EMD- S Generator

EMD-S Generator provides a quick and easy way to generate the Service Segment (SVC) and

issue an EMD for Standalone EMD’s on Galileo when using Smartpoint.

Within this User Guide, EMD –S Generator may be referred as the application or the “app”.

Options include:

• Creating SVC segments

• Issuing EMDs

• Removing SVC segments after issuing EMDs

• Adding configurable Notepad remarks

• Adding configurable DI remarks

• Adding OSI

• Multiple passengers support

What is new in version 1.2.0.0 • Support of additional scenarios including name change fees and name correction fees and

Group Deposit for relevant airline(s)

• Group Deposit is supported only on Group PNR to comply with the fact that airlines

require an OSI advising the count of passengers, the OSI is sent automatically for every

airline when issuing an EMD for Group Deposit.

• Support of additional carriers , 18 carriers are now supported : Air Berlin, Air France,

Air Mauritius, (*) Alitalia, British Airways, Cathay Pacific, Copa Airlines, El Al

Airlines, Finnair, Iberia, Japan Airlines, Klm, Kenya Airways, Korean Air, Royal Air

Maroc, Royal Jordanian, Singapore Airlines and Tap Air Portugal.

• Support of conjunction tickets (bug fix)

• Introduction of a Self -maintenance area allowing users to add additional airlines into the

tool once instructed to do so by Travelport.

• Addition of a description section for each RFISC code

• Correction of behavior where the app was showing a successful message when the form

of payment was missing in the PNR(bug fix)

• Improved user experience: a Refresh button has been added. allowing the app to pick up

changes made on the PNR (for instance after entering or changing the FOP), previously

theApp was closing down when not finding a F. (Form of Payment ) in the PNR

• The FOP’s supported are : S, CK, NONREF, Invoice and Credit Card

What is not supported in version 1.2.0.0 o Tickets not issued on the carrier for the selected segment

o Tickets that do not have a status of either Open or APRT except for Group Deposit

o Any booking containing Infants

Installing EMD Generator

EMD – S Generator is an optional product within the Travelport portfolio. It can be run from

Travelport Smartpoint only. Access to download the software will be provided by the

customer’s sales representative.

Prerequisites Microsoft Windows XP or later.

Galileo Desktop version 2.5.

Smartpoint 2.2 or above

Microsoft Windows installer 3.0 or later.

Microsoft .NET 4.0

Installation Details • EMD Generator is a single file .MSI install package and uses a standard windows

installation wizard.

• EMD Generator installs into the sub directories of Program Files or Program Files (x86).

Installation Steps • Close Smartpoint and Galileo Desktop.

• During the installation you will be prompted to install for “just me” or “all users” either

can be selected but Travelport recommends “All users” be selected.

• Run the MSI file and click next to step through the installation process.

o Note. If the file has been emailed to you will need to rename it before you can

run it. Typically the file name on email will end “.ms_” and should be renamed

to “.msi”.

• Restart Galileo Desktop.

• Using EMD Generator

Getting started Before launching EMD Generator ensure you are signed into Galileo and if using service bureau

please ensure you have emulated.

Starting EMD Generator

EMD Generator can be run from Smartpoint only and is started by entering #EMD

Using the application

Issuing an EMD is a two-step process: first you must add an SVC segment and then you issue the

EMD.

Adding the SVC(s)

After typing #EMD in Smartpoint the app will load and display any air segments.

Once the application has loaded, the above screen is shown.

• Select the segment which the EMD will pertain to. This is done by clicking on the

segment within the grid.

The selected segment will turn blue indicating it has been selected. Until the relevant

segment are ticked, the RFI and RFI Sub codes remain blank

• Enter the amount of the EMD in the amount box

If the amount is not known, this can normally be found in the Voluntary Changes section

(when it exists) or under the penalties section of the fare rules or entering *HNP if you

have used Rapid Reprice.

The above screen shows a 70 € Penalty for the Adult, make sure to read the penalty

amount which is associated to the PTC whenever you have multiple PTC’s in a PNR

• Click on Add SVC to add the SVC (or SVCs for multiple passenger PNRs).

Example above shows the SVC in Travelport Smartpoint.

Note: If multiple passengers exist an SVC will be added for each passenger in the booking, each

SVC will be added with the amount entered in the amount box.

Adding a SVC on a Multi Passenger PNR for a change fee.

This is illustrated by the following 2 scenario

a) The SVC amount is the same for every passenger

• Check that the original eticket have been exchanged before launching EMD-S Generator.

• For the next step, the change fee amount is checked for each passenger typing *HNP and

scrolling down (MD), as a reminder, this is required for Ticket exchange issued by Travelport

Rapid Reprice. In this scenario, the penalty is the same for all passengers 45€°)

• Then launch, EMD- S Generator entering #EMD and Enter

The screen copy below shows which information is automatically picked up by the App

In our example, each passenger have to pay 45 € , therefore, none has to be untick.

• After clicking on the sector which has been modified, the first RFI code (in alphabetic

order and its Sub Code are picked up, if they are not relevant to your scenario, use the

drop down menu to select another one. After enterign the EMD value, click on Add SVC

to create an SVC for each passenger

.

b) The SVC amount is not the same for everyone

The variation to the process is that it is required to untick all passengers

• Select a first passenger, then select the changed flight and enter the SVC value to create

the SVC :

• After entering a SVC, the app switches automatically to the Issue EMD tab, therefore go

back to the Add SVC tab, select another passenger and ,proceed as above entering the

SVC value to create a new one :

Adding a SVC for a Group Deposit The following screen copies illustrate the end to end process, the value used for illustration

purposes here is 800 €

• Retrieve the Group PNR ( there must be at least a passenger name ) and launch EMD

Generator with the #EMD entry from Smart point

Click on Yes to continue. If the Form of Payment is not present in the PNR or is not EMD

supported (Cash, Credit Card, Check or Invoice) an error will be returned

• Add the form of payment into the PNR (F.S for Cash for instance) , go back to the app

and click on Refresh

To continue, click on any segment and process as shown (enter the correct Deposit value)

Issuing EMD(s) Once the SVC(s) have been created, the application switches automatically to the Issue EMD tab.

• Select the SVC by clicking on it in the grid and it will turn blue to indicate it has been

selected.

• Select the form of payment to be used to issue the EMD

• Select the options required from the check boxes.

• The eTicket number is automatically selected when clicking on the SVC.

Please note: for Bookings with multiple passengers an EMD will be issued for each Passenger

within the booking.

When working on this type of PNR’s, select a first SVC, go to issue EMD tab and click on the

issue EMD button.

To continue, return to the SVC tab, select another SVC line to issue the next EMD (‘s), select the

segment which has been modified, go the Issue EMD tab and then click on Issue EMD button

Golden rule

When the EMD is issued, click on Exit to close the App.

Options

Insert OSI remark

This option automatically inserts the OSI for the carrier as below but this is not required

anymore for change fees or name correction fees:

This option is not required either for Group Deposit as the App sends an OSI to the

carrier with the required data by default.

Remove SVC Segment after issue

This option removes the SVC(s) segments after the application has issued the EMD. This

option is used to improve the appearance of the itinerary when viewed by the customer if

required. When removed, the button is removed from the PNR Viewer

Add NPs and Add DIs Remarks

There are 2 tabs in the application, one for notepads and one for di remarks

The user can add, edit or delete existing entries to suit their needs; the Help button on

each tab shows the allowable substitutions that the user can integrate into the notepad or

di remarks such that values such as the EMD number can be placed into the PNR by the

application when the EMD is issued.

The notepad and di remarks are stored in the EMDConfigurations.xml file

To populate these tabs, you may use the Help button to copy and paste any line, to finish

click on Update

When issuing the EMD, you will have to tick the add DI*NP Remarks check box

Maintaining carriers

This new section allows you to display the list of carriers and the respective sub codes that they

support and require:

You may also use this section to add carriers and additional options without having to wait for a

new release.

We urge you to do so only when instructed to do so b. Make sure to use the correct Reason for

Issuance Code (RFI) and Sub codes for each new carrier you enter manually.

To add a carrier, click on New, fill in the form and once done, click on Update.

All updates are effective immediately for the given workstation.

To enter multiple Sub Codes for a given carrier, hit ENTER after completing a row. This can

be done as many times as needed (before clicking on the Update button)

To remove a carrier, highlight it and click on Remove and Confirm

You may also need to additional sub codes for an existing carrier, to do, select the carrier and

click on Change, go to the Name Column

And press ENTER, a blank row will appear

With the next release of EMD-S Generator, it will be possible to store any update made on the

“maintain your carrier tab” on a shared drive. At the moment, all updates must be done on each

workstation.

Troubleshooting

These are the most common error messages, their explanation and some troubleshooting

information

Error message Explanation

No active itinerary found The app has been launched without retrieving a PNR

No form of Payment found in the booking file.

Please add a valid form of payment to the

booking file and click on the Refresh button

EMD S Generator needs a form of payment (FOP) entered as

F. in the PNR. The following FOP’s are supported Cash,

Credit Card, Check, NONREF and Invoice.

ERB errors such as ERB FOP not accepted by

this airline

This kind of error comes from the Galileo System. Some of

them can be fixed, for instance: changing the FOP.

ERB – EMD not yet supported for this airline This error cannot be by passed.

Application has detected existing SVC

segments. Would you like to add another SVC

segments

If you want to add new SVC’s answer Yes to continue,

otherwise, click NO.

No Open or ARPT tickets found in the booking.

To issue EMD for Group Deposit or any

transaction other than Change Fee or correction

With very few exceptions (including Group Deposit), this

app requires “eticketed” PNR’s with Open or ARPT status.

If you get this error and if you do not want to issue a Group

Deposit, go back to the PNR , verify that it has been ticketed

and check the eticket status

Frequently asked questions

1. Is it possible to create the SVC and issue later?

Yes, should you wish to do so, click on Exit after the SVC has been created by the app, go back

to Smartpoint, and enter a Receive from (R.) And End Transact (ET or E)

2. Does the application auto detect the relevant flight?

No, the flight must be selected manually. EMD S Generator makes EMD workflow user friendly,

avoiding you to remember and enter cryptic entries, in particular the RFI code and Sub codes.

The app makes them behind the scene; therefore it requires minimum information from you.

Having a “auto detect” feature would mean longer execution time and would engage Travelport‘s

responsibility.

3. Does the app check whether the eticket has been exchanged before issuing the EMD?

No. for EMD -S Generator, every PNR “eticketed” with ARPT or OPEN status is eligible. Make

sure to launch it only after the ticket exchange and reissue has been done if you want to collect

rebooking fee or name correction fee for instance.

4. If every PNR with etickets with ARPT or OPEN status is “eligible”, does it mean that the app create a SVC for any airline?

No, an SVC is created only for the carriers listed in the “maintain your carriers” tab

If you have inadvertently added a new carrier which is not yet supported, the SVC line will be

created but an error will be returned when clicking on the issue EMD button

5. Which other airlines will be offering EMD-S on Galileo in the near future?

We are activating EMD –S for new carriers permanently, stay tuned on Ask Travelport to keep up
