Featured sessions:
Managing Electronic Records Most recorded information originates in digital form, and many paper documents are scanned
for storage and retrieval as digital images. This session will examine key concepts and issues
associated with systematic management and control of electronic records.
Topics to be covered will include the legal acceptability of electronic records as official copies
for retention; email retention concepts and methods; managing the lifecycle of digital records
for long-term retention or permanent preservation; and enabling technologies for electronic
records management. While the session deals with technical concepts, all terms will be clearly
defined.
Guest Speaker: William Saffady, Ph.D
Working Collaboratively: IT, Legal, Security and RIM A successful Information Governance (IG) or Records and Information Management (RIM)
program requires collaboration among everyone who has a vested interest in the enterprise’s
information. In this session we will explore what collaboration is and the vested interests of key
players: IT, Legal, Security, and RIM.
We will also explore some of the barriers to collaboration and how to overcome them. If time
permits we will engage in a role play collaboration exercise.

Spring is in the air! We’ve had our fair share of April showers so I’m sure we’ll have
some May flowers popping up shortly. The Seminar committee has been working
hard on making our Chapter’s upcoming Seminar another successful event. If you
haven’t registered for the Seminar there is still time, if you have, then you already
know that you are going to hear from some World renowned speakers on topics
that affect you now!
It’s also that time of the year to vote for our upcoming Chapter Board members and
to sign up for committees. Ballots have been sent out and the balloting deadline is
May 13! Remember to vote and sign up for any committee you might want to take part in. If you have any
questions about committee responsibility, please feel free to reach out to me or any Board member. The
Chapter relies heavily on volunteers, on behalf of the Board and myself, we want to thank each and every
one that is currently and will be serving on a committee – we could NOT do it without you! So on that
note, let’s all come together to grow and learn from each other. Thank you!!!

ARMA TIDEWATER CHAPTER BOARD MEETING MINUTES
April 21, 2016

Call to Order
President Jonathan Tillman called the meeting to order at 4:08 pm.

New Business
President Jonathan Tillman presented the following items for general discussion:
Increasing Membership: #ARMANexGen Membership Incentive Program. We discussed how this incen-
tive can be used to increase membership in the Chapter. The use of both the chapter membership and the 099 list should be referred to each month.
Michele is keeping the seminar mailing list up to date with the membership roster.
Chapter Calendar: Michele shared an Excel based calendar showing events and their deadlines each
month throughout the chapter year. We will review this further and implement the calendar tool on
the chapter website.
We also discussed ideas around increasing committee participation and possibly merging several commit-
tees. One idea was to merge the publicity and newsletter committees into one called Marketing.
These will be discussed after further review and presentation to the general membership. Any
changes made to committees will also have to be revised in the By-Laws.
Seminar: A meeting with the seminar committee is being held immediately after the board meeting to
get the status on the operations plan and see what still needs to be addressed.
Annual Awards and Installation: This will be held June 21st at the Bayport Training Facility in Newport
News. The evening meal will be catered and there will be no charge for attendees. We discussed
distributing gift cards for the officers’ awards, versus a plaque or other desk award. We will purchase
these at Navy Federal Credit Union as they have no additional fees associated with the purchase.
Chapter Email: It was decided that the Gmail account for the chapter will now be the responsibility of
the executive board and maintained by the current past president. The Standing Rules should be
changed to reflect this.

President Jonathan Tillman called the meeting to order at 12:10 pm.

Vice President Darlene Barber reminded attendees of the annual spring seminar on May 24th. It will be held
at the Newport News Marriott at City Center. We have nationally known speaker William Saffady in the
morning, and George Darnell in the afternoon.
Angie Diggs, Education Committee Angie announced the recipient of this year’s scholarship, Robin Dalton. Ms. Dalton is pursuing her education
at Thomas Nelson Community College and hopes to one day use her experience and knowledge of records
management to help organizations move to the next level. A quote from her application: “…Through the
years I have worked in offices that have struggle to succeed. I believe that records management was the problem.
Learning the correct way to maintain records and how to establish a sound record keeping method would help a
struggling business to move forward and meet the standards required to comply with any laws…” She will receive
free attendance to this year’s Spring Seminar in addition to the other benefits with the scholarship.
Program
Josh Borum, Ian Checcio and Darrell Parson presented the membership with lunch and facilitated a
roundtable discussion about our role as records managers in our organizations. We discussed our current
state of operations and the challenges we face. After lunch, we were given a tour of their facility to see their
document management operations first-hand. After the tour, we were given a brief demonstration of their
software product.
Next Meeting
The next meeting is the annual awards and officers installation on June 21st at the Bayport Training Center in
Newport News.
Adjournment
Jonathan Tillman adjourned the official chapter meeting at 12:20 pm and the tour was completed at 2:30 pm.

INSTITUTE OF CERTIFIED RECORDS MANAGERS AND THE CRM
CREDENTIAL The Institute of Certified Records Managers (ICRM), an international certifying body of and for profes-
sional records managers, began the process of issuing the CRM designation in 1975. The organization and
the credential continues to be a valuable part of the Records and Information Management (RIM) com-
