Housekeeping The employee handbook gets a bad rap, and honestly, we think most of it is well deserved. Companies waste a lot of paper stating the obvious, all in an attempt at CYA. So, let’s get the obvious stuff out of the way and start your introduction to WorldView with a bit of housekeeping:

You and WorldView are free to terminate your employment at any time, for any reason, except those disallowed by federal, state or local law.

Speaking of termination, breaking the law while working for the company (either on- or off-the-clock) is a good way to lose your job.

That wasn’t so hard, was it? Most employee handbooks spend about fifty pages on that stuff. We got you through it in six bullets. Well, sort of. We do have a few more things to cover related to benefits and schedules before we get into the interesting stuff (like the best time to play ping pong).

Company History In July of 2000, Jamie Christensen decided to take what he’d learned in the public and private sectors and start his own company. With absolutely no idea what he was doing, Jamie started working in the office over his garage in Chesapeake, Virginia. He did know that he wanted to work on geospatial solutions and hoped he could change the way his customers perceived their work and the world around them. With that in mind, he called the company WorldView Solutions.

In 2003, WorldView hired its first employee and moved into nearby office space. At the time, most of the company’s customers were non-profits and small Virginia localities that needed help building geospatial data for their organizations. By 2005, the firm grew to five employees and opened a remote office in Richmond. Based on this growth in central Virginia, WorldView was awarded a long-term services contract with Henrico County and, as part of the contract, promised a stronger local presence in the Richmond area. In 2006, WorldView relocated its staff to a renovated tobacco warehouse in downtown Richmond.

Since the move to Richmond, the company has shifted its focus away from traditional data development projects to the areas of geospatial application development and geospatial consulting services. By 2010, the company had made significant inroads with state, federal and corporate clients and had grown to fifteen employees, requiring an office expansion. In 2015, the company size had more than doubled, necessitating another move, this time across the atrium, into a larger, more collaborative space within that same renovated tobacco warehouse.

Despite the changes in customers, projects, and services, the company continues to grow by providing geospatial solutions that change our customer’s world view.

Benefits WorldView Solutions offers staff a comprehensive benefits package that provides both financial stability and protection. Full-time employees are eligible for the benefits outlined below:

Healthcare Employees may choose from one of the company’s two comprehensive medical plans:

High Deductible Employees who elect to enroll in the high deductible plan will have their plan premiums for themselves and their families paid at 100% by the company. Employees who participate in the high deductible plan are also eligible to enroll in a Health Savings Plan. WorldView annually seeds employees’ HSA accounts, as well as matches up to 100% of employee payroll deductions.

Traditional Plan Employees who enroll in the traditional plan will have a lower annual deductible to meet and pay a small portion of the plan premium for their families and themselves.

Dental WorldView offers a comprehensive dental plan, and premiums for employees and their families are covered at 100% by the company.

Vision WorldView offers an optional comprehensive vision plan for all employees and their families. Plan premiums are paid by the employee via payroll deductions.

Group Insurance Benefits Group Term Life and AD&D Insurance Plans Employees receive a benefit of $25,000, as well as Accidental Death coverage of $25,000, with premiums paid by the company.

Short Term Disability Employees are eligible to receive 60% of their base pay up to a maximum of $1,500/week for disability beginning day 8 of a qualifying disability for up to 12 weeks, with premiums paid by the company.

Long Term Disability Employees are eligible to receive 60% of their base pay for a qualifying disability beginning on day 91 of the disability for up to 24 months, with premiums paid by the company.

Voluntary Term Life Insurance WorldView offers the option to enroll in Voluntary Life coverage for employees and their families. Premiums are paid by the employee via payroll deductions.

Accidental Injury Insurance WorldView offers an optional Off-the-Job Accident Insurance plan for all employees and their families. Plan premiums are paid by the employee via payroll deductions.

Retirement WorldView Solutions offers a Safe Harbor 401(k) retirement plan to all employees. Employer contributions are vested on day one, and WorldView matches 100% of the employee’s first 3% of total salary deferral and 50% on the next 4%-5%.

Workplace GuidelinesAttendance and Punctuality: We know that some days it’s hard to get out of bed, but all employees are expected to arrive on time, ready to work, every day they are scheduled to work. If you are unable to arrive at work on time, or if you will be absent for an entire day, you must contact your manager as soon as possible and should plan to take Paid Time Off.

Time Sheets: We don’t punch a time clock, but all employees are required to complete accurate weekly time sheets showing all time worked and what they worked on. So, we ask that at the end of each week you submit a time sheet for approval by your manager.

Inclement Weather: Everyone loves a snow day, but there is still work to be done. WorldView Solutions reserves the right to close the office based on local road and weather conditions. If it is determined that the conditions warrant an office closure, you will be notified via email. However, if the office remains open, but you are unable to come into the office due to a weather event, it is expected that you will arrange to work from home or another location in order to work a full work week. When deciding about whether to drive to the office during inclement weather, plan ahead and use your best judgment, as safety should be everyone’s priority.

Time OffPay Periods: WorldView observes a semi-monthly pay cycle for full time salaried employees, with paychecks made on the 15th and last day of the month. Hourly employees are paid bi-weekly. Please note that there are variations when these days fall on holidays and weekends, typically occurring on the workday prior to the above mentioned normal dates. A current payroll schedule can be found on the company Wiki.

Paid Time Off: Paid Time Off (PTO) is the way WorldView tracks vacation time. It can be used for your trip to the Bahamas or to spend a morning in bed binge-watching Netflix. If you are a full-time employee, on your hire date you will receive forty hours of PTO. Starting off with a week of PTO means you don’t have to wait six months before you can take some time off. Thereafter, thirteen hours of PTO accrues on the first pay period of each month. This translates to over four weeks of PTO in your first year at WorldView and over three weeks of PTO annually thereafter. PTO may be taken in any time increments, and balances can be carried forward into the next year. Please note that should you choose to leave the company, you will not be paid out for your balance of PTO.

Sick Leave: You do not need to use your PTO when you get sick. Full time employees have unrestricted sick leave, which we operate on the honor system. Sick leave may be used for personal sickness, for the care of an immediate family member, or reasonable health and wellness appointments for you or an immediate family member. If you need to take sick leave, let your manager know as soon as possible. If you cannot inform your manager yourself, have a family member or friend inform them as soon as possible. If you require extended time off or frequent appointments due to a health issue, we will work with you to make arrangements that might entail using disability and flexible scheduling.

Family and Medical Leave: Eligible employees are entitled to take unpaid, job-protected leave for specified family and medical reasons under the Family Medical Leave Act (FMLA).

Holidays: The office will be closed and full time employees will be paid for the following holidays:

Thanksgiving Day

Christmas Day

When a holiday falls on a Saturday, it will typically be observed on the Friday prior to the holiday. When a holiday falls on a Sunday, it will typically be observed on the Monday following the holiday.

Maternity / Paternity Leave: We think having children is one of the most important life events (minus the lack of sleep that comes with having a baby) and having time with your family is just as important. After the first year of employment, full time employees are eligible for up to 120 hours of paid leave to allow them to care for any child born or adopted child (mothers are eligible for up to 160 hours of paid leave to care for their newborn).

Jury Duty Leave: All employees will be allowed time off to perform jury duty and full time employees will be paid for their jury duty service, in accordance with state law. You are expected to provide us with proper notice of jury duty and the expected length of duty service.

Bereavement Leave: If you are a full-time employee and an immediate family member such as a spouse, domestic partner, child, parent, sibling, grandparent, or grandchild passes away, you will be allowed up to three (3) days of bereavement leave to assist in attending to immediate obligations and commitments. These three days of bereavement leave may only be taken on consecutive workdays immediately following the day of death.

Military Leave: If you are called into active military service or you enlist in the uniformed services, WorldView will comply with regulations under federal law.

SchedulesWorking Hours: WorldView’s working office hours are 8:30am - 5:30pm, Monday through Friday. Full time employees are expected to work at least forty hours a week, not including lunch or any other breaks. We recognize that you may need to work with your manager to find a schedule that meets your needs and those of the company.

Flexible Time: Life happens – cars break down, the cable guy needs to come to your house, and your kids need to be picked up at the last minute from soccer practice – and we understand that things come up. Just make sure that any flex time you make up is in the same working week. If you aren’t sure how to handle a situation, just ask your manager and they’ll work with you to come up with a solution.

Teleworking: We have an awesome office and an awesome team, so it makes sense that we’d like to have everyone working together. We also know there can be good reasons for working from home. With this in mind, full time employees may, to the degree their current job duties make it practical, occasionally telework. Staff who are traveling long distances to get to the office each day may arrange with their manager to telework on a set day each week. For all other staff, teleworking should not be a regularly scheduled activity. It must be scheduled at least one day in advance with a manager, and staff should share what they plan to work on and accomplish while working remotely.

Meetings An entire section of a company handbook dedicated to the one thing we wish we had less of? We don’t like them either, but we think that the best way to have fewer and better meetings is to try to explain why we do have them and then get most of them out of the way at the beginning of the week. The primary goal of any meeting should be to make sure everyone on your team has the right information to be effective at their job. If a meeting is not meeting (pun intended) that goal, then it should be canceled. With that in mind, and at the start of every week, we hold several meetings that set the tone for the work we do that week with the leadership team, project teams and support staff.

Companywide Huddle Right before lunch, WorldView staff gather with the entire team to make any companywide announcements on company events, initiatives, peer nominations or other housekeeping items. It is also an opportunity to share project, staff and personal milestones with the rest of the team. The goal of the huddle is to give everyone at the company a weekly opportunity to connect with each other in one setting and share news with the entire staff.

Performance Performance management at WorldView includes setting clear and specific performance expectations for each employee and providing periodic informal and formal feedback about employee performance. This enables the company to support decisions related to training and career development, compensation and promotions. When we talked about what we wanted to include in our employee handbook, we used the computer gaming company Valve as a case study. We really like their concept of a T-Shaped employee and have made it the cornerstone of how we measure performance here at WorldView.

T-Shaped Careers In the Valve employee handbook, they describe T-Shaped people “who are both generalists (highly skilled at a broad set of valuable competencies – the top of the T) and experts (among the best in their field within a narrow discipline – the vertical leg of the T).” At WorldView, this may translate to having a broad background in the application of GIS and expertise in remote sensing; having a broad background in C# .NET development and expertise in AngularJS; or having a broad set of skills in marketing and deep expertise in land and water resource management.

At WorldView, we believe in working with you to identify your current T-Shaped characteristics and create a plan to grow them. So, if you don’t know what your T-Shape is or think you might have some gaps, don’t worry: the core measure of our success is providing the best service possible for our customers, and the way we do that is by working hard to make sure you identify and grow your T-Shape.

Success in the business world can no longer be defined by the size of your office, the title on your business card or the number of years you have been with a company. Instead, the growth of your skills and expertise should define the success of your career. This is a liberating concept, putting you firmly in control of your career. At WorldView, we are committed to providing you with tools and incentives to focus on growing your T-Shape.

Career Narratives | Career Paths One key component of performance management is to bridge the company’s goals with the employee’s goals by creating individual development plans, which we call Career Narratives.

It will take a little time for us to get to know each other, and your first few months at WorldView is an opportunity for you to get comfortable with the team, our customers, and the way we work. While we’ll have goals, projects and lots of things for you to do from day one, we won’t spend a lot of time talking about your T-Shape until we have worked together for a few months. When the time is right, your manager will sit down with you to start creating a Career Narrative.

Since we think your career should be tied directly to your T-Shape, your Career Narrative is simply a document that briefly describes your roles in the company, identifies your current T-Shape qualities, targets future broad and deep skills you want to develop and provides some action items for you and the company to reach your goals. We have provided an example of the career narrative template on the next page.

Gene is primarily tasked with geospatial data management. Day to day duties include the development of GIS features using ArcGIS Desktop software, including ArcMap, ArcCatalog, ArcToolbox and Model Builder; and performing quality assurance reviews of personal and colleague work products. In addition to the above mentioned job duties, his role is to serve as a subject matter expert in public utilities dataset design, development and management.

Performance Reviews Once a year, you will have the opportunity to sit down with your manager for an annual performance review. In addition, we feel it’s important to touch base mid-year with your manager to discuss any concerns related to performance, projects or your career path.

Performance reviews are not a time to discuss concerns that your manager has with a project or work related issue, as this should be addressed immediately. Instead, this meeting is primarily focused on project performance, alignment with company values, reviewing your career narrative and our collective progress on completing the actions identified for your target broad and deep expertise. It is also an opportunity to discuss the direction your career is taking at WorldView and the ways we can enhance and improve our support of your work here. Based on your project performance, progress meeting your career narrative goals, and the overall performance of the company, you may receive an increase in your compensation.

Professional Development Most of the recommended action items for attaining our future broad skills and deep expertise require some form of professional development. Following are some thoughts and policies to help you achieve your goals:

Projects There is no doubt that being meaningfully engaged in a project is the single best way to develop as a professional. You should only employ the other strategies described in this handbook when you are either unable to identify a project that provides you with the development experience you desire or when you don’t currently have the skills needed to apply for project success.

Conferences Attending conferences is a great way for you to connect with clients, learn about new technologies, and get exposure to the larger community within our industry. Attendance at the Esri International User Conference, Esri Developer Summit, and Virginia GIS Conference is available if you give a presentation and is otherwise at the discretion of your manager. Attendance and participation at other conferences that contribute to your “T-Shape” is encouraged, but you should discuss them with your manager prior to registration or abstract submission.

Certifications, Training, and Higher Education Fees associated with the GIS Professional (GISP) and Project Management Professional (PMP) certifications are fully reimbursed by the firm. Reimbursement for other certifications,

training and higher education is evaluated by its contribution to your “T-Shape” and is handled on a case by case basis.

Lunch and Learn WorldView’s own staff is a great resource for professional development. To tap into our staff’s knowledge, the company sponsors semi-regular Lunch and Learn sessions. These sessions (which include free lunch!) can be an exploration or training session on a specific technology, details on a project or product, or a human resource related topic.

Focus Day Many of our staff have expressed interest in working on some of the great ideas they have to make things better at the company, but they have no time to do it! So, we created Focus Day. About every quarter, we take a half day to work on collaborative projects of the employee’s choosing that will benefit the company in the long term. The day consists of attending sessions, listening to a speaker, sharing the work we do with other team members, and being engaged as an entire organization. We also find time to eat, whether it’s a chili cook off, pot luck or catered meal.

We have found that giving you dedicated time to work collaboratively has the following benefits:

If the people listening agree, please share. Share your thoughts with someone who will appreciate them. If you’re not sure what they think, it might be time to change the subject.

Meetings

I don’t like meetings and I’m not going to yours. We don’t like ‘em either, but sometimes we need them to a) coordinate your activities with other staff, b) update others on your activities, c) make a decision that requires input or d) make our clients happy. If the meeting is not accomplishing at least one of those goals, let us know and we’ll cancel it.

I don’t bother to schedule meetings – I just pop into an open meeting room when I feel like it.

Please don’t! Scheduling avoids confusion and prevents getting the ol’ hairy eyeball from your co-workers when you steal their scheduled room.

I am using one of the 4th floor conference rooms to quietly get some work done and get away from the open workstations.

We know it’s tempting and convenient, but we try to keep the 4th floor conference rooms for larger meetings, particularly when clients are at our office. So, please use the 3rd floor flexible rooms or booths for meetings if you need privacy or time to focus without interruptions or distractions.

I’d like to post an embarrassing picture of my co-worker. Please do, but try not to post anything your mother would be embarrassed to see.

Dress Code

I am dressed casually. So are we. Fancy collared shirts just make laundry more complicated because they wrinkle and wind up looking worse than a plain t-shirt. But clients like collars because it shows that we care and are proficient at doing laundry. So, if you’re going to be around clients, show that you care. You can keep a tear-away collared shirt in the shower area for emergency situations. Many of us do. Also, do you feel like the way you are dressed is reasonably consistent with the staff around you? If not, you might be pushing the envelope.

I’m dressed in shorts, flip-flops, and an Iron Maiden t-shirt. Please don’t (even if the Iron Maiden shirt is worn ironically).

I am wearing a tie because I like to wear ties to work. We’re not sure why, but good for you!

Kitchen I am leaving my dishes in the sink and my food in the fridge for weeks.

You must not like your Tupperware or leftovers, as both will be tossed once we see any sight of mold or if we can’t access the sink without touching your dirty dishes.

Company Wiki

I think I will post that my clawing cat needs a new home. While a co-worker may give your “adorable” cat a new home, please save this type of information for the company board.

I am planning to post items to the Wiki and then forget about them until next year and they are no longer relevant.

The Wiki is a great resource for all employees, but it’s only as good as the content that’s on it. So, keep it fresh and updated!

Showering/Locker Room

I shower at the office but I never intend to take my towel home and wash it. I think I will leave it on a random hanger in the main shower room in hopes that it will both clean itself or spontaneously combust, forcing me to use someone else’s towel.

Consider washing your towel every once in a while... pretty please?

I like to stand around in the kitchen after working out. Get out of here and go shower.

Events One thing you’ll notice about working at WorldView is that we like each other. This is important if you’re going to spend a good portion of your waking hours with the same group of people. In fact, we like each other so much that we even do things together when we aren’t working. Here are some events we hope you’ll take part in as part of the WorldView team:

Monthly Happy Hour Join your co-workers for drinks and snacks in our fully-equipped kitchen, which includes a stove/oven, dishwasher, commercial-grade beverage refrigerator, four microwaves, ice machine and more.

Summer Event You are welcome to bring your family by the office most any time, but this is the one event each year when everyone gets together with their entire families. Think BBQ, beer, volleyball, and Frisbee.

Company Retreat Every year we take time away from the office to connect as an organization and focus on important issues for the entire team. We typically have a facilitator on site to guide us in a series of activities that have both personal and team applications. (Don’t worry, there are no trust falls!) The retreat is interactive and a time to fully engage and enjoy time with your colleagues.

Ultimate Frisbee When the weather isn’t too hot or too cold, we’ll walk down the canal to Brown’s Island for a spirited game of Ultimate Frisbee. Haven’t played Ultimate? Imagine sprinting back and forth on a soccer field for forty-five minutes, while trying to catch a spinning disc. No really, it’s fun.

Book Club The WorldView book club gives you the opportunity to get together with your coworkers to discuss selected books periodically throughout the year. A new book is chosen by the group roughly every quarter and discussion sessions are scheduled to discuss sections of the book. Topics such as leadership, team building, and time management have made great choices, but we are also open to more fun reads... it’s really up to what the group decides!

Open House Annually, we invite WorldView’s friends, clients and associates to join us for an open house at our office in downtown Richmond. This is a popular event for our staff and clients with lots of food and drink from local restaurants and breweries.

Chili Cook-Off The Golden Ladle beckons you. Every November, WorldView staff put down their laptops and pick up their aprons and hot sauce to lovingly prepare a batch of their favorite chili recipes. Judging is by secret ballot, with all participants hoping their concoction earns them the right to display the coveted Golden Ladle trophy on their desk for the next year.

Holiday Party Once a year, we all take a shower, iron our shirts and dresses and gather to celebrate the holiday season and the past year.

Staff Initiated Events Our employees enjoy each other’s company – so much so that often you will find impromptu gatherings for happy hour at a local brewery, golf outings, fishing trips and more. Feel free to plan an outing of your choice where and when you like.
