Chapter One: IntroductionVoice Diary®®®® is an electronic data organizer designed for the blind and visually impaired. Ifyou can use a telephone you can use Voice Diary. Meticulous human engineering andinnovative voice recognition technology have been combined in Voice Diary to contribute toyour independence, self-confidence and creativity.

We recommend that you listen to the Voice Diary Tutorial Cassette in order to get acquaintedwith the many features of your new Voice Diary and have it start working for you right away.

Voice Diary KeysVoice Diary keys are divided into three sections. The main section, called the Keypad, isrecessed in the center of Voice Diary. The Keypad keys are identical in layout to the familiartelephone keys. The oval button with the raised dot just above the middle of the keypad is the 5key. 7, which is used to turn Voice Diary on, is set below the other keypad keys so that youwill not accidentally press it.

Voice Diary announces the name or function of each key when pressed. Keys have differentfunctions depending on where you are in Voice Diary, so when you press a key you may hearits name, a prompt for you to do some action, or confirmation that you have done a particularfunction. When you are in Calculator, the keypad keys are numbers only. (See page 19 formore information on Calculator.)

Most keys also have different functions when pressed after Code or Escape. For a completelisting of key combinations, see Key Combinations, page 23.

Note: You can browse through all of the functions activated by the Code key bypressing Code 8 or 2. Continue pressing 8 (or 2) until you hear the Codekey function you want to use and then press Enter.

The pairs of keys above and below, and to the left and right, of 5, are shaped like arrows. Theseare called the joystick keys. 2 and 8 are used to move up and down, such as through the hoursin Diary; 4 and 6 move left and right, such as through the days in Dailypad.

1 and 3 are the browsing keys. They are used for moving forward or backwards through yourrecorded memos.

On the bottom row of the keypad, from left to right, are “*” (“Star”), “0” (“Zero”) and “#”(“Pound”).

Directly above the ridge that marks the boundary of the Keypad are the four Utility keys. Thetriangular key on the upper-left is Find, used for voice-recognition functions in Phonebook.The triangular key on the upper-right is Record, which is pressed and held during recordingsessions. The two round keys between Find and Record are, from left to right, Up and Down.

Directly below the Keypad ridge are three Function keys. From left to right they are Escape,Code and Enter.

Below the function keys are the four Calculator keys. Clockwise from the top left they are – (“Minus”), + (“Plus”), ×××× (“Times”), and ÷÷÷÷ (“Divide by”).

Note: ÷÷÷÷ (“Divide by”), on the lower left, is also used to shut Voice Diary off.

Getting StartedCharging Voice Diary for the First TimeBefore you can start working with Voice Diary its integral battery pack must receive an initialcharge. Plug the AC charging unit into a wall socket and then insert the plug into the chargerinput located at the top of Voice Diary, just above the speaker.

If this is the first time you are using Voice Diary, you will hear the system reset beep. Press7 (On). About thirty seconds after a double beep Voice Diary will announce Notepad. Press÷÷÷÷ (Off) to start the charging process.

The full charging process requires approximately seven continuous hours. You may, however,begin using Voice Diary within a few minutes if you leave the charger in place.

New batteries require approximately three days of charging and discharging in order to reachtheir maximum holding power and provide between 12 to 16 hours of uninterrupted use withoutthe charger.

Note: When Voice Diary is charging you will notice that it heats up behind thespeaker. This is normal.

Using the ChargerWhen Voice Diary is fully charged you should have sufficient power for a typical workingday. Voice Diary conserves power by shutting down automatically if it is not used for thirtyseconds. This automatic timeoff interval is one of many user-definable values.

Because of Voice Diary’s use of amplified audio, its power consumption is generally higherthan that of pocket computers and cellphones. Replaying memos at a high volume uses more

energy than listening at lower volume, for example. We recommend that you use Voice Diaryat the lowest comfortable volume.

Note: See page 8 to see how to adjust Voice Diary volume.

Your Voice Diary must be charged every day for six to eight hours even if is not used. If youplan extensive work at your desk—to listen to and act on many memos, or to train numerousentries in Phonebook—we recommend that you use Voice Diary with the charger attached.

Note: Memory Recycling (page 10) must always be done with the charger.

Low Power ResetIf the battery pack becomes depleted during the course of the day Voice Diary will stopresponding to your keystrokes. Insert the charger. Press 7 (On) after your hear the system resetbeep. You will hear two more beeps, and in about thirty seconds Voice Diary will turn itselfon. Press ÷÷÷÷ (Off) to begin the charging session.

If you turn on Voice Diary after a charging session and hear two beeps, it means that a lowpower reset occurred sometime during charging and that the process was not completed. Press÷÷÷÷ (Off) to continue the charging process.

Note: After a low-power reset you may continue using Voice Diary within a fewminutes if you use it with the charger attached. If you wish to use VoiceDiary without the charger allow it to recharge for seven hours.

A low power reset does not effect your saved data, although you may need to reset the currentdate and time. Press * (Time) to check the current date and time after a reset and follow thedirections on page 8 to adjust the current date and time if this is necessary.

During the course of the day you monitor your battery status. See System on page 22.

Note: Rarely, an unanticipated software conflict may cause a system reset. Press7 (On) after the system reset beep. You will hear two more beeps, and inabout thirty seconds you will be able to continue working. There is no needto recharge Voice Diary after a software conflict reset.

Changing the BatteryDepending on how you use Voice Diary, the integral battery pack should last for a year ormore. Batteries should be replaced every year, or when you find that Voice Diary stopsworking frequently when using it without the charger.

When you change your battery your saved data will not be lost, though you will need to resetthe current date and time.

Setting Current Date and TimeTo set the current date and time press Code * (Time). The default date format is two digits forthe month, two digits for the day, and two digits for the year (MMDDYY). February 25, 1998,for example, is 022598.

Voice Diary’s default time format is a.m./p.m., though you may set the time using twenty-fourhour format as well. If the current time is 4:35 p.m., you can key in either 1635 or 435 + (p.m.).To set the time to 8:35 a.m., key in 0835 or 835 - (a.m.).

After setting the current date and time you can hear the current time and date by pressing* (Time).

Adjusting Voice Diary Volume and Voice SpeedAdjust Voice Diary volume by pressing or . Adjust voice speed by pressing Code or Code .

Chapter Two: Notepad, Dailypad and DiaryYou will switch between Notepad, Dailypad and Diary depending on the type of memo youwish to record. Notepad is ideal to record a quick reminder, a sudden idea—anything thatoccurs to you at the moment that you do not want to forget. Use Dailypad for memos about aspecific date, such as a To-Do list. Diary is for memos when both the date and time areimportant, such as reminders for meetings or alarms for special events.

When you press 7 to turn on Voice Diary you are automatically in Notepad. To switch amongNotepad, Dailypad and Diary see the table below:

Recording MemosTo record a memo press and hold Record and begin speaking after the beep. Do not releaseRecord until you have finished your memo. You will hear another beep when you release theRecord key.

To make successful recordings:

• Hold Voice Diary about between 10 to 45 centimeters (4 to 18 inches) from your mouth asyou speak (depending on background noise level)

• Remember to keep Record pressed throughout your memo• Do not begin speaking until the first beep is completely over• Use a clear, natural voice, neither too loud nor too softTo record a memo do as follows:

To listen to your recorded memo press Enter. Your memo is preceded with the memo numberand followed by a single beep.

You may also store phone numbers in memos and have Voice Diary dial for you. SeePhonebook (page 16) for more information.

Using NotepadBrowsing MemosWhen you have recorded more than one memo in Notepad, you can browse through themusing 1 (Browse Back) and 3 (Browse Forward). When you hear the last memo Voice Diaryloops back to the beginning.

Press either browsing key (1 or 3) before the memo to skip to the next memo. Press Escape tocancel playing the memo. Press Enter to pause in the middle of the memo, and press Enteragain to resume listening from where the memo was interrupted.

Erasing MemosTo erase a memo select it, press 0 (Erase) and then press Enter to confirm.

Note: To make sure that you have selected the proper memo to erase, listen to itfirst by pressing Enter. The last memo Voice Diary plays (or the memoyou just finished recording) is the selected memo by default. To cancel theerasing session press Escape or any other key except Enter.

Once you have acted on your Notepad memos you may erase them all. Press Code 0 (Erase)followed by Enter to erase all of your memos in Notepad.

Memory RecyclingErasing a memo does not remove it from memory. In order to clear that space in memory again,the erased memos must be purged by using Memory Recycling. Press Code 1 followed byEnter. When Voice Diary says “Done” you can continue working.

Note: Voice Diary will not let you do Memory Recycling without first attaching thecharger.

Memory FullIf Voice Diary has no more memory available for recording memos, you will hear “MemoryFull.” To clear up memory do the following:

• Erase outdated or unwanted memos (page 10)• Dispose of erased memos using Memory Recycling (page 10)If you were in the middle of recording a memo when you heard “Memory Full” your last memowill not be saved in memory.

Using DailypadDailypad—your To-Do list in Voice Diary—is where you can record memos concerningtasks, reminders and chores, all organized by date.

Turn on Voice Diary and press 8 to open today’s Dailypad. Record a memo for each task youwish to tackle or chore you need to finish today. Use 6 and 4 to move forward and backward,day-by-day, in Dailypad. To select a more distant date press Escape * (Time) and select thedate using six digits: two for the month, two for the date, and two for the year. (For moreinformation about date format see page 8.)

By using 1 and 3 you can browse through each day’s Dailypad memos. When you hear the lastmemo Dailypad loops back to the first memo you recorded for that day. To find the nearest dayfor which you recorded a Dailypad memo press Escape 4 (previous day with Dailypadmemos) or Escape 6 (next day with Dailypad memos).

You may highlight a Dailypad memo by selecting it and pressing + (Alarm). This makes thismemo into a Daily Header, which will play automatically when you browse through Dailypad.

Note: A Dailypad Daily Header will also automatically play on its date in Diarybefore any Diary memos.

Moving and Copying MemosSometimes you will record a memo in one device that you would like to move or copy toanother.

To move a Notepad memo to Dailypad use the following procedure:

To copy a memo (make a duplicate memo in a different place) use Code 9 to both select and topaste the memo.

Note: The memo you marked for moving or copying is not removed from itsoriginal location until you complete the session. To cancel the operationturn Voice Diary off by pressing ÷÷÷÷ (Off).

Using DiaryDiary is where you can organize your meetings and appointments. Memos recorded in Diaryare arranged by date and time. You can select any time and date in Diary to record anappointment, meeting or recurring reminder such as a monthly meeting or an anniversary.

Navigating Through DiaryWhen you first open Diary it will automatically select the current day and time (today andnow). When you press 5, Voice Diary will also give you other information, as follows:

Use the joystick keys to navigate through Diary from date to date, and from hour to hour withina particular date. 4 and 6 move back and forward by day. 2 and 8 move back and forward byone half-hour increments.

You may move more quickly through Diary pressing and holding down the joystick keys. Bypressing 6 continuously Diary will flip not to the next day but to the following Sunday. Bypressing 8 continuously, Diary will go forward in four-hour, rather than half-hour, increments.

Note: Flipping through Diary hours by pressing and holding 2 or 8 does notchange the Diary date.

You may also move through Diary in one minute increments by pressing Code #. You will hear“Code: Set Time One Minute.” Now using 2 and 8 will move Diary by one minuteincrements instead of half hour increments. You may set Diary back to the default 30 minuteincrements by pressing Code #. Voice Diary automatically returns to half-hour incrementswhen you change to another device or when it automatically shuts off.

Note: Pressing and holding 2 and 8 (when in one minute mode) will advanceDiary time in increments of five minutes.

To select a specific date and time in Diary press Escape * (Time) and set the date and time.

You may record more than one memo at each selected date and time.

Browsing Diary MemosUse 1 (Browse Back) and 3 (Browse Forward) to browse through all of your Diary memos.Browsing through your Diary memos is sequential. When you have listened to the last (orearliest) memo you will hear “End.”

By pressing a browsing key before the memo is finished you will skip to the next memo.Pressing Enter will pause in the middle of the memo. Press Enter again to resume theinterrupted memo.

As you browse through Diary you will hear the date and time during which you recorded thememo as well as the number of memos you recorded at that particular position.

Time and Memo AlarmsYou may set an alarm in Diary to sound at a particular time or to play a selected memo. Selectthe time or memo and press + (Alarm). The alarm you set will go off at the selected time anddate even if Voice Diary is turned off. When you browse through your Diary entries an alarmwill be indicated by a single beep.

Note: To cancel the alarm select the time (or memo) and press + (Alarm) again.

An alarm will beep six times at the date and time you set, even if Voice Diary is not on at thetime. Press Escape to turn off the alarm when it is playing.

Repetition MemoTo have Diary remind you of recurring events, such as a daily news broadcast, attendance at aweekly meeting, preparation of a monthly report, a birthday or anniversary, select the date andtime, record a memo (if you wish), and then press Code +. When Voice Diary prompts you toSet Repetition press one of the following keys and press Enter to confirm:

You can browse through your repetition memos in the Repetition Table. To access theRepetition Table press Code 4 while in Diary. You will hear “Repetition.” Browse throughyour repetition memos by pressing 2 or 8. You will hear each repetition memo that yourecorded and what kind of repetition you have set.

To erase a repetition memo or alarm, browse through the Repetition Table until you select theone you wish to erase. Press 0 (Erase). You will hear “Erase Repetition.” Press Enter toconfirm.

You may also limit the number of times a memo repeats. Select the date for the last time youwish to hear the repetition memo using Escape * (Time) in Diary. When the date is selectedpress Code 4 to enter the Repetition Table and browse using 2 or 8 until you hear therepetition memo. Press Code + (Alarm). You will hear “Stop Repetition.” Press Enter toconfirm. The recurring memo will only repeat for the period you specified.

If you want to hear a particular repetition memo in Diary as well as in the Repetition Table,select that memo and press Code 3 while in the Repetition Table (or in Diary immediatelyafter you have recorded it and made it a repetition memo). You will hear Repetition Diary.Now that repetition memo will be announced in Diary as well as in the Repetition Table. Tocancel this feature, select the memo and press Code 3 again.

Note: If you have activated the Repetition Diary feature you may also select therepetition memo for deletion in Diary. However, this will delete alloccurrences of the repetition memo.

Chapter Three: PhonebookPhonebook stores your phone numbers, addresses, and any other information you wish toassociate with names and allows you to find it using voice recognition.

Phonebook structures entries in much the same way in which a personal computer organizesfolders, sub-folders, and files.

A Phonebook folder list might be as follows:

• Friends • Suppliers • Utilities• Family • Customers • Restaurants

These folders are called “Headers.”

Under each Header, you can create sub-folders, called “Names.” The Names under the“Friends” Header could be

• Larry • Curly • Moe

Both Headers and Names can include memos containing information such as a street address,directions, or a phone number.

To reduce the amount of time Voice Diary will spend looking for your Headers and Names,we recommend that you organize your Phonebook into six to ten Headers with eight to sixteenNames under each one. You may record a total of 127 headers and names.

Training EntriesTrain Phonebook entries in a quiet room. Background conversation and recorded music mayinterfere with successful training in Phonebook.

If you are training many headers and names you should frequently power off and on again inorder to save all of your information in permanent memory. We recommend that long trainingsessions be done using the Voice Diary charger.

To train a Header called “Friends” press Code Find. You will hear “Train Header.” Say theword “Friends.” Repeat “Friends” when Voice Diary prompts you.

Voice Diary compares the two times you say the word. If they are not similar, or if there is toomuch noise in the room, Voice Diary may not accept the training session. Try again.Remember to speak in a natural voice, neither too loud nor too soft. After comparing the tworecordings, Voice Diary will say OK.

To see how Phonebook works press Find. You will hear “Find Header.” Say “Friends.”Voice Diary repeats “Friends” in your voice.

Press 5. Voice Diary will say Phonebook: Friends. Now you can train Names under your“Friends” Header. Press Code Find. Voice Diary will say “Train Name.” Say the name andrepeat it when Voice Diary asks for confirmation. Press Code Find to train more names underthe “Friends” Header.

Now you may record memos under both Headers and Names in Phonebook. Your memo caninclude telephone numbers that Voice Diary can use to automatically dial for you.

Recording Phone Numbers in PhonebookTo record a telephone number press and hold Record while keying in the phone number usingthe keypad keys. When you finish keying in the phone number release Record.

To include a voice memo along with a telephone number look at the example below.

To make a phone call using Voice Diary lift any DTMF phone—one which can accept touch-tones—place Voice Diary’s speaker near the phone mouthpiece and press – (Dial). VoiceDiary will play the tones and the phone will dial automatically.

If you press Enter you will hear your memo and Voice Diary will announce the phonenumber. If you press – (Dial) only the phone tones will play.

Note: To have several phone numbers under the same Header or Name recordthem in separate memos.

Using PhonebookOnce you have Headers, Names and Memos in Phonebook, you can begin to use its powerfulfeatures. If, for example, you want to call your friend Larry, do the following:

To dial Larry’s phone number, lift the receiver of any phone that can use dial tones forautomatic DTMF dialing, place the speaker of Voice Diary near the phone’s mouthpiece, andpress – (Dial).

If you have set access numbers for area codes and long distance numbers, press Escape –(Dial).

For more information about dialing from Voice Diary see page 16.

Browsing Through PhonebookYou can browse through Phonebook using the joystick keys. Press Escape to get to thePhonebook root, and then browse through your Headers by using 6 and 4. Within each Headeryou can browse through your Names by using 2 and 8. Press Enter to hear your memos, or -(Dial) to dial the recorded phone number.

Erasing Phonebook EntriesErase memos in Phonebook Headers and Names as they are erased in Notepad or Dailypad(page 10).

If you no longer want a Phonebook entry, whether a Header or a Name, you can erase it alongwith its associated memos by selecting it and pressing Code 0 (Erase).

To erase your entire Phonebook, press Code 0 (Erase) in the Phonebook root. If you confirmby pressing Enter you will have no Headers, Names or Memos in Phonebook.

Memory RecyclingErasing a Header or Name does not remove it from memory. In order to use that memory again(especially after hearing the “Phonebook Full” warning), press Code 1, followed by Enter.You may have to wait for a minute or more, depending on how many erased entries you have.

Note: Voice Diary will not let you do Memory Recycling if the charger is notattached.

Chapter Four: CalculatorVoice Diary includes a sophisticated calculator. Press # (Calculator) to start Calculator.

Calculator includes most standard calculator functions, including exponentiation, percentage,and memory. Calculator is limited to seven digit numbers, including the decimal point.

To clear an incorrectly keyed number press Escape. If you have finished your calculationpressing Escape will open the device from which you entered Calculator.

Note: You can browse through all of the key combinations in Calculator bypressing Code 8 or 2. Continue pressing 8 (or 2) until you hear the functionyou want to use and then press Enter.

Chapter Five: Stopwatch and TimerStopwatchTo use Voice Diary’s Stopwatch, press Code + (Stopwatch) To start timing press Enter. Youwill hear a beep to mark the beginning of timing. By pressing 5 (Position) you will hear theelapsed time. When you press Enter again you will stop timing and you will hear the end time.

Pressing Record while Stopwatch is running will put the current time into memory. You canuse this to record up to ten lap times. After you have finished timing you may use the browsekeys 1 and 3 to hear the lap times you recorded.

Laptimes and the last stoptime are stored in memory until they are replaced by another timingsession, even if Voice Diary is turned off.

Stopwatch beeps every two minutes when it is running and no key is pressed.

When you are finished press Escape to return to the device from which you enteredStopwatch.

Note: You cannot enter Stopwatch from Diary.

TimerTimer can be used to remind yourself to do a particular action at regular intervals. For example,you might wish to remind yourself to get up and stretch every hour, or stir the soup every tenminutes.

You may set any time from one minute to twenty-three hours and fifty-nine minutes, to repeatfrom one to ninety-nine times.

Note: Unlike Stopwatch, Timer counts in integral clock minutes. When you startTimer, the end of the first minute may be less than sixty seconds.

Press Code ×××× (Timer) in order to set Timer. To remind you every ten minutes for an hour (sixtimes) do the following:

Chapter Eight: Changing BatteriesDepending on how you use Voice Diary, the integral battery pack should last for a year ormore. Batteries should be replaced every year, or when you find that Voice Diary stopsworking frequently when using it without the charger.

When you change your battery your saved data will not be lost, though you may need to resetthe current date and time. A replacement battery pack can be purchased from the Voice Diarydistributor.

Follow the directions below to replace the battery pack.

Note: Battery replacement should be done only by a qualified person.

1. Hold the Voice Diary, keys down, in one hand.

2. Remove the three screws in the back using a Phillips screwdriver.

3. Lift the back cover and turn it over. Be careful not to lose the screws.

4. Unplug the connector from the Voice Diary printed circuit board. Secure the printedcircuit board by holding the two sockets on either side with your fingers, grip the connectorwith two fingernails of the other hand, and gently remove it. Do not pull the wires.

5. Unscrew the battery bracket using a Phillips screwdriver.

6. Remove the battery bracket and put it and its screw and washer aside.

7. Lift out the old battery pack and dispose of it in a responsible manner. Place the newbattery pack in the same direction as the old battery pack.

8. Replace the battery bracket. Put the plain end into the notch below the battery pack, lay thebracket over the battery pack, and then put the washer and screw in the hole. Tighten thescrew. Do not overtighten. (See figure below).

9. Plug the battery connector into the printed circuit board. Do not force the connector; it canonly be inserted one way. One side of the battery connector has a small notch whichmatches a small hole in the connector on the printed circuit board. (See figure below).

10. Replace the cover.

11. Hold Voice Diary in one hand and replace the screws. The short screw goes into the singlehole at the bottom (opposite the microphone). The two long screws go into the holesopposite the speaker.

12. Tighten the screws. Do not overtighten.

13. Insert the charger. You will hear the reset beep. Press 7 (On). In a few moments VoiceDiary will open Notepad.
