1 Introduction The purpose of this guide is providing information, instruction and procedures for the efficient use of the system Transport manager.

Transport manager application represents on-line vehicle tracking. It means that access into the system is available anytime and from everywhere without needs of any other installation of additional application or devices. The only conditions required to access the system are login credentials and Internet browsers (Internet Explorer 7+, Mozilla Firefox and Google Chrome). The system aims to improve logistics and clarify the movement of vehicles. Management of drivers plays an important role in company operational management.

The system provides many statistics and reports, without needs of specific forms filling.

The system Transport manager serves as a tool for vehicle tracking, vehicle registration for transport and for order and transport creation. It provides features increasing logistic quality.

Pictures placed in this document help to create better idea about the system and its functionalities. Because of continuous improvement and system update the pictures might not exactly correspond with the real system look. In case of relevant system changes, also User’s Guide will be updated.

During the work with the Transport manager the user can dispose a status of:

The manual is divided into chapters describing the system, reports of screen and functionality of each button.

2 Signing into the system In this topic you can find step by step how to sign into the system.

2.1 Signing into Transport manager Signing into the system Transport manager is placed on the website www.dispecer.sk. Connection between server and user is encrypted and secured. After you fill in the username and password and click on the “Login” user logs into the system (Picture 2-1 Signing into to the system).

In case of unsuccessfully signing into the system or in the case that you would like to log in directly from the website of system server you can use http://moj.dispecer.sk, where you can fill up your username and password too (Picture 2-2 Signing directly into system server).

3 Live Transports System Transport manager consists of 6 basic tabs – Vehicle list, Transports, Live Transports, Route Maps, Agenda, Reports, (Picture 3-1), 3 notification buttons and Option button. After logging into the system you can see as a home page tab “Live Transports” (Picture 3-2).

Live transport consists mainly of table with vehicles and transports that are in progress at actual time. In the table there are columns where you can find information about actual vehicle position, order number of transport, and others. In Table 3-1 you can find all columns and its description. Columns and its position can be changed by user of the system in settings (Picture 3-10).

If field “RN” or “Date” in Live transports is painted in yellow, last sent data are older than 1 hour. If mentioned fields are painted in red, last sent data are older than 24 hours. In case of transports, which are painted red or yellow there is displayed also information about last sent data.

Clicking on any column in row instead of order number, will be displayed last known position of vehicle on the map. Clicking on column “Order number” in row, user opens Edit transport window (Picture 3-12).

If you move mouse button to Number of transport the note is displayed. This note you can write in transport creation in the first tab.

In column “Destination” there can be displayed notice, which contains information about all transport`s destination, STA, ATA, STD a ATD.

Clicking by right mouse button on row in table Live transport is open window containing few possibilities.

If you need to add new event to transport, choose “Add event”. Then write your event to displayed window and click Save. Your event you can find in tab Events while editing transport.

If you click on the row in Live transports list by right mouse button you can contact

your GPS provider directly .

Choosing Export log is downloaded .xml file with transport logs.

3.1 Live Transports – Settings In settings of Live transport user can manage which columns are displayed. Also default filters can be set here (Picture 3-10).

3.2 Live Transports – Edit transport In the form Edit transport can user check filled information about transport and also see data which was generated i.e. alarms, route map, comments from other user.

First tab in this form “Basic Information” provides information which was filled during transport creation. This information can be also changed. (Picture 3-12)

Open transport can be saved as new by clicking on “Save as new” what creates new transport with similar filled items without alarms and any data from vehicle.

In case of changing option in Edit transport window clicks “Save” button. If user wants to cancel changes, presses “Close” button.

If user clicks on button “Send info”, contact person will receive information about transport creation (the requirement is to have filled customer contact person in Order).

Fourth tab Events provides all alarms generated by the system and transport updates realized by user. User can add own events as Driver control, Panic button control or anything else needed. First event of all transports is event type Create, where are displayed all filled information from “Basic Information”. After this first event are generated other events about set alarms and added events. Tab “Events” is possible to liken with notes of transport states and activities.

Fifth tab Monitoring provides all set alarms in the transport. User can change these alarms. Alarms are further described in chapter 9.2 Alarms (p. 30).

If there is temperature monitoring in vehicle, you can configure temperature alarms in Monitoring tab. It can be set minimal and maximal value for each sensor.

Temperature tab consists of progress chart of each temperature sensor.

The last tab Map provides map of transport. In this tab user can see transport route which vehicle has passed over. If user generates routes among destinations, there can be lines (routes) colored by three colors:

1. Dark blue – route passed by the vehicle 2. Dark red – automatically generated route among the destinations 3. Red – during the transport are displayed all GPS data; if no technical

problems will occur this line is the same as the dark blue

Under Map there is checkbox “Display whole track”. It means that all GPS coordinates for specific transport will be displayed. If there were problems with data sending from GPS Provider during the transport, this setting can help to display route which vehicle has passed. After left mouse button click on the map the menu will be displayed for user (Picture 3-20).

In Live transport and transport creation is possible to change first and last destination and route of transport by drag&drop function. On the Map tab in Transport you can catch and move transport points and route.

4 Vehicle list Vehicle list contains all tracked vehicles from all GPS providers which are available for using in transport.

If you click on the row in Live transports list by right mouse button you can contact

your GPS provider directly .

4.1 Vehicle list – Settings Each user can specify settings of vehicle list. And choose columns which you want to have displayed.

5 Transports In the tab Transports (Picture 5-1) are displayed all transports that were created in the system. Tab obtains table with columns similar to table in the tab Live Transports.

User can add new transport by clicking on the button “Add Transport”. (Picture 5-2)

5.1 New transport creation If the user wants to create new transport, he has to fulfill displayed form and its required fields described further in chapter 3.2 Live Transports – Edit transport (p.9).

After fulfilling all required fields click on the button Save. After saving there will be generated new transport which can user see in table “Transports”.

6 Route Maps In the tab “Route Maps” user can see all vehicles that are in live transports. User can monitor all vehicle position on the one map (Picture 6-1). On Map there is displayed list of Transports and on the second tab list of Vehicles. In the list of transports you can display also saved routes and places where were alarms created. In the list of vehicles you can check concrete vehicle and display its actual position, route and breaks. Each map in the system Transport manager you can switch from Map view to Satelite and vice versa.

On the map you can copy coordinates of various places on the map or created place.

6.1 Route maps – settings In settings of Route maps you can choose which information about vehicle will be displayed. You can also choose which map label type will be displayed, whether icon or text (RN, position, Date and number of transport). Header information may be reorganized and you can switch its order.

7 Agenda In tab Agenda user can create list of customers and see list of orders and invoices created in transports.

7.1 Agenda – Address book Here can user create list of customer which can be chosen for new transport creation. If there is no customer, transport cannot be created. (Picture 7-1)

For new customer creation click on the button Add customer. In the tab Basic information fulfills information about customer (Picture 7-2). Required information are marked by * symbol.

In the tab Default monitoring user can set default settings of alarms for each customer (Picture 7-3). This default setting will be set during transport creation and user can change it for each transport.

In the tab Parking can user set (for each customer) allowed parking spots. These settings have influence on „Illegal Parking“ alarm of each customer (Picture 7-4).

8 Reports In this tab user can see 4 sub pages - Parked vehicles, Orders, All vehicles and Logbook.

8.1 Reports - Parked vehicles In this sub page user can see table with vehicles which are parked and other columns e.g. subcontractor, if parking is allowed and others.

8.2 Orders This report compares planed and real driven distance for individual orders (transports) and also comparison of costs and real price. Data in this report can be exported to pdf file.

8.3 Reports – All vehicles In this sub page user can see list of all vehicles that are in the system and only this vehicles are allowed for transport creation. In this report user can add vehicles for manual monitoring.

8.4 Reports – Log book Log book displays information about beginning, end and duration of specific drives, tachograph state and break duration. When you click on the column there will be displayed on the map specific route of vehicle with its breaks.

9 Notification buttons Notification buttons Notices and Alarms are placed in the right top corner of the page and they serve for faster working with system Transport manager. Each notification button has numbers of “events” near the icon.

9.1 Notices This notification button shows how many changes are in the system. Each user can set notices which need to see in settings. Notices are in the table with 5 columns:

1. Date created – date and time when notice was created

2. Read – date and time when user clicked on the notice, it means that user accepted this notice and seen it

3. Created – for which user was the notice created

4. Notice – type of created notice

5. Transport – order number of transport from which was notice generated

9.2 Alarms This notification shows how many alarms were generated from transports for user. This button opens Alarms tab.

In this tab user can see all generated alarms in the system and work with them. Alarms can be checked and commented by user, if it is needed.

9.2.1 List of alarms System provides various alarms that can be set for each transport.

1. Illegal parking – this alarm is generated when vehicle stops in the place which is not created in users places and set as Park destination

2. Arrival to an unloading place – this alarm is generated when vehicle comes to polygon of unloading users place set in Destinations for transports

3. Arrival to a loading place - this alarm is generated when vehicle comes to polygon of loading users place set in Destinations for transports

4. Dangerous parking - parking spot defined as dangerous

5. Unauthorized leave of loading place - vehicle has left the loading place unauthorized

6. Unauthorized leave of unloading place - vehicle has left the unloading place unauthorized

7. Unavailable data – this alarm is generated when vehicle did not send data to the system longer than 15 minutes with engine off and 5 minutes with engine on; it means, that system does not have actual data for this vehicle

8. Door opening outside the zone – this alarm is generated when vehicle with door sensors opens door outside a polygon of loading or unloading places

9. Door opening inside the zone - this alarm is generated when vehicle with door sensors opens door inside a polygon of loading or unloading places

10. Delayed arrival at the destination – there is a supposal that vehicle will be delayed, because expected duration of route is longer than actual time

11. Illegal stop alarm – vehicle has stopped without permission during transport

12. Leaving the loading place – vehicle has left the loading place

13. Leaving the unloading place - vehicle has left the unloading place

14. Less than 100/200 km to destination – alarm is generated at the moment when the vehicle distance is less than 200 km to target destination. The same alarm is also generated in 100 km distance.

15. Light detected inside the zone – alarm is generated when tracking device placed in the cargo hold space detects light inside the defined area

16. Light detected outside the zone - alarm is generated when tracking device placed in the cargo hold space detects light outside the defined area

17. Low battery of the tracker (10%/5%) – alarm is generated in case that the voltage of battery tracking device decreases under 10%. The same alarm is generated in decrease under 5%.

18. Out of route – this alarm is generated if vehicle uses other route, during the transport, that was generated / set by user

19. Panic button alarm – this alarm is generated when driver presses panic button in vehicle to let dispatcher notify

20. Temperature alarm – this alarm is generated when temperature value is out of range set in temperature interval

10 Options Options for system are located under user avatar in the right corner of webpage. Mouse-over avatar displays menu with settings (Picture 10-1). Under this user avatar are Settings, Language and Logout.

Settings are divided into 8 basic categories – Alarms, Customer access, Personal settings, Subpages, Users administration, Routes, Nightly reports and User places. (Picture 10-2)

10.1 Settings – Alarms In this settings administrator sets rules for alarms which user will receive, which alarm and in which form (Picture 10-3). Alarms can notify online or via e-mail. Online alarms are displayed on webpage in the system Transport manager and e-mail alarms are sent to user by an email.

Administrator can set alarms to users by creating alarm rules. Alarm rules can be created by clicking on the button Add Alarm rule (Picture 10-4).

In Alarms rule window (Picture 10-5) administrator chooses users in first table by clicking on the button (->) and moves user from left table to the right table. Reverse procedure will remove user from alarm rule.

In the second table “Online” administrator sets which alarms will be generated for selected users online in system and show on the notification button Alarms. These alarm rules are set same way as users clicking on the button (->).

In the next table “Online” administrator sets which alarms will be generated for selected users online in system and show on the notification button Alarms. These alarm rules are set same way as users clicking on the button (->).

In the last table “E-mail” administrator sets which alarms will be generated and sent to user e-mail address (noticed in the system). These alarms rules are set same way as users clicking on the button (->).

Alarms rules which were set can be edited by clicking on the “pencil” in the table of Alarms rules.

10.3 Settings – Customer Access In this settings user can create customer access. This access obtains Route maps where customer can see positions of all transports created for this customer.

User adds new access clicking on button „Add access“. User sets customer for which will be customer access created in the form Customer access (Picture 10-9) and can add note for this access. After access saving, system generates “create” record in table.

Clicking on the pencil user can edit customer and note of the record. Clicking on the button of “letter with green arrow” user can send customer access to e-mail address of customer (Picture 10-10). Recipient e-mail address has to be set.

10.4 Settings – personal settings In this settings user sets his own settings of the system, time zone, refresh intervals, information about user and login with password. In this tab user can change personal information and username with password (Picture 10-11).

Each user can set customers which will be able to work within the system Transport manager. User can set all customers to see and work with or set individual customer, i.e. that user can create transport, see alarms and use all other tools only for chosen customers (Picture 10-14).

10.6 Settings - Users administration In this settings administrator create Users Groups and New users where set their rights.

10.6.1 List of Users Under List of users is table with all created users in system. Administrator can change username, password, customers which will user work with and other. Administrator can edit user clicking on the pencil icon in actions columns or delete user clicking on delete button (red circle).

By click on the button “Add user” administrator opens table to add new user. This table is the same as in personal settings; Chapter 10.4 Settings – personal settings (p. 39).

10.6.2 List of users group In the table Users groups are displayed group of system users where can be user integrated. Administrator can set which tools can group of user see and work with.

If you click the button Add group you can fill parameters for new user group on various tabs.

10.7 Settings – Routes In this setting user can browse generated routes, create, edit or delete them. All routes can be exported to .csv format by click on the excel icon in the table. User can edit route (the pencil icon) or delete it (the red circle icon).

Pressing a button “Add route” system opens map, where user can create destinations and add new route. Creating of user place is described in the chapter 10.9 Settings – User places (p. 45).

10.8 Settings – Night reports In this setting user can set which report will be send every night and for which customer.

10.9 Settings – User places In this setting user sets places of all destinations for all transports (Picture 10-28). Destinations are loading/unloading places and park places. First, user has to paint polygon on the map and after that save this place to the database as user place.

Clicking on the button Draw or left mouse click and “Create places” will be created a polygon which user can change to shape he needs (Picture 10-29).

Drag and drop circles on the polygon, its shape will be changed to required appearance. Click “Save” in the right map corner for and fulfill information about this place (Picture 10-30).

In the tab Basic information user can set address of created polygon (user place) and set attributes of this place.

1 Loading Destination is loading place (factory, etc.)

2 Parking In this destination is allowed to park and illegal parking alarms will not be generated

3 Destination Created polygon is destination and can be generated route between two destinations

4 Time It represents default time that is set during transport creation in tab Destinations, this time can be changed by user

5 Min and Max time It represents limits which is allowed to set during Transport creation

In live transport is important the definition of own place according to client. It means that if client has concrete place defined as illegal/dangerous but for others it is safe place, is in client live transport signed as dangerous. If is this place defined as parking, will be on map displayed flag icon with violet P.

In the tab Subcontractors user can set for which customer can be created destination used. If user sets none customer, created destination cannot be used during transport creation.
