1) Results of the Oct 15 GSEA's / Solidarity Fund and Applications to review -DHResults of the Oct 15 GSEA's-

a. Research Development- 9 Applications- 1 removed due to conference date not fitting within range of application.

2) Solidarity Fund Applications to review- Application to review on Google Drive- Garden Project

ER – We had asked Mitchell for more details before approving the application, and I think that he has definitely done that by providing solid documentation. It's an exciting project and I think we should go ahead and approve it. CS – Had decided to split allocation of funds per semester, would be 2/3 of funds. We have $650 left. Not wise to use money for long term spending just yet.EC – He is the only application for OctoberJI – Could we give him half now and half later?AO – explain that he can apply again and we encourage him to do soEC – cannot allocate more than that at onceLooked through minutes from last council and found unanimous vote to give Mitchel $2,000. Have to give him the money. Can relocate money allocated to solidarity and instead CS – EGSS website, states maximum allocation of $1000 per semester. Can give him $1000 now and guarantee him another $1000 next semester. However

thinks it’s alright to give him $2000 now since it was guaranteed. In the future, websites state only one award per year per project. Unanimous vote to give him 2,000.EC – needs to be advertised as an EGSS funded project. Unanimous agreement. She will follow up with Dom to understand what was communicated to applicant. She will meet with applicant

3. Report from Oct 5 Faculty Council Meeting – DH

No major events to report back

CS – Centraide campaign, massive fundraising campaign where they enlist universities to

help them raise money. Faculty of Education is trying to be more involved – want a bigger

impact on the community, one of the bigger departments.

4. Motion to implement discretionary departmental funding + bank accounts within EGSS /

Discretionary spending per department – DH & CS

DH - I would like to create a motion to create a discretionary pot of social event funding that

departments can apply to council. This would include money for smaller departmental wide social

events that would encourage each of the 3 departments to put on events that their department can

attend. My proposal would be that we start with allocating $500 to this “pot” and re-evaluate in Jan

if this system is working.

JI – Approves of re-evaluation.

$ 4,300 for social budget. Issue of size per department. Is it on a per event, attendance, size?

EC – maybe have each department through an event? Give them an initial funding and see

what is reasonable for the continuing of the year. Each department rep should be

responsible for asking for the funds. Should set a cap, council agrees.

JI - $500 as a cap for the first event and then adjust after to see if can be capped lower per

department. Per request. Vote – unanimous.

CS – if possible would we be willing to have sub-accounts for each department? Yes. Issue of

fees, EGSS is a business account. CS will report back.

5. SAC Meeting October 25th 10-11:30 – CO

CO needed someone to go in her place to the SAC meeting, AO will attend

6. EGSS Conference Brief – SS

Theme: culture and community in Canada – education for all. Attempt to encompass

everyone in the faculty of education. Include all groups that are part of the department.

Looking at any kind of marginalized communities and how they access education. Working

title. Sent out organizing committee application, due next Monday. AO will send out a

reminder email. SS is willing to attend departmental meetings to talk about the conference

with the reps. Website is under construction. Created roles for organizing committee:

internal affairs, external affairs, submissions/ finance/ sponsorship coordinators.

CS - Last year there were too many people on the conference committee. There were

approx. 15 people.

JI – part of her position to serve on committee.

Problem with Kin. Dept fitting in with theme, would have to put a spin on the community,

show what community their research can help.

SS - Will have to create some guidelines for reviewing committee

CS – SS should figure out budget ASAP. What fundraisers, sponsors ?

SS – will try to have committee together by the end of the month

7. Key Situation – JI

Someone from last year’s committee still has EC’s key, name is France. Individuals who have

keys: DH, CO, JI, SS, CS, JA.

EC is going to report back on quantity of keys and who has them. Council agrees that there

should be a log for the keys

8. PGSS General Assembly – EM

EM – PG and EM attended the GA. AO was temporary rep for first one and then when she

went to the second one they would not let her vote. Need to get AH on the list. EC has to

send an email to [email protected] to inform them that we have a new rep. Next

meeting is Wednesday. PGSS is hosting gradconnect cafes coming up, meditation hour on

Mondays, peer support centre, self-defense course on nov 20, zumba. Will get a list of

things. We are the biggest department, are allowed 4 egss reps. If we want we can see if we

can have a rotating rep. If we don’t have members show up for 2-3 meetings, loose a voting

seat. Have to fill the 4th seat. EC is going on Wednesday.

9. Discussion of EGSS events for the semester – EC

Jeff D is sending out a departmental newsletter and wants dates for EGSS events.

JI - PGSS throws many events, we can get 20 tickets reserved per event. Can reserve tickets

and go to their events. For November events: Jennifer Coutlee, does alumni relations and

special events and throws events. November 18, to raise money for centraide, pay $20 to

rent a table and sell your items (like Etsy), Holiday pop-up shop. Can even be bakers. Instead

of holiday party, want to throw a 4-7 at Thomson. Bring your own food and buy alcohol

there for EGSS as a whole. Want to save budget and do formal for the conference and get

faculty club (more expensive). Would replace wine and cheese, make it later so people can

go home and change.
