I don’t think that anyone in this room will argue that 2016 has been politically tumultuous, with daily challenges. And the conflicts between a new administration and the press corps in the last week indicate that there will continue to be skepticism. While it is unsettling, it’s important to keep things in perspective. And NOTHING helps us keep our balance more than looking to the past. It is because of this special library – celebrating its 269th birthday – that we are able to view current affairs with an appropriate sense of proportion. One of my favorite documents in our vault is a letter from then Chief Justice of the Supreme Court, John Marshall in 1801. He wrote to his good friend Charles Cotesworth Pinckney, that as he prepared to administer the oath of office to Thomas Jefferson, he worried that Jefferson might align himself with the radical side of the Democratic Party, whose members ranged from “speculative theorists” to absolute “Terrorists.” I don’t think that Mr. Trump or Mrs. Clinton ever went so far as to accuse an opponent of being a terrorist, but it does help allay the fear that things have never been so bad.

Quite apart from the election, it has been a challenging year. All you need to is look at the northeast corner of our lovely Main Reading Room to see that Hurricane Matthew left his mark. The structural engineering report that we commissioned, deftly overseen by an incredibly hard-working board member, Arnie Marcus, has informed us that we now in need of substantial repairs to the building. Sadly, you will all be involved in some way by the end of this project. However, since the Library Society hasn’t really appealed to its membership for substantive contributions in over a hundred years, perhaps there will be enthusiasm for supporting this cause.

I will use the word “challenging” one more time in this report, although in this case there are no negative connotations. 2016 was challenging for me and my wonderful colleagues because we exceeded the number of programs and events from last year. People have heard me say that my dear husband, Will, has suggested that I change my home address to 164 King Street, and this last year he had legitimate reason to think so! We’ve had over 225 events and programs, with a total of over 18,000 people using, attending or visiting the Library. This has been an increase of over 2,300 since last year, for which I thank all of you, our devoted members. Our success isn’t a surprise. What is more fun than having John Huey in conversation with Harry Farthing about Mt. Everest? What is more fun than chamber music, Porto Segura, Anne Caldwell, and Yuriy Bekker playing Stradivarius and Guenari violins? Our doors are open to all, and the vibrant variety of programs we offer enriches all of our lives.

As fascinating as it is to listen to financial and administrative reports at year-end, I suspect most of you have come this evening because we will hear from South Carolina’s most renowned historian, Walter Edgar. At a time when many of us wonder where we are going, it is indeed fitting to have someone of his stature reflect on where we have been. As we listen to Prof. Edgar, it is appropriate that we recall that our Library Society takes very seriously the small part it plays in preserving the record with which historians

like Walter may illuminate the path we walked. To that end, we have made great progress on many levels with regard to our extraordinary collections. Under the guidance of David Cohen, the Collections Committee can report that - unlike most libraries in the country - we have seen circulation of materials grow over 35%! We are in the final phase of transferring catalog information from OCLC (the worldwide online catalog) to our records to enhance them, and at the same time we have updated our holdings in their international catalog, making information about our unique collections available to hundreds of thousands of people. We archive all of our special exhibits on BiblioBoard as well as make Special Collections digitally available, beginning with institutional history, followed by Charleston City Directories. And we are also thrilled that our targeted preservation initiative, “adopt a treasure” program has been extremely successful this year, with the adoption of our remarkably rare 4-volume set of the Atlantic Neptune.

Last Friday ushered in a new U.S. president and legislative body, and there will be challenges as America and the world adjust to new approaches to internal and foreign policies. Last year I pointed out that this venerable institution has, since its inception, captured and preserved an important part of the history of intellectual curiosity in America. Our programs, circulating collections and our members represent the desire to understand our world in literary, historical, scientific, sociological, and cultural ways. We are a community that embraces reflective consideration of the challenges that our city, America, and our world face. I continue to hope that 100 years from now, those gathered in this room for the 369th Annual Meeting, will deal as thoughtfully with the issues that present themselves.

Your board and this wonderful library staff are dedicated to seeing that the Library Society thrives, and I once again appeal to you to reach out to those in our community who are unfamiliar with all that this wonderful place has to offer. Last year I asked if you have children or grandchildren in Charleston. Are they members? Are your friends and family members establishing bonds to assure that this place will be here in another 269 years?In the almost 8 years that I have had the honor of working here, I have felt blessed to have colleagues as special as Janice Knight, Trish Kometer, Debbie Fenn, Meg Stokenberry, Anna Smith, Dutch Reutter, Laura Mina, Sandy Williams, Joyce Smith, Kerri Harding, Sarah Young, Lisa Hayes and Rodney Taylor. Please give them a hand. I also want to thank a hard-working board, who will make sure that this library remains a vibrant, vital, valuable part of Charleston life. As we embrace the challenges that we encounter, I hope that all of you will join our efforts.

The Charleston Library Society’s Fifty Favorites

From the CollectionsFew places in existence today can humbly claim that a Founding Father served on the board of their institution. The South’s oldest cultural institution, the Charleston Library Society can. It is just such history that has led to the creation of Rare, Prized, and Valuable: The Charleston Library Society’s Fifty Favorites From the Collections. Through this new publication, bibliophiles and lovers of history, lore, and art can take a mighty leap into the library’s holdings and heritage. The fifty items selected for the book are no ordinary objects. The manuscripts, books, and materials are each an entry point into the institution’s long and storied past that dates back to 1748. Each item is depicted in full color and accompanied by a backstory that also illustrates its place in the material culture of Charleston, South Carolina, and in many cases, the Western World.

The book is dedicated to Stephen F. Gates, whose idea inspired its creation.

(Re)Construction at the Library Society

The Charleston Library Society moved into our current building at 164 King Street in 1914, before the start of World War I. Yes, that was over a century ago. To date, we’ve maintained many of our original architectural details: the glass floors in our stacks, the original custom-designed windows, and the gorgeous checkerboard marble floor in our Main Reading Room. Sadly, in 2016, Hurricane Matthew shed light on our beautiful building’s age, exposing significant structural problems, leaks in our roof and windows, damage to several of our interior walls.

So the Charleston Library Society is under (re)construction! Outside, as our roof and windows are replaced, you’ll see scaffolding and hear the sounds of hammers and drills. Our parking lot is closed for the duration of the project, but inside, we are business as usual!

We encourage and welcome you to come in this summer. Don’t let the scaffolding frighten you away -- we’d still love to see you!

CLS Book Club Season is Right Around the Corner! Attention all CLS Book Club members! The next book club selection will be Charleston: A Bloomsbury House and Garden by Quentin Bell and Virginia Nicholson. With the Charleston to Charleston Literary Festival quickly approaching, this book will give readers a perfect insight into the history of the Bloomsbury House and its legacy.

Set in the heart of the Sussex Downs, Charleston Farmhouse is the most important remaining example of Bloomsbury decorative style, created by the painters Vanessa Bell and Duncan Grant. Quentin Bell, the younger son of Clive and Vanessa Bell, and his daughter Virginia Nicholson, tell the story of this unique house, linking it with some of the leading cultural figures who were invited there, including Vanessa’s sister Virginia Woolf, the writer Lytton Strachey, the economist Maynard Keynes and the art critic Roger Fry. The house and garden are portrayed through Alen MacWeeney’s atmostpheric photographs; pictures from Vanessa Bell’s family album convey the flavour of the household in its heyday.

For another year, we are pleased to report that that the Charleston Library Society is in excellent financial health. Since its founding in 1748, we have been sustained financially by the generosity of our members. So too, in 2016, as dues and contributions from over 2200 members totaled over $713,000, an increase of almost 30%.

The operations of the library are sustained in two ways: (1) operational income and (2) income generated from investment of endowment funds. Together both of these sources again exceeded a million dollars.

Operating income from dues, contributions, grants, programs and rentals totaled $976,625 up 15% from the prior year. Total expenses less non cash depreciation were up 3% from the prior year, representing higher compensation expenses for senior staff levels, and upgrades in technology to support operations. As in the prior year, 80% of expenses were devoted to programming. Disciplined expense management kept general and administrative expense flat as a percent of total expenses.

The second source of revenue results from investment activities in our endowment. The portfolio beginning balance as of December 31, 2015 was $5,933,620 less withdrawals of $315,000 and an ending balance of $5,839,307 for a gain of $220,687 or approximately 3.9%. Our investments are managed by external advisers and are broadly diversified under investment and risk policies reviewed annually by the board. We also review performance and management fees regularly. As of May 31, 2017, the portfolio is up 5.4% net of fees outperforming the custom blended benchmark used to measure relative portfolio performance. Because we cannot control market fluctuations which will occur from time to time, it is important to spend only a small portion of the endowment from year to year. Our operating philosophy and practice for the last seven years is to draw less than our policy allows. This has created a “rainy day” cushion that can be drawn down should we have an unexpected need for technology or capital improvements.

To show operations on a strictly cash basis, the following are the Library’s

2016 operational results if only revenues actually received from operating

activities, the draw taken from the endowment, and actual cash expenses

incurred were taken into consideration.

Please note our extremely strong balance sheet. We have $7.2 in total assets and carry the land at $264,000 and the building and equipment at under a million dollars.

Anne Cleveland and the staff deserve enormous credit for careful budgeting, running a tight ship, generating increases in dues and contributions and prudently taking less from the endowment than permitted. Their stewardship of our collections, operations, physical plant and investment portfolio is exemplary.

Financially, 2016 was a successful year for the Library Society even with the headwinds of rocky investment markets. Because of the increasingly strong support of our membership, we have grown and our operations have thrived.

The Charleston Library Society Embarks on a Newspaper Conservation ProjectLast year, the Charleston Library Society received a generous grant from the Gaylord and Dorothy Donnelley Foundation, a private grantmaking foundation which invests in organizations engaging in “Land Conservation” or “Artistic Vitality.” The grant has funded a new endeavor for the Library Society: our Newspaper Rehousing and Conservation Project.

The Library Society’s vault holds a vast collection of South Carolina colonial and early American newspapers, collected since our founding in 1748. The newspapers date back to 1732 and offer a day-to-day glimpse into the development of Charleston and our nation as a whole. Seventy-six titles in 773 volumes make up this vast resource, attracting researchers from around the world, and containing everything from one of the earliest printings of the Declaration of Independence to solicitations for the capture and return of “Runaway Slaves.”

Since 1996, the collection has been stored in our secure, climate-controlled vault, but their safekeeping now cannot reverse the evidence of damage due to centuries of being stored without air conditioning, as well as the acidic content of the papers themselves. Our librarians worked together to determine the newspapers were an important enough resource to move to the top of our ongoing conservation efforts.

With the grant funds from the Donnelley Foundation, Lisa Hayes, the Library Society’s cataloging librarian, has begun the process of rehousing and conservation, with an eye toward eventual digitization of the content of all the newspapers.

“I measured the individual volumes,” says Hayes, surrounded by crumbling old papers in the vault. “I counted them all, and ordered all the boxes.”

The “boxes” referenced are special archival boxes, designed to protect the volumes from further damage as they’re moved around within the vaults. Additionally, each volume is visually scanned by Hayes and a member of the Book Bindery for an individual conservation assessment. The volumes are scored from 1-10, with 10 equaling the most dire need of attention.

The project has been ongoing for approximately six months, and will require at least another six months to complete. Volume titles include The Charleston Mercury, The South Carolina Gazette, and even some issues of The Royal Gazette, among many others.

Hayes is happy to be working on the project. “I love thinking of the people in the past looking at them as I work,” she says. “The newspapers were read and enjoyed, way back then.”

With an eye toward future digitization, Hayes is excited to think of all the information that will be shared from within the vaults. “Only a small fraction of these newspapers have been put on microfiche or digitized, so when we’re done, this will all be new information.”
