Volkswagen Financial Services | Fleet is an appointed supplier for Vehicle Leasing Services under the Crown Commercial Service Framework Agreement RM3710 Lot 1. Referred to as the “Framework Agreement” hereafter in this document.

Lease of passenger motor vehicles and light commercial vehicles up to 3.5 tonnes, including cars, vans, 4x4s, alternatively fuelled vehicles (e.g. hybrids, electric) and converted vehicles up to 3.5 tonnes.

This Framework Agreement also includes the option for service, maintenance and repairs.

Ordering process Here’s how our vehicle order and delivery process works:

Purchase Order is sent to Volkswagen Financial Services | Fleet

Once received we take the quotation reference to generate the Vehicle Agreement (Requisition) and send

for an authorised signatory. We will also raise an enquiry with the supplying retailer (this can be a nominated supplier)

On receiving the signed Vehicle Agreement we will order the vehicle with the nominated/preferred supplier

Here are a few other points you might like to know about our vehicle order and delivery process:• We can receive orders electronically via email in

Word, Excel or PDF format, in accordance with theterms of the Framework Agreement.

• New organisations need to complete a letter ofauthority and provide a copy of their insurancecertificate, so we know who is authorised to placeorders on your behalf.

• We are happy to use nominated suppliers, subjectto them being able to provide vehicles under theterms of the Framework Agreement.

• Vehicle order status reports are suppliedelectronically on a weekly, fortnightly basisor at your preference.

DeliveryAll vehicles are delivered in new ‘on the road’ condition, free from any defects following a pre-delivery inspection and with 12 months road fund licence. All necessary paperwork will be supplied when the vehicle is delivered. Plus we also include a driver safety pack, containing the following items:• First aid kit• Foil emergency blanket• Tyre pressure gauge• Vehicle escape hammer• Window ice scraper• Wind-up LED torch• Warning triangle• High visibility vest

As soon as the vehicle is ready for delivery, we will contact you or your driver to arrange a convenient date and time. The vehicle will be delivered with a quarter tank of fuel and we will ensure the handbook, number plates, and if applicable, branded mats and a valid 12 months road fund licence will be provided.Upon delivery, the driver will be shown how to use the equipment and we will take a signature for confirmation of delivery.

• Repairs that in our opinion are required dueto previous service or repairs that have beenauthorised by the driver/operator withoutour permission

• The cost of replacing any windscreenor body glass

• Costs arising from using fuel of the incorrectspecification for the vehicle or contaminated fuel

• Any costs directly or indirectly attributable to thefailure to submit the vehicle for servicing at themanufacturer’s recommended fixed intervals orfor repair when necessary

• Fuel, oils, AdBlue and other consumables unlessused in the course of a routine service

• Antifreeze, other than as supplied as part of aroutine service, as well as any costs arising fromfrost or pollution damage

• Damage to vehicles caused by poor fitting ofaccessories carried out or arranged by you, youragent or employees

• The cost of any repair or maintenance of thevehicle which is necessary because of misuse, abuse or negligence by you or your employees oragents. Such as kerbing, driving on a puncturedtyre or vandalism

Service, maintenance and repairsIf your contract includes maintenance, all routine servicing is included, as specified in the manufacturer’s handbook and as necessary to comply with road traffic legislation. As well as any repairs needed through normal fair wear and tear. Punctures, normal tyre replacements, batteries and exhausts are included.Here is a list of items that are not included and are rechargeable:

Leave it to our team to source the approved service location, book your vehicles in and monitor the progress of servicing or repairs. Breakdown and recoveryWe offer full cover on all vehicles throughout your contract period. This includes:• Roadside Assistance• Home Call• Nationwide Coverage• Full European Cover• Driver induced faults (such as mis-fuelling

and punctures)• 48 hours free hire vehicle in the event of recovery

(this must be requested by the driver at the time of the incident)

Tyre policyWe provide a ‘no quibble’ tyre policy that means we will replace tyres when wear and tear has reduced the tread depth to 2mm or below. It’s worth remembering that the minimum legal tyre tread depth is 1.6mm and it is essential that tyres are maintained in accordance with current legislation.

Replacements will be the same size and rating as the original tyre, but not necessarily the same make. We also cover the cost of repairable punctures and damage; however this will be monitored and recurrent negligence may result in a charge. If this occurs then our recharge policy will be dependent on the remaining tread.

Tyre replacement is handled by ATS Euromaster, a nationwide tyre retailer and comprehensive tyre service provider with almost 50 years experience and a network of 350 Service Centres across the UK.

Vehicle recallsIf we are notified of any recalls, modifications or safety issues by a manufacturer, we will ensure to inform you of this in a timely manner.

EU travel policy and proceduresIf you want to take your vehicle outside of the UK, we are here to help you make your trip as easy and safe as possible. And we will ensure that your drivers are compliant with the laws of each country they visit.To help your trip abroad go smoothly, we can organise:

European breakdown coverIf you have breakdown cover as part of your contract, this will include European cover. If not, it’s easy to take out additional cover with us before you travel.

Accident management (optional service)Accidents do happen, but you can rest assured we’re on hand to take care of everything. We deliver instant help, putting your drivers and your vehicles back to work, wasting as few working hours as possible.FMG are our preferred accident management provider and they manage 95,000 repair claims a year. You will have access to 400 dedicated industry experts, 24/7, 365 days a year.

National Repair ServiceWe can provide a National Repair Service for bodywork repairs in conjunction with the Accident Management service we provide. All repairers have been approved to carry out repairs to our exacting standards and are monitored by our partners, who carry out random engineer visits. They use a standard estimate system and a national approved labour rate.If you are interested in this optional service please speak to your Account Manager.

Relief vehicle (optional service)If a driver has an accident or a mechanical failure, we will provide a relief vehicle for the first 48 hours. After this, should you still require a replacement vehicle, we will provide a Group A 1.2 3/5 door equivalent vehicle, for up to 28 days. If you would like this service, please notify us at the quotation stage.

End of contractWhen you lease your vehicles through Volkswagen Financial Services | Fleet, under the terms of the Framework Agreement, vehicle hire can be extended at the same rental (pro-rata), provided you lease your next vehicle through us. Four months prior to the original contract end date, we will contact you to determine if a replacement vehicle is required and/or whether the extension is required. If the extension is not required, the vehicle will be collected on the contract expiry date. If the extension is required, it will be invoiced at the original rental (pro-rata) for the duration of the extension, and the vehicle will be collected at the end of the extension period. A further extension can only be permitted if the rental is re-negotiated prior to expiry of the agreed extension.

Vehicle damage waiverUnder the Framework Agreement our damage waiver is £150. We review the condition of a returned vehicle in accordance with the British Vehicle Rental and Leasing Association (BVRLA) guidelines of fair wear and tear. If the cost of reconditioning a vehicle is less than £150, we will waive the cost in line with the Framework Agreement. However, if the sum exceeds £150 we will recharge the full amount minus the £150 waiver.

Mileage chargesIf you exceed or fall below the agreed mileage amount, please refer to the charges found in the standard charges section on page 9, as agreed under the Framework Agreement.

Vehicle collectionOur remarketing partner, British Car Auctions (BCA), is responsible for the inspection, collection and disposal of vehicles at the end of contracts. BCA will contact you at least 14 days prior to the lease expiry date, to arrange a date, time and location for collection and inspection of your vehicle. For peace of mind, BCA will provide a unique security code for the driver, which can be used when they arrive to inspect and collect the vehicle, to confirm their identity.If it is not convenient to arrange a date for inspection and collection before the end of your contract, we can informally extend your contract until a mutually convenient date and time has been agreed. All terms and conditions in line with the Framework Agreement remain in place until the vehicle has been collected by BCA.We review the condition of a returned vehicle in accordance with the BVRLA’s guidelines of fair wear and tear. BCA will make a note of current mileage and take photographs of any chargeable damage, which will be included along with any costs, in the inspection report. The agent will then further complete the inspection and collection report, which your driver will be asked to sign in order to agree the condition of the vehicle.
