1. Clear the area of everyone except the builders. Family & friends of builders may stay in builder booths but prefer they leave the area

2. Gather the builders together and thank them for participating. 3. Explain that A.I.I. is peer judged which is a concept originally created by LVBF. No

voting for yourself. Try to put your own personally building style aside as you view the other bikes. Keep an open mind.

4. Tell the builders about the prizes including the new 2nd and 3rd place prizes and sponsors.

5. Distribute the judging folders and a pen to each builder.6. Each builder has two minutes to describe their own bike to the other builders.7. Commence judging – builders to provide their top five ranking.8. Builders are allowed to talk to each other during judging.9. Builders to sign the form and turn in to event staff.

Unloading to take place on Fremont St and come in through main entrance. When they arrive, company representative is to be given the Welcome Package if the

builder is not present. Review the Welcome Package with them and complete the Move-Out Authorization Form.

Form to be kept by LVBF staff. Place the bike in the next open space per the layout. Mark the master layout diagram with

the name of the builder in each spot. Place the builder sign with the bike on the floor. Remind builder that they should use the time now to check-out the bikes and that they need

to be back at 12:00pm for judging. WELCOME PACKAGE – Check In

LOGISTICS:

Must be registered with Party Pass (Pink wristband), Ultimate Pass (Blue or Gray wristband) or Vendor (Red wristband) to enter bike.

If not registered, must complete a New Registration form and pay for Party or Ultimate Pass. Give them a new registration card to exchange at the registration tent (location TBD).

Check the Entry Log for participant name and if not there, add them to the log under the correct category.

Write the entry number on the Headlamp Sticker and give to entrant to place on headlamp. Give entrant an Entrant Information sheet and direct them to take their bike to the gate into

Rally Central for placement. Confirm that everyone in their group has a wristband. If anyone does not, give them

directions on how to purchase a wristband. No “FOR SALE SIGNS” are permitted on or near bikes until after 2pm No stanchions allowed.

CUSTOM BIKE SHOW REGISTRATION / CHECK-IN / PLACEMENT 9:00am – 11:00am Check-in LOGISTICS

Must be an LVBF registrant with Ultimate, VIP (Neon Green or Purple wristband) or Vendor (red wristband) to enter their bike in the Custom Bike Show. If they have a Party Pass (Neon orange wristband) registration, they must pay an additional $30 at Custom Bike Show registration to participate. If upgrading to an Ultimate Pass mark on registration form “UPGRADE.”

If not registered at all, have them complete a New Registration form for Ultimate Pass, collect $80 cash, apply an Ultimate wristband and give them a New Registration t-shirt card. They will need to go to the Event Office at Cashman to pick up their t-shirt and package. If they register onsite mark on registration form “NEW”.

Entrants that sent an entry form in advance will be listed in the Entry Log and may have a copy of the confirmation letter or email they received. If they did not pre-register, add each entrant to the Entry Log for the category.

Write the entry number on the Headlamp Sticker and give to entrant to place on headlamp. Give entrant an Entrant Information sheet and direct them to take their bike down the

driveway to Rally Central. Confirm that everyone in their group has a wristband. If anyone does not, give them

direction on how to purchase a wristband. No “FOR SALE SIGNS” are permitted on or near bikes until after 1pm No stanchions allowed, as they oftentimes fall on the bikes damaging the bikes

Categories: Weenie Bite – As the driver rides under the dangling dog, the back rider

stands up to bite off as much of the dog as they can. Back rider can only use their hands to balance themselves. If driver puts feet down any time, they are out.

a. Volunteers needed: 2 (weenie measurer, weenie replacer) Tennis Ball Mayhem - 5 cones and 4 tennis balls needed. The rider can

not touch their feet on the ground or a cone. The cones are in a straight line with space for the rider to ride through. The passenger will have to pick up the tennis balls and keep them as they collect the balls off the cones. The driver has to turn the bike around and at that point, the driver can touch the ground. As the driver goes through the cones again the rider has to place the balls back on the cone. If the tennis ball is dropped it's 5 seconds off the time; if the driver touches their feet on the ground it is 10 seconds off. Fastest time wins.

a. Volunteers needed: 2 (ball replacers)

Road Kill - As the driver rides, have stuffed animals on the ground. The back rider has to collect as many animals in the big net as they can. If the driver puts their feet down, they are out. We will have Zappos boxes to make an obstacle course for the road kill

There are no refunds for registration packages

If registrant is unable to attend, we can send their registration package to them 2-3 weeks after the event. If they registered for a Party Pass there is a $10.00 charge for shipping & handling. Ultimate Pass will be mailed at no additional cost. A request must be made in writing prior to the event for the package to be sent.

INTERNAL POLICY ONLY – DO NOT PUBLICIZE: Transfers will be allowed to a new name if registrant is unable to attend. This should not be offered, but can be accommodated if registrant asks. throughout the weekend. These wristbands will give staff access to Rally Central ($15.00 entry per day without wristband) and all of the activities at Rally Central including Miss Las Vegas BikeFest.

Complete registration packages are not included with the cost of the vendor space but if any staff people want to participate in any of the competitions or enter the Custom Bike Show or Baddest Bagger Contest they do not need to register. They may enter up to three bikes. If they want to participate in the Poker Runs or Poker Walks, it will be necessary to complete the standard attendee registration form and purchase an Ultimate Pass.

As part of your booth space rental fee, Las Vegas BikeFest® will arrange for your Clark County Sales Business License.

All of the necessary paperwork will be provided to exhibitors at check-in. It will be necessary for exhibitors to collect sales tax (8.15%) and turn in these funds to Event Management at the conclusion of the event.

If the exhibitor is a registered business in Nevada, they must submit your Taxpayer ID number to Event Management prior to the event. Any Nevada business without a Taxpayer ID number is required to pay sales tax at the conclusion of the event. Any other permits that are required to sell away from your Nevada store/shop must be obtained by you prior to the event.

Nevada motorcycle dealers, be sure to contact the DMV for your sales/display permit. ON SITE PROCEDURES: Vendors will be given a pre-populated tax form to sign at check-in. Tent stakes and patching are included with all tent rentals. To receive advance rate orders must be made before September 09, 2016. A 10% service charge will be retained from all refunds for cancellations made before

September 09, 2016. There will be no refunds for cancellations received after September 9th, including on-site at the event.

TENTS: If Vendor orders a tent smaller than their booth size - they need to be contacted to confirm placement location of tent. Staking

Vendors will not be provided with tents/canopies by Las Vegas BikeFest®. If the exhibitor has their own tents or awnings, Vendors can stake their own tents and are

responsible for patching/repairing payment, or vendor can order patching thru Full Circle Events.

If trailers stake their own awnings there will be a $50 fee to patch all holes Stakes ordered thru Full Circle include patching. All tents/awnings are required to be secured to the ground - with stakes or weights in

Rally Central. EZ-Ups can use sandbags or weights to secure the structure.

Complete the “TENT/FURNITURE/ELECTRICAL ORDER” form for advance rate of $25 per

stake or go to the Full Circle Events table onsite to arrange for this service at $40 per stake (must request stakes onsite by 12pm on Wednesday, September 28, 2016.)

All charges are the vendor’s responsibility. Setting Up Their Own Tent - Fire Permits

If the exhibitor sets up their own tent outside, 10’x20’ or larger with side walls or 20’x20’ or larger with no side walls, they are required to acquire a fire permit from Clark County. A permit is required for truck/trailer awnings more than 400 feet.

If you utilize / rent a tent from Full Circle Events, no permit is necessary as permits will be paid for by LVBF as part of your vendor fee.

Representatives from the Las Vegas Fire Department will also be on-site at the event to confirm that tents and awnings are in good condition and fire retardant. Please be aware that should the Las Vegas Fire Department deem your tent to be a hazard, you will be required to remove your tent and should you request one of our tents, you will need to pay the standard rate for such tent. You may also need to provide a fire extinguisher or rent one from Full Circle Events.

NOTE: Halogen light bulbs that are exposed are not permitted inside the rally area and all extension cords must be three-prong and grounded. Electrical, Furniture and tent orders placed onsite will need to be ordered in the Event Office based on availability.

Full Circle Event will have the onsite forms at their table to confirm they are able to accommodate onsite order. If they can, the vendor will complete the paper form with payment and give to LVBF Staff. Staff will process the form by charging cc and cash (no check). They will sign rental sheet and make a copy to be given to Full Circle Events. Full Circle will only complete an order that has been signed off by LVBF staff.

If the exhibitor requires the assistance of a forklift to un-load or to move your trailer, they will be required to pay a forklift fee of $50. They can arrange for the use of the forklift on-site at the Full Circle table inside the Event Office based on availability. ICE & WATER VENDORS: included in registration: ONE free 10 lb bag of ice per vendor per day and six bottles of water will be delivered 30 minutes after the rally opens each day. Vendors will park on S. 8th Street and walk to Event Office Highlight Vendor on Check-In sheet. Check-In sheet will indicate if they are unpaid. If unpaid, you must collect outstanding

balance. Cash only. Issue receipt from receipt book. Write name of person and cell phone number on Check-In sheet. Issue the Nevada tax form. Companies not selling do not need to do this.

o Have the company representative fill-in their Federal ID Number (FID) or social security number and sign the tax form.

o Nevada companies must provide their Sales Tax ID number on their tax form. They then indicate "0" (zero) sales on their return and pay with their usual quarterly returns.

o Have the vendor sign one copy. We keep it on file for when they come in to pay their taxes.

o Remind them they should come back in the office on Sunday to turn in their taxes and complete their paperwork. If they aren't able to come in, we will go to their booth.

Give them the following:o Welcome Letter o 25 Installation Passes (if applicable) - they can come get more any time.o Trailer parking flyero Rally Pin (two per company)o Programo Vendor Wristbands - note with hash marks the amount issued. Do not go over

On Thursday, remind them they must remove vehicle from Rally Central by 2pm. If they request complimentary tickets to Rally Central, you can give them up to four (4).

These can be exchanged for comp wrist bands at the ticket booths. Show vendor where vendor parking is on the map and let them know they can use their

Vendor Parking pass to gain entrance. Trailers are not allowed to park in Vendor Parking lot.

Ask the Vendor if they ordered furniture, tent, tent accessories, or electrical in advance.o If Yes, send them to the Laurie.o If No:

Ask if they need to order anything. If they do, send them to Laurie

Instruct Vendor to go to their vehicle and proceed to their booth. Show them on the map which gate they should enter in order to get closest to their booth.

MOVE-IN PROCEDURES

Exit gate on Carsono Fremont: Proceed north on 8th. Turn right on Fremont Street.

Exit gate on 10tho North: Proceed north on 8th to Ogden. Turn right on Ogden. Enter at gate off of

o Security guards will be posted at entrance and exit gates. All other gates will be locked.

Security guards will be instructed not to allow entrance into lots without Vendor Set-Up pass.

Security guards will keep a log of everyone who enters with vehicle description, License plate, vendor name, driver name, and cell phone number.

MOVE-OUT PROCEDURES

Vendor vehicles will not be allowed in the lots until 5:30pm Vendors do not need to check-in or stage anywhere for move out. This will be included in

the move-in letter. Vendors will be instructed in their move-out letter to pack booth before bringing vehicle in. If it gets too congested, floor managers will notify guards not to let anyone in.

Vendor Rules Vendors can use their own stakes, but are not required to stake their tent. Vendors are

responsible for repairing/patching of stake holes. See the order form from Full Circle Event to order stake patching in advance. All Tents must be weighted down with stakes or weights.

Vendors are permitted to use their own UL approved generators. There is no overnight sleeping in RV’s or trailers at Rally Central. Service animals must have proper I.D. or permit info.

Vendor Space Assignment Priority space assignment was given to 2014 vendors. Vendor Space Rental Agreement

and deposit must have been received by 12/01/2014 for priority assignment prior to new vendors. Space is assigned on a first-come first-served basis. Space assignments will be given to vendors upon arrival at the Event.
