Effective transition and enrolment processes contribute to families and students feeling supported, while ensuring relevant and accurate information is gathered to allow schools to best support students.

The following checklist can be used to guide your school’s preparation.

TRANSITION AND ENROLMENT CHECKLIST

1. Early preparation

Staff have received professional development regarding needs of students of refugee backgrounds.

Staff are aware of DET support (or other) for students of refugee backgrounds and have supports in place where appropriate.

There is an assigned advocate/EAL coordinator with time allowance to oversee transition.

There is a transition policy and related practices that support this comprehensive transition process.

There is a transition buddy program between the two schools (before and after enrolment).

3. Enrolment interview (principal, SWC, year-level coordinator, EAL coordinator/advocate, MEA)

Interview with parent/carer/advocate using trained interpreters

Time in Australia, education history and experience, passport visa code, other relevant information

Completion of enrolment form

School tour for parent/carer, student

Student given uniform and school equipment

How school will maintain communication/feedback to family, school expectations/family expectations

Staged transition is implemented if appropriate

2. Preparation prior to first day at school (enrolment coordinator)

Communication with transition officer from ELC/S or previous school regarding new enrolments.

Exit reports collected from ELC/S or previous school (request information on learning stage, family and background issues, helpful learning strategies).

Telephone communication with previous school regarding any issues for individual students.

Set enrolment interview date with parents/carers, ask about preferred interpreters, request necessary documents to be brought along – passport, visa, school reports.

Organise appropriate trained interpreters; MEAs if appropriate.

5. Student orientation day

EAL coordinator/advocate or transition coordinator oversees the following:

Introduction to a buddy

Introduction to school personnel, places, procedures and resources (YLC, SWC, EAL coordinator, pathways coordinator)

Involvement in class activity and school day

Meeting at the end of the day to check in with students

Provision of uniform and equipment if required

4. Teacher preparation to support new students (EAL coordinator/advocate or transition coordinator oversees the following)

Appropriate placement or supports in place for student including EAL provision

A learning support document or system is in place and is provided for classroom teachers, including a statement of current skills, background, learning stage, other relevant information

Differentiated curriculum plan, or personalised learning plan is created with classroom teacher with set learning strategies and goals

Classroom teachers directed to EAL/MEA support (included as part of the differentiated curriculum/learning plan)

Classroom teachers informed of orientation day, and prepare activities to be welcoming and inclusive of new students

7. Ongoing transition support

EAL coordinator/advocate or transition coordinator oversees the following:

Continued involvement for student in buddy transition program

Regular check-up with teachers, new student and family to monitor progress

Conduct information sessions/welcome activities for new parents/carers and families

6. Enrolment day (first formal day of school)

EAL coordinator/advocate or transition coordinator oversees the following:

Student is welcomed at the start of the day and reunited with buddy

Check that student knows locker, timetable, teachers, people to help, buddy, equipment, teacher advocate

Check in with student at the end of the day

8. Follow-up interview with parents/carers

EAL coordinator/advocate or transition coordinator oversees the following:

Gather feedback from classroom teachers/EAL coordinator/advocate

Conduct a post-transition meeting with relevant staff to discuss how student is progressing

Meet formally or informally with parents/carers to give feedback (using trained Interpreters as required)

Adapt supports if necessary

Monitor transition process

Include student in next transition buddy program for new students
