is sending data to a computer outside of your network. In theory, a firewall will pick up this traffic and alert you to it. Some of the bigger viruses actually turn off the firewall, rendering your whole network open to malware attacks.
What can I do? There are many things you can do to minimize the chances of infection. The most important is to install Anti-Virus software on all of your systems and to make sure it is kept up to date and run regularly. On it’s own a defensive strategy such as this just isn’t sufficient; you need to be proactive by:
• Not installing programs from sources you don’t know or trust• Being wary of any program that asks you for your password• Not installing any browser add-ons or plugins suggested by websites. Instead, download them from the browser’s app store, or the developer’s website.

This is a particularly devious form of malware that encrypts the victim’s data, and then demands payment in order to obtain a decryption key. CryptoLocker is currently the most prevalent of these, and as yet there is no means to reverse the damage that it can do to your network. You could try paying the ransom, but we don’t recommend it.

A virus is a computer program that infects a computer and can generally copy itself and infect other computers. Most viruses aim
to cause havoc by either deleting important files or rendering a computer inoperable. Most viruses have to be installed by the user, and usually come hidden as programs, browser plugins, etc..
You may hear the term malware used interchangeably with virus. Malware is short for malicious software and is more of an umbrella term that covers any software that aims to cause harm.
Myth 1: Error messages = virus Many believe that when their computer shows an error message they must have a virus. In truth, bugs in the software, a faulty hard drive, memory or even issues with your virus scanner are more likely the cause. The same applies if your computer crashes, it is most likely because of something other than a virus.
Myth 2: Computers can infect themselvesIt is not uncommon to have clients claim that a virus has magically appeared on the system all by itself. A virus cannot infect computers by itself. Users are required to physically open an infected program, or visit a site that hosts the virus and download it.
Myth 3: Only PCs can get virusesThe majority of viruses and malware infect systems running Windows. This has led users to believe that other systems like Apple’s OSX are virus free.The truth of the matter is that all systems can be infected by a virus, only most of them are written to target machines that run Windows. This is because most computers run Windows. There is an increasing number of threats to OS X and Linux, as these systems are becoming more popular. If this trend keeps up, we will see an exponential rise in the number of viruses infecting these systems.
Myth 4: If I reinstall Windows and copy all my old files over, I’ll be okMany believe that if their system has been infected, they can simply copy their files onto a hard drive, or backup solution, reinstall Windows and then copy their files back and the virus will be removed.Wiping your hard drive and reinstalling Windows will normally get rid of any viruses. However, if the virus is in

CWIB take part in The Cancer Research UK Relay for Life 2013
A team from Clacton Women in Business (CWIB) took part in The Cancer Research UK Relay for Life 2013 which was held over the
weekend of 14/15 September at Alton Park School.
Teams of up to 15 people had to walk for 24 hours to signify the fact that cancer never sleeps. Each team in the event also manned a stall themed on a Disney film, running games and raffles to supplement the funds raised by sponsorship. The CWIB theme was Ratatouille and the monies from our “Splat the Rat” game and raffle and our sponsorship saw our team raise a fantastic total of £2903.32.
CWIB were proud to be part of such a amazing event which saw a total of over £64,000 being raised for Cancer Research. They have already registered to take part in 2014 and hope to raise even more than this year.
CWIB, formed on 2011, holds a business lunchtime meeting once a month. There are also social events throughout the year. Whilst taking pride in helping to raise money for various charities, CWIB are keen to make sure that local businesses are firmly on the map.

(CVST) encourages collaboration across the voluntary, business and public sectors in the
Tendring District.
CVST has a wealth of experience supporting the third sector - delivering training, infrastructure support and being the voice of the sector at local and national level. CVST offers fundraising consultancy; circulates an excellent newsletter featuring articles geared toward charities, it hosts various events and has proven expertise in recruiting and sustaining volunteers. Our five core functions are ‘support
and promote the wider voluntary sector, act as a representative and strategic partner, develop new initiatives to meet need and bring charities together in liaison.
Partnership working is reflected in all that we do. Networking events and activities are planned and delivered throughout the year. The Tendring Trustee Network is one example where peer support for trustees and committee members is shared. They invite local professionals to speak at meetings

This network is an illustration of where partnerships can be beneficial to both local charities and local businesses.
A successful Health and Wellbeing Exhibition was recently staged at the Princes Theatre, Clacton. The event showcased a myriad of healthy lifestyle choices and both traditional and alternative health care services were on offer. Hundreds of people were encouraged to take up exercise, taste healthy food options or try out holistic therapies. Voluntary organisations and local businesses collaborated in order to promote their services. The event was sponsored by the Colchester Catalyst Charity and the Big Lottery Fund.
Students from Colchester Institute’s Hairdressing and Beauty Therapy gave free advice on hair care and massage, free reflexology, nail painting and glamorous hair styling. Tracey Macrae, Head of Commercial Services, said, “All students thoroughly enjoyed the event and gained some excellent work experience skills.” Feedback received from visitors attending concluded that the treatments on offer from the Colchester Institute salons matched industry standards and at significantly affordable prices. Tracey Macrae went on to say that one outcome from the event had been the strengthening of a positive working relationship with CVST and other partners and that students had developed their communication skills and professional expertise which will help achieve their qualification.
