Email tracking using vTiger I) Introduction

Email tracking is designed for vTiger CRM. This module is extensively developed for

tracking email sent via vTiger. This has a facility to attach document as well as select

existing templates that can be sent to intended users.

II) Requirements

vtigerCRM version (e.g. 6.0)

III) Assumptions

We assume that SMTP details (Outgoing mail server) are configured for your

vtigerCRM. If not then you need to configure the SMTP details.

IV) Features

Create Campaign

Select Lead/Contacts

Compose email or select Email template.

Track email campaign

Track link

Email tracking report.

1. Login in into the system. On successful login you will be presented with a screen as blow:

2. Click All from the top menu and select Campaign.

3. This shall list all the Campaign created till date.

4. Click Add Campaign to add a new campaign. The screen will be displayed as below. The user needs to add

necessary details.

5. To add Leads to a campaign the user needs to click contacts tab from the right hand side. The user will be

able to create new contacts or select existing contacts from here. The user needs to select at least one

record.

6. To add leads the user needs to click the Leads tab from the right hand side. The user will be able to create

new leads or select existing leads from here. The user needs to select at least one record.

7. Click on Send Email to send emails out.

8. On click of the Send Email button it will open up a popup where in the user will have to select the email

ID to which he wants to send the email.

9. On click of the Select button it will open up a window wherein the user will be able to define the details

of the email that he intends to send to users.

10. The user can also select an existing template if he has created one by clicking on the Select Email

Template Button.

11. On click of the sent button the email will be sent to all the selected users.

12. To view the tracking history of the email campaign the user needs to select email campaign option from

the All Menu.

13. On clicking the option the user will be displayed the screen as below where he will be able to view

number of clicks by specific content or lead.

14. To view the tracking history of the links clicked from the campaign the user needs to select link tracker

option from the All Menu.

15. On clicking the option the user will be displayed the screen as below where he will be able to view

number of clicks by specific content or lead.

16. To view the tracking report of the campaign the user needs to select email tracking report option from

the All Menu.

17. On clicking the option the user will be displayed the screen as below where he will be able to select the

campaign name.

18. On selecting the campaign name the user will have to select the subject for which he wants to view the

report.
