1 COEUS TRANSITION AND TRANSFORMATION
Coeus offers a broad range of IT advisory and consultancy services across a variety of technology capabilities,
from short strategic assessments through to transformation and benefits delivery.
Within the Transition and Transformation capability Coeus supports clients to successfully deliver IT
transformational change by providing end to end programme advisory ranging from strategy and governance
services to functional and technical implementation.
1.1 Business Challenges regarding IT Transition and Transformation
Business organisations are needing to deliver business goals whilst anticipating changes in markets and
technology, and need to ensure that IT delivers the value they need in this changing business landscape. Key

2 METHODOLOGY & APPROACH
2.1 Methodology
Coeus offers a full programme and project management service covering, Portfolio Management,
Programme and Project Set-up and Programme and Project Assurance.
The diagram below outlines the overall programme management service:
Whilst the applicable service in this instance is the programme and project setup offering, it is important to
understand that Coeus consultants can draw upon the wealth of knowledge, experience, templates and
toolsets from the IT Transformation practice.
These knowledge articles, templates, and tools help to ensure that Coeus can start to add value on day one
of the assignment. The fact that this is a service offering, backed by a highly experienced IT Advisory firm,
means that our consultants can pull upon the collective company knowledge and skills to help expedite
programmes and / or minimise risks for our clients.

2.2 Approach
Coeus’ approach for programme set-up and management has been developed over a number of years
having conducted similar exercises for other large organisations:
Phase 1: Mobilisation & Planning
Programme mobilisation and planning is the bedrock to a
successful programme, for which Coeus have developed a
number of frameworks and tools that are used and tailored to
meet the specific requirements of the programme. The
experience of our consultants means that they are extremely
capably of learning the client context and landscape quickly and
picking the relevant tools and methodology to ensure a
successful programme.
These include governance and escalation frameworks, business
case templates, programme reporting, and stakeholder analysis
tools. The key outputs from this phase are:
• Stage 0 business case
• Stakeholder strategy
• Governance and reporting strategy
• Integrated Programme Plan
• Dependency map

Phase 2: Develop & Build
The second phase is all about starting to implement the governance and reporting structure as defined
within the mobilisation and planning phase. The effort put into stakeholder strategy and analysis in the
previous phase can really help ensure alignment to common goals and objectives, laying the way for a
successful programme.
Typically the ‘develop and build’ phase is where the architecture and supplier selection is undertaken, if
required.
The programme reporting also commences in earnest
and the Coeus Programme Office reporting toolset has
been honed to provide central and consistent reporting
and tracking across the programme and this a single
version of the truth. The reporting system allows the
programme manager to understand the status of all of
the tasks, milestones and any potential risks and issues
that exist. The same toolset is also used to help
generate executive briefing packs and steering board
reports, as defined within the governance plan – thus
ensuring that all levels of the programme have the
same information on which to act as necessary.
Phase 3: Deploy
By this phase the programme is in full operation, utilising the governance and reporting systems established
in the previous phases. The reporting system is critical to ensure that all aspects of the programme are
understood and any deviations acted upon quickly and effectively.
The focus on effective governance ensures that any deviations or significant risk of deviation from the plan
or budget is acted on swiftly and effectively to either rectify or mitigate against. When this is combined with
the right governance forums and escalation paths, it makes the programme far more agile to cope with the
inevitable bumps in the road.
To help ensure that the inevitable problems do not detract too much from the execution of the programme,
the ethos of effective ongoing risk and issue management is in each and every Coeus consultant. Ensuring
that risks mitigation plans are regularly reviewed and updated can help to both prevent them from
happening in the first place, or when they do happen the impact of them is reduced to a minimum.
Phase 4: Operate
Whilst the actions or inactions in the mobilisation of any programme and have a significant baring on the
success of a programme, the final phase can be just as detrimental to its success, if not more. In this phase,
the programme manager will ensure that business operations are fully engaged with the handover of any
deliverables and clear success criteria are defined for both the go-live and any subsequent warranty period.
Typically our programme managers would engage business operations from the outset; to ensure that they
are setup for success for when they inherit the solution. However, this is where they both must work very
closely together to ensure a successful exit from the warranty period, with all of the appropriate knowledge
documented and transferred.

3 EXPERIENCE

The Case Studies below provide addition detail on projects Coeus has recently worked on. All of these
engagements were conducted on a joint team approach whereby the Coeus team worked directly with or
alongside the client team. The resource split is typically 50/50 but can be tailored to meet the specific needs
of the project or any client resource challenges.
3.1 Service Integration and Management (SIAM) for Global Pharmaceutical
Background to the project
Due to the poor performance and lack of flexibility of the ‘first generation’, single source, IT outsource
provider the organisation decided to move to a new multi-source environment. As part of the sourcing
strategy the decision was taken to insource key components to bring the control and management back in
house, which included the service integration and management (SIAM) function.
Approach
Using its past experience Coeus was asked to support the SIAM design and implementation activity to ensure
a successful transition back in-house, including:
• SIAM operating model and organisation structure design, including FTE numbers, processes,
governance and implementation plan
• Design of new service management processes e.g. incident, problem & change management to
effectively coordinate activities across the towers in a multi-source environment
• Detailed transition planning, role mapping, recruitment activity and a sharp focus on risk mitigation
• Significant business change activity to support the transition and to secure the new ways of working
and culture
Outcomes and deliverables
Working with the client organisation’s team Coeus rapidly produced:
• Business case for sourcing options
• Documented sourcing strategy, negotiation and communications plan
• Steering board paper and presentation to Group CIO and CFO
