OPENING REMARKS

The Mission of the Student Activities Committee is: To deliver a common, high

inspire, enable, develop, and support students as the future leaders of our

profession.

MGA SAC GOALS FOR 2016

In 2016, SAC is focusing on the following points:

Industry Partnerships for SAC and Career experience for Students

– Background: We are encouraged to look for external funding

opportunities (industry). This can also help us to develop a strategy in

which IEEE is a good asset for Students to find a job and remain with

IEEE

– Target: 3 Companies signed up for partnership by end of 2016. Active

participation of them on Job site/resume Lab. IEEE seen by students

as a good career push.

– Lead: TBD

Change the Rebate System

– Background: Started by 2014 SAC. Solution to encourage reporting

and Student Branch vitality as well as an improved student member

experience.

– Target: Modify the 2015 alternative rebate model tying section rebate

to SB reporting and Motion to MGA Board by end of 2016.

Going forward, SAC will continue to support core products and services but special

attention will be given this year to ResumeLab (Students will be encouraged to take

advantage of this exciting new benefit and Career Resources) and Collaboratec

SAC will meet in Chicago 8-10 July.

STUDENT AWARDS

The student awards platform was opened in January to accept new nominations for

2016 with the exception of the Student Enterprise Award. The donor who was

funding this program ended his agreement with IEEE in 2015. The platform was

closed as of 15 February 2016 and we currently have a total of 270 complete

nominations under review by our judging committee. Fulfillment and outreach to

winners will begin in July 2016.

REBATE MODEL TASK FORCE UPDATE

The SAC committee spent significant time over the meeting discussing and

preparing the model which is sent as Action Item for MGA during the November

Board Series. More information can be found on the SAC Action Item.

The problems SAC tries to solve with this change are

SAC Lost the ability to effectively communicate with student branches and

gather current contact info

IEEE is missing a formal mechanism for Student Branch – Section interaction

and Support model

The solution proposed passed as a SAC Motion in 2015:

SAC to propose to MGA that student branches files reports into vtools and

send to Section SSR/SSAC, the branch report is incorporated into the L31

Section report, and sent to MGA.

A paymentis sent to the sections based on student branch activity reported.

The student branch rebate is sent to the section. The branch is notified about

the rebate sent to the section. The branch requests their rebate from the

section

This plan has now been modified through positive collaboration between

SAC, Geo Unit and Membership Engagement and Life Cycle Committee

leadership.

Highlights of the modified proposal:

Sections are given approval authority for the formation and dissolution of Student

Branches and participate in the planning and support of activities to improve Branch

vitality

The Sections will be further compensated with a special allotment based on Branch

membership for Branches that submit an annual plan and hold a minimum of four

meetings or activities on a calendar year basis

The Section rebate will include $xxx per Branch having met the following

conditions:

1. Section SAC and SSR (one each) are assigned to each Section with voting

rights/alignment with Region

2. Branches report their activities to the section, the section monitors for

performance management

3. Branch must have x members

Next steps:

STUDENT PROGRAM HIGHLIGHTS The Global Student Facebook page continues to see a growth rate of about 800+

new likes each week. The total likes are nearing 395,000. Direct one-one-one support continues to be provided to all new branches and

chapters, totaling 90 Student Branches and 146 Student Branch Chapters.

The first Branch Counselor and Chair newsletter launched in April and had an open rate of nearly 25%.

The Student Program webinar conducted in March highlighted key components of the student experience and resulted in 130 registrants. The follow up survey

produced great feedback.

A Student Program brand is currently in development. A brand identity is currently being worked by MINT and will be socialized this summer and is expected to launch

by September. Enhancements to the current Section Vitality Dashboard are currently underway

which will provide Branch leaders with a one-stop-shop for obtaining membership information.

New platforms are being used in the Student Program in effort to synthesize the awareness and utilization of funded programs, including MBPAC, Life Members, and

SPA.

IEEEXTREME

– Lead: Student Branch Rebate Task Force Going forward, SAC will continue to support core products and services but special attention will be given this year to ResumeLab and Collaboratec. IEEE ResumeLab is an online service that allows IEEE members to develop a resume or curriculum vitae using a wide array of resume templates. Members can also perform mock interviews using over 900 potential interview questions or develop letters, portfolios, and skills assessments to use during the interview process. Best of all, the information developed on IEEE ResumeLab can be easily shared with potential employers, mentors, or colleagues via a personalized Web site. Currently, we have approximately 1900 IEEE Student Accounts on this career tool. Overall ResumeLab users continue to grow as this tool is being used by not just students, but those who transition into early career young professionals.

REBATE MODEL TASK FORCE UPDATE The Task force is setup and has met twice and is starting a research group within Collabratec. The target is to have a preliminary proposal for a model change by the July SAC face to face meeting and vote internally. Then a proposal will then be presented to MELCC and then to the MGA Board in in November. The task force includes SAC members as well as Staff and Section volunteers with experience managing large sections with a large number of branches, to avoid a model with increased bureaucracy and burden on Sections.

New Student Branch Formations

• Over 200 new Student Branches have been formed since 1 January 2015.

• The current petition process and all corresponding communications are currently being reviewed and updated

• A 2015 strategy is underway to increase interactions that new branches have with the Student Services team during the petition process

• The following will be proposed as additions to the New Branch Formation Process:

– Addition/change of budget line item to offer start-up monies for new Student Branches (alternative to current rebate model)

– Development of interim welcome to IEEE kits with branded giveaways

Management of Student Data Quality

• Added new features to the online membership application to streamline the school selection process of members

• Developed standard operating procedures for consistency in entering

IEEEXtreme Update • Competition is slated to be held on 24 October, 2015, with a registration

period spanning the start of August through the start of October (including IEEE Day)

• PR Ambassador program is continuing to mature this year; we are currently procuring applications of interested volunteers for Xtreme 9.0

• There is a burgeoning partnership between Xtreme and IEEE Academic to create some original academic content/educational videos

• Competition quest development is well underway, with 23 questions already in active development by volunteer Judges and a few more proposed for use

Social Media Update

• The IEEE Global Student Facebook page has nearly 339,000 likes and is averaging approximately 1,000 likes per week

• The IEEE Xtreme Facebook page has nearly 74,000 likes Right Now System Update

OPENING REMARKS The Mission of the Student Activities Committee is: To deliver a common, high quality IEEE Student Member experience globally, for lifelong, professional success through IEEE. The SAC Vision is: To be recognized as the global platform to inspire, enable, develop, and support students as the future leaders of our profession. In 2014, SAC aligned activities with the stated objectives of the Member and Geographic Activities Board, specifically, (with added student member emphasis):

• Goal #1: Deliver a World-Class IEEE (Student) Member Experience • Goal #2: Expand IEEE’s Global (Student) Membership Presence • Goal #3: Modernize the (Student) Volunteer Experience

POTENTIALS MAGAZINE DIGITAL EDITION IEEE Potentials has moved to a digital format utilizing the Qmags platform employed by Spectrum Magazine. In order to improve accessibility for students around the world and deliver a high quality format in mobile, tablet forms, Digital Potentials will be offered for IEEE membership. Currently, the July/August Ironman issue has been digitized for distribution. By the end of the year, the Sept/Oct and Nov/Dec issues will be available in digital format. In addition to the transition to a digital format, IEEE Potentials has also included highlights on IEEE Young Professionals and career products to help bridge the connection between IEEE Students and higher grade membership. REGIONAL PAPER CONTESTS Though the Life Members Committee decided to sunset its support of the Student Paper Contest, LMC has earmarked continued funding for alternative projects and proposals in 2015.

STUDENT AWARDS The Awards Subcommittee was led by Arjun Pillai in 2014. Process improvements have included a smoother review process for the volunteer committee members handling scoring. Nominations for the 2014 awards were opened on a virtual platform on 15 November 2013 and closed 1 February 2014. A total of 439 completed applications were received. The Awards program is year round as nominations are received from November to February for the previous academic year, with judging from April to August and announcements and fulfillment from September through November. Currently, the awards have been finalized and will be announced shortly before the 2015 award nominations open. IEEEXTREME 8.0 IEEEXtreme, let by Sinan AlSheikh is a global challenge in which teams of IEEE Student members, supported by an IEEE Student Branch, advised and proctored by an IEEE member, compete in a 24-hour time span against each other to solve a set of programming problems. IEEEXtreme 8.0 was held on 18 October 2014. IEEEXtreme 8.0 is currently managed by an ad-hoc subcommittee with many volunteers and staff members lending their time to the judging, technical stream, sponsorship, social media, marketing and administrative execution. See ieee.org/xtreme. Results from IEEEXtreme 8.0:

• 2,288 teams from over 60 countries—with over 5,900 students and 600 proctors—registered for the competition.

• Over the 24 hours more than 320,000 solutions were compiled and tested by teams.

• Quality of competition problems remained at a high level—less than 10 teams fully solved every competition question.

• Top 5 teams: 1. “viRUs” from Reykjavik University (Iceland) 2. “WhySoConcrete” from New York University (USA) 3. “oops” from University of Moratuwa (Sri Lanka) 4. “SYSUillidan” from Sun Yat-Sen University-Guangzhou (China) 5. “FZL” from Sun Yat-Sen University-Guangzhou (China)

IEEEXtreme has adopted a new business model as of this year. Digital prize bundles are currently being disseminated to all participants, with the top 100 teams receiving tangible “top coder” tee shirts and gift bags as well. A new leadership model has also been socialized with the incoming Chair and with the Member Engagement and Life Cycle Committee. Xtreme, now an ad-hoc, is poised to become a standing Subcommittee of SAC in 2015. SOCIAL MEDIA REACH The IEEE Student Member social media presence is on the following sites:

• *As of November 22, 2014 STUDENT BRANCH ENGAGEMENT (As Reported by Staff) A focus on IEEE Student Branches in 2014 produced valuable resources that were made available to students on demand via the Student Concourse. The resources included the following:

• Student Travel Grants repository • IEEE Student Branch Manual and Counselor Guide - presentation version • IEEE Student Branch Manual and Counselor Guide - audio version • IEEE Student Branch Calendar • IEEE Student Branch Best Practices (downloadable flyer) • IEEE Student Member Benefits (downloadable flyer)

To continue to foster engagement at the Student Branch level, the following activities took place:

• A monthly contest was launched via Facebook and email to all Student Branch Counselors and Chairs which provided incentives for reporting officers to IEEE and submitting of student-related videos and photography.

• Webinars on the topics of IEEE Resume Lab, Women in Engineering, Students and Young Professionals and EPICS in - IEEE.

• Developed an online community via IEEE Collabratec and engaged current Branch Counselors who are recipients of the Outstanding Student Branch Counselor award for inclusion in the pilot launch.

In October, a survey was deployed to all Student Branch Counselors and Student Branch Chairs enlisting in their feedback in the Student Program. Survey results will be assessed for formal action in 2015. Improvements to the IEEE School’s List are in progress to provide a better member experience during the join process for new members. Some of these improvements include:

• Additions of over 100 new schools to the IEEE database • Identification and some additions of commonly used school acronyms to

enhance the search experience

SAC PRESENCE AT SECTIONS CONGRESS John Paserba, SAC Chair, and Christian Schmidt, R8 RSR gave a Session for Sections Congress on “Inspiring our Leaders of Tomorrow - Engaging Students and Student Activities - Section and Student Branch Interaction for Increased Member Engagement. The Session was given twice, and was well attended with lively discussion. OPERATIONAL FUNDING OF STUDENT BRANCHES A small working group is developing a proposal to pilot a new model emphasizing retention over head count for funding Student Branches. Alternatives were discussed at the SAC F2F and this will continue to be a focus in 2015. MGA STRATEGIC FRAMEWORK Dr. Pablo Herrera will serve as 2015 SAC Chair. A transition meeting between he and John Paserba is slated for the Board Series in New Brunswick so as to facilitate continued efforts within the MGA strategic framework of Member, Partner, Market and Volunteer Development and Satisfaction. end/jjp/18-Nov-2014

SAC ANNUAL FACE-TO-FACE MEETING SAC held its annual Face-to-Face Meeting in Philadelphia, PA, USA on May 2-4, 2014. We had excellent attendance for this meeting. See attachment for the overview of the SAC F2F meeting, and see a second attachment for the Action Items (Draft for review by SAC). Separate minutes will also be issued at a later date. The Mission of the Student Activities Committee is: To deliver a common, high

quality IEEE Student Member experience globally, for lifelong, professional success

inspire, enable, develop, and support students as the future leaders of our

profession.

In 2014, SAC will continue to align with the stated objectives of the Member and

Geographic Activities Board, specifically, (with added student member emphasis):

STUDENT AWARDS

The Awards Subcommittee will be led by Arjun Pillai for 2014. All revised

improvements will take effect under Arjun’s leadership. Nominations for the 2014

awards were opened on a virtual platform on 15 November 2013 and closed 1

February 2014. A total of 439 completed applications were received. The Awards

program is year round as nominations are received from November to February for

the previous academic year, with judging from April to August and announcements

and fulfillment from September through November. More information can be found

STUDENT BRANCH WEB SITE COMPETITION

The Student Branch Website Contest was continued for 2013, with plans to

PRESIDENTS CHANGE THE WORLD COMPETITION

The 2014 Edition of the Presidents Change the World registration opened on 1

December 2013 and close on 15 February 2014. While this contest is handled by an

international team of volunteer judges under the direction of the Presidents, SAC

supports and promotes while Student Services Staff handle administration,

marketing and logistical issues in addition to applicant communication and

IEEE XTREME 8.0

Planning for IEEEXtreme 8.0 has begun under the continued leadership of Sinan

Alsheikh. Continued growth is anticipated and new business models are being

explored. One objective is to expand into untapped countries like China and to

establish ties to new branches and universities, particularly in the US.

IEEEXtreme 7.0 was held on 26 October and experienced yet another year of solid

growth. The chosen platform hosted over 7200 concurrent users without technical

difficulties. The platform processed over 250,000 code submissions with scoring in

real time while a discussion board, judge’s forum, Facebook engagement and email

alias were managed during the 24 hour period by staff and volunteers. A survey,

digital certificates and gift prizes were all shipped to qualifying participants and

judges in December 2013 – January 2014. Xtreme enjoyed the sponsorship support

of Lenovo and Acadox, and entered significant new partnerships with the Computer

Society and IEEE.tv. First-time collaboration with IEEE-HKN, Women in Engineering

and the University Program Partnership was notable as well.

IEEEXtreme is managed by an ad-hoc subcommittee under Sinan Alsheikh. Many

volunteers and staff members lent their time to the judging, technical stream,

sponsorship, social media, marketing and administrative execution. The top ten

teams came from Peru, Macedonia, China, Iceland, Switzerland, Romania, USA, and

Indonesia as shown in the results video on:

IEEEXtreme 7.0 brought an updated platform with an enhanced user interface,

increased social media engagement, new methods of managing inbound inquiries,

SOCIAL MEDIA AND ONLINE PRESENCE

The Xtreme Facebook page went from 14,757 likes at the close of 2012 to 34,589

likes and counting. The Student page saw gains from 2,038 in 2012 to 51,044 at

present and IEEE Potentials is at 2,903 Likes. New forums, beyond the use of

Facebook are coming into play including Twitter and Google+ as part of an overall

communication plan to leverage new and existing outreach channels.

The IEEE Student web site was revamped in June to modernize the front-end entry

[email protected] aliases are tracked through the use of the Contact Center’s

customer relationship management tool. Staff and volunteers have worked together

to develop standardized responses to frequently asked questions within high

frequency topics. This change has improved tracking, timeliness of service, and the

overall member experience. The goal of automating access to the Microsoft

DreamSpark software benefit was completed in January 2014.

VOLUNTEER TRAINING WEBINAR PROGRAM

Twelve webinars were hosted in 2013 and these continue to be available to

volunteers. Topics include, SAMIEE Training, Benefits for Students, Student Branch

and Section Collaboration, myIEEE, Why Volunteer? – and Student Branch

Development. New training webinars will continue through 2014, ResumeLab

presentation is slated for Q1. These programs are available on demand at

STUDENT PROFESSIONAL AWARENESS EVENTS

Ms. Erin Hogbin, IEEE MGA SAC Student Professional Awareness Subcommittee

(SPAA) Chair, continues in 2014. There were 39 events funded in 2013. IEEE-USA

takes the lead on Student Professional Awareness in Regions 1-to-6 and while IEEE

MGA SAC SPAA is a Region 1-to-10 organization, the emphasis tends to be on

Regions 7-to-10 for support of such SPAA events. See attached IEEE MGA SPAA

Report for 2013.

STUDENT BRANCHES

MGA currently supports 2572 Student Branches up from 2354 at the close of 2013.

The core team is developing strategies and plans to improve activity and officer

reporting, communication and training, with an emphasis on overall branch vitality

and Section to Student Branch linkage.

In 2013, we had a busy year on SAC as we worked on our goals that align with the 2013 IEEE Member and Geographic Activities Board, specifically, (with added student member emphasis):

Goal #1 – Provide a World-Class IEEE (Student) Member Experience Goal #2 – Expand IEEE’s Global (Student) Membership Presence Goal #3 – Modernize the (Student Member and) Volunteer Experience

2013 was a year where SAC worked on our core products and services that we offer to our constituents - the Student and Graduate Student Member. SAC worked to expand and improve the following:

Awards and Recognition Program – A common submission date and streamlined process was introduced resulting in a large increase in nominations submitted in 2013.

Student Professional Awareness Activities (SPAA) – This long-time program continues to expand worldwide.

Enhanced Student Web Site – A new modernized front-end entry point to the IEEE Student Member website was designed and launched in 2013.

IEEExtreme – This popular 24-hour worldwide programming challenge broke the all-time record for the number of teams registered for the October 2013 event (see detail below).

Social Media Exposure– Our IEEE Student Member Facebook pages grew in exposure with the IEEE Student Member page presently over 27,300 Likes, the IEEE Potential Magazine page at over 2,775 likes, and the IEEExtreme

page at over 27,600 Likes (Likes were at the time I prepared this report.) Student Conferences/Congresses – SAC leadership continues to manage,

organize, and continually enhance the Regional IEEE Student Branch Congresses and Annual Conferences. As SAC Chair, I had the privilege of personally attending two of these events over the past year (Region 2, and Region 9). Due to a last minute work situation, I had to cancel my attendance at the Region 7 event (I did attend this event in 2012), but, I sent a presentation (see Attachment 2).

Competitions – The Student Branch Web Site Contest continued in 2013 and will be modernized in 2014.

In addition, other longer term strategies were expanded and documented for SAC work to continue into the future. All in all, it has been a busy year for SAC, both from the volunteer side and from the Staff side. STUDENT AWARDS The Awards Subcommittee, led by Jaison Abey Sabu, implemented the overhaul and implementation plan from 2012 which called for a universal deadline. Nominations were opened on a virtual platform on 15 November 2012 and closed 1 February 2013. A total of 220 applications were received with 107 Awards currently in fulfillment. The sub-committee is conducting an evaluation process, planning for 2014 and obtaining training on the platform. STUDENT/GOLD-YOUNG PROFESSIONALS COMMITTEE AND ACTIVITIES INTERACTION SAC and GOLD-Young Professionals have a liaison member that coordinated the activities of SAC and GOLD-Young Professionals, reporting into both Committees. For 2013, that is Mario Milicevic. The program Student Transition and Elevation Program (STEP) is a GOLD-Young Professionals activity that has cross-over between the organizations. Significant activity to improve the management of this program was been completed during 2013. Refer to the GOLD-Young Professionals Report for more details. SAC SUPPORT OF HUMANITARIAN TECHNOLOGY ACTIVITIES In recent years, IEEE has placed great emphasis on Humanitarian Technology Activities, instituting the Humanitarian Ad Hoc Committee (HAHC) in 2011. As part of a strategic effort toward member engagement, HAHC has instituted a program called Special Interest Group on Humanitarian Technology (SIGHT). SAC has a liaison member Ramesh Nair, to represent and promote the Student Member perspective:

To encourage students to do more humanitarian Technology projects and publishes them in global platforms.

Sustain the student activities long term in Humanitarian arena by having them start SIGHT in their SB’s.

IEEE STUDENT BRANCH INTERACTION WITH IEEE SECTIONS: Do you know that as a Student Branch, you are aligned with your local IEEE Section, which in turn is aligned with your IEEE Region as a geographic unit under the umbrella of the IEEE MGA (Member and Geographic Activities). This organizational infrastructure, along with Student Branch Chapters and Chapters within your Section that align with the technical interests of IEEE, offers you, and your IEEE Student Branch, maximum support and maximum exposure to the larger IEEE. I would ask that as a student, have you ever attended a Section meeting or any Section event? Do you invite your Section leaders to your IEEE Student Branch events? Benefits of interaction between an IEEE Section and an IEEE Student Branch include:

Increased number of successful Section and Student Branch events and meetings with increased attendance

Open doors for meetings, networking opportunities, and other events held jointly between Sections and Student Branches

Future skilled volunteers for the Section as Student graduate and elevate to higher grade membership

Potential increase in number of active Chapters in Student Branches and Sections

Some ideas for IEEE Section and IEEE Student Branch engagement include:

Hold Section ExCom meetings at Universities Have a student serve on the Section ExCom as a voting member The Section can provide a Branch Mentor for the student branch Plan and hold joint Section and Student Branch technical activities and

professional awareness activities, such as a Student Professional Awareness Conference (S-PAC)

Student Branches can request modest funding support from Sections for specific campus events

I encourage you, as an IEEE Student Branch, to reach out to your local Section and build a relationship with them. The potential benefits are worth the effort to engage.

IEEEXtreme is a global challenge in which teams of up to 3 IEEE Student (SM) or Graduate Student (GSM) Members, supported by an IEEE Student Branch, advised and proctored by an IEEE member, compete in a 24-hour time span against each other to solve a set of programming problems.

SUBJECT: Request of Region Directors for Support of SAC and GOLD/Young Professionals

This memo addresses the question posed by the IEEE Member and Geographic Activities (MGA) Board: “What

can the Region Directors do to support SAC and GOLD/Young Professionals?”, at the 16 February 2013

meeting in Austin TX, USA, after the SAC/GOLD Plan presentation.

In response to that question, the Chairs of SAC and GOLD Committees put forth the following requests:

Regional Student and GOLD Congresses and Summit. We ask the Regional Directors to continue

supporting Student Congresses/Annual Student Conferences and Regional GOLD/Young Professionals

events within their Regions. We encourage continued support for the global GOLD/Young Professionals

Summit due to run again in 2014 before the Sections Congress to enable Student and GOLD/Young

Professionals volunteer development and training, talent management and improve member engagement.

SAC and GOLD/Young Professional reports and face-time at Regional meetings. We encourage Regional

Directors to have specific report-outs and discussion at Regional Meetings by your Regional SAC and

GOLD/Young Professionals appointees to promote and encourage student and young professional

activities in your Region.

Engage SAC and GOLD/Young Professionals committee in the appointments process. We encourage

Regional Directors to engage SAC and GOLD/Young Professionals Committee Chairs in the selection of

appointees to the committees in their region in order to maintain a high caliber of committee members.

Appointment of young IEEE members to Section and Regional positions. We ask that Regional Directors

encourage the appointment of young IEEE members to Section and Regional positions to promote and

encourage young professional activities in Sections, and increase member engagement and retention.

Please note that Graduate Student Members and GOLD/Young Professionals are eligible to vote for as

well as run and hold volunteer positions beyond Student Activities and GOLD/Young Professionals.

Section level Student Activities and GOLD/Young Professionals activities. We ask that Regional

Directors advocate local IEEE Sections to support Student and GOLD/Young Professionals activities. We

observe that present support levels are currently inconsistent across Sections in different Regions.

We thank the MGA Board for the opportunity to present our Student and GOLD/Young Professionals activities at

the February Board Series MGA Meeting. We look forward to expanding the engagement of our respective

Student and Gold Membership with the support of the Region Directors in the years to follow.

MGA SAC conducted its annual face-to-face meeting in Houston, Texas in 23-25 March 2012.

Five SAC core team telco were conducted to set goals and follow up on action items. After

the F2F meeting, telcos were conducted on 28 June, 7 August, and 6 November. In between

these telcos, RSAC / RSR / sub-committee telcos and email communication took place to

facilitate workplan execution.

MGA SAC Committee 2012: A great team!

Three motions were passed in 2012:

1. IEEE MGA SAC strongly recommends MGA Board to adopt the approach of “Lower price

for undergraduate and GSM, and charge for upgrade to print.”

2. IEEE MGA SAC strongly recommends that the MGA Board and Regions include “student

retention” as an award criterion in all their awards to recognize the best sections.

3. IEEE MGA SAC agrees that the annual deadline for nomination / submission of all SAC

awards will be on 1 February:

Follow up on the February and June 2012 report, below provides update to the action items:

NEW INITIATIVES

New SAC projects from 2011-2012 are listed below. Of which, no. 2, 3, 9 (student web

presence), no. 4, and no. 5 are MGA’s strategic focus in 2012.

1. Investigate the applicability of digital spectrum model for student members

COMPLETED

The motion “Lower price for undergraduate and GSM, and charge for upgrade to

print” was not adopted by MGA in June.

SAC team then supported the dissemination of the new digital membership model in

July prior to the new membership cycle in August.

2. Revamp of MGA SAC website architecture: lead by Kanishka J. & Jorge S.

80% COMPLETED

The new website content was re-organized.

Currently, (i) awards information is being updated for consistency and past awardees

info are added, and (ii) single-point of contact to access all society info (to support

student branch chapter outreach).

3. Launch Global IEEE Student Facebook: lead by Jorge Soares & RSRs

COMPLETED

The Global Student Facebook was successful launched in January. Today, it has more

than 6,500 fans and over 75,000 content impressions.

Jorge led the 1st FB contest on 7-14 October (“what objects were SAC members

pointing at?”) generating the highest reach (4,159) and engagement (1,200). It

added 500 likes to our Facebook.

Similar FB contests should be continued quarterly in 2013 to drive interaction, reach,

and engagement.

4. Organize North America Student Congress in 2013: lead by Jignasa Ray

ON HOLD

After continued discussion, this action item is put on hold until later years.

Outcome is to encourage regional-level student congress to continue.

5. Formalize on-boarding process for MGA SAC committee members: lead by Elizabeth J.

ON GOING

Documentation is ongoing at committee-level. This process needs to be continued in

2013 in order for the outcomes to be better felt.

6. Increase IEEE students’ involvement in humanitarian activities: lead by Robert Vice

COMPLETED

SAC collaborates with GHTC to organize the 1st student poster contest on the topic of

humanitarian, as one of the tracks at the conference in October 2012.

The team lead for executing the student poster contest is Ramesh Nair, from India.

5 posters were selected from more than 20 submissions globally for onsite

presentation

The winning posters are:

o First Prize (US$1500): Wound Pump - joint submission by students of

Massachusetts Institute of Technology (MIT) and Harvard Medical School

(HMS) , USA

o Second Prize (US$500): Tropical Storm Wind Turbine - University of

Technology, Jamaica.

The prizes were sponsored by TAB, and the contest made possible by GHTC’s

support.

7. Promote student branch chapters and engage societies: lead by Jan Verveckken

COMPLETED

The Member Segmentation Study showed that members that are part of a society

are more likely to derive more satisfaction from their membership.

A student branch chapter portal (http://sites.ieee.org/mga-sac/) was put together

since May 2012, with verification from the society presidents.

The team reached out to the Society Presidents on the importance of appointing

student reps to their societies to be connected with the student community.

8. Streamline and revitalize SAC awards globally: lead by Jaison Sabu

90% COMPLETED (will be completed by year end)

The sub-committee moved a motion that was approved at the face to face meeting

to align all SAC awards deadlines to 1 February.

The new deadline was communicated in October.

New set of awards publicity materials are developed and will be rolled out in 2013.

Below is an example:

A SAC awards team was established, and the members will continue into 2013.

For the remaining part of the year, Jaison will lead to review the criteria and

content description of all the awards, and establish the rules of engagement for

future awards evaluation.

9. Redesign the IEEE Regional Student Website Contest: lead by Om Prakash

50% COMPLETED (will be completed by year end)

This action item is the only addition in 2012. It came forth from a discussion during

the face-to-face meeting. The committee voted not to eliminate the website congress

but instead review and redesign the website contest so that it becomes relevant to

students today.

The team decided to re-design the website contest to take the shape of “social online

experience”, integrating social media in the contest. The framework, criteria, and

implementation methods will become clearer by end 2012.

Goal is to bring the new contest design to committee for comment and approval in

Dec 2012.

2012 regional website contest winners were evaluated by the MGA SAC team to

identify the global winners:

EXISTING PROGRAM

The existing SAC programs are:

1. Regional Activities: All regional activities are spearheaded by Steven James and Jorge

Soares as Steering committee chairs of RSAC and RSR, respectively. Regional activities

are healthy with regions continue to engage the students in the area of awards (Larry K

Wilson, Website, Exemplary), paper contests, leadership workshops, and student

congresses. Regional student congresses that were organized R7 (September), R8 (July),

R9 (August).

2. SPAA activities: John Paserba reported a new record in the number of SPAA activities

organized by R7 to R10. In 2012, 51 SPAA events were put together! This is driven by a

strong interest in R9 (31 events) and growing participation in R10 (14 events).

A new metric was recorded this year by the SPAA Subcommittee– that is the number of

number of IEEE Student Member, Student, IEEE Member, and other professional

“touches” for exposing IEEE student member professional awareness as reported or

predicted prior to the event. The total touches of IEEE from the worldwide SPAA events

were reported as 9893 people (through November 5, 2012)!!!

The Chair’s past experience has anecdotally shown some student groups are more

accurate in their predictions than others, so, even applying a 66% factor to this “before

the event” count that is still nearly 6500 touches of members and potential members

worldwide thru SPAA (not counting R1-6 through IEEE-USA SPAC supported events).

3. Xtreme Programming 6.0 (2012): The 6th Xtreme contest on 20th Oct was a huge

success.

The global contest led to 1941 registered teams (up 28% from 2011)

the IEEE after graduation. As a result of the increased in application, GOLD-SAC

committee are spending significant effort evaluating every proposal to ensure that funds

are distributed appropriately.

1. Investigate the applicability of digital spectrum model for student members:

SAC committee approved a motion to include GSM in the consideration of the

digital spectrum initiative. This was supported by the MGA committee. In the same motion, SAC proposed to lower the student membership fee

below the current rate of $27/$32 given that students are receiving only the

digital format of the Spectrum, and charge an upgrade for opting in print copy. The decision of the motion is not made public at the point of writing

this report. 2. Revamp of MGA SAC website architecture: lead by Kanishka J. & Jorge S.

SAC approved the new website architecture in 2011. However, as the team understood, the framework and the way the information is to be organized could not be fully implemented in the current IEEE website given the parent

site constraint. Kanishka and Jorge are working with staff to finalize the next approach to

best present the content on the student website.

3. Launch of Global Student Facebook: lead by Jorge Soares The Global Student Facebook was successful launched in early March. Today,

it has more than 3,000 fans and growing.

Jorge will launch the 1st FB photo contest to increase the traffic and visibility of the SAC FB site. The contest will take place in July, with IEEE merchandize

as awards. All RSACs and RSRs are tasked to publicize the site with their student

members.

All SAC committee members are reminded to post news and upcoming events on the site for global visibility and engagement.

4. Organize North America Student Congress in 2013: lead by Jignasa Ray The team led by Jignasa Ray, making up of Brian Roberts, Jan V., Om. P,

Jorge. S., and Darrel C. were formed in March. Initial brainstorm is to organize the congress in September 2013,

independent of the IEEE USA meeting to keep the timeframe suitable for

students and to keep expenditure low. The intent is also to solicit a student branch that will act as the anchor student organizing committee to lead the implementation. The finance was planned to be co-shared by the sections

and regions, as well as supported by private organizations. This project is currently on hold as Jignasa R. raised concern on her capacity

to take this congress forward due to personal reasons. SAC is in the process of identifying someone to take the lead.

The team lead for executing the student poster contest is Ramesh Nair, from India. The call for poster was made in April. The deadline for submission closed in May. 27 submissions were received worldwide.

Poster evaluation was completed by 15 reviewers. Top 5 posters were selected. The teams will present their ideas at the conference.

7. Promote student branch chapters and engage societies: lead by Jan Verveckken. The Member Segmentation Study showed that members that are part of a

society are more likely to derive more satisfaction from their membership. A student branch chapter portal (add link) was put together since May 2012.

The goal of the portal is to explain to students the benefits of being part of a

technical society and why the student branches should start a student chapter.

Currently, the site is being checked by all society presidents to ensure that

information is correctly represented. The launch date for the site is July, and will be done in conjunction with existing membership development vehicles.

In addition, Jan and his team (Yasu and Ljiliana) are analyzing the student branch chapter and membership statistics to identify (a) the societies that should start a student rep position, and (b) the student branches that should

start a chapter.

8. Streamline and revitalize SAC awards globally: lead by Jaison Sabu

The sub-committee moved a motion that was approved at the face to face meeting to align all SAC awards deadlines to 1 February.

The alignment will facilitate execution, eliminate confusion, and allow structure to the judging process. Jaison is working on the details of deadline announcement, which is expected to take place in September 2012, as well

as the design of the judging process.

9. Redesign the IEEE Regional Student Website Contest: lead by Om Prakash

This action item is the only addition in 2012. It came forth from a discussion during the face-to-face meeting. The committee voted not to eliminate the

website congress but instead review and redesign the website contest so that it becomes relevant to students today.

The team decided to re-design the website contest to take the shape of

“holistic online experience”, integrating social media in the contest. The framework, criteria, and implementation methods will become clearer by August 2012.

The existing SAC programs are:

1. Regional Activities: All regional activities are spearheaded by Steven James and Jorge Soares as Steering committee chairs of RSAC and RSR, respectively. Regional activities are healthy with regions continue to engage the students in

the area of awards (Larry K Wilson, Website, Exemplary), paper contests, leadership workshops, and student congresses. Some upcoming student congresses are R7 (September), R8 (July), R9 (August).

2. SPAA activities: John Paserba reported improvement in planned activities YOY

to show strong participation in SPAA efforts, while R7 has demonstrated good improvement in participation.

3. Xtreme Programming 6.0 (2012): Xtreme team has completed the selection process for the new platform to handle the increase traffic for the competition

this year. InterviewStreet was selected to be used as the operating platform from 2012 onwards. The contractual engagement is in the final stages. Currently, Xtreme team is soliciting judges and target to bring in 30 judges. So far, 8

judges were on boarded. In addition, IEEEXtreme video and marketing collaterals are under production. Xtreme contest will take place on 20th October.

4. President Change the World Contests 2012: The submission closed on 31st January. We received 135 eligible applications, which is 30% increase in

submission YOY. The judging process has ended and led by Robert Vice and Parsh Pavishi (staff). The formal announcement of the winners will be made at the 2012 IEEE Honors Ceremony at Boston on 30th June.

5. Branch Counselor and Leader Webcast: The second webcast was held in

April. The format was changed. Instead of having a presenter or the SAC chair

cover a range of topics, three chairs of the SAC team were invited to present areas that are relevant to students. John Paserba (SPAA Chair), Gowtham

Prasad (Xtreme Programming 6.0 Chair), and Robert Vice (Humanitarian Chair) were invited to give a 15 minutes speech each to the audience on their respective program. The feedback was positive. Similar format will be adopted

for the final webcast for 2012. 6. Potentials Editorial Board: The Potentials committee held its face-to-face

meeting on 6 May Anchorage, USA. Following that of the digital spectrum discussion for students, EIC has invested much of their effort to evaluate the

value of moving print potentials (R1-R7) to digital and charge a different fee. For details, please refer to the Potentials Editorial Board June report to MGA.

7. STEP program: STEP continues to be very popular among student branches, used a platform to engage graduating students to continue their membership and involving in the IEEE after graduation. As a result of the increased in

application, GOLD-SAC committee are spending significant effort evaluating every proposal to ensure that funds are distributed appropriately.

MGA SAC Goals 2012 Student Activities’ goals will coincide with MGA strategy and direction for 2012. SAC’s goals include (a) Sustainable operation, (b) Healthy Student Membership growth and retention, and (c) Succession planning & Transition. The above goals are achieved through committee member appointment (as highlighted in the early part of this report) and the execution of the 2011 (new) SAC projects and continuous implementation of existing SAC programs. The 2011 new SAC projects are as listed below. Of which, no. 2 and 3 (student web presence), no. 4, and no. 5 are MGA’s strategic focus in 2012. 1. Special Focus: SAC continues to have ongoing discussion and emphasis on improving the student retention rate. Region 10, due to India’s high recruitment rate yet poor retention outcomes, has the lowest retention rate among the regions. This matter was raised in R10 Excom meet. Its MD and SAC are tasked to propose projects to tackle the issue. R10 SAC will present a proposal at the R10 Meet. More will be reported in June MGA report.

TO: IEEE Member and Geographic Activities Board - 19 November 2011 FROM: Darrel Chong, Chair, MGA Student Activities Committee (SAC) SUBJECT: MGA Student Activities Committee (SAC) Report MGA SAC Committee identified 10 projects to work on after the Seattle face-to-face meeting in June. Two of the projects are targeted to complete by 2011; (a) the revamp of MGA SAC website architecture and (b) set up of Global Student Facebook. 2011 has been a good year for IEEE Student Activities. IEEE Potentials released its 30th Anniversary issue in Nov/Dec 2011. SPAA activities remained popular among student branches with 46 and 39 completed events in USA and outside USA, respectively. R9 is the most vibrant region in creating student professional awareness. IEEE Xtreme 5.0 was a huge success, led by Gowtham Prasad from India, doubled the student participating teams to 1161 (53% growth), engaging more than 3,800 students and 400 proctors across 65 countries. The Xtreme team is conducting postmodern and survey to identify areas for improvements. All regions are actively involved in engaging its student membership, mixed with tested and new events. COMMITTEE/SUB-COMMITTEE ACTIVITIES USA SPAC Committee reported by Vishnu Pandey 2011 has been a very successful year in terms of student professional activities in regions 1-6. We have had the good fortune of helping to organize (number) of student conferences and (number) of student ventures, all of which have culminated in increased organizational interest and overall membership value for our younger members. SPAA sub-Committee reported by John Paserba In 2011, MGA SAC SPAA Subcommittee supported 39 events from January 2011-to-date • R1-6: 1 event+ • R7: 1 event • R8: 1 event • R9: 24 events • R10: 12 events *Compare to a total of 41 events for the entire calendar year 2010. + Note: IEEE USA SPAC Committee is the primary committee for R1-6 SPAA activities. The IEEE MGA SAC SPAA Chair is a voting member of the IEEE-USA SPAC Committee. IEEE-USA has separately supported over 46 completed events in R1-6 to date in 2011, including the events supported by IEEE MGA SAC SPAA. GOLD-SAC sub-Committee reported by Eva Lang The GOLD-SAC subcommittee was newly established in 2011. Its key discussion points for 2011 were how to bridge student and GOLD members and whether to restructure the respective programs for the GSMs. While the subcommittee believes that there are already great incentives, programs and offers in place for the almost 40k GSMs (compared to 60k StMs and roughly 60k GOLD members) such as STEP events, IEEEDay, IEEEXtreme, various webinars, links to educational and humanitarian programs, the members' focus and awareness of what IEEE can offer after graduation is often vague. During the SAC meeting, the GOLD-SAC liaison suggested a GOLD representation at Student Branch level. It reached out to fifteen student branches all around the globe and received very positive feedback. The test implementation of a GOLD group or GOLD representative at SB level is still under evaluation. Branch Chapter sub-Committee reported by Jan Verveckken IEEE Student branch chapters were subjected to a survey, analyzing their biggest problems and challenges in maintaining a functioning branch, the conditions they were formed in and the best way to improve their activeness and functioning. Membership studies of all societies indicated a mismatch between societies' student memberships and student branch chapters, which is now key target of the MGA SAC student chapter activities. A tool to evaluate student congresses ( and in larger extent, any event) is under

development. This tool has been used on R8SBC2010 and withstood proof of concept stage. Further development is pending on funding approval by MGA board. • Xtreme Project sub-Committee reported by Gowtham Prasad The 2011 IEEEXtreme was implemented on 22 October from 0:00:00 to 23:59:59 GMT. The contest was well marketed, which led to doubling of participating teams to 1161. This represents a 53% growth. In total, 3183 students, 404 proctors, and 50 volunteers / staff from more than 65 countries were involved in this contest. The top three teams for Xtreme are: • cuSAT from Thailand (R10) • CeylonSpiro from Sri Lanka (R10) • USD from Belarus (R8) Currently, the Xtreme team is conducting a postmortem, to understand avenues for future improvement. • Humanitarian Activities reported by Robert Vice Robert Vice was invited to be the Humanitarian lead for SAC. The goal is to help SAC to be more humanitarian-conscious in their daily running of activities, and to identify activities within IEEE that SAC can leverage on. From our engagement in 2011, Global Humanitarian Technology Conference has agreed to allow students to get involved in GHTC 2012. Robert will put together a program to provide opportunities for students to be involved in GHTC in terms of participation, contests, and presentation. REGIONAL ACTIVITIES Region 1 SAC Committee

R1 participated and supported in (4) iSTEP events, just concluded the last of the four iSTEP events at New Hampshire over the last weekend. Four iSTEP events were piloted at four different area in Region 1 (RPI, Syracuse U, NJIT, and Bedford NH). - details at http://ewh.ieee.org/reg/1/iSTEP/.

R1 held webinar (using dimdim) for "how to build your micromouse" in preparation for 2011 student conference. R1 is starting to plan for 2012 student conference to be held jointly with R1 BoG meeting in March. William Dorney, R1 RSR is starting to put his student team together.

Region 2 SAC Committee

Penn State Erie’s Behrend College hosted R2’s second SAC congress in 16 April, with 283 participants, which is a 24% growth from the year before. R2 SAC team received positive feedback from the attendees. The region has confirmed OSU and DeVry to jointly organize the 2012 R2 SAC congress. Region 3 SAC Committee R3 had a good participation in the IEEE Xtreme with 61 teams participating and 12 teams ranking in the top 100. The preparations for SoutheastCon, the regional student conference in conjunction with the R3 meeting and a technical conference, are on the way. The student teams are already very active preparing their hardware entry for the hardware competition, the biggest draw for SoutheastCon. We also started a blog which is still going slow. Region 4 SAC Committee Region 4 hosted a Regional Student Paper Contest at the Region 4 EIT conference. The Region 4 SAC and RSR attended the SAC conference in Seattle where many best practices were presented that they can incorporate into Region 4. Also Student Branches in Region 4 participated in the IEEE Webpage Contest as well as the IEEE Xtreme Programming Competition.

Region 4 encouraged and helped organize the R4 Student branch Leadership Workshop and Ethics Competition at Northwestern University in Chicago which was well attended.

Also we are encouraging a GOLD/Student Mentorship Program in order to keep students interested in IEEE. We are also working to facilitate the Student Transition & Elevation Partnership (STEP) program to let students know about the advantages of staying with IEEE after graduation. Finally, this year we are planning a quarterly all student branch telephone conference call.

Region 7 SAC Committee IEEE Canada Student Workshop 2011 was held on September 16-18, Delta Toronto Airport West Hotel. It was attended by 24 Student Branch representatives from across Canada and two Branch Counsellors. Among the topics discussed were opportunities for new activities, inter-Branch collaboration and new ideas for national competitions. All annual IEEE Canada competitions and awards have been concluded for 2011. Larry K. Wilson Regional Student Activities Award: Laxman Pradhan, from Carleton University Student Branch.

Other contests, certificates, and awards include IEEE Canada Student Paper Competition, IEEE Student Branch Website Competition, IEEE Regional Exemplary Student Branch Award, George Armitage Outstanding Student Branch Award, and Certificates of Appreciation. Region 8 SAC Committee During 2011 there were 3 major cross-section Student Branch Congresses in Region 8: the second Iberian Student Branch Congress (ISBC) in Madrid, Spain; the second Middle East Student Branch Congress (ME-SBC) in Doha, Qatar; and the first Central European Student Branch Congress (CEuSBC) in Linz, Austria. Together, they were attended by over 250 volunteers from over 20 Sections. Our Student Paper Contest received 32 submissions, with the 5 finalists presenting at the EUROCON 2011 in Lisbon, Portugal. In IEEEXtreme, one of the top 3, and 6 of the top 12 ranked teams were from Region 8. The website contest and exemplary student branch award received respectively 23 and 12 submissions in total. Progress has been made with the TISP initiative, with events held in the Saudi Arabia and UK&RI Sections. In the best practices camp, this year we introduced a unified deadline (“Deadline day”) for all awards under our control, making it easier for our members to track submission dates. We also set up cross-apointments between R8SAC and other subcommittees, namely Chapter Coordination, Educational Activities, GOLD and Professional Activities. R10 SAC Committee Report R10 Student Activities Committee has coordinated a set of initiatives based on GINI (Global Integrated Network of IEEE) since 2008. According as GINI expansion, there are increased numbers (2x, 3x) of entries to regular contests/awards. In Region 10 the number of StMs/GSMs approaches 40k and the number of SBs exceeds 700.

IEEE Region 10 SAC/GOLD/WIE congress was organized at Auckland, New Zealand on July 7-10, 2011. This event is the biggest students of IEEE Region 10. The congress was attended by more than 150 participants from all around the world and counted as most successful congress. A special supplement was released for IEEE Region 10 congress in collaboration with IEEE Region 10 newsletter editor. IEEE R10 SAC has introduced a new competition called “IEEE Blog, Video, and Tweet competition 2011,” by utilizing MGA Individual Benefits & Services Committee support fund.

TO: IEEE Member and Geographic Activities Board - 25 June 2011 FROM: Darrel Chong, Chair, MGA Student Activities Committee (SAC) SUBJECT: MGA Student Activities Committee (SAC) Report The MGA Student Activities Committee (SAC) held its face to face meeting 3-5 June 2011 in Seattle, Washington. In March, SAC held its first teleconference, following by weekly / fortnight focus-groups (RSACs, RSRs, project leads) calls in April and May, total about 5-6 calls before the face-to-face meeting. During the F2F meeting, the IEEE student strategy goals were reviewed and key issues that work with continue on included communication of benefits to student members, communication to Student Branch Counselors and leaders, volunteer team development and best practices for regional SAC teams. A summary of the meeting as well as the key action points are below for reference. Key Areas covered: Strategic 1. Introduced the concept of e-membership for students, and gathered feedback.

• An action item is to conduct a survey to understand the value students attach to hardcopy or softcopy publications (Spectrum / Potentials), and how transition to electronic version may influence retention and growth.

2. Presented a list of Global Student Benefits. After the meeting, the list was narrowed to 6 key categories. Action items include

• Sharing the list with other OUs for their feedback on additional student-related programs.

• Using the list to develop marketing collateral for global use. 3. Formalized a North America approach. Jignasa Ray (R1 RSAC) will lead the R1-

R7 RSACs and RSRs to develop a common student strategy that works within the North America continent.

• An action item is planning a North America student congress, in the likes of the R8 / 9 / 10 student congress that trains and motivates student leaders.

4. Reviewed GOLD-SAC collaboration. • An action item is to understand the practicality of implementing GOLD AG

within a student branch. Eva Lang will be spearheading this investigation.

Tactical: Operation Excellence 5. Finalized the new SAC website architecture and how information is presented.

• An action item is to implement the new architecture by October 2011. This initiative will be implemented by staff and led by Kanishka, R7 RSR.

Region Poster sharing session: All RSACs and RSRs presented three posters on their region’s activities. After the presentations, SAC team was asked to vote for the best three regional activities. The Twin program from R8 is voted the top regional activities, followed by GINI from R10. The Twin branch program can potentially be expanded to other regions. Student Professional Awareness Activities (SPAA) program is growing steadily under the leadership of John Paserba. The number of SPAA activities grew by 55% in 2010. Currently, John works with RSACs and RSRs to identify SPAA coordinators in each region. IEEEXtreme 5.0 is planned for 22 October 2011. Gowtham Prasad is the Project lead for this event now in its fifth year. He is recruiting volunteers for his team. In 2011, Gowtham will attempt to further the marketing and industrial relation aspect of Xtreme Programming contest. The judging process for the 2011 Presidents' Change the World Competition review is complete. SAC members were involved in the second and third round of evaluations and a SAC team of members identified by myself recommended the final 15 submissions that were reviewed by the IEEE Presidents. Presentation of the grand prize will be at the Honor’s ceremony at Sections Congress in August 2011. The second and third place winners will be announced shortly thereafter and presented at an appropriate IEEE meeting or event. MGA SAC team is exploring meeting in a small group at San Francisco to follow up on the action items from Seattle.
