Theatre styleTheatre style seating is considered the best way to maximise space, but does not lend itself to note taking or group interaction. It is ideal for events that feature staged entertainment or speakers.
Boardroom styleBoardroom style seating is applicable to groups that generally gather around one large table in this style.
U-shapedThis style of seating consists of tables in a u-shape. Attendees are seated around the shape facing each other, but there is a space between the tables that can be used for presentations.
Round/longSeating style almost always used at functions that include food.
CabaretSimilar to banquet seating, but the chairs are placed around one-half of the table. The chairs all face the front of the room. Suitable for conference and seminar events.

To Confirm your event at the National Portrait Gallery a deposit will be required to the value of the venue hire or 20% of the confirmed booking which ever is the greater. Your event will not be confirmed until your deposit has been paid.
Further chargesAn additional $250 per hour maybe incurred if your event exceeds thetime listed in your contract.
Tentative bookingsTentative bookings are held for aperiod of seven (7) days. After thistime, the National Portrait Galleryreserves the right to cancel or replacethe booking.
Food and beverageThe Fresh Collective has been awarded the licence to provide the Gallery's catering and cafe services.
Audio visualThe Terrace Room equipmentincludes a screen, data projector,lectern with microphone, cordlessand lapel microphones, flipchartand electronic whiteboard. Allpresentations are to be supplied on athumb drive and the National PortraitGallery laptop will be utilised. No otherlaptop equipment is to be used. Thereis no audio visual equipment includedin the hire of the Gordon Darling Hall.This equipment will need to be hired.The Gallery cannot supply technicalsupport for any equipment other thanthat supplied by the Gallery.
Other equipmentOther equipment required may besupplied by you or hired. Please ensureall electrical equipment entering theGallery has been tagged and testedwithin the last 12 months. If testing isnot up-to-date, the equipment will notbe permitted to be used.
Privacy clauseThe information you are asked toprovide to the National PortraitGallery is personal information andis protected by the Privacy Act 1988.This information is collected tomanage your event booking. Thedetails remain on a database andthe Gallery will not disclose thisinformation to other parties otherthan in accordance with the PrivacyAct 1988.
Risk assessmentAll equipment brought in for afunction must be discussed withthe Sales Events Manager prior to the function. Depending onyour event requirements it may be subjected to a risk assessment prior to confirmation
The risk assessmentWill require the client’s signature toacknowledge and manage the risk andmust be received fourteen (14) daysprior to the event.
Photography policyPhotographs may be taken withhand-held devices, in non-restrictedgallery spaces for personal use. Flashphotography is not allowed, nor is theuse of tripods or monopoles. Pleaseobserve photography restrictionswhere labelled. Photography isallowed in the Terrace Rooms, GordonDarling Hall, the Tim Fairfax Forecourtand Liangis Theatre and any of theservice areas such as Portrait Café andThe Curatoreum. Photography is alsoallowed outside the building in thegarden and precinct.
DecorationsCandles, sparklers, incense, confettiand table scatters are not permittedinside the National Portrait Gallery.All flowers must be delivered toLoading Bay 2 for insecticide spraying.
Security and cleaningVenue charges include security andcleaning costs.
DeliveriesPlease ensure all deliveries, includingdécor and entertainment, are madeto Loading Bay 2. Security and entryto Loading Bay 2 is available seven(7) days a week from 8am –60pm. Security can be contactedon 02 6102 7178. All goods should becollected the day after the function.Goods not collected will be discarded.
Opening hoursThe National Portrait Gallery is openevery day except Christmas Day.The Gallery opens to the public at10am and closes at 5pm. Pleasebe aware that if you are planning afunction within these times you maybe required to share some commonareas with the public. For functionsoutside these times, the spaces will be exclusive to your guests.
ParkingThe Gallery’s underground carparkcan be accessed from Parkes Placethat is off King Edward Terrace. Thecar park is open 7 days per weekand there are 150 car spaces and ofcourse parking spaces for people withmobility difficulties are provided inthe carpark close to the public accesslifts. Paid parking applies Monday toFriday 8.30am to 5pm daily, excludingweekends and public holidays. Visitorscan pay for parking at the pay stationsin the basement lift lobby or at the
boom gate. Cash, Visa and Mastercardpayments are accepted. Credit cardpayment can be made at the exit boomgate. Venue hire delegates parkingall day are entitled to a discountedrate. Clients may organise to havetheir guests parking added to theirfinal invoice. There is a pick-up andset-down space in front of the Galleryon King Edward Terrace near the mainentry for buses and VIP drop off.
Electrical equipmentThe ACT Occupational Health andSafety Act 1989 places a duty ofcare to provide a safe workplace. Tomeet the duty of care it is necessaryto ensure that risk of injury fromelectric shock and uncontrolledfire for all people at the NationalPortrait Gallery is reduced as far as isreasonably practicable. A method ofachieving this duty is by testing andtagging electrical equipment, andimplementing procedures for useof electrical equipment. Thereforeplease ensure all electrical equipmentcoming into the Gallery has beentagged and tested within the lasttwelve (12) months. If testing is notup to date, it will not be permitted tobe used.

Please see below a list of terms andconditions for the provision of venuehire at the National Portrait Gallery.Understanding these guidelinesenables both parties to produce asuccessful event.
1. Basis of agreementAny agreement made for the useof the National Portrait Gallery ofAustralia (abn 54 742 771 196) (NPGA)facilities between the User and theNPGA. These conditions are anintegral part of the Agreement.The User will also comply with anyfurther conditions, which are setout in any letterform from the NPGAprior to the event being held.
2. AdvertisingAll advertising and promotionalmaterial associated with the proposedevent that refers to the NPGA mustbe approved by the NPGA prior tothe release. The NPGA logo is notto be used without approval of theNPGA. No commercial advertisingsigns, boarding, banners or the like arepermitted to be erected in a publicarea within the NPGA premises or itsprecinct without prior approval.
3. AccessAccess to the building by the User isrestricted to those areas approvedfor the specific event. A nominatedrepresentative of the NPGA shallhave access at all times to any areasbeing used for an approved event.The NPGA reserves the right to refuseentry to the NPGA to any individualattending the event.
4. Conduct of eventsThe User shall conduct an event in anorderly manner, in accordance withrelevant laws, in compliance withany instructions issued by NPGA andvacate the NPGA by the end of the
event. The NPGA or its representativereserves the right to remove anyperson who does not comply withthese instructions. The User shallnominate a person who is responsibleand held liable for the conduct ofthose attending the events. The Usermust remove all goods and materialspromptly on completion of the eventand leave the NPGA premises cleanand tidy unless prior arrangementshave been arranged.
5. Protection of works of artand fabricsSpecial precautions will be requiredfor the protection of works of art andbuilding fabric. All Users will be advisedof such precautions and are requiredto co-operate in implementing them.
6. Public areasWhere events are held in areasnormally open to the public, the Usermust clear the areas of all temporaryinstallations, immediately followingthe event, so as to allow public accessto be restored as soon as possible.
7. SmokingSmoking is prohibited at all NPGAfacilities including entrances to thebuilding, car parks and surrounds.
8. Private viewingsA private viewing of the NPGApermanent collections or temporaryexhibitions must be arranged two(2) weeks prior to the event date. Aprivate viewing is generally for one (1)hour only. The User must pay to theNPGA all private viewing costs andany additional exhibition entry fees.Private viewings on Public Holidayswill incur a 25% surcharge.
9. Catered eventsCatering is restricted in gallery spaces.Catering is required for all eveningevents and events in the TerraceRooms. Where catering is required,the User is required to use the servicesprovided by NPGA’s contractedcaterer, The Fresh Collective. You willbe invoiced by The Fresh Collective. Ifyou wish to use an alternative caterer,including self-catering, writtenpermission is required by The Fresh Collective and Gallery management.
10. Exhibitions and other events1) For all exhibitions and stage set-upsproduced by outside contractors,plans and power requirementsmust be approved by the NPGAa minimum of fourteen (14) daysprior to the event.2) The NPGA does not permitanything to be attached or fixedonto or into the walls.
11. RiggingEvents involving the constructionof rigging or staging not providedto the User by the NPGA must becoordinated through a stagingcontractor approved by the NPGA.Rigging must be approved by theNPGA fourteen (14) days prior tothe event.
12. Force majeurePerformance of this Agreementis contingent upon the NPGA notbeing wholly or partially prevented,restrained, obstructed or delayedfrom making arrangements associatedwith the event due to factors beyondits control, including but not limitedto industrial action, accidents,Government (Federal, State or Local)requisitions, or restrictions on travel,transport, food and beverage supply.In no event shall the NPGA be liable for
the loss of profit, or for consequentialdamages, whether based on breach ofcontract, warranty or otherwise.
13. Responsibility for lossor damage1) The User is liable for andindemnifies the NPGA from andagainst all actions, claims, demands,losses, damages and expensesfor which the NPGA shall or maybecome liable or suffer in respectof:a) Damage to artworks or otherproperty of the NPGA arising out ofor in the course of the event exceptto the extent that such damagearises from the negligence ordefault of the NPGA;b) Injury to or death of any personarising out of or in the course ofthe event except to the extent thatit arises from the negligence ordefault of the NPGA;c) The breach of any law arising out ofin the course of the event;d) Any infringement or breach by theUser of any copyright, performingright or other protected right inrelation to the event; ore) Any breach of this agreement by theUser;2) The NPGA accepts no responsibilityfor any loss or damage to theproperty of the User or third partywhether on premises or left on thePremises prior to, during or after event.
14. ConfirmationTo Confirm your event at the National Portrait Gallery a deposit will be required to the value of the venue hire or 20% of the confirmed booking which ever is the greater. Your event will not be confirmed until your deposit has been paid.
15. CancellationsYou many cancel up to 3 months prior to your event and your deposit will be refunded. Deposits will only be refunded after 3 months prior to your event if another booking is secured on the date of your booking. Cancellation within 30 days of the date of your function will incur a fee of 25% of the quoted charges Cancellation within 7 days of the date of your function will incur a fee of 100% of the quoted charges. Cancellation due to imposed Covid restrictions within 7 days of you event may incur costs of food and labour only.
16. PaymentWhen final numbers have been confirmed 4 days prior to your event, your invoice will be sent. Full payment is required prior to the event date. Any variation to our payment terms will need to be approved in writing by The Fresh Collective accounts department at the time you confirm your event. Any additional costs will be invoiced the next business day after your event and payment is required within 7 days.
