Introduction Welcome to VaccineComplete. You now have the tools to grow your vaccination business. Use this guidebook to learn how to:

• Identify patient vaccine opportunities • View patient vaccine history • Schedule and administer vaccines • Submit vaccine activity to your state’s Immunization Information System (IIS) and

your patient’s primary care physician

Identify Patients You can generate a list of target patients through the VaccineComplete screen or the PharmacyNow screen.

Generate a patient list through VaccineComplete

1. Click on VaccineComplete in the Control Panel.

2. By default, a list of “not vaccinated” patients is displayed. Select the desired SORT or FILTER options using the Add Sorting button or the Filters button.

Generate a patient list through PharmacyNow PharmacyNow proactively identifies patients with vaccine opportunities. You will see opportunities for the following patients who are expected to visit your pharmacy that week:

• Patients age 6 months or older eligible for influenza vaccine • Patients age 50 years or older eligible for shingles vaccine • Patients age 65 years or older eligible for pneumococcal vaccine

Click on the feed icon from the Control Panel and select PharmacyNow (illustrated below).

Click on VaccineComplete Enroll to expand the list of vaccine opportunities (illustrated below).

To schedule an appointment, click on Schedule to the right of the patient’s information. In the pop-up window, fill in the appointment date and time and click on Save. Scheduled appointments are displayed in the Calendar.

You can also send an OnDemand recruitment call (only available to PharmacyGrowth users) or print the list.

Recruit Patients If you are a PharmacyGrowth user, you can record campaign messages to support vaccinations. See the PharmacyGrowth user guide for more guidance on recording campaign messages.

Administer to Patients

Open the Patient Vaccines Profile There are multiple ways to view a Patient Vaccines Profile. From the Vaccines table, click on a patient’s name (illustrated below).

Alternatively, if you are already in a Patient Profile, click on Vaccines at the top of the profile (illustrated below).

Lastly, you may hover over the arrow listed to the right of a patient’s name from the PharmacyNow screen to view the Patient Vaccines Profile (illustrated below).

Navigate the Patient Vaccines Profile The Patient Vaccines Profile identifies opportunities based on your patient’s vaccine history and eligibility based on CDC age guidelines. Vaccination records are updated on a nightly basis. The profile also displays your patient’s Vaccine History.

VACCINE OPPORTUNITIES

• VACCINE displays the vaccine name • INFO DOC allows you to view and print the Vaccine Information Statement (VIS) form • ADMINISTER allows you to record information once you administer the vaccine

VACCINE HISTORY

• VACCINE displays the vaccine name • INFO DOC allows you to view and print the Vaccine Information Statement (VIS) form • DATE indicates when vaccination was administered/reported • SOURCE indicates who recorded the vaccine • STATE IIS STATUS indicates reporting status

Administered immediate status once you save record

Accepted/Rejected accepted/rejected by state’s IIS

Pending Integration VaccineComplete isn’t integrated with your state’s IIS

Pending Administration vaccine dispensed, but you haven’t filled out Administer fields

Steps to administer

1. Click on Print Pre-Screening Form to provide consent form to your patient.

2. Click on VIS to provide VIS to your patient.

3. Click on Administer (illustrated below).

If a patient declines a vaccine, please click on Decline. A window will appear asking you to select a reason that the patient declined the vaccine.

4. In the pop-up window, fill out the required fields (and any conditional fields required in your state) and then click on Save (illustrated below).

5. Dispense vaccine from your pharmacy management system and physically administer.

Printing or faxing vaccine history PRINT

1. Click on Print and select Selected vaccinations or All vaccinations from the drop-down menu.

FAX NOTE: To fax a physician, your patient must have a primary physician listed. You can enter this information on the Patient Profile under the Physicians section, or using the Administer tab on the Patient Vaccine Profile.

1. Checkmark the vaccination records that you want to fax to your patient’s primary care physician.

2. Click on Fax.

3. Add any notes and then click on Send Fax (illustrated below).

IIS Reporting When you first integrate VaccineComplete with your state’s IIS, VaccineComplete will automatically send all historical records from your pharmacy management system to your state’s IIS. In addition, any matching records from VaccineComplete will push (even if you administered before integrating with your state’s IIS). After initial integration, VaccineComplete will send vaccination records to your state’s IIS on a nightly basis. The system will match any vaccinations that you have "administered" in VaccineComplete with corresponding vaccine records in your pharmacy management system. If a match is found, the information will be sent to your state’s IIS overnight. Additionally, whenever you open a Patient Vaccine Profile, VaccineComplete will pull any records from your state’s IIS and display them in the Vaccine History section. Once you complete all required Administer fields… VaccineComplete automatically submits the vaccine activity to your state’s IIS (if you have a matching vaccine in your pharmacy management system). If you dispense a vaccine from your pharmacy management system, but do not complete all required Administer fields… VaccineComplete will not submit a record to your state’s IIS. If left incomplete for 31 days, VaccineComplete sends a limited version of the record to your state’s IIS as a non-compliant historical record.

Check reporting status

1. In the Control Panel, the red tag on VaccineComplete displays the number of unresolved rejected vaccination records.

2. To investigate rejected records, click on VaccineComplete

3. Click on IIS Rejected to see a list of patients with rejected records (illustrated below).

Click on a patient’s name to view their Patient Vaccines Profile.

4. Under VACCINE HISTORY, the rejected record is tagged. Click on Edit (illustrated below).

5. The red field explains why the record was rejected (illustrated below). Fix the errors and re-save the record.
