TLN SHARED AUTOMATION SYSTEM TECHNICAL SERVICES COMMITTEE Meeting minutes, Wednesday, February 17, 2010 at Livonia Civic Center Library CALL TO ORDER at 9:55 by Diana Cunningham (BRIT) INTRODUCTIONS Those present introduced themselves and stated the library they represented. APPROVAL OF THE AGENDA Approved by unanimous consent. APPROVAL OF THE JANUARY 20, 2010 MINUTES Approved by unanimous consent. BDBS REPORT During January, BDBS cataloged a total of 5,315 items (not including vendor record loads). In addition they repaired 339 broken records, deleted 308, and answered 22 help desk questions. Finally, they cataloged 619 items under contract for Waterford Schools. The bulk of cataloging is of the copy variety, and output in that category was as follows: October 2009 4,097, November 2009 4,109, December 2009 3,984, and a 31% jump in January 2010 to 5,219 records. Jim Flury (TLN) reported that the Retrospective Conversion Project of short records is ongoing and progressing. The project is not going as quickly as expected, but is still going well. All member libraries have now been trained on Subfield Z. From now on, Subfield Z training will be included in the Linking Class. Jim will continue to send e-mail status reports for BDBS. SASUG REPORT [January 28

Vanessa Morris (RROU) reported that there was a demonstration of the Polaris OPAC. Polaris doesn’t sell subsystems separately, so if the Shared System decided to use this OPAC, it would have to migrate from Sirsi-Dynix’s Symphony to Polaris. All shared system libraries, except one, are live on MelCat. The remaining libraries went live December 23

rd.

Ed Rutkowski and Anne Neville will be attending the COSUGI conference in Florida. Multiple tags can now be used for searching LibraryThing in libraries. The Shared System should be moving to Symphony 3.3.1 later this year. Several libraries are changing to 1-year renewals for library cards. There is a new listserv for RFID discussion. If a barcode is misread and displays that it is in transit to another library, please let that library know so they can delete the item. Novi’s proposal of implementing patron cash accounts was approved. Anne Neville will set up policies, and libraries can opt in or opt out. The Shared System will not be scheduling a demonstration for MLC’s Evergreen, but will be scheduling a demonstration of AquaBrowser.

UNFINISHED BUSINESS—BRIEF RECORD DOCUMENTATION A question was raised as to whether the Brief Record Documentation, as revised, is intended for use when linking or when creating MelCat records. The current revisions are intended for use when linking materials. UNFINISHED BUSINESS—PURCHASES BY BDBS OF ADDITIONAL VENDOR RECORDS Jim Flury (TLN) reported that BDBS has started its review of vendors with Midwest Tape. BDBS has found Midwest Tape good to work with thus far. A question was raised about the budget impact of the purchase of additional vendor records on member libraries. Jim stated that there would not be much impact for this year. The impact on member libraries will have to be examined for next year’s budget. UNFINISHED BUSINESS—REVISING THE DOCUMENTATION FOR THE LINKING CLASS Jim Flury (TLN) noted that the documentation can be accessed online. Janna Williamson (TLN) taught the linking class with the additional material yesterday, and the reaction was good. Janna wants to tweak the screen shots, and then she will post the tutorial to the TLN website. Additional advanced searching may be added to the linking class later, if this can be done without making the class too long. NEW BUSINESS—NEW PROCEDURES FOR TLN TECHNICAL SERVICES DEPARTMENT A. PROPOSAL TO CEASE CATALOGING OF ANALOG FORMAT AUDIO AND VIDEO MATERIALS Cataloging statistics presented. 2008-2009 1 Musical Cassette 127 VHS Tapes (down from 808 in 2005-2006) 92 Books on Tape 10 Audio Cassettes 2009-2010 (four months) 1 Musical Cassette 23 VHS Tapes 6 Books on Tape 4 Audio Cassettes Discussion ensued. Jim pointed out that cataloging these materials use up staff time and resources that could be better utilized elsewhere. Committee members agreed that most libraries have stopped buying materials in these formats. However, it was pointed out that many libraries still accept donations in these formats because some patrons still like them and request them. Question: Would this be the end of WorldCat requests or original cataloging for these formats? Proposed: The BDBS Department will cease cataloging of analog format audio and video materials. Member libraries should add analog format materials only if there is already a record in the catalog. This policy is to take effect immediately, with the approval of SASUG. Moved by Wendy Teagan (NOVI); seconded by Cheryl DeCovich (AUBN). Motion carried by unanimous approval.

At its February 25 meeting SASUG voted unanimously to accept a proposal by the Technical Services

Committee to cease cataloging of analog format audio-visual materials. This is to include vhs tapes, music

cassettes, audio cassettes, and books on tape. This new policy is to take effect immediately.

If for whatever reason you absolutely have to have a record in the database for an item in one of these

formats, please search for a record for the item in WorldCat and send that record to us via the FirstSearch

Cataloging Request method. We will then add that record to the database.

Please do not create short records (catreq) for items in these formats, and please do not submit any items in

these formats to BDBS for original cataloging.

Again, this new policy is to take effect immediately.

Jim The approved proposal is now in effect. NEW BUSINESS—NEW PROCEDURES FOR TLN TECHNICAL SERVICES DEPARTMENT B. PROPOSAL TO REVISE THE “USING THE CATALOG REQUEST FORMAT” (CATREQ) FORM Discussion ensued. Jim Flury (TLN) explained that inclusion of additional MARC tags 024, 028 and 035, which include information for UPC codes, publisher numbers and the like, will make BDBS searching easier and get records into the database faster. This is especially true for audio and video materials. While reviewing this proposal, librarians at Livonia Civic Center Library requested that cataloging of foreign language materials be reexamined so as to facilitate ease in searching for them in the OPAC. Mable Doot (LVCC) presented an example of a search in the Farmington Public Library catalog for Foreign films Spanish. This search resulted in 108 hits, all for Spanish language films, not films with Spanish subtitles. It appears that these results are generated via use of 655 genre subject headings, such as Foreign films—Mexico and Motion pictures—Spanish. Livonia Civic Center Library, and other member libraries, would like to see similar search results for foreign language materials in the TLN OPAC. It was suggested that perhaps use of the 041 fixed field for language, or notes in the 546 field could also work as a solution. Jim Flury agreed to ask Janna Williamson to create some sample records for the committee to search and review in minicorn at the next meeting. A question was raised as to the impact of any CatReq form changes to OrdRecs. (Order records created in the Acquisitions Module). This will be reviewed as well. While there was general agreement among the committee that the CatReq form should be revised to include additional fields, particularly 024, 028 and 035, a final decision was tabled until the foreign language materials question is addressed, and the question of which fields will be included on the new form is finalized. Review of this proposal will continue at the next meeting.

Jim Flury (TLN) noted that the reorganization at TLN in Technical Services has helped communication between Acquisitions and Cataloging. One of the positive results of the improved communication is that there have been fewer short records created. NEW BUSINESS—FIRST SEARCH REQUESTS SUBMITTED TO BDBS WILL BE CONFIRMED VIA E-MAIL It was questioned whether the e-mail will be one e-mail for all requests submitted each day, or an individual e-mail for each request. Jim Flury (TLN) explained that usually, the e-mails will be in batch format, with stock replies. But, when there is a problem, individual replies will be sent. The standard procedure for First Search requests is: the OCLC records are loaded into Workflows; once completed, they are verified; then the stock reply e-mails are sent out. Requests are usually completed by the next day. If a library does not find a record for a submitted request in the database within 48 hours, then BDBS should be contacted. OTHER Lucie Smith (CHEL) brought some examples of Manga series and graphic novels. Questions about cataloging and linking were discussed. The best records to use are serial records, but some individual title records are used when necessary. It was noted that patrons look for the series name and number of these materials; individual titles for these items are not especially important. NEXT MEETING is scheduled for Wednesday, March 17, 2010 at Livonia Civic Center Library, Michigan Room, at 10:00 a.m. ADJOURNMENT by unanimous approval. Position Adult Services Department Head (This is a management-level position) Education & Experience Required: Master’s Degree in Library and Information Science from an ALA Accredited college or university. 3 years progressively more responsible professional library experience in a service-oriented setting, with at least 2 year at a supervisory capacity. Proven successful knowledge of library practices, including experience with collection development, departmental scheduling, and tracking departmental budgets. Preferred: Proven knowledge of WorkFlows, iBistro (library automation software), Evanced (online event scheduling software), EnvisionWare and WebSense (public pc management and filtering software) is advantageous, but not required. Nature of the Work Due to retirement, the Oxford Public Library seeks an energetic, creative and public service-oriented professional to lead its Adult Services Department. Under the direction of the Library Director, the Head of Adult Services is responsible for all aspects of administration and management of the department’s staff (2 professional / 2 paraprofessional), oversees planning and implementation of a wide variety of library programs, including budgeting and long-range planning, collection development, and compilation of department statistical data. The Head of Adult Services is an active member of the library’s Management Team. Oversees selection of print and non-print material for fiction, non-fiction and reference; oversees outreach services to homebound patrons; encourages staff involvement and is responsible for the department’s materials budget; provides reference services and reader advisory to the public; coordinates performance of duties with other staff for maximum functioning of the library as a cohesive unit; assists the public in the use of library resources; works effectively with other staff in all departments; performs all duties with courtesy and friendliness to project a positive image of the library; performs special tasks assigned by the director in overall library planning of operations; keeps skills and professional knowledge up to date through continuing education and professional literature; is able to work some evenings and weekends as needed to assure service to the public is uninterrupted. About the Library The Oxford Public Library serves a charming, historical community of 16,000 + residents in northern Oakland County. The library facility itself is approximately 24,000 sq ft and houses a collection-size consistently around 80,000. In 2009 the library circulated over 228,000 items, and hosted over 414 community-based programs that were attended by over 14,000 participants. By means of strategic planning the library will embark on a new journey during 2010. In the coming months the board of trustees, library staff and administration will actively solicit key community leaders’ input, listen to the thoughts and opinions of library users, and try to identify the role those who do not use the library play in fostering a collaborative environment to establish a model for future excellence.
