    VMF Tool Room Standard Operating Procedure

    Responsibility: Toolroom Attendant, McMurdo Operations

    In order to protect and maintain the toolroom inventory, the following guidelines and procedures have been established. The Toolroom

    Attendant is responsible for the day to day care of the toolroom and toolroom inventory. The Attendant consults with the Maintenance

    Supervisor and Material Control Specialist on all procedural changes and inventory modifications.

    Annual Inventory

    Main inventory is done once a year, prior to main body redeployment, and will include:

    All tools in Tool Room. All VMF Toolboxes. All tools checked out to field camps or other work centers.

    Update MAPCON Records

    Tool room records will be kept in MAPCON. See applicable Standard Operating Procedures for MAPCON data entry.

    Issue and Recover Tools

    1. Within the VMF (VMF personnel)

    Additional tools will be, at any time, assigned to the toolboxes upon request of the mechanic. These are added to the tool box inventory and signed for by the mechanic.

    Any specialty tools that are in short supply or is only needed for a certain job are signed out on the daily log sheet and returned when the job is completed.

    2. Outside the VMF

    The tool(s) will be checked out on the RPSC general tool checkout form with the following information:

    Name Work center Work phone # Supervisors name Date checked out Quantity Tool description Tool item # Signature of the individual checking out the tool(s). Redeployment date Science event number (T-#,S-#) Field camp (if applicable)

    When the tool is returned the date is recorded on the tool check out form and returned to stock.

    If a tool is late in being returned, notify the work center of the individual. If the tool is still not returned in a timely manner, the VMF Supervisor will notify the employees supervisor.

    Check Out and Recover Tool Boxes

    1. Tool boxes are issued to an incoming mechanic by the tool room attendant.

    2. The mechanic and the tool room attendant do an inventory of the tool box at the time of issue to insure all tools are accounted for.

    3. The tool box inventory list is then signed by the mechanic agreeing that all tools are accounted for.

    4. Additional tools will be assigned to the tool box upon request by the mechanic. With the exception of specialty tools and tools that are in short supply, these are then added to the tool box inventory list and signed for by the mechanic.

    5. When the mechanic leaves the ice, the tool room attendant and the mechanic will do an end of season inventory of the tool box. All tools are to be returned, broken or otherwise.

    6. When all the tools are accounted for the mechanics departure slip is then signed.

    7. The tool box is then prepared for an incoming mechanic.

    Procure Tools

    1. Make every effort to acquire tools from another work center that is over stocked.

    2. Tool requisition orders for replenishment should be taken from the inventory. The tool requisition form is given to the Maintenance Supervisor complete with the following information:

    Suggested vendor (optional) the tool requisition form is then given to the Maintenance Supervisor.

    4. Receiving of tools.

    Tools will be assigned a location and the Materials Control Specialist will be informed of this location.

    Repair Tools

    Damaged and broken tools will be taken out of inventory and classified as one of the following:

    1. Repairable

    If the tool can be repaired locally it will be fixed and returned to stock. If the tool must leave the ice for repairs an ER&R form must accompany it upon

    its repair and return it is returned to inventory.

    2. Tool under warranty

    An ER&R form must accompany it, upon its return it is returned to inventory. 3. Unrepairable

    The tool is removed from inventory and disposed of, a replacement is then ordered.

    Other Duties

    1. Clean and mop toolroom on a weekly basis.

    2. Insure accuracy of inventory quantities and locations.

    3. Other duties as assigned by Maintenance Supervisor.
