*No signs or ar�cles can be affixed, nailed or otherwise a3ached to walls, doors, etc. Exhibitors viola�ng this regula�on are

expressly bound, at their expense, to repair any such damage they may cause to The OMNI’s Hotel property.

*All exhibitors conduc�ng retail sales (over-the-counter delivery) at Southwest Symposium must obtain the proper sales tax

permit and abide by state laws pertaining to tax collec�on and repor�ng.

*The Southwest Symposium is not responsible for any and all items missing or lost when shipped for The Southwest

Symposium.

*Anything le? at your booth overnight is at your own risk. The Southwest Symposium is not responsible for lost, damaged or

stolen items.

*Photography, videotaping, or entry into another exhibitor’s booth without permission is prohibited.

*Exhibitor booth personnel will wear their badge at all �mes during set-up, show hours and tear down, for entry into the

Southwest Symposium agrees to indemnify and hold harmless the Exhibitor from any liability resul�ng from any claim,

ac�on, or cause of ac�on, which may be asserted by third par�es arising out of The Southwest Symposium’s performance

pursuant to this agreement, except for those ac�ons or liabili�es which are due to the misconduct or negligence of the

Exhibitor. Exhibitor agrees to indemnify and hold harmless Southwest Symposium from and against all claims, ac�ons,

cause of ac�on, or liabili�es arising out of, or resul�ng from any act undertaken or commi3ed by Exhibitor. Exhibitor also

agrees to indemnify and holds harmless Southwest Symposium from any liability resul�ng from any claim ac�on, or cause

*Exhibitor shall be fully responsible to pay for any and all damages to property owned by OMNI its owners or managers which

result from any act or omission of Exhibitor. Exhibitor agrees to defend, indemnify and hold harmless, AOMA, its owners,

managers, officers or directors, agents, employees, subsidiaries and affiliates, from any damages or charges resul�ng from

Exhibitor’s use of the property. Exhibitor’s liability shall include all losses, costs, damages, or expenses arising from, out

of, or by reason of any accident or bodily injury or other occurrences to any person or persons, including the Exhibitor, its

agents, employees, and business invitees which arise from or out of the Exhibitor’s occupancy and use of exhibi�on

premises, OMNI or any part thereof.

*In case of cancella�on of the exhibi�on or unavailability of the exhibit space for the specified uses due to war, governmental

ac�on or order, acts of nature, fire, strike, labor dispute, terrorist act or any other causes beyond The Symposium man

agreement's control, this agreement shall terminate, and the Exhibitor shall be en�tled to the return of the rental fee for

the exhibit space, less the pro rata share allocable to the exhibit space of the expenses incurred by Symposium

management in connec�on with the exhibi�on.

*In the case of cancella�on on the part of the vendor, a full refund will be issued if the cancella�on is submi3ed in wri�ng with

90 days no�ce. Refunds with wri3en 60-day no�ce will receive a two-thirds refund. No refunds will be issued with less

than 60 wri3en no�ce.

SHIPPING AND RECEIVING PROCESS Incoming Package Procedure: Guest/Group is responsible for all charges and arranging for shipping to and from Hotel. If packages are for Group, the Convention Services or Sales manager will need to be contacted in regards to questions on package charges as this will be on case by case basis depending of their contract.

∗ Groups should include the group name as well as the guest name in the C/O section of the ship ping label or printed on outside of box

∗ Name of guest/recipient and/or tracking number is required to pick up packages.

All pick-ups must be signed out in the log located in the Client storage room or on GoConceirge print out.

All unclaimed packages will be disposed of after 6 months unless an alternative option has been arranged.

Omni Hotel is not responsible for shipments that are unmarked, damaged or fail to arrive to/from the hotel.

There’s complimentary storage for up to 5 boxes or small packages, over that amount there is a $5 per box fee, if shipping a pallet or large equipment there is a $85 storage fee. Outgoing Package Procedure: The hotel is not responsible for materials that must be packed prior to shipping (all items must be secured in package before shipping).

All vendors/guest are responsible for providing outgoing shipping labels.

If outgoing packages are from a vendor with a group, the vendor should package the outgoing shipment, ensure that outgoing shipping label is provided, and leave packages at their vendor table.

After the vendors have broken down their table and prepared outgoing packages, the hotel will then gather all vendor packages and arrange outgoing pick up of packages if they are being shipped via FedEx, UPS, or USPS (postal service). If using a Freight company, the vendor needs to arrange pickup with said freight company.

Omni Hotel is not responsible for shipments that are unmarked, damaged or fail to arrive to/from the Hotel.
