• In line with the proposed Safety at Sports & Recreation Events Bill, awaiting promulgation, which states that all event venues and stadia should have permanent, on-sight medical facilities, the Coca-Cola dome has gone into partnership with Medical Management Consultants (MMC) to provide a 5 star clinic for all events at the Coca-Cola dome.
• The Coca-Cola dome Medical Clinic is fully equipped to manage imminent medical emergencies and sudden events that may threaten or endanger lives, and allows advanced life support paramedics, emergency medical practitioners, trauma nurses and experienced personnel to treat anyone in any medical emergency before transferring them to a higher care facility. Emergency vehicles are on standby and the clinic will make all necessary arrangements with the surrounding hospitals. MMC has invested over R200 000 in life saving equipment and medical equipment while over R100 000 was spent in upgrading the facility and reception area for the clinic.

MeetInGS
Operation meetingsThese are meetings that are scheduled at intervals prior to an event / exhibition. Every client is required to attend these meetings. More meetings may be scheduled if the event is complex or if technical information is incomplete. At these meetings, the client will be asked questions regarding times, equipment, staging etc. It is imperative that one voice representing the client answers these questions. This one voice must be empowered by the client to answer all technical questions, determine schedules and incur expenses regarding their specific requirements. When the client is represented by a Committee, the committee members need to discuss their needs prior to the operations meeting, designate their spokesperson and delegate decision making authority.

SAMRo LIcence
SAMRO - the South African Music Rights Organisation - is the main body in Southern Africa representing music performing rights worldwide.
One of the most important ways in which music artists worldwide are able to earn income is through royalties paid on the public performance of their work; they have Performing rights over their music.
SAMRO’s key function is to administer the performing, transmission and broadcasting rights in the musical works of its members and members of affiliated societies.
SAMRO is concerned with the right to perform music in public, including the right to broadcast it. In other words, no one may perform music in public, including broadcasting, without prior permission of the composer. SAMRO manages this using the Copyright Act.
SAMRO issues a licence authorising the licensee to use music within the worldwide scope which SAMRO represents.
The payment of the licence allows the licensee to publicly perform music within SAMRO’s scope, without fear of infringing on the Copyright Act and being sued.
Why do you need a licence as an Event Organiser:
As a user of copyright music it is a requirement under the South African Copyright Act that you pay for the music that is broadcast, performed or played as background during your event.
Music users are broken down into different groups:
• essential users (broadcasters, promoters and others);
• necessary users ( discotheques, nightclubs, etc);
• background users (restaurants, retail establishments and hotels);
• incidental users (background)

• The tariff states the following
*P - MUSICAL SHOWS IN HALLS, THEATRES AND AUDITORIUMS
This tariff applies to the performance of music in musical shows staged in theatres, halls, stadia, auditoriums and any other premises, however described, and to which admission is gained by payment at the door, by purchase of a ticket or by payment of membership subscription which includes the right of entry to one or more of such shows.
How to acquire a licence for your Event:
SAMRO issues licences on an annual basis, for a season or for a single EVENT such as an exhibition, concert, corporate event, dance, etc. on a “one-off” basis.
SAMRO grants a licence to music users who enter into a licence contract and pay the applicable fee.
To do this you must fill in the SAMRO Application for a Copyright Music Licence form and submit to SAMRO together with the applicable fee. See contact details below.
Music users should be aware that the penalties provided by law for the infringement of copyright include an interdict, damages and costs. Should it be established that a performance has taken place without a licence, SAMRO reserves the right to institute an action of copyright infringement against the owner of the event.

During final inspection after clean-up on the breakdown day, the client is to return these amenities in the same condition as received.
Only approved, good quality toilet paper, paper hand towels and soap may be used. With notification to the client, the venue has the right to remove any items which are not up to standard. Only pink soap is permitted in the soap holders.
The event cleaning contractor must clean
• all loading areas;
• all outside areas utilised for the event;
• all ducting (sand, bark etc,)
The recommended manpower is one cleaner per toilet facility and one cleaner per 1 000 sq. meters.
The event cleaning contractor is responsible for moving all waste including sand, tiles, concrete, bricks, crates, wood, hay bales, boards, boxes, plastic, etc. to the refuse area located in tower A.
At this point the venue’s contracted house cleaner compacts that waste which can be compacted; and the event cleaning contractor moves the rest into the skips.
A certain number of compactors and/or skips are included in the Venue Hire Contract; thereafter additional compactors and skips used during the event will be invoiced to the client’s final account.
Important Note:
• As per the Occupational Health & Safety Act (OCHSA), the venue is responsible for removing refuse. The event cleaning contractor is responsible for removal of waste to the refuse area. Should any rubble be left in undesignated areas, the Events Department will remove the waste and invoice the client accordingly.
• The venue floor can be damaged by certain cleaning machines (i.e. bristles are too hard and scratch the floor); hence only approved cleaning machines may be used by the event cleaning contractor.
• As the cleanliness of the venue has a direct impact on the venue’s image and the event, the Coca-Cola dome is particularly strict in terms of cleaning and only those permitted cleaning suppliers listed may provide a service in the venue.

Electricity is supplied to a number of different points throughout the venue and a large number of the supplies are on our emergency power grid. Please note that all of the points of supply detailed below are three phase supplies.
Electricity consumption is evaluated by an independent contractor who downloads consumption data from the Enermax meters located in our distribution rooms. The consultant will provide details of the consumption figures and the associated costs after each event.
main Arena:
Power for the main arena can be drawn from distribution points in the ducting on the main arena floor or from combinations of 32A and 63A connections located underneath the mezzanine level.
The main arena ducting is supplied by five 125A and four 60A circuits. These circuits supply one or more distribution boxes in the ducting that have varying combinations of 32A and 63A connections. For a more detailed description of the main arena reticulation please contact the Events Manager.
Most of the supplies to the main arena are supplied by circuits that are fed from one of our four generators. In total we are able to provide 800A of power to the main arena, all of which is supported by our emergency power systems.
mezzanine:
The mezzanine level has a number of 32A C-form connections fixed to the perimeter wall which are available for use by our clients.
All of the 32A circuits on the mezzanine level are supported by our emergency power systems.
The combinations of 32A and 63A connections that supply the main arena can also be reached from the mezzanine level.
Whenever possible the electrical contractor for an event will utilise the points of supply that are supported by generation and will only utilise the standard supplies in the unlikely event that there is insufficient power available on the emergency grid.
The venue will be more than happy to meet with the client and their electrical contractor in order to determine the best points of supply for any given event.
The electrical contractors on our preferred suppliers list are all accredited to work within the venue and have all demonstrated that they are aware of their responsibilities and the requirements placed upon them by amongst others the Occupational Health & Safety Act and SANS 0142-1.

This section refers to the process to be followed
1. when drawing a floor plan so that all Fire & Emergency Management Services (FEMS) regulations, general safety policies and venue guidelines are adhered to,
2. to ensure the venue remains within its legal capacity,
3. prior to allowing tickets to be available to the public whether at fee or at no charge
FLooR PLAnS (drawing & approvals)
the Coca-Cola dome will not be liable for floor plans drawn by other suppliers who use incorrect versions of the floor plan which result in the layout not fitting or being in the incorrect position in the venue.

No event may begin to sell space or open tickets to the public without these approvals.
FEMS requires that every detail applicable to an event is clearly indicated on the floor plan. This is event dependent and can relate to displays of any kind (vehicle, table, structural, etc.), jumping castles, bungy trampolines, FOH, jimmy jibs, camera platforms, bookshops, workshops, theatres, etc., etc.
The Event Manager will confirm acceptance of the proposed floor plan subject to, and after checking the following aspects:

• Compliance with mandatory aisle widths;
• Compliance with mandatory requirements as set out by Johannesburg Fire & Emergency Services;
• Location of void areas;
• The anticipated attendance does not present significant risk of overcrowding;
• Documentation of non-compliance and integrity of any risk assessment.
FEMS require the final floor plan to be submitted for approval thirty working (30) days prior to the commencement of build-up. Once the plan has been submitted to FEMS it may not be altered.
When the event is on site and the Fire Inspections are held, FEMS will use the final approved floor plan when they come on site and inspect. They will compare the actual layout to that of the floor plan signed off and should they find differences between the two, they will decline final approval until such time that the layout is rectified to resemble the plan and if not done have the right to either withhold approval for opening of the event or fine the organizer.
Hence it is vitally imperative that EVERYTHING be indicated on the floor plan.
If for any reason, the organiser of an event fails to comply with the requirements above, the Coca-Cola dome cannot be held liable for non approval of floor plans from FEMS or FEMS requiring changes to plans already on sale and any costs related to making these changes.

» Events Manager to check the capacity is as per the approved floor plan and as per the venue legal limit
• 3rd step
» The ticketing agent to send ticket samples for each price category for the venue to check all venue related information is correct
» The ticketing agent to deliver a real ticket so that the venue can assess the protections that are in place such as water marks, UV marks, etc. to ensure it is authentic and cannot be duplicated and fraudulently manufactured, thereby raising concerns regarding exceeding the legal capacity of the event
» Once the ticket has been approved, the organiser is free to open sales/begin distributing tickets.
» No tickets may be sold/made available until the above process has been completed
According to the Occupational Health & Safety Act and other by laws, our CEO and General Manager are ultimately responsible for the safe-keep of people entering our venue and if the legal capacity is exceeded they will be held liable and prosecuted hence we are particularly strict on the this aspect.
