Welcome to the first 2011 team organisers’ newsletter

Over 80 teams have now registered putting us well ahead of any previous year with 11 weeks to go.

Most of you are old friends returning but we already have some new teams in the walk including Bexley College, City of Westminster Magistrates Court, Inner Temple, The Magistrates Association, the Migrants Law Project, RadcliffesLeBrasseur, Roll on Friday, Shelter, Stewarts Law, and Thomson Snell & Passmore

A special welcome to those teams and a huge thanks to previous team organisers who have moved firm/ organisation and have started a team for their new office.

Well done DLA Piper for once again being first out of the blocks for team building- 18 walkers is great for the first week. The Stockoe Partnership are not far behind with Akin Gump and Lambeth Council’s in-house lawyers while RadcliffesLeBrasseur are first of our new teams to start building a large team.

As most of you know it is the team organisers who make the walk a success. You are the real stars of the event and if you do your best we will raise a very large amount of money indeed for legal advice agencies who are struggling hard to maintain their services in the recession.

The very basics Team organisers find as many willing walkers as they can. They let us know the names of walkers as they get them. They pass on news and messages from us to their team and they get their walkers to the Royal Courts of Justice somewhere between 4.30 and 6.00 where they walk 10kms and end up at the Law Society Registering your walkers To register new walkers you send us their names. That’s all. If you have added them to your web page yourself please let us know otherwise we will add them for you.

Please send the names in your e-mail or on a Word Doc. NOT ON EXCEL- we can’t cut and paste Excel to web pages or easily to our lists. You will see at the bottom of this newsletter that there is now a senior lawyer list. If anyone you register is a partner or a QC or other senior lawyer please tell me.

Please don’t be grumpy about getting used to Virgin. It isn’t quite as easy as Just Giving but it is a lot cheaper!

Every penny you raise this year is vital. So please do your very best. The fundraising If you don’t have a web page for the walk yet, please ask us to make one for you . As we have moved to Virgin Money Giving this year (to save costs) it’s easiest if we draft it for you and then you can amend it as you wish once we have done that. The web pages make fundraising very easy for those walkers who don’t mind asking people to sponsor them online. The gift aid forms are for offline donations and are necessary because some people don’t like sponsoring online and some people will only sponsor if you happen to bump in to them. So the best fundraising is a mix of online and offline but where possible the online sponsorship makes life much easier. Even though Virgin Money Giving makes a charge, we actually receive more on average from online sponsorship than from offline. That is because so many people fail to get the sponsors’ name and HOME address for the gift aid form to go with the offline sponsorship. Please impress on your team how important it is to get the HOME address of the sponsor. We will never use that address for anything but claiming gift aid.

FAQs

There are a few questions that new organisers always ask - here are some answers

Q. Can non lawyers walk for our team? A. YES! Anyone can take part in the walk; Lawyers, support staff, friends and family are all welcome. It is your choice who is in your tea. We do ask all walkers to gain sponsorship except for children coming to the walk with their parents- for whom it is an optional extra. Q. How early/ late can walkers start? A. Any time: from 4.00 at the RCJ. After 6.00 walkers register at the Law Society. Q. Is running the walk allowed? A. Yes. Joggers and runners are welcome . You should put “runners welcome” on your publicity to recruit team members. Runners may wish to start a bit earlier than the bulk of walkers. It’s quite hard to run through 5,000 walking lawyers once we get to the parks! Q. Is there a map? A. Yes there is a map but we are just trying to sort out a minor logistical problem with Hyde Park before confirming the route. We clogged the park up a little last year! Q. Where can we leave our stuff on the day? A. There will be a staffed cloakroom at the Law Society from 4.30. Some of our stewards will staff the cloakroom. It’s free (there will be a donations box of course). It will get full quickly. So it’s first come first served.

Q. What do I do with cash donated? A There will be a cash desk on the night. So cash may be handed in there. Also, if you have a web page, you can donate the money online using a credit card and keep the cash. Just remember that collective funds should be logged on line as not eligible for gift aid when you pay in. If there were gift aid forms with the donations send those to me and we can claim the gift aid then. . Q what about cheques and CAF/KKA vouchers etc.? A. All cheques and CAF vouchers should be made out to London Legal Support Trust and handed in on the night or posted to 40 Alexandra Road Epsom Surrey KT17 4BT. Even if you are walking for a voluntary agency’s own team the cheques should still be made out to LLST and sent to us. That is because they have to match the gift aid form. Don’t worry- we don’t rob our beneficiary agencies we just do a lot of the work so it’s easy for them to raise funds.

Team organiser tips

1. Try to get a senior member of your organisation to agree to walk first. That will encourage many more walkers. Some people actually like spending time with the senior partner or head of chambers!

2. Invite your clients to join your team. Everyone wants to spend time with their clients! (Law

firms and chambers that is, not Judges!)

3. For firms with sponsored law students, ask one of those to organise your students to join your team. It’s an easy way to enhance the law students feeling of being part of the firm and raises more funds for the team too.

4. Make a poster and get it all round your offices. There will be a prize for best poster

5. In large firms it has worked really well for the team organiser to recruit departmental team organisers so that they recruit walkers from their department. I can send the newsletter and mails out to 6 people in your firm as easily as I can e-mail just you.

6. Using both the web page and forms raises most money because the web page is easy and

attracts sponsors while the forms pick up those who don’t like online giving Remember that the forms require the HOME address of each sponsor. Tell your team members that often because they will start using work addresses and that loses us a lot of money.

7. Law firm team organisers Please ask your firm if they will match the funds the team raise or make a donation towards the team funds. It is certainly not compulsory for a firm to do that but most do when the powers that be are asked and the corporate donations make a huge difference to the overall amount raised by the walk.

The Poster Competition

There is a competition for best team poster.

Make a poster and put it up around your office. E-mail me a copy. Chris Wills of Rufus Leonard will judge them and DG Legal will sponsor a cream tea for 2 at a top London hotel for the creator of the best poster

The route We start at the Royal Courts of Justice and walk through temple to the Embankment. Along to Northumberland Avenue and cut up to The Mall. Along to Buckingham Palace and then walking through Green Park, in to Hyde Park and cross the Serpentine half way up to start back through the parks, back through Hyde Park corner and along Pall Mall and the strand to arrive at the Law Society in Chancery Lane at the end. (subject to final arrangements) Start times The official start time is at 5.30 pm which is when the lead walkers set off. However, with 5,000 walkers we encourage staggered start times and teams set off anywhere between 4.00 and 6.00 as they choose. First aid & Insurance First aid on the walk is provided by St. John Ambulance first aiders on push bikes. There will be a mobile number provided to call in a bike to any injury. Public Indemnity insurance for all of the legal walks in England and Wales in 2011 is funded by the Access to Justice Foundation.

The cause

2011 will be a dreadful year for legal advice agencies and for the people who rely on those agencies for access to justice. Law Centres and specialist legal advice agencies provide their services through a mixture of legal aid contracts, local authority funding and charitable donations. The agencies make a huge difference to people’s lives, reducing debt, poverty and homelessness, and combating discrimination and injustice . The Government propose to remove several areas of social welfare law from the legal aid scheme. Benefits, Debt, Employment and non-asylum immigration are among the areas that are threatened with complete exclusion from the scheme. In addition the Government have cut support to Local Authorities and those cuts are being passed on through cuts in grants to the voluntary sector. By the end of 2011 over £2million will have been cut from the funding of London’s legal advice agencies. Without our help agencies will close. In 2011. Even with our help some will go but it is our aim to maintain as many of the best services as we can. It may seem that the funds you can raise through walking, or even through organising a whole team, will make little difference. However, we are raising funds through many schemes and events and added together they will make a difference.

Fun and games on the walk

All walkers will receive a free drink at the end of the walk (Thanks A&O!!) . We issue vouchers that can be redeemed at any bar in the Law Society or at the Knights Templar pub next door. We will have a disco in the Knights Templar and entertainment at the Law Society including magicians and, of course, Mr. Doo’s amazing stilt walking jugglers.
