The Onboarding Process
Welcome to MATRIX!
As a new employee/consultant for MATRIX, you will be taken through our automated
onboarding process.
Once you login to Workday, you will see the Onboarding worklet (pictured to the right)
located on your desktop. When you click on the icon, it will take you to a welcome screen.
Note: Depending on your employment type, you may see different items than those shown in the illustration below.
Click on Go to Inbox in the Getting Started box.
Onboarding will be a series of email(s) and/or task(s) with actions that need to be completed by you or someone
here at MATRIX (such as your Account Coordinator). Note: Depending on your consultant type (W2, Inc, etc), you

may receive documents which are different from those shown in any of the illustrations in this document. The
documents presented to you will be correct for your consulting assignment with MATRIX.
Your Workday Inbox is where your tasks and/or documents will be presented to you.
You will be asked to update some personal information. To edit, click the “pencil” icon when you need to update
information. These items may include:
• Your Personal Information (Gender, Date of Birth, etc.)
• Your Government IDs (Social Security Number)
• Emergency Contacts (Whether you are an employee, consultants or contractor, we need to know who to
contact in case of an emergency. Please be sure to provide a contact person!)
• Your Contact Information (Address, Phone Number, etc.)
At the bottom of each screen, you will click on the Submit button when you are done with each step.
Once you have completed all the steps in your inbox, you might see
a Refresh at the top of your inbox (orange area in the print screen on
the right). When you click on it, any additional steps, documents, to
dos will be presented to you.
You should click Submit at the bottom of each screen once the step
is completed.
(Note: You may also have to click DONE after certain screens.)

Electronic Signatures and Acknowledgements
There are several ways of electronically signing and acknowledging documents.
Using Adobe Sign
If you are asked to sign your document(s) via Adobe Sign, you will be taken out of the Workday system to a secure
site which will allow you to review, date and sign your documents.
Adobe Sign will send you the completed documents to your email as well as store a copy of the documents in
Workday. To see your signed documents in Workday, type my work doc in the search bar. (See the last page of
this document for more detailed information.)
Adobe documents will consist of Employment Agreements, Exhibits and documents you may need to sign for
specific clients.
Workday Electronic Acknowledgements
These documents will consist of informational type documents, such as, which time card system you will be using
and review of the pay schedule.

You should click on each document name to review the document and its contents before you electronically sign
them. To electronically sign or acknowledge each document, you will check the I Agree box under each document.
Once you have reviewed all of the documents in this step, click the Submit button at the bottom of the screen.
Attaching Documents
With documents such as I-9 supporting documents, you may have to attach a copy of a passport, birth certificate
or other required document(s). You simply click on the Select files button and browse for the document OR drag
and drop the file into the grey area. Once it shows on the screen, click Submit at the bottom of the screen.
Note: If you need to add an additional document(s), you can do this by going to the Personal Information worklet and clicking on Worker Documents in the “View” heading. Click Add at the top of the screen.

Pause in the Process
There will be times during the Onboarding process where someone else may have to do a task before you can
complete your next step.
One such time is when your Account Coordinator must review the I-9 supporting document(s) you uploaded to
ensure all documents are acceptable. Another time will be waiting for your benefits sign-up document once you
hit your start date (if you are eligible for benefits).
Check back often to ensure you have completed all the tasks in your inbox. If you have outstanding tasks, you will
get a daily reminder to complete them.

Tax Documents
If you are a W2 employee, you will also be electronically filling out tax form(s) based on your
state(s) of residence and work. In some states you may even have local and municipal tax
forms. MATRIX uses the services of “The Paperless Employee”.
You will need to go back to the home page and then to the Pay worklet. Look for the link
under My Elections. You will notice that you don’t have to login to the system. We use single-
sign on and the system will pass information to the forms from Workday.
Once you have completed your tax form(s), be sure to come back to the task in your inbox and mark it complete
by clicking Submit at the bottom of the screen.

MATRIX Benefits (for W2 Consultants)
Once your start date arrives and you are eligible for benefits, you will receive the last of your Onboarding tasks to
complete – Change Benefit Elections
You will see this task in your inbox after your start date.

What Did I Sign During Onboarding
The easiest and fastest way to find anything in Workday
is to use the search bar. If you type:
my work doc
into the search bar, you will see the item “Maintain My Worker Documents” appear. Notice that what you typed
is greyed out and the rest of the words are bolded.
Click on the report to see the following screen. You see the documents that were signed and/or acknowledged
and the date they were signed.
