A guide to dashboards for NMDS-SC account holders

This guide has been designed to help NMDS-SC account holders get the most out of their data.
Easy to use screens - called dashboards - interpret information for you, so you can do your own
number crunching at the press of a button.
This guide focuses on just four main business issues that account holders fi nd the most helpful.
Introduction
There are two types of dashboards – both available to NMDS-SC account holders:
My NMDS-SC dashboards – is what all account holders use the most. It allows them to see
their own data and also compare it with others. Remember – if you login, the NMDS-SC website
automatically loads your information, so you don’t need to do anything.
Open access NMDS-SC dashboards – this is for anyone to access and might be helpful if you
want to provide a report about the adult social care sector. The data in here is anonymous.

We’re going to look at staff overview, recruitment and retention and pay in this guide, but don’t
let us stop you looking through others.

How to access the dashboards from your account
Login to nmds-sc-online.org.uk
Then you can either access them via the NMDS-SC dashboard preview on your home screen
and click ‘show’ to the right of one of the graphs to get straight to a dashboard.
Or you can click on ‘dashboards’ on the left hand menu and select ‘My NMDS-SC dashboards’.
You can also select ‘Open Access NMDS-SC dashboards’ from this page too.

Explaining the information
The ‘What is this telling me?’ box
provides an overview of the data being
presented in the dashboard.
It’s an interpretation of the information
you have selected and may contain
questions to consider when viewing
the information.

The headers in the top blue menu provide quick and easy access to other dashboards. They are
grouped under different workforce planning topic areas i.e. workforce demographics, pay, etc and
you can simply click on them to take you to another area.
This is where you can select and alter
the information that is used to create
your benchmark group. Just click on
them and take a look at the choices
available - you will be able to focus
on a comparator group that is really
meaningful for your establishment.
Once you’ve selected the information
you require, it appears on the screen
below your selection criteria. The
information you choose is shown as
the blue bar, if you choose to show
a benchmark group, this appears as
the purple vertical line. The fi gures
summarised in the bar chart are
provided to the right in two columns
labelled ‘result’ and ‘benchmark’.
The NMDS-SC dashboards are full of really useful information and this section will help you to start
making the most of them.

Resources
The dashboards act as a diagnostic tool and can
highlight workforce issues. The ‘What resources
can help me?’ section aims to guide you towards
further information on the workforce issue you’re
looking at. From retention issues to qualifi cations,
the resources are tailored to each dashboard.
Creating a benchmark group
Use the drop down lists to select who you would
like to compare your establishment against.
Choose any combination of geographical area,
sector and service type.
■ When you have made your selection, the
dashboard will automatically update.
■ You can take a look, go back and alter, as
many times as you wish.
Export options
All dashboard data can be exported so you can use the information to paste into
your own reports, presentations etc. You can also export to excel and interrogate
the information even more.
Use ‘Dashboard Menu’ which is located at the top left hand corner of the screen
to access these options.
This dashboard helps you to check that all of your workers are recorded in the NMDS-SC.
It’s a great one for getting started. It will show you:
how many staff you have in the NMDS-SC
the number of staff at your establishment or your organisation, by job role
your data by number or percent, ordered ascending or descending, in a chart or table.
Click on ‘show’ to see worker data in detail for your whole workforce, or specifi c
job roles – see 5 (opposite).

Check to see if all of your workers are recorded in the NMDS-SC.
Click the link in the ‘Your data’ section to check if your worker information
is all up-to-date.
If your information is not complete or up-to-date then you can click on the link under
the ‘What is this telling me?’ section for quick access to your establishment’s screen, where
you can update your information.

How can I use it in my business?

Turnover is one of the biggest costs to care organisations because the expense of recruiting, inducting
and training new staff is considerable. Turnover is also a major infl uencing factor when it comes to the
experience of service users. This dashboard will show you:
the number of staff who have left your organisation
staff turnover rates
how your establishment compares to others in your local area.
You can use the ‘show all job roles’ option to explore turnover rates of job roles
you do not currently employ or have vacancies for.

Do you know your workforce turnover rates?
If your turnover rate is higher than the benchmark, use other dashboards such as pay or qualifi cation levels to see if you can spot any other differences.
Here are four ways you can use the turnover dashboard:
use the ‘your data’ summary to see how much your turnover rate differs from
your comparator group.
use your fi ndings to help calculate what turnover is costing you and what it costs similar types
of establishments; can you market yourself on the basis of low staff turnover?
use the resources section to explore free resources in the area of staff turnover, recruitment
and retention from Skills for Care.
You can also view this data by ascending or descending order to see which of your job roles
(or establishments, if you are a head offi ce) have the highest or lowest staff turnover rates. You can
then use this information to develop best practice or identify areas for improvement.

Sickness is an expense to employers and fi nding patterns in terms of sickness may help you
to plan for, or prevent any problems around lost time due to sickness in the future. With this
dashboard, you can:
see which of your job roles have the highest average days sickness
see if your worker sickness rates are higher than those in your local area
see how many staff this information is based on
switch the display to the table view to see the total number of days lost to sickness. 4

Do you know your workforce sickness rates?
If you identify high sickness rates you can use the dashboards as evidence when sharing this information with colleagues, by exporting the dashboard as a PDF, an image or opening the data in Excel .
This dashboard shows the total number of days sickness taken by your staff and the average days
per job role. You can use this dashboard to:
see the number of days sickness taken by each of your workers
(you can click on the link to see the worker records)
use the trend report to see how your staff sickness rates have changed over the past
two years and monitor how they change, if you put in place any plans to reduce sickness
use the resources section to explore free Skills for Care resources.

How can I use it in my business?

Why is this important to me?
Paying staff is a large cost for employers and an important consideration why a worker might choose to
start and continue working for you. Understanding how your pay rates compare to other employers in
your local area is one of the most useful functions of the NMDS-SC dashboards.
This dashboard shows:
median hourly pay rates for your staff (median is the middle point average of all wages)
number of staff this information is based on
the median hourly pay of the comparator group that you have chosen
if you’re a head offi ce you can compare your pay rates across your
establishments at a glance.
You can also click to show more information about different job roles.
Remember the data summary will be specifi c to the job role you have selected.

Do you know your hourly pay rates?
Remember - workers with pay recorded as an hourly rate will appear on this dashboard. If no hourly pay rates are recorded, your dashboard will be blank.
Please note: You cannot see information about specifi c employers in your area, they are all grouped
- this also means that no one can see information about your pay rates.
This dashboard shows pay information about all workers who have had their pay information created
or updated in the past 12 months. You can compare your rates to the average in your area, sector or
other comparison you choose.
Here are three ways you can use the pay rate dashboard.
Select the combination of geographical area, sector and service that you are interested
in comparing and then use this benchmark information to help you review or set your staff
pay rates.
Use the resources section to explore free Skills for Care resources and reports about
staff pay rates. These reports cover areas such as minimum wage, living wage, regional and
local authority area differences in pay.
You can use the pay dashboard in conjunction with other dashboards, for example turnover,
vacancy rates or qualifi cation rates, to see if you think your pay rates could be having an effect
on other areas of your business.

Our new dashboards’ summary page has been designed to provide some key information about your
workforce and to show you at a glance how your establishment compares to similar establishments in
the NMDS-SC.
You can see this useful screen by clicking on the summary page button when you log into NMDS-SC
and click on dashboards.
