TERMS & CONDITIONS
1. PARTICIPANTS
1.1 Athletes: Athletes from all over the world are welcomed for DUBAI WORLD GAMES
[DWG] where all the games are preached and practiced in their own sporting
institutions or departments. Private or State-run Clubs, Sports Academies, Sports
Schools etc. which are affiliated with their respective school sports associations/state
sports organizations are also eligible to participate.
1.2 Coaches: The coach shall be the appointed trainer to his/her team or individual
participant who will fulfill all technical needs both on & off the field of players.
Participants are required to have minimum one sports specific trainer/coach or one
teacher.
1.3 Support Staff/Parents: The other set of people involve officials of the participating
entity, the coaching staff (e.g. physiotherapists), parents, legal guardian and family
member of the athlete participating and the spectators of the event.
1.4 Head of Delegation [HOD]: He/she shall be the sole intermediary between his/her
team and the organizing committee of Dubai World Games. Hence all the
documentation and information sharing will be done through the HODs of the
participants. He/she can be a coach, trainer, parent or any official member of their
school/club which the player is representing in the tournament.
The event identifies those individuals as ‘participants’ who have completed all the
monetary procedures in regards with the event.
2. MANDATORY DOCUMENTS
2.1 ID – Proof of identity: All participants in the Dubai World Games must be able to
present an official physical proof of identity at any time of the tournament [PASSPORT
& ITS PHOTO COPIES, EMIRATES ID FOR UAE PARTICIPANTS]

2.2 Insurance: All the participants should be in possession of insurance which covers their
travel and health during the duration of the event.
2.3 Visas: DWG can aid in consular proceedings by means of an official invitation or by
the production of documents explaining the details of the stay of the team in Dubai
during the event. The organization cannot be held liable in any way for any refusal
to issue visas or for any costs that shall result from the proceedings.
2.4 Medical certificate: The HOD has to ensure that all the participants are physically and
mentally fit to play the sport in which he/she participates in the tournament. If the
participant is not fit to play but still wishes to participate has to provide the certificate
by any practicing physician since it is required by the organization during the
inspection of such athletes. The HOD has to ensure that they notify the DWG
committee during the registration process and takes responsibility of those
participants.
3. REGISTRATIONS & PAYMENTS
3.1 The first step for participating in Dubai World Games is that the teams contact the
organizing committee by completing the online form on the official website and pay
the registration fee via bank transfer, which will in turn secure their participation.
3.2 Registration deadline is 10th March, 2020.
3.3 No registration will be confirmed by the Dubai World Games without the payment of
the ‘REGISTRATION FEE’. This FEE is Non Refundable.
3.4 Regardless of the registration date, the amount corresponding to the ‘REGISTRATION
FEES’ of a team is requested at the time of registration. For registrations made after
1st March, the full amount of the package is expected to be paid to the Dubai World
Games at the time of registration.
3.5 The Teams can AVAIL an EARLY BIRD DISCOUNT until 31st December, 2019. To know
the discount, various packages and payment options, kindly mail to DWG TEAM
[email protected] and same will be responded to within two
business days.
3.6 SUPPORT STAFF/PARENTS: DWG would love to have parents, fans or members of a
club, academy or school to come along with the team they support. To ensure that
they have a comfortable stay, we can also arrange their accommodation for this
duration. To avail these services, you can contact the HOD of the team to come
along, the HOD then will update the registration details accordingly.
4. NUMBER OF TEAMS IN A TOURNAMENT
4.1 The teams that pay the registration fees first will get the priority.
4.2 For team events, a maximum of 2 teams can be registered for each gender per age
category respectively. However, if the said school/club wishes to register more
teams, then their registrations will be taken into consideration after the entire
registrations process comes to an end & depending upon the available spots left.
(except in exceptional cases by decision of the steering committee).
4.3 For Individual events, a maximum of 10 participants can be registered for each
gender per age category respectively. However, if the said school/club wishes to
register more teams then their registrations will be taken into consideration after the
entire registrations process comes to an end & depending upon the available spots
left. (except in exceptional cases by decision of the steering committee).
4.4 DWG proposes no limit to the number of players in each team. However, the number
of players that can play in each match is limited, the number of participants in 1
squad in all games is mentioned in the TOURNAMENT Rules & Regulations Document.
4.5 We have limited slots in all categories, hence the Dubai World Games cannot
accept all applications, so the organization reserves the right to refuse certain teams
if need be.
5. PACKAGES
5.1 Overseas Participants:
The package for the overseas participants includes the following:
1. Tournament participation FEE
2. Accommodation with breakfast [5 nights – 4th to 8th April]
3. Meals [Breakfast 5th to 9th April; Lunch & Dinner will depend on the chosen
package]
4. Match transfers [Hotel – Venue – Hotel transport]
5. Access to Opening Ceremony
6. Coaches’ Meet and Greet
7. Cruise Wingding [Cruise Party for the participating players]
8. Individual Rewards [Certificates for all & other recognitions for winners]
5.2 UAE Participants:
The package for the UAE participants includes the following:
1. Tournament participation FEE
2. Access to Opening Ceremony
3. Coaches’ Meet and Greet
4. Individual Rewards.
5.3 Additional Services:
i. The Participants can avail various services offered by Dubai World Games (city
tour, training camps, airport transfers, extra nights, additional meals etc.) The extra
subscribed amenities incur an additional cost and can be requested at
ii. Kindly note that the additional packages once paid is not refundable.
iii. After 1st April, any substantial changes in airport transfer schedules amounts to a
cancellation.
iv. After 15th march, addition of extra service will not be a guarantee. DWG will do
what is required to ensure a service confirmation but will only be able to do so after
checking for its availability.
v. Direct communication to Hotels for any extra service needed is prohibited and
needs to go through to the concerned DWG authority present at the venue.
6. PAYMENT POLICIES
i. EARLY BIRD SCHEME: This policy will be applicable only if a team completes the
payment of the registration fees before 31st December, 2019 and same is
confirmed by the DWG Team.
ii. The registration fees for the tournament is non-refundable.
iii. The last day to clear all pending dues is 15th March 2020.
iv. The organization of the Dubai World Games reserves the right to refuse the
presence of the team at the event if the full price of the stay is not paid before the
scheduled date and will retain the sums paid as cancellation penalties.
v. The decision by UAE embassy not to issue visas for all or part of the delegation does
not imply any right to a specific reimbursement for the participants involved. The
refunds will be directed as per the cancellation policy.
7. CANCELLATION POLICIES
7.1 Any notice of cancellation must be made by the participating team via mail at

8. PARTICIPATION INFO PORTAL
After the payment of registration fees, Head of Delegation will be assigned login
credentials for a team portal called ‘Participation Info’ where it is mandatory to
provide information of all the participants. The HOD is expected to provide correct
information for each participants.
POLICY TO MODIFY
i. Increase in the number of participants or upgrades: Teams may request to add
participants or upgrade their accommodation option, change of individual event
or other details until 10th March, 2020 [subject to availability]. Should the requested
changes not be satisfied, DWG will get in touch with the teams and they will be
participating as per the initial framework.
ii. Reduction in the number of participants or downgrades: Reduction in the number of
participants is equivalent to a partial cancellation. The refunds will be in line with the
DWG cancellation policy.
iii. In case of unforeseen situation, DWG reserves the right to amend changes in the
info portal of a team before or during the duration of the tournament. DWG will bring
this into notice of the Head of Delegation as early as possible.
9. CODE OF CONDUCT
“FAIR PLAY” is one of the DWG VALUES and hence we expect all participants to be at
the best of their behaviors both on and off the field.
9.1 ON-FIELD DECORUM
i. The organizing committee has the right to apply the following sanctions for any
violations of rules & regulations and general decorum of the tournament.
ii. Severe offenses and brutal fouls [intentional plays that may result in injury, kicking,
verbal abuse, offensive gestures, violent behavior etc.] will result in an automatic
ban for one or more games. In addition, the DWG technical committee will speak
out a further suspension depending on the severity of the offense.
iii. In case of a sending-off because of a brawl or insulting the referee, the concerned
player/team will be disqualified for the remainder of the tournament.
iv. Furthermore, the tournament direction reserves the right to suspend entire teams
from the tournament, if they act disrespectful towards referees, officials or
opponents, or cause any other misbehavior. No refunds shall be provided in such
cases.
v. All Head of delegations are responsible for maintaining the decorum and the
conduct of all the participants under them.
9.2 OFF THE FIELD
i. All participants are expected to be at their best of behaviors before and after the
game. The decorum has to be maintained considering other participants while
accessing common areas like training pitches, practice areas, common sitting area,
stadium/venue places, restrooms, changing rooms etc.
ii. The instructions of ALL organizational staff (crew, security & file service) are to be
followed unconditionally and immediately.
iii. In the case of violations of any of the points (e.g. intentional disregard of (safety)
instructions, riot, drunkenness, drug use, pollution, disturbance of the peace,
disturbance of public decency & protection of minors) a ban from the premise will
be executed by the organizer. If this is the case, the participant is not entitled to a
refund of the participation fee.
9.3 PLACES OF THE ACCOMMODATION, DINING AREAS & TRANSPORT FACILITIES
i. The participants are bound to abide by the rules & regulations of their place of
accommodation, dining areas and all transport facilities, where by the Head of
Delegation ensures the same. It is up to the respective vendors to apply them to all
the participants, their decisions are not involving the Dubai World Games in any
way.
ii. DWG is not liable for any property damages occurred during the stay by the
participants and will not involve itself in any reimbursement policies of hotels or other
service providers.
9.4 UAE Laws on Alcohol and Tobacco consumption.
i. It is important to note that all UAE Laws are applicable to all participants regardless
of their nationality, as soon as they enter the UAE territory.
DWG conveys to all the teams that as per the law of UAE, consumption of tobacco
is prohibited in all places for collective use and that this prohibition is also applicable
to sports facilities. It is also forbidden to be under the influence of alcohol in public
space.

iii. We expect the Head of Delegation to read above mentioned laws and make sure
that the participants abide by the same. DWG has no role if any legal proceedings
take place.
9.5 BASIC DECORUM: Members of the team who do not observe the basic rules of human
behavior after several requests and commands and disturb the process of the event
several times (for example, act of racism, hurt other people’s dignity, do not
recognize the Fair Play spirit, are violent, aggressive and bullying) in the opinion of
the organizing committee, will be disqualified from DUBAI WORLD GAMES. In that
case the organizing committee of the Dubai World Games will break up all kinds of
contracts unilaterally and will refer to law.
10. SAFETY/MEDICAL SUPPORT
i. It is very important to us to ensure sure the safety for all participating teams from the
time of their arrival till the time of their departure. Hence adequate security
measures are taken for the whole tournament and are guarded in terms of
accommodation, sports venues, teams’ buses etc.
ii. In case of serious injuries, an ambulance will be ready at the venue to take the
injured person immediately to the nearest hospital. Hence its mandatory that the
Head of Delegations insure all travelling members coming at DWG.
11. INSURANCE AND LIABILITIES
11.1 INSURANCE POLICIES:
i. It is the responsibility of the HEAD OF DELEGATION of each team that their players
and all the participants are insured for the days of the tournament during the
Dubai World Games.
ii. The organizers will not assume any kind of liability in case of any illness, accidents
or theft.
iii. No claims can be asserted against the organizing committee, the event sponsors,
and the community of Dubai, real owners or their representatives regarding
damage or injuries.
iv. Every HOD has to make sure, that each player is fully physically and mentally
capable of participating without any medical issues.
v. In case of any emergency/heath issue due to whatever reason regarding the
player after arriving to Dubai, it is the responsibility of the HOD to inform the
organizing committee with a medical certificate of the same.
vi. A side note for all participants: Avoid leaving any valuable things and/or
expensive clothing and/or shoes in the locker rooms/changing areas or
accommodations places without supervision. DWG is not liable for any damage
or theft of the same.
11.2 INSURANCE OF THE ORGANIZATION
i. Dubai World Games has subscribed a Publ ic L iab i l i ty I nsurance .
Guarantees for cancellation or interruption, personal injury and death are not
included in the services offered by the Dubai World Games.
ii. DWG reminds you that it is not responsible for theft or damage to property and
recommends you to not leave any valuables or money unattended during the
tournament, whether in accommodations, changing rooms or on the fields.
11.3 LIABILITY OF OUR PROVIDERS
If Dubai World Games works with service providers carefully selected as per the
specific criteria, it does not alter the liability and the insurance of these service
providers.
11.4 LIABILITY OF TEAMS
The liability and insurance of the entity are not a substitute for those of the teams
for any damage they may cause to other participants, service providers or third
parties.
12. TOURNAMENT POLICIES
12.1 REGULATORY FRAMEWORK AND SPECIFIC REGULATIONS
The tournament will be played in accordance with applicable regulations of the
international bodies governing the sport. The specific rules and regulations for
each sport are available on the official website. For more information, please visit:

12.2 DISPENSATIONS
i. In all age categories, dispensations will be given to only two players per squad
who are no more than 6 months over the age limit. The details of those players has
to be communicated during the age control process to DWG Technical
committee.
ii. The below table illustrates how the dispensation rule will be applicable, making
the player eligible for a particular age category.

12.3 OFFICIALS
i. The games are refereed by official referees.
ii. In some cases, official referees may be replaced by voluntary referees who will
execute the same duties as soon as they are appointed for the game.
12.4 REWARDS
Each player receives a reward in the form of a certificate. For winners of each
sport, the players will be felicitated with additional rewards.
12.5 DRAWS, SCHEDULES & FIXTURES
i. All the schedules, draws and fixture list are prepared in advanced by the
organizing committee of DWG. The same will be provided to the Head of
delegations of respective players participating in DWG.
ii. If after the draw, one or more teams withdraw their names from the competition,
the DWG organizing committee may modify the draw in order to balance the
number of teams in each group.
iii. The same will be published on our website and thereafter, as required, all
alterations.
iv. The final decision will be in the hands of the Organizing Committee
v. In case of any unforeseen/unavoidable circumstance, the organizing committee
is entitled to change the order of matches, grouping and the timing of the
matches, place of the match etc.
vi. In the above mentioned scenario Head of Delegations will be informed as soon as
possible and will be available at the HELP DESK/Information Counters of DWG.
12.6 ABSENCE OF TEAM
i. The Head of Delegations have to ensure that all the participants of their team or
individual events have to get themselves registered 30 mins prior to the start of their
event at the registration desk present at all venues.
ii. With nonappearance of the team, the remaining teams will continue playing as per
the decided schedule.
iii. If a team fails to line up 5 minutes post the scheduled time, a walkover will be
handed in favor of the opposing team.
iv. If a participant in an individual event fails to line up 30 secs post the scheduled time,
is disqualified for that particular round.
v. In case of a walkover, the present team will then be considered as winner and will
be awarded a number of points / goals according to the sporting regulations
specific to the discipline concerned.
vi. If both teams of a fixture fail to line up 5 minutes post the scheduled time; the match
shall be deemed cancelled.
12.7 VISUAL CONTROL OF PLAYERS
Before the first game, the official staff will precede to a visual control of each
participant, who will receive a BAND according to his/her age category.
i. The central referee will proceed to a visual control of the chest number of the
athlete for the individual events.
ii. Each team must be able to prove the identity and age of all its players if the
opposing club requests to check. Failure to present an official identity document
will prevent the player from participating in the game.
iii. HODs of teams will have to fill a game sheet before each event kicks off, which they
will sign before and after each event.
13. VENUES/EQUIPEMENTS
i. The participants are bound to abide by the rules & regulations of their respective
venues, where by the Head of Delegation ensures the same.
ii. The information pertaining to equipment of each discipline will be specified in the
respective sporting rules & regulations document and will be applicable to the
participants of the sport concerned.
iii. All the equipment provided in the tournament are property of DWG.
iv. If an equipment is being used by a participant, we request to place it back to where
it belonged.
v. If we identify any participant engaging in any event in misuse or damage of it,
severe actions will be taken.
14. PROTEST & SANCTIONS
14.1 PROTEST POLICY
i. Any and all protests must be mailed by the athlete’s manager/ coach at
[email protected] to ‘TOURNAMENT JURY’ no later than 90
minutes after the match is finished.
ii. The JURY will have no significant relationship with the affected party, will have had
no involvement with the decision being appealed, and will be free from any other
actual or perceived bias or conflict.
iii. A protest fee of AED 150 will be paid at the same time. This fee shall be returned if
the protest is approved.
iv. The JURY members will have the ability to deal with issues within a shortened time
frame during the competition with no obligation of further explaining their decision.
v. These decisions cannot be subject to monetary disputes.
14.2 OTHER CLAIMS
Claims related to the non-sporting services will be addressed by the commercial
department of Dubai World Games.
14.3 MEDIATION CLAUSE
i. If we observe an argument, the parties involved will agree that, prior to any legal
action, they will attempt to find an amicable solution.
ii. If the amicable resolution fails, they will appeal to a professional mediator, which
according to UAE Laws will have the effect of suspending the limitation period of
any action at their disposal.
iii. The intervention costs are divided with 50% for each of the parties.
14.4 JURISDICTION CLAUSE
The courts of Dubai will have exclusive jurisdiction to adjudicate any dispute arising
under or in relation with the general terms and condition hereby stated, unless an
amiable settlement is reached.
15. PRIVACY POLICY
15.1 PRESENTATION

texts, sounds and other documents, are protected by intellectual property rights
and are the exclusive property of the Dubai World Games.
iii. All brands that are mentioned on this website are protected trademarks by
deposits in the names of their respective owners. Thus, any broadcast, copying,
duplication, modification, transfer, representation or reproduction, total or partial,
of the site or any of its components, in any manner and for any purpose
whatsoever, is expressly prohibited, just as their deterioration is.
iv. Failure to comply with this prohibition may constitute an act of infringement
involving the responsibility of its author.
15.6 DATA COLLECTION AND EVALUATION.
i. The personal data and the monetary transaction details will be stored and
processed for the purpose of organizing the tournament. By registering for the
event, the participant grants the right to store and process all the above-
mentioned information. The Head of Delegation must ensure that all the
information provided is unerring and this information can be modified before the
registrations are closed.
ii. The participants have given the consent to photograph or video graph them
which will be released on various platform to depict and promote Dubai World
Games. The participants cannot claim wage for the extensive use of the
photograph.
iii. The results of the tournament will be published on the various platforms which
mentions the name of the team and may mention the names of the players of
the team.
iv. The participants are expected to provide relevant email address for exchange
of information. The entity agrees to receive promotional email from DWG.
v. No transfer of information outside the organization is conducted and, if it is
conducted it is mainly for operational or logistic reasons and will be kept
confidential.
16. FORCE MAJEURE
i. DWG, provided is not in breach of its policy, will not be liable to any failure or delay
in its obligatory duties under their policy arising from any unforeseen accident,
event or omission beyond a reasonable control may call for a Force Majeure Event.
ii. DWG, when subject to a Force Majeure Event shall not be in breach of this policy
provided that:
It promptly notifies all parties via mail, the nature and extent of the Force Majeure
Event causing their failure or delay in performance.
iii. Could not have avoided the effect of the Force Majeure Event by taking all
precautionary measures possible to avoid the Force Majeure Event and has used
all reasonable endeavors to mitigate the effect of the Force Majeure Event to carry
out its obligations under their policy in every way that is reasonably practical and
to resume its obligatory performance as soon as reasonably possible.
iv. If the tournament cannot be conducted or is delayed, for reasons beyond the
reach of the organizers (in case of Force Majeure) or as a result of events not
accountable to gross negligence or a manifest error made by the organizing
team, DWG is not responsible for the damages incurred. Damages shall be
understood here as financial or material loss such as accommodation, meals and
various other expenses incurred in relation with the stay of the participants.
v. In this situation, DWG still reserves the right to retain all or a part of the registration
and / or accommodation fees if they have already been collected. Dubai World
Games is in no way liable for the wounds or economic losses caused by any armed
conflict, terrorist acts, strikes, or any other acts depending on the public authorities.
17. ACCEPTANCE OF TERMS & CONDITIONS OF DWG
i. The participants are expected to comply with the General Terms & Conditions
which obligate them to all the elements of the Dubai World Games. The
organization recalls that the Dubai World Games are foundational to the values of
inclusiveness and fair play, values that must prevail under all circumstances.
ii. Your registration for the tournament (qualifying for the entry and paying the
registration fees) will mean that you accept the above-mentioned rules.
iii. All participants must behave in the spirit of fair play. Since teams are arriving from
all parts of the world, it shall remain of utmost importance to be tolerant and
respectful towards other teams and play an honest game during the tournament.
iv. We expect the participants to read through the document and the Head of
Delegation should align the behavior of the participants as per the clause of terms
and conditions.
v. If a participant fails to comply with the same, then the HOD will be held responsible
and DWG reserves the right to take specific action.
