Rotunda Facility Action ProcessRotunda’s Facility Action process provides organized steps to achieve superior results in design, implementation and installation of systems necessary to operate any new facility. Our philosophy is centered on maximizing productivity and profit for our dealers. The three objectives, which we strive to achieve with this process, are facility flow, efficiency and esthetics. The following is a summary of the steps in the process.• Initial Call – Introduces our process and

determines a time and date where a meeting can take place. During this call, dealers are encouraged to invite all project-contributing personnel to the first onsite meeting. The dealer should bring a copy of the equipment survey to the meeting.

• First Onsite Meeting – Intended to create a timeline of critical dates and is focused on discovery. In this session a comprehensive review of the facility layout is conducted, identifying areas of concern and improvement.

• Design Review – The first revision of the facility layout is viewed, incorporating the elements from the onsite meeting. The dealership architect validates if proposed design changes are practical. Rotunda will not alter the building footprint; however will recommend interior design changes to maximize flow and efficiency. Our team takes a consultant approach to the design review. The layout review is done at no-cost and can ultimately, save time and money in Architectural fees.

• Comprehensive Quote – After approval of the final plan revision by the dealer, Rotunda produces a comprehensive quote document,

which includes all systems and equipment required to populate the facility.

• Facility Coordination – Delivery and installation of the approved order is managed by Rotunda’s Facility Coordinator in accordance with the general contractor’s construction schedule. The Rotunda Facility Coordinator communicates with dealer personnel through each step of the installation process to ensure complete satisfaction through a single point of contact.

• Billing – All billing is done through the dealer’s P & A account. This can include long-term deferments or installments. The financing goal is to provide the dealer with the ability to operate and build their business while easing the burden on operating costs.

The Rotunda Tool and Equipment Program offers flexible payment terms to fit the needs of our dealers. The two that are used most frequently on large facility orders are the monthly financing and deferred payment programs.

MONTHLY FINANCING TERMSOn large facility orders the monthly payments can range from 12 to 48 months, depending on the dollar amount of equipment ordered. We offer very competitive interest rates for these payment plans. Contact your ASM for current interest rates.

DEFERRED NET 30 TERMSDeferred payment terms offer a very attractive payment method for dealers. Deferments can range from 3 to 12 months net 30, dependent on the amount spent on equipment. The more spent, the longer the deferment period. All deferments are interest free.

ORDER TYPE BILLINGEquipment orders are categorized either as Facility or Non-Facility, based upon the amount of the order. Orders totaling up to $124,999 are categorized as Non-Facility. Orders over $124,999 are Facility orders. Dealer billing is handled differently for each order type.For Non-Facility orders, equipment will be shipped as your project progresses. You will be billed as the equipment is invoiced to Rotunda. The deferment period starts as each group of equipment is shipped and invoiced.

Example: You have lifts shipping in May and an alignment machine coming in June, and you selected 9 months deferred net 30 for payment of the order. When the lifts are invoiced to Rotunda, Rotunda charges your parts account for the total amount of the invoice, including taxes. Next a credit will be applied to your parts account for the equipment less the sales tax. Then, 9 months from the invoice date, your parts account will be billed for the remainder. You then have 30 days to pay the invoice. When the alignment machine ships, the process starts again for that equipment.For Facility orders, the equipment is not billed to the dealer’s parts account until the last piece of equipment ships.Here’s the real benefit to Facility orders. On these large orders, the equipment has to be shipped at different times based on your installation schedule. In many cases, it may be several weeks or months before all the equipment is shipped.Example: The last piece of equipment is shipped 8 months after the first piece is shipped. The agreed deferment was 12 months net 30. This means that the dealer received the first shipment of equipment and did not have to pay for it until 20 months plus 30 days elapsed. In this case, the dealer is able to complete his facility before having to pay for the equipment. And, if the dealer so chooses, he/she can also include the installation (labor) costs in the deferment quote.
