RIS: VAS SCHEDULING, UNCOMPLETE AND CANCELING

To access the RIS system, click on the RIS-Imagecast icon on the desktop. Please note that passwords in RIS cannot

be the same password as your AMC password. Your RIS username will be the same as your AMC.

SCHEDULING EXAM(S) 1. Click Scheduling Enter/Edit.

2. Find Patient or Exam screen will appear.

3. Under the Search By field, click and select MRN.

4. Type in patient’s MRN. (U or H must be included)

5. Click search.

6. Click to select patient.

7. Enter/Edit Exam window will appear.

8. Click new.

9. Under the Exam field, type in type of exam.

10. Make sure Pat. Location field and Pat. Status field is populated.

11. Type in Signs and Symptoms and Comments field.

12. Under the Attending field, type in the provider’s name and click .

13. Provider Lookup window will appear if there are multiple providers or provider has multiple sites.

14. Select the provider.

15. Under the Requesting field, type in the provider’s name and click .

16. Provider Lookup window will appear if there are multiple providers or provider has multiple sites.

17. If scheduling multiple exams, click new and do steps 9-16.

18. If done scheduling, click save.

UNCOMPLETING EXAM 1. Click Tracking Uncomplete Exam.

2. Type in patient’s MRN or click in the Search By field to select ACC. Type in accession number.

3. Click search.

4. Click to select patient.

5. Click to open Patient Exam List.

6. Click to select exam to uncomplete.

7. Click uncomplete.

8. Click OK.

9. In the Reason field, click to view reasons for uncompletion.

10. Click on appropriate reason.

11. In the Authorized By field, type in your user ID.

12. Click OK.

13. Exam will change from “C” (Complete) to “S” (Scheduled) status.

CANCELING EXAM EXAM MUST BE IN S STATUS TO CANCEL.

1. Click Scheduling Cancel.

2. Type in patient’s MRN or click in the Search By field to select ACC. Type in accession number.

3. Click search.

4. Click to select patient.

5. Click to open Patient Exam List.

6. Click to select exam(s) to cancel.

7. Click continue.

8. Cancel Exam screen will appear. Click save.

9. In the Reason field, click to view reasons for cancelation.

10. Click on appropriate reason.

11. In the Authorized By field, type in your user ID.

RIS-IMAGECAST: VAS RESCHEDULING

RESCHEDULING

1. Click Scheduling -> Reschedule. 2. Find Patient or Exam screen will appear.

3. Under the Search By field, click and select MRN. 4. Type in patient’s MRN (U or H must be included).

5. Click search.

6. Click to select patient.

7. Under the Accession Number field, click to view Patient Exam list.

8. Patient Exam List window will appear. Click to select patient.

9. Click continue.

10. Click to select exam and click continue.

11. Patient/Exam info window will appear. Click appt search.

12. Appointment Search – Automatic window will appear. Click manual.

13. Click to select exam to reschedule. Exam code will appear in the Exam field. 14. In the Exam Date and Exam Time field, put in the date and time patient is being rescheduled for.

15. Click change. New Exam date and time will appear.

16. Click confirm.

RIS: ADD, MODIFY, CANCEL, COMPLETING EXAMS

MODIFY EXISTING EXAM CODE PRIOR TO COMPLETION 1. Click Worklist Technologist. This is defaulted to the current date.

2. Click on Exam code hyperlink.

3. In the Exam field, click to look up exam code.

Type in three letters or more to search exam code.

Type in four letters or more to search exam description.

4. Select exam.

5. Click save.

ADDING NEW EXAMS DURING TIME OF COMPLETION

1. Click to select patient’s exam to complete.

2. Click Complete.

3. In the Providers box, type in your name. If there are multiple techs/sonographers, click <click to add new

row (Alt +1)> for each tech/sonographer.

4. Click <click to add new row>.

5. Click new...

6. Enter/Edit Exam window will appear. In the Exam field, click to look up exam code.

Type in three letters or more to search exam code.

Type in four letters or more to search exam description.

7. Select exam.

8. Click save/close.

COMPLETE SINGLE EXAM

1. Click to select patient’s exam to complete.

2. Click Complete.

3. In the Providers box, type in your name. If there are multiple techs/sonographers, click <click to add new

row (Alt +1)> for each tech/sonographer.Click save.

COMPLETE MULTIPLE EXAMS

1. Click to select patient’s exam to complete.

2. Click Complete.

3. In the Providers box, type in your name. If there are multiple techs/sonographers, click <click to add new

row (Alt +1)> for each tech/sonographer.

4. Click <click to add new row>.

5. Click and Patient Exam List will populate.

6. Click to select the additional exam(s) to complete.

7. Click continue. Multiple exams will appear.

8. Click save.

CANCEL EXAM(S) FROM TECH WORKLIST 1. Click Worklist Technologist.

2. Click to select patient’s exam to cancel.

3. Click cancel exam. **Exam must be in “S” status to be able to cancel.**

4. Cancel Exam screen will populate. Click save.

5. In the Reason field, click to view reasons for cancelation.

6. Click on appropriate reason.

7. In the Authorized By field, type in your user ID.

8. Click OK.

9. Click OK.

RIS | POWERSCRIBE: VAS SONOGRAPHER WORKFLOW

PREFERENCES SETUP User preferences must be set up on all workstations.

1. Log into RIS-Imagecast.

2. Click Prefs.

3. Set up preferences like screen shots below:

**Application Behavior is a user preference. If you do not like the RIS window disappearing, click to have

RIS stay on top. If you do not like RIS staying on top, click to uncheck it.

4. Log out of RIS and log back in.

WORKFLOW 1. Log into RIS-Imagecast. PowerScribe 360 and PACS should automatically log you in once preferences has been

set. . **DO NOT LOG INTO SYSTEMS SEPARTELY OR WORKFLOW WILL BE BROKEN.

2. Complete accession in RIS-Imagecast.

3. Click Worklist Exams.

4. Select VASCLAB Tech Worklist.

5. Double click on the exam to initiate report in PS360.

6. If there are exams available for association, an Associate exams window will appear.

a. To NOT ASSOCIATE: If you do not want to associate any accession number, click continue dictation.

b. To ASSOCIATE: Click on the accession number that you would like to associate. Click continue dictation.

7. Report will launch in PS360. Assign Vascular surgeon for the day to the report.

8. Dictation screen will appear. To select a macro, click on AutoText tab.

9. Click on Name to put macros in ascending or descending order. All Vascular macros will start with VAS. Make

sure that List has All Site selected.

10. If Auto Text window hides, click so that it does not auto-hide. Double click on macro to populate macro in

dictation screen. 11. If you want to see Patient Data (Age, Sex, Exam Information), click Order Data tab.

12. Click so the Order Data tab does not auto-hide. 13. Navigate mouse around to type in desired area.

You can use the Tab button on keyboard or mouse to navigate to the different fields within your macro. 14. Click Draft (Allows you to save report. Does not go into EMRs) or click Approve to create a Preliminary report.

ASSOCIATING EXAM

Associating an exam means creating one report for two accession numbers. If exam has already been Approved in

PowerScribe (PS360), exam must be associated in RIS.

1. Log on it RIS-Imagecast.

2. Click Results -> Associate.

3. Under the Search By field, click and select MRN or ACC of exam that is in Preliminary status.

a. If MRN is selected: Type in patient’s MRN (U or H must be included) or accession number.

i. Click search.

ii. If sonographer selected MRN, click to select patient.

iii. Associate Exams window will appear.

iv. Click to look up accession number in Preliminary status.

v. Click to select Preliminary exam.

b. If ACC is selected:

i. Click search.

ii. Associate Exam windows will appear.

4. Click .

5. Associate Exam window will appear. Click on the exam you want to associate.

6. Click ok. You will see the Primary and Associated Exams. Click save.

SONOGRAPHERS EDITING PRELIMINARY RESULTS

If sonographer has signed result in PS360, result must be edited in RIS-Imagecast.

1. Log on it RIS-Imagecast.

2. Click Results -> Transcription.

3. Under the Search By field, click and select MRN or ACC.

4. Type in patient’s MRN (U or H must be included) or accession number.

5. Click search. If Acc is selected, Transcription window will populate.

6. If sonographer selected MRN, click to select patient.

7. Transcription window will appear.

8. Click to look up accession number.

9. Click to select exam.

10. Click enter/edit.

11. Microsoft Word window will appear.

12. Make edits on result.

13. Click File -> Save and close window.

14. Click save/clear.

ADDING ADDENDUM

VASCULAR DOCTORS

1. Log on it RIS-Imagecast.

2. Click Provider -> Result Reporting.

3. Under the Search By field, click and select MRN.

4. Type in patient’s MRN (U or H must be included).

5. Click search.

6. Click to select patient.

7. Click to look up accession number.

8. Click to select exam.

9. Click addend.

10. Type in addendum.

11. Click close.

12. Click sign.

13. Signature window will appear. Type in your RIS Password.

14. Click OK.

11. Click save/clear.

POWERSCRIBE: VIEWING DRAFTS

PS360: SEARCH BY MRN

1. In the Quick Search window, click and select Patient MRN/Dept Num.

2. Type in Patient’s MRN (Include H).

3. Click Search.

4. In the Quick Search window, all exams that exists in PS360 for the patient will appear. All Headers (boxed

in red) within list are sortable in ascending, descending and alphabetical order.

5. Click on the Status header.

6. Click Drafted report.

7. Report preview will appear below with Report (right side) and Exam information (left side).

PS360: SEARCH BY BROWSE 1. In the Browse window, change the following:

In the Time Frame field, click and select appropriate time frame.

In the Radiologist field, click and select the sonographer who created report.

2. Click Browse.

3. In the Browse window, reports will appear.
