UPES B. Tech Counselling Process Note

The UPES B. Tech. Centralized Counselling processis scheduled from 23th

June 30th

June 2014to allot

80% of the total B. Tech seats reserved for students seeking admission to UPES B. Tech. programs

through the UPES Engineering Aptitude Test (UPESEAT) held on 24thMay 2014.

Please go through the following note to get an understanding of this important counselling process:

1) UPESEAT merit order ranking will be generated based on the performance of all students whoappeared in the UPESEAT held on 24thMay 2014.

2) The first list of Students invited to attend the B. Tech Centralized counselling will be informedthrough a message posted on UPES website. This invitation will specify the students UPESEAT rank,

date, time and counselling venue details at his/her preferred city.

We request you to strictly follow the date and time indicated to you.

3) Change of date/time/city to attend the B. Tech Centralized counselling is not permissible. If acandidate fails to attend the B. Tech Centralized Counselling on the allotted date and time, he/she

will forfeit the chance of getting admission to a program of their choice against higher ranked

students. The student can still appear for counselling on a later date (on or before 30th June) and

seek admission to a program in which seats may be available on that date.

4) Please remember to bring the following important documents when you come for the counselling UPESEAT (Entrance Examination) Admit Card. Counselling Call Letter- Web result/ invitation 4 passport size photographs Original mark sheets of your scores in Class 10th & 12th along with one set of self-attested

photocopies. The original mark sheets will be returned to you on-the-spot after verification, and

the photocopies will be retained.

If you do not have the original mark sheets, you can also bring photocopies of these mark sheetsattested by a gazetted officer.

In case you do not have the original mark sheet of Class 12 or an attested photocopy, you canbring a copy of the result you have downloaded from the web. This copy will have to be self-

attested by you.

Demand Draft of Rs.90,000/- (part payment towards first semester fees) in favour of "UPES FeeAccount" payable at Dehradun.

Your Step by Step Guide to Counselling Process

UPES B. Tech Centralized Counselling is a computerized Process.

Please read the following step-by-step guide to the UPES centralized counselling process.

1) Reporting: Shortlisted Students will report to the counselling venue as per the assigned dateand time.

2) Attendance & Document Verification: Students will mark their attendance at the attendancecounter and get their documents verified. Candidate will be given Attendance Slip and Program

Choice Form from the same desk.

Student will not fill any program choice in the given Program Choice Form at this stage.

They are advised to fill up your choice of programs only after taking into consideration the

availability of seats in various programs when called for counselling.

3) Post attendance & document verification, students will proceed to the assigned waiting area.4) Introductory session to UPES B. Tech Programs: There will be an interactive and informative

session of approximately one hour to familiarize students with various programs being offered

by UPES. This is to help the students know more about the upcoming career options in a number

of domains and make an informed program choice.

5) Announcement of Counselling Batches: After completion of the introductory session, the firstbatch of students being invited for counselling and program selection will be announced.

Batches will be of 8 students each and will be generated strictly as per the merit order ranking.

6) Automated Computerized Real Time Seat Availability & Allotment Display: A tabular display onthe auditorium screen will show the following information:

a. List of B. Tech. programs being offered by UPES and UTMb. Seats available against each program. The number of seats on display will change in real

time as allotment of seats gets under way.

c. The sequence order of students who will be first called for the program allotmentprocess: The display will show the students UPES Application Form Number and nothis/her name.

In this image, you can see the status of seats available in each program as well as the Application

Numbers of current and subsequent batch of 8 Students who will be called from program allotment.

7) Tie in UPESEAT rank: If a student has a tie with another student in UPESEAT rank (same score),the student having a higher PCM score in Class 12 will get the first priority in program selection

(she /he will be called first to attend the counselling process).

If there is a tie in the UPES EAT score as well as the Class 12 PCM marks, the student who is elder

in age will be sequenced first to attend the counselling.

8) Student will go to the admissions counter according to the sequence of application numbersdisplayed on the screen. Students are advised to indicate their preferred program in the choice

form at this stage after taking into consideration, the availability of seats against each program.

9) Depending on availability of seats when it is his / her turn, the student can block a seat throughone of the following three ways:

a. Freeze Category - In this category, the student can block a seat in any one chosenprogram where a seat is available. Once the seat is allotted, the student will not be

allowed to change his / her program preference in future.

b. Allot & Wait List Category If the student is not getting the program of choice when itis his / her turn for counselling, he / she can choose to be in the wait list for the

preferred program by opting for the Allot & Wait List category.

The student should fill in his / her first preferred program as Choice 1. And take a

confirmed allotment as Choice 2 in a program where seats are available. The studentwill be on the wait list in his / her 1st Choice program. If the university gets refund

requests from students who have earlier blocked a seat in this program, to the point of

the students wait listed number, the wait listed student will automatically get admission

to his / her 1stchosen program.

A student has the option of being on the wait list for a maximum of one program, while

having to take a confirmed allotment in at least one program where seats are available.

Important Note: Students are requested to seek proper guidance from the UPES official

allotting the program before filling in their preference under this Allot & Wait List

category.

c. Pure Wait List Category If a student is keen on joining any one specific B. Tech.program where a seat is not available he / she can choose to be wait listed for this

program by opting to be in the Pure Wait List category.

If a seat becomes available in this program when the university runs allotment upgrades

against refunds, leading to the clearance of the wait list, the student will automatically

get a confirmed seat in his / her Pure Wait List program.

10)Branch Allotment & Payment of Fees: At the branch allotment counter, the student will handover the Choice Form and Attendance Slip to the branch allotment officer along with demand

draft towards the partial payment of the 1stsemester fees. Branch allotment officer will take the

final consent of candidate and allot a program under the category chosen by the student from

the above-mentioned three options.

At this stage, if the student is not willing to take admission in any of the programs where a

seat is available then she/he can quit the counselling process without having to make any

payment.

11)Fee Receipt, Admission Form & Registration Kit:The student who has accepted the admissionoffer will collect the fee receipt, admission form and registration kit from the same counteralong with a file cover.

12)Submission of Admission File: The student has to fill up the admission form, paste onephotograph and attach three photographs on top of the admission form. Please attach an

attested photocopy of your Class 10thand Class 12thmark sheets and submit the complete file at

the Admission Forms Submission counter on the ground floor.

13)Student will retain offer letter and the fee receipt with them for further reference. Please readthe documents in the registration kit to know details about the registration process (joining

instructions).

Attend the UPES B. Tech counselling at the city of your choice

For the convenience of students from Chattisgarh, Andhra Pradesh and Telengana - UPES is

conducting parallel counselling at Kolkata along with New Delhi on the same dates between

23rdJune, 2014 to 30thJune, 2014.

However, students from rest of India can also choose Kolkata as the preferred venue if they

wish to attend counselling at Kolkata.

Please note, your choice of counselling venue will not affect the chances of getting your

preferred UPES or UTM program.

The centralized counselling process will be driven by Automated Computerized Real Time Seat

Availability & Allotment Displayrun from a common central server on the cloud.

To reiterate, a student will get preference in selecting a B. Tech program based solely on

his/her merit ranking with the Automated Computerized Real Time Seat Availability &

Allotment Display process running in parallel/simultaneously in Delhi & Kolkata.
