3. I shall not be entitled to claim my admission to the hostel as a matter of right.4. I am aware that ragging is a criminal offence and is strictly prohibited. I shall not indulge directly or

indirectly in any act of ragging on the campus, in hostels or outside the campus of the Institution. If Iindulge in ragging, the Management may take appropriate disciplinary action (includingrustication/expulsion from the hostel and/or the Institution) against me and further legal action as perlaw of land.

5. I shall not possess, use or deal with any kind of intoxicating material including alcohol, drugs of anykind, gutka, tobacco, cigarettes, chew gums or any other sedative materials and on being found guilty,the Institution may take any disciplinary action(s), including rustication/expulsion, against me.

7. I shall be liable to pay for any damage caused by me to the property of the Institution either alone orjointly with others and face disciplinary action.

8. I do not have the tendency, and shall not make any attempt, to commit suicide or abetting or incitingany other person to commit suicide or anything unwarranted and /or prohibited by law or otherwiseand shall not give any sort of threats to commit suicide or likewise and or being found guilty of theaforesaid action, I myself shall be responsible for any consequences under law and theexpulsion/rustication from the Institution and any other legal action under the law of land. TheManagement shall not be responsible for the same.

9. I am medically fit and have no communicable and serious diseases; I shall pay for any expenditureincurred by the Institution on my treatment for any sickness or personal injury due to any reasonduring the course of my study at the Institution.

10. I shall not keep excess cash and valuables with in the hostel and in case of any loss or damage of cashor valuables, including mobile phones, PC, laptop or any other personal belongings, the Institutionshall not be responsible for any kind of compensation.

11. I understand that parking of vehicles (if allowed) in the hostel will be at my own risk and in case ofany loss of personal belongings; loss or damage to the vehicle or parts /accessories of the vehicles, theInstitution shall not be responsible for any type of compensation.

12. I will have to vacate the hostel in case of any requirement of the Institution for some specific periodfor any reasons including accommodating guests, delegates, participants of any event, for maintenancework etc.

13. I shall not collect any money from any student(s), employee(s) or other person(s) for any purposeincluding donations, contributions/gathering without the written approval of the Institution.

14. The Management have the full authority for the inspection of the room, bags, almirahs or any of mypersonal belongings at any time.

15. I understand that hostel, allotted at the time of admission or otherwise, may be shifted to other hostel,at any time and the allotted room, floor and other facilities in the hostel may also be changed at anytime, as decided by the Management.

16. I shall not allow any unauthorized person to enter or stay in my room.17. I shall myself take precautions against insect-bites, dog-bites, snake-bites, animal-bites, plant-bites

and such other infections and diseases and shall carry the first –aid kits every time and the Universityshall not be liable for such infections and diseases.

18. I shall not misuse electricity by using electrical gadgets like irons, heaters, audio players, juicers etc.19. I shall cooperate with GITAM Security officials. I shall not move outside the campus without consent

of Warden / Chief Warden.20. I understand that the hot water supply shall be available in winter only for fixed timings in the

washrooms, as decided by the Management.21. If I absent myself from the Institution without permission, I am liable for disciplinary action, which

may amount to my rustication/expulsion from the Institution.22. If declared ineligible for appearing in any examination of the GITAM, on account of shortage of

attendance or any other reason whatsoever or if ordered by the Institution authorities at any time, I shall vacate the hostel immediately. Readmission to hostel in the forthcoming term/semester may be allowed only at the sole discretion of the Management.

23. All type of charges and fee as charged by the Institution are subject to revision from time to time.24. For any unforeseen issues arising, that is not covered by this Undertaking, or in respect of all the

matters, not expressly provided herein, the Institution may take an appropriate decision that shall be final and binding on me and all other concerned.

25. I am giving this undertaking with full understanding and state that the information given by me above are true and complete to the best of my knowledge and belief and the certificates, documents and other information submitted by me are genuine and nothing has been concealed / suppressed. I understand that if any of the statements made by me above is found incorrect, I shall be liable to such disciplinary action(s) and/ or penalty as may be decided by the Management, notwithstanding legal action under the law of the land. In such case, the hostel fee and other charges deposited by me shall be forfeited.

26. The Management reserves the right to frame, amend, revoke or repeal the Provisions including hostel timings and that will be effective and binding on all the concerned, as decided by the Management from time to time.

27. The Courts in Visakhapatnam district shall have the jurisdiction over all disputes arising out of or in respect of matters relating to students including admission, academics, administration, hostel, transport and all other matters.

RAGGING IS STRICTLY PROHIBITED

As per the Supreme Court judgment in Vishwa Jagriti Mission v. Central Government and Others (2001) 6 SCC 577, AND University of Kerala v. Council of Principals of college in Kerala & Ors. AIR 2009 SC 2223 as per Act of Govt. of AP w.r.t ragging, ragging is a cognizable criminal offence and is strictly prohibited. If any incident of ragging comes to the notice of the GITAM, the concerned student shall be given liberty to explain and if the explanation is not found satisfactory, the GITAM would expel the student from the GITAM.

GITAM – GIRLS HOSTELS RULES AND REGULATIONS

The following rules and regulations should be strictly followed by the hostellers during their stay in the hostel:

1. The hostel resident should furnish correct address, telephone, mobile number of the parent/guardian. Anychange of permanent address/contact numbers/mail id of the parent/guardian should be informed to the hosteladministration immediately.

2. Hostel residents will be given identity cards, which must be produced whenever required by thehostel/GITAM administration and security.

3. Ragging is strictly prohibited. If a hostel resident is involved in any such activity, which causeinconvenience, embarrassment or hurt the feelings of others residents, which is a criminal offence, itshall be dealt severely as per rules.

4. Playing cards, smoking, consuming alcohol, using drugs and narcotics and even possession of such things isstrictly prohibited. Anyone found using/possessing such things shall be expelled from the hostel/institutionimmediately.

5. Hostellers are not supposed to indulge in any type of quarrel with the co-hostellers or hostel staff. They arerequired to maintain peaceful atmosphere in the hostel premises. Any hosteller who indulges in any sort ofindiscipline, unlawful acts either on the campus or outside will be expelled from the hostel.

6. Hostellers are not supposed to possess any objectionable items. The Chief Warden / Warden/facultycoordinator is at liberty to inspect the belongings including cupboards of the hostellers, in case of any doubt orsuspicion, at anytime irrespective of whether the hosteller is available or not. Hostellers are liable for expulsionimmediately, if such objectionable things are found in their possession.

7. All the hostel students should maintain their hostel rooms and hostel premises neat and clean and cooperatewith the hostel staff. Hostellers are not permitted to make any loud noises and create disturbance to the fellowhostellers. All the students should switch off lights and fans when they leave their room. If any intentionalindiscipline is observed, suitable fine will be imposed or the student may be expelled from the hostel.

8. Posters should not be pasted on the walls/doors etc, and no captions etc shall be written on the same.9. No student is allowed to stay in the rooms particularly during their college class timings except on genuine

grounds with the permission of Warden/Chief Warden through hostel coordinator.10. Unauthorized changing of rooms is not allowed. As per the need and necessity, whenever it is required,

administration can change/shuffle their rooms. In this regard objections are not entertained from the hostellers.11. Yearly/semester renewal in the hostel is based on the student performance in the Hostel / GITAM. If

any student fails or is detained in any semester, he/she will not be permitted to stay in the Hostel further.12. All the students should pay their monthly bills (including rentals) on or before the scheduled date i.e. 20th of the

month without any delay. Rentals may change time to time, as decided by the management. If any studentmaintains his dues beyond one month, she will not be permitted to stay in the hostel.

13. Caution deposit is not adjustable to any monthly bill. This will be adjusted or refunded at the time of vacatingthe hostel even if the student discontinues her studies or vacate the hostel for any reason whatsoever.Infrastructure fee/GU management fund, once paid, will not be adjusted or refunded even if the studentdiscontinues her studies or vacates the hostel for any reason.

14. The boarding members of the hostel are expected to take the food prepared in the hostel mess and no outsidefood is allowed for maintaining hygiene. No student should intentionally waste food material or spoil thekitchenware. Utensils / any material from mess should not be taken outside. Any deviation in this regard willbe considered seriously and punished suitably. Boarders should maintain mess timings scrupulously.

15. Hostellers are not permitted to entertain any guests in their rooms without prior permission from the ChiefWarden. If any outsider is found in the Hostel room, fine will be collected from the inmate of the room.

16. Hostellers are allowed to go out after 6 a.m. and should report back to hostel before 6.00 p.m. during holidayswith prior permission, but are not permitted to leave the campus in working days. After arriving at the hostel,inmates should sign in the register kept for the purpose. No student is allowed to leave the premises after 5.00pm. If any deviation is observed, suitable action will be taken. Students should note that number of permissions will be limited and subject to the genuinity of

purpose. Letter of permission should be submitted through the hostel teacher coordinator.

First year students (UG) will be permitted to go out of the campus only when they areaccompanied by the parent/designated local guardian. They should report to the hostel before5.00 p.m. on all the working days.

17. If any student is seriously sick/ hospitalized, the parent/local guardian should attend immediately to take care of their ward.

18. All the hostel inmates should give their biometric attendance between 7:00 pm - 9:00 pm every day at the hostels.

19. Parents and/or local guardians are allowed only on Saturdays, Sundays and public holidays from 4.00 pm to 6.00pm. Parents/ local guardians are not allowed into the hostel premises after 8 p.m. on any day/any reason.

20. Hostel authorities are not responsible for any loss of student’s personal items such as cell phone, laptops or any other gadgets. They should take care of their belongings. It is advised, not to reveal your ATM card pin number to any of your friends or others to avoid the misuse of the same. As a precautionary measure, hostellers are advised not to bring any valuable things and cash to the hostel and also they are advised to deposit the excess money in the bank.

21. The hostellers who wish to leave the station shall apply for leave and obtain permission in writing two days in advance. They shall also intimate their address of their stay during this period.

22. Hostellers are permitted to receive phone calls during 6 pm to 10 pm only. Talking in phone during late hours should be avoided, which causes inconvenience to the co-hostellers.

23. The damage to the hostel properties will be collected with fine from the student concerned, and if nobody is identified, the same will be included in general breakage/damage and cost will be collected from all the hostellers.

24. Hostellers are not permitted to use iron boxes and immersion heaters in their rooms. If any hosteller is found using the same is liable to pay a penalty.

25. Hostellers are not expected to have personnel vehicles on the campus. Those who wish to have personal vehicle should obtain prior permission from the authorities.

26. Celebrating parties on any occasion including birthday is strictly prohibited inside the hostel.27. Students are not allowed to play any outdoor games inside the hostel, which causes breakages and accidents.28. Any type of personal/ group meetings and parties are strictly prohibited inside the hostel/GITAM premises.

Collecting money for such activities is banned.29. All the hostellers should hand over the room in person at the end of semester/academic year to the Dy. warden/

Warden.30. If any objectionable exercise is made by the hostellers, they may be suitably penalized or expelled from the

hostel.31. The decision of Warden/ Chief Warden/GITAM authorities is final in all matters related to the hostel

administration.32. All the hostellers are bound by the rules in force as on date.33. After completion of the final semester the ward has to vacate the hostel immediately and should be

accompanied by the parent. If the ward stays in hostel after completion of the semester for any reason they should get prior permission from the Chief Warden/Warden.

FINANCIAL RULES & RUGULATIONS OF HOSTELS

1. Each student should pay Rs 50,000/- towards caution deposit, which includes Rs. 10,000/-refundable and Rs. 40,000/- non-refundable infrastructural development fund.

2. The hostels are run on actual cost basis. The monthly bill will be Rs. 6,500/- which includesRent, Establishment charges, Mess charges, Workers Salaries, Power, Water, Internet etc., thetotal expenditure being divided among all inmates. Hence, inmates are advised to useresources like water, power and food carefully and minimize wastage so as to reduce themonthly bill. The hostellers must pay the monthly bill for all months in the academic year.

3. All the students should pay their monthly bills (Including rentals) on or before the scheduleddate i.e., 20th of the month without any delay otherwise the student will be penalized with Rs100/- per day after 20th, till payment date.

4. If any student maintains his/her dues beyond two months, he/she will not be permitted to stayin the hostel.

5. Caution deposit is not adjustable to any monthly bill. This will be adjusted or refunded at theend of the course.

FURNITURE RULES AND REGULATIONS OF HOSTELS

1. Each student is responsible for the maintenance of the furniture provided in their respectiverooms. Fine will be charged on the student for any damage in the room. All the four/threestudents are responsible for any damage occurred for the furniture in the suit. The totalreplacement amount will be collected from all the four/three students.

2. Each student will be provided with 1) Cot, 2) mattress, 3) Pillow, 4) Table, 5) Chair, 6)Cupboard, 7) Table key, 8) Fan 9) Tube-light, 2 bulbs and 10) Mirror at the time of joining thehostel by the GITAM. If any damage is committed by the students to the above things thefollowing amounts will be collected respectively.

INSTRUCTIONS TO STUDENTS

Students shall carefully read the academic regulations of the program of study

Students shall lead a disciplined life on and off the campus.

Students shall attend all classes in time as per time table.

Students shall not absent for any period/ any day without prior approval from counselor.

Students’ absence for more than two days shall be endorsed by the parent/ guardian, on the day ofreporting.

Student shall secure a minimum of 75% attendance for appearing semester-end examinationsand subsequent promotion for next semester.

Students loitering outside during class work will be dealt with severely.

Students shall adhere to the following dress code.

Boys: Simple trousers, tucked-in shirt, belt and shoes. If wearing a full-sleeve shirt, shirt sleevesshould be rolled down and buttoned at the wrist.

Girls: Simple cotton/synthetic saree or dress (Salwar, Kameez or long top and chunni) with sandals/chappals.

Students shall maintain the campus neat and clean in general, and their class rooms in particular.

Students shall always wear their Identity Cards in the campus.

Students shall not use cell phones on the campus and confiscated if found.

Speed above 20Km/hr and triple riding of 2-wheelers in the campus is strictly prohibited.

Self driven 4 wheelers are not allowed into the campus

Students shall park the vehicles in the earmarked parking space only.

Students shall not venture into sea.

Attending/ Organizing any function outside the campus without approval attracts disciplinary action.

Students can approach the Counselor /Senior Counselor/ HoD for guidance/grievance redressal.

Student shall report, change of address/ contact number immediately to the counselor.

Students shall follow official notices/circulars/postings only.

Students indulged in anti- social activities will be viewed seriously.

Infringement of any of the above instructions shall attract severe punishment including suspension/ expulsion from the Institute
