Our preparations are well underway for this event and we are delighted to be sending you this information pack to enable you to prepare your teams. This will be a Mixed Ability Festival designed to encourage equal opportunity and playing time for all minis players with the emphasis on acknowledging effort, improvement and teamwork, not just winning. Each team will play a series of 5 games each against teams of similar mixed ability. We intend the event to encourage play in a fun, healthy environment for the positive development of all players and a great day out for everyone. We are sure you will support us in making this the reality. Programmes will be sold on the gate and will be £3.00 each. It would greatly ease congestion and the parking process if spectators could have correct change ready to purchase these.

5th November 2017 First Aid St. Johns Ambulance will be stationed on the lower pitches (see site plan) and a first aider will be present at each set of age group pitches, however it is recommended (though not a prerequisite) that clubs attending should also bring appropriately qualified first-aiders to accompany their teams.

BRFC Accident/Incident forms will be available at the age group control points. Coach/Referee Briefing All clubs must provide a referee for each team entered. A meeting for all coaches and referees will be held at 9.30am at the control tent. Please make every effort to attend and ensure that any relevant details are passed onto other coaches as necessary. Matches will begin promptly at 10.00am

Registration All players must be registered with the RFU. Due to insurance regulations only registered players can take part. Individual coaches must ensure that his/her players are covered by the RFU insurance schemes. A team sheet will be sent to you separately to this information pack. Please fill it in and bring it with you on the day; teams must register with the relevant age group Control Tent before the start of play.

Studs and Gum shields Referees may be checking studs and gum shields on the day, however it is each clubs’ responsibility to ensure that their players are properly equipped and safe to play. Gums shield are recommended for all age levels and required for Contact Rugby (U9s and over). We will have studs, gum shields and other appropriate accessories available for purchase at the club shop on the day. Photography DE Photos will be present at the festival taking photographs throughout the day, with facilities for you to purchase prints of the day’s action. Parental consent will be assumed unless written notification is otherwise received. Any team/age group who have children playing

5th November 2017 without photographic consent must inform DE Photo on the day of competition to ensure that RFU safeguarding guidelines are adhered to.

Food and Drink

Refreshments will be available to purchase throughout the festival. Litter All teams will be provided with a black refuse bag at registration. Please encourage the children to deposit ALL of their rubbish into the bags and return to the control tent at the end of the day. Pitch Inspections and Go-Ahead Clubs will ONLY be notified in the event that the pitches are unsuitable for play after our pitch inspection on Saturday Morning or earlier if obvious weather issues have occurred.

Safeguarding Any Safeguarding incident relating to Basingstoke RFC premises / teams must be reported to the Club Safeguarding Officer, Sarah Whatmore.

Each Age Group will include a maximum of 10 teams per age group playing on 2 pitches. All teams will play 5 games each. Should timings need to be amended from the published timings (in the programme) the Age Group Control Tents will have details of any revisions to the schedule. Presentations There will be a presentation of trophies at the end of the festival awarded for teams displaying excellence in the core values: TREDS (Teamwork, Respect, Enjoyment (medals for each player), Discipline and Sportsmanship).. Details on the timings of presentations will be given on the day by each age group.
