All District Staff Picnic & Benefits fair – 2018

Monday, August 27, 2018 at the Palermini Stadium (David Douglas High School – South Campus) is the ALL DISTRICT STAFF PICNIC from 11:00 am until 1:00 pm. Come get a free bite to eat and find out about benefits information that you may not be aware are available. We will have many vendors present to tell you about their services. Health Tips for Back to School! Almost time for school to start! Here are a few tips to start and stay healthy at the beginning of the school year. Get vaccinated! The earlier the better. Look for a HR email for the District’s Flu Shot Clinic in early October. Sleep! Making sure to get at least eight hours of sleep each night has been found to reap many positive health benefits. Eat your fruits and vegetables! One study suggests 1 to 1½ cups of fruit and 2 to 2½ cups of vegetables a day. Remember both cucumbers and avocados are fruit!

And as always…Manage STRESS! No, ‘Yeah, yeah. I’ve heard this a million times’. High levels of stress can lead to lower learning ability, memory functions, immunity, and bone density, along with higher blood pressure, cholesterol, and heart disease. As Superintendent Richardson says; ‘Relax, play, and spend time with family’.

New Affirmative Action formsare now available online on the District’s webpage under Human Resources HR Documents & Forms. This change was initiated by the passage of House Bill 2673 which is an amendment to ORS 432.35. The forms now reflect a new option of ‘Non-Binary’. SafeSchools Our annual SafeSchools training time is here! Do not forget that all current employees have until September 30, 2018, to complete this year’s courses. School Safety Every school has an Emergency Procedure Handbook. The Handbook can be found in every room in the building. If your classroom does not have one, please contact your Principal or Secretary immediately for a replacement. Please read the Emergency Procedure Handbook and be familiar with your building’s unique emergency plan. Please remember that these Handbooks are not to be taken from room to room if staff are transferred.

Unpaid Leave of Absenceor Leave days without pay Please be advised that requesting unpaid leave or Leave days without pay in excess of more than half the number of scheduled days in the month may affect your group health benefits.

Benefit eligibility is earned in the current month for the following month. The rule is that an employee must have either worked and/or apply some sort of paid leave to at least half the number of scheduled days in a month in order to meet benefit eligibility requirements for the next month.*** Please keep in mind Emergency/Critical

Illness, Personal Business, Compassionate, and Excused Absent Without Pay require PRE-APPROVAL from your supervisor.

Ex.: If the month of September has 20 working days this means that the minimum days the employee must have worked and/or have some sort of paid leave applied to their timecard is 10. If the employee is requesting 12 unpaid days, then they have not met eligibility for the month of October. ** If benefit eligibility is lost before the 15th of the month, then benefits will end at the end of the current month. If benefit eligibility is lost after the 15th of the month, benefits will end at the end of the following month.

If you have any questions regarding benefit eligibility please contact our Benefits Coordinator/HR. If your leave, even if unpaid is for medical reasons, please notify your supervisor that you need a medical leave (you do not have to disclose the medical condition to your supervisor) and then contact our Leave Coordinator/HR.

Flu Shots Coming Up The District will be hosting two flu shot clinics this year. The clinics are available to all staff and family members (dependents age 9 and over, with parental consent).

If you do not have your MODA or KAISER Medical ID card, then please call KAISER at 503-813-2000, or MODA at 1-866-923-0409 to order another one, and get your medical ID number.

September 2018Payroll Dates: For hourly staff that have worked in August, you will be paid on September 14th. For hourly staff that start work between September 1st and September 10th, you will be paid estimated hours for five days on September 28th.

For hourly staff that start work between September 11th and September 28th, you will be paid on October 15th.

For End of the Month paycheck employees, your paycheck will be issued on September 28th.

First Aid Training Courses AvailableThere is still time to sign up for our District’s First Aid class! This course is available for David Douglas employees (sorry, no outside agencies). The First Aid training course is found online through International CPR Institute, Inc. Email Nancy Leggett between July 7th – Sept. 30th, stating you would like to sign up for the online First Aid course with International CPR Institute, Inc. This training will only be offered ONCE EACH YEAR, from July 7th - Sept. 30th. If your certification will expire any time before July 10th, 2018, you will need to take this course to keep certification current. If you do not remember when your First Aid certification expires, please email David Petersen at [email protected].

Direct deposit is the electronic funds transfer (EFT) of your paycheck into your checking or savings account at the financial institution (bank, credit union, or savings and loan) of your choice. Direct deposit is very efficient. No more waiting in line at the bank on payday!

Is direct deposit safe?Yes, direct deposit is very safe, secure, confidential, and your funds cannot be lost. Over ninety five percent of DDSD employees have chosen to use direct deposit.

Who can help me with my enrollment form if I have questions?

Our payroll department can help you: Kathryn - Ext 8218, Angela - Ext 8248, Tammy - Ext 8274, Kathy - Ext 8256. Or, you could take the enrollment form to your bank and ask customer service to help you complete the form. When completed, bring to the Payroll Department in the Business Office at the District Office. How do I know if my financial institution accepts direct deposit?

You may designate any financial institution

located within the United States or its territories that is a member of an Automated Clearing House Association or that is a direct access member with the Federal Reserve Bank. There are only a few small, locally owned banks in the United States that do not accept direct deposit.

What if I don’t have a bank account?The District has a Focus Card program for people who don’t have bank accounts or for who want to provide a debit card to a family member. Contact your Payroll Department or see the website at https://www.usbankfocus.com/.

How soon will my Direct Deposit begin after I enroll?

It could be as soon as your next pay check, but this depends upon the time of the month when you enroll. Payroll can tell you exactly when it will start when you submit your enrollment form.

Can my Direct Deposit be sent to another person’s account, such as a spouse or parent?

Yes. Your direct deposit form will need to have the account holder’s signature andyour signature.

Will I still get a check stub?Yes, the same statement of earnings will be on the IV Portal whether you have direct deposit or a check. This statement will be available on IV Portal the day before pay day. https://ivweb.nwtoolbox.org/daviddouglas/

When does the money arrive at my financial institution?

On payday. The bank must have your deposit posted at the time the bank opens for business on that day.

ESS (Formally EMS)– Sub. Desk All licensed, all of MECP’s classified, and cer-tain school-aged SPED I.A. positions will contin-ue to use our substitute and absence reporting company is called ESS. The system can be ac-cessed via phone or the web at: 503-616-2025, while their website can be found at https://ems. eschoolsolutions.com. All licensed staff should have received a welcome email from ESS with your personal User ID and Pin. You are required to follow the instructions and phone in to ac-tivate your account and reset your password BEFORE you can use the system. ** SNOW DAY PossibleMake-up Days ** As we did last year, the District Master Calen-dar does have possible work days for this year. The Board has approved the final week of June 2019 (June 17 - June 21) to be reserved as possi-ble work days for staff to make up snow days as needed. Please keep this in mind when sched-uling your vacation or time-off that these days could be work days for you. Licensed TuitionReimbursement –Instructions for Use Review Tuition Reimbursement, Article 19, in the current CBA and the accompanying MOU

Prior to registering for a course:

Complete the Tuition Reimbursement form found on the District website under HR or pick up an NCR form from your secretary. Submit your completed form to your administrator for ap-proval. You will be sent an email confirmation when your request has been approved by the Assistant Superintendent. You may then register and pay for your course. Send your course receipt to Debora Speciale in HR. When the course is finished, send Debora your passing grade slip. Reimbursements will be issued from the Business Office at the end of June or early July. Reimburse-ments will not be included in your final paycheck but will be sent in the same manner as you re-ceive your paycheck, either by Direct Deposit or hard check mailed to you home. Please contact Debora at [email protected] if you have any questions or need assistance.

The David Douglas Wellness Council was fortunate to again secure an OEA Trust Grant to implement an employee wellness program. The program name is HAPPY (Healthy, Active, Passionate, Productive and “Your Best You!”). HAPPY, a flexible and comprehensive employee wellness program is designed to engage all of the District’s employees and help them succeed in their ongoing health and wellness efforts. David Douglas School District is committed to establishing a successful employee health and wellness program with the goal of creating a healthy culture for mind and body for all employees. This program is part of a larger, comprehensive approach to ensuring our employees are equipped with tools and support to be healthy and resilient. A well-designed program will allow employees to thrive in a demanding work environment, be positive models of health for students, and ultimately foster student success. The goals of the program are for employees to 1). Participate in stress reduction/management activities 2). Participate in physical activity and 3). Practice healthy eating.
