Various Types of Events You May be Thinking
About
If you bake it, they will come. AKA - Food at events
• Questions concerning food are probably the most commonly asked when it comes to events at UMBC• There are multiple factors determining what food you can
give away or sell at an event so there is no quick and easy formula• However, below these slides you will see a flowchart which is
the most simplified information we can give you• If you’re still unsure after looking at it, never hesitate to ask
us!
Meetings
• The only real caveat on meetings is at the beginning of each semester. Refer to the timeline above for constraints on the first two weeks, but after that student groups can have as many meetings as they want!• Make sure to cancel meeting dates you don’t need by sending
an e-mail to [email protected] because you are responsible for a room and it’s condition when you have it reserved
Large Scale Events
• Large scale events require a much larger degree of planning and the process should be started over 60 days before the event whenever possible• Please see our other blackboard training on
large scale events to get a detailed rundown of the process
• If you are looking for an inexpensive and creative way to advertise for your event you may want to consider chalking on academic row• This space is reserved on 25live just like any other space on
campus• “Chalking A” is from the library to the UC plaza and “Chalking
B” is from the UC plaza to the start of the new pavement between the RAC and the admin building• When reserving, just remember to always reserve for 7 days
so that there is time for the weather or facilities management to remove the chalk
Chalking
Active Events and Liability
• Most events involving physical activity necessitate having a liability form for participants• You can find a copy of it at events.umbc.edu and a copy is
attached below• When in doubt it is usually better to use the forms• Completed forms are turned into Student Affairs Business
Services Center after the event
