Summit Celebration Awards Winners! Thank you to everyone that joined us live and watched the replays of the winner announcements on Facebook. Watch for pictures our winners next month or check out our Facebook page for a sneak peak! We had a great me delivering the awards to the winners along with ballons and treats!! Although Governor Holcomb’s Back on Track Indiana Plan would have allowed us to hold the Summit Celebraon, it was decided for the health and safety of our members that we would announce our winners virtually. This is not how we had envisioned celebrang our winners; however with fesvals, graduaons, concerts, convenons and nearly all larger social events being cancelled, we felt that it would be irresponsible as an organizaon to hold an in-person event. Social distancing would be nearly impossible with our ancipated 180 aendees. Every discussion regarding the event centered around our members and if it was “safe” for everyone to aend. There have been a lot of why’s, why not, or can we do it this or that way over the past several months. We have continually strived to move forward even with the many obstacles that the AAFW-NEI has faced.

As with every decision that is made, we evaluate what is best for the AAFW-NEI members and guests. These decisions are not easy as many of you know and have had to make tough decisions for your business or apartment community. After much consideration, we have made the decision to cancel the July 23rd Golf Outing. The information about coronavius changes almost daily, and there is still so much unknown and we do not want to unknowingly spread the virus. We will continue to hold courses and events online for the health and safety of you all!

Our next education course will be Fair Housing = Good Business with Sherre Helmer on June 23rd on Zoom. You can earn your CEC’s from your office or home. See page 14 for more information. We are so excited to have Sherre back in the Fort!

We will also be holding a Business Exchange, also known as a Reverse Tradeshow. Instead of in-person meetings, we will hold the Business Exchange Virtually in Zoom rooms

where management company personnel can meet with vendors and face-to-face meeting can still happen. Screen & document sharing will be available. We will have a Zoom test/training session to make this event run smooth. Management companies, please register by June 18th. Associate Members watch for more information on June 19th. This will be a great networking opportunity just in time for budget season!

We are continually looking forward and making decisions based on a snap shot of time. The one consistent is that we are here to support you and your business! We will continue to keep you updated on changes in the multi-family housing industry! We look forward to the day when we can all meet together, but in the mean time, don’t ever hesitate to contact Hope or myself if we can be of assistance.

Avoiding Zoom Butt & Other Remote Training Tips By Elaine Simpson, Occupancy Solutions LLC

Most of us are working from home now due to COVID 19

and many people are also catching up on education. Not

everyone learns in the same way and it can be a challenge

to learn new things in a new way. Having to learn how

to use new technology before setting about to learn new

content or skills can be exciting but also frustrating. Sometimes we grumble when asked to learn something

new or take additional courses online but bottom line, it

does increase our knowledge, benefit our business skills

and make us more valuable employees. At Occupancy Solutions, we are constantly seeking out

new ways to do things and streamline processes. In fact,

we just changed platforms for our e-learning courses and

hope you will find the time to check them out. Before, we

had hundreds of property management and business

topics to choose from but found the sheer number offered

was too daunting for most learners. Now, we offer only

the most popular topics from the webinars I have done

such as “It’s Fair Housing Not Fear Housing”, “Basic Leasing

Solutions”, “Terrific Telephone Techniques”, “Overcoming

Objections”, and many others. Simple, streamlined and

successful! We have compiled a few tips and best practices for

dealing with some of those virtual training challenges.

These tips existed before the Pandemic of 2020 but are

especially helpful in the current business environment

where many, many people are having to work, train and

supervise remotely for the first time. Even though you

may be in your pajamas, as one journalist put it, “working

at home is not all rainbows and unicorns”. * Zoom Bombing – Video conferencing app, Zoom, has become a very

popular training and meeting tool during the

COVID-19 pandemic. The increase in users created

a new security issue for Zoom referred to as Zoom

Bombing. Uninvited guests were able to crash Zoom

meetings with sometimes amusing but always annoying

consequences (like pornography being shared on screen

during business meetings). To avoid this, be sure to

create a meeting password and a waiting room for all

meetings. The meeting host can then manually let

people join. Zoom is also changing their defaults to do

this automatically

as well as limiting

screen sharing to

the host only. * Lack of Proper Technology – In order to train or

work remotely, one

must have proper equipment. If you have been working

on an old desktop computer at home, it’s probably time

to invest in a portable laptop with a built-in camera

necessary for Skype, Zoom or Team virtual meetings.

Update the browser in order to run new versions of

training webinars and e-learning courses. * Unreliable Internet – If you have the typical one size fits all cable or satellite

internet service at home, there are times that it may be

unreliable. One way to bypass this if necessary or have

a backup is to activate the hotspot on your smart phone

and sync it with your laptop. Sometimes the signal

coming from your phone is stronger than the one being

sent through your home router. Speaking of routers,

installing a more powerful router often helps the home

service as well. If all else fails, consider taking your

laptop in the car and drive to a business that offers

free internet. You might receive the signal outside the

building in order to connect from the safety of your

vehicle. * Distractions – It is best to create an office environment somewhere

in your home preferably in a room with a door that

* Feeling of Isolation – How many times have you heard “you are not

alone” and “we are all in this together”? Sounds

good, but in reality, you probably are working

alone. Lack of instant feedback is one complaint

about e-learning, however, many courses are set

up with interim quizzes that offer instant feedback

to your responses. Also, if you participate in live

webinars, most instructors leave time at the end of

the presentation for a question and answer period

and some will stop to take questions. * Computer Fatigue – If you have a series of classes or seminars to tackle,

include a few social breaks in your schedule. Set a

timer if necessary. Leave the room to make a phone

call, stretch, or go for a short walk. Be mindful about

your health habits. Sitting in front of the computer

screen for long periods of time with too many snacks

at your fingertips can also create “zoom butt” or the

“COVID 15” similar to “the freshman 15” putting on

extra pounds. Stand up frequently or try to use a

standing desk in order to avoid this symptom. * Lack of Structure & Motivation – Build a training schedule you can stick to. Take

breaks and set clear begin and end times. Manage

Kathy Jordan started working in the insurance industry in 2000. She and her husband moved a lot due to his military career

I was working in property management and apartment leasing for about 12 years when I decided to look for a change. I accidentally sent my

resume to an insurance agency and almost didn’t take the job because I thought it sounded boring. I could not have been more wrong! I fell in love with the job almost instantly and have continued to enjoy my work for the past 5 years. In September of 2018, I left my previous agency to come work for Kathy Jordan and it’s been a wonderful experience!

What has been your craziest work experience?

I once had to go to a building to take pictures of the furnace. The building manager brought me to the basement to get a picture of the furnace and there was a giant macaw flying around. She asked me if I wanted to hold it and told me to put my arm out. It wasn’t until the bird was on my arm that

she warned me not to turn my head or it would likely bite my nose off (apparently, it was not the friendliest bird). Not a typical day at the office!

What is the best part of your job?

My team. I work with (and for) the kindest and most compassionate people I know. Everyone at my office does this job for the right reason – We love taking care of people and helping our clients protect what matters most to them.

What is something you had to learn

the hard way?

You can’t change everyone’s mind,

regardless of how right you think you are.

What do you do to help relieve stress at work?

I throw darts at my dart board. It’s a great way of being able to throw things when you’re frustrated

without breaking anything!

What has been the best advice you have been given?

My dad once told me, “You can’t do more than what you can do.” While it sounds very simple, it’s something that has stuck with me through the years. Sometimes we put too much focus on the unattainable, when if we’d just shift our focus to attainable goals, we’d be a lot happier. It always reminds me to focus my energy

on what I can change instead of stressing out over what I can’t change.

What is your “Fear Factor” Nightmare?

Being mauled by a bear.

2 reasons you enjoy having a company in Fort Wayne:

1. Fort Wayne is constantly growing and expanding, and it’s great to service

customers as they grow with the community.

2. Makes for a short commute!

What is your life mantra?

“Right now, it’s like this.”

What is your greatest accomplishment?

Uprooting my life at 30 to move from Chicago to Fort Wayne, starting a new career

there, and making it work. It wasn’t easy, but I’m so happy with the life I’ve built here with the help of my friends and family and

I’m so glad I did it.

What is your ideal Saturday?

Having a “lazy day” with my family. Just hanging out, playing board games,

watching movies, and relaxing.

What are 3 things on your bucket list?

To keep a plant alive.

To make it through a day without tripping over my own 2 feet.

Owning my own business.

Of course! And often when I am not alone in the car!

It’s kind of a given in the multifamily industry: to win and retain residents, you have to be the best. But as new builds come online, and the competitive slope grows all the steeper, providing great customer service doesn’t quite cut it. It’s not enough to meet expectations – you have to exceed them. And when exceeding expectations becomes the norm, we’re all left wondering: What more can I do to serve the customers of my community/company?

When I first stepped into the role of property manager, I pondered this very question while sitting with a friend at the laundromat. Above us, a small TV played a Progressive Insurance ad featuring the promise “Helping you save, even if it’s not with us. Now that’s Progressive.” My friend and I laughed along with a few other people in the laundromat. And what stuck with me was what one gentleman said before we all went back to our respective Saturday laundry routines: “Can you imagine if all service was Progressive service?”

Progressive Service: The SPOT Treatment

The real question is: why can’t all service be “Progressive service?” One of the biggest fears among multifamily professionals is getting outsold by something newer, bigger, brighter or better than what we have to offer. This fear blinds us to one of the greatest opportunities in providing exceptional customer service: selling beyond ourselves.

I call this a SPOT treatment take on customer service. Rather than focusing on providing the standard service plus one customer experience, start shifting the focus a little more outward. When we focus on Service Plus One Teamwork -- a collaborative view of customer service that seeks to guarantee our customers, “If I can’t help you, I’ll find you someone who can” -- we start to provide a truly exceptional customer experience.

We all already engage in Service Plus One Teamwork to a certain extent. When a resident shares a maintenance

concern with the office, a maintenance technician fixes the problem and leaves a friendly note for the resident. A leasing consultant also follows up with a call to check on the resident’s satisfaction.

Maybe the manager gives the resident a thank you card for pointing out an issue. The resident is delighted, not only because the problem was solved, but because the whole team was involved in solving the problem. The SPOT treatment simply extends the network of resources we make available to our residents. It’s all about boldly pursuing your customers’ needs, and not being afraid to share all the resources you can, even when they seem to guide your customer away from your own services.

SPOT Resources

With a little bit of research and preparation, you can start SPOT treating your residents today!

Here are some ideas to get you started:

* Rethink Marketing Books/Leasing Kits: Many apartment communities require leasing kits and marketing books that help teams their competition in order to sell their community’s benefits. But what if these resources were focused a little bit more on servicing our customers than our own communities? Consider researching local vendors for move-in and move-out days, current specials for highly desired services, etc. Build your marketing book and leasing kits around the resources your residents need and be the ultimate resource to enhance the ease of their lifestyles for as long as they need you! In shifting the focus to servicing the customer, you’ll simultaneously enhance the quality and value of your community.

* Rethink Sisters: One of my favorite referral and marketing campaigns involved partnering with a sister community to fill both our vacancies in particular floor plans. When either property had a prospect who needed what the sister property offered, we gave the prospect a special postcard that would get them a free meal in exchange for their tour at the sister community.

Through this simple program, we gave away maybe a $100 in free food and secured several thousand dollars in new leases! Find ways to engage the other communities in your company’s portfolio as extensions of your own service. Combine resources for movie nights and block parties. Exchange the use of one community’s pool for the use of another community’s fitness center (with your company’s approval, of course). Sister communities sharing resources builds a sense of family for residents, and once again shows how far you’ll go to get them what they need even when you’re not the one who has it.

* Rethink Competitors: Of course, the goal is never to willingly or intentionally push a prospective resident toward the competition and away from your own community. But when you really take the time to get to know what your customer needs, and what the competition has to offer, you just may find that you’re doing a disservice if you don’t share what else is out there.

We once had a prospect who we watched walk out the door when we shared another community with her that happened to have everything she’d longed for in her dream apartment. We lost her lease, but within a day she thanked us by sending us three referrals who rented with us because we genuinely cared about making her happy! Don’t be afraid to pick up the phone and call a competitor to help you service a customer. They’re usually more than happy to return the favor when you’re willing to maintain both friendly competition and a meaningful business relationship with them.

* Rethink Local Resources: It’s hard to compete with all the bright and sparkling new amenities your competition may offer, especially if you’re an older community in a sea of new builds.

Rather than trying to add it all, find unique ways to bring resources into your community by partnering with local businesses. You might not have an on-site convenience store, but you can strike up a partnership with the local grocery store to offer delivery services. Skip the on-site masseuse and dog groomer by securing special pricing for your residents to a local spa and at the local pet shop. Remember, you can’t do it all, but you can find fun and unique ways to bring it all to your residents’ doorsteps!

None of us can do it all. But we can go above and beyond by being the best resource available to our customers -- even when being the best means sending them beyond our own offices. Give your residents the SPOT treatment, and watch your community shine!
