PTA/PTSA Presidents, As the school year draws to a close, so does my leader-

ship as your president of SCPTAs, I would like to thank everyone involved with SCPTAs and the PTA/ PTSA units! So much has happened and been accomplished these past two year, I can hard-ly believe it is over! I had a wonderful time being your council president

and getting to know such awesome people! Thanks for allowing me to be your leader! I wish you all the best in your PTA endeavors! Below is a list of tips that will prove to be very helpful for a smooth PTA leadership tran-sition and to get ready for the next exciting PTA school year!!

Current officers and

committee chairs should complete their year-end re-ports, collect their materials and procedure books, and pass them on to their suc-cessors. (Please remember that PTA materials belong to the PTA, not the person.)

The treasurer should

pay all bills, settle all ac-counts, and be sure records

are ready for the financial review.

A financial review committee

should be appointed and prepare to review the treasurer’s books in a timely fashion.

If the PTA bylaws were re-

viewed or amended by the mem-bership, be sure two copies are sent to the Missouri PTA State Office at 2101 Burlington St. Co-lumbia Mo. 65202 OR email to Linda Thiele at mopta.org.

After the elections, names,

addresses, etc., of officers should be sent to the Missouri PTA State Office.

Signatures on the PTA bank

account(s) should be changed to the new treasurer, secretary, and president if needed. (Remember that all checks should be signed by two people.)

The new officers should be

installed and outgoing or retiring leaders should be thanked for their service.

New committee chairs should

meet with their predecessors, and review materials that have been passed on in their procedure books.

New leaders should attend

the SCPTA School of Information in June and the Officer Orienta-tion in August.

The new PTA board should

meet and set the goals for the PTA for the coming year.

Plan the calendar for

the coming year for mem-bership meetings, board meetings, special events and meet with principal on all building requests.

The treasurer, other

officers, and appropriate committee chairs should prepare the proposed budget for the coming year. The PTA budget should reflect those goals. Committee chairs should recruit members and pre-pare plans of work for ap-proval by the PTA board. TIPS FOR TREASURERS:

Start planning for the end of the fiscal year – make sure your

records are up-to-date, bank statements reconciled, and receipts attached to check request vouchers;

Remind your committee chairs that all reimbursement requests must be turned in (with original receipts

attached) so that checks can be written before June 30;

Make sure that all state and national portions of dues have been forwarded to Missouri PTA.; and

REMEMBER, the outgoing treasurer cannot pay bills after the books are closed for financial review!

Clothing Bank Report:

Another busy year for the SCPTAs Cloth-ing Bank! 1635 visits were recorded for the 2011-12 school year through 4/25/12. The Clothing Bank provided over 16,000 new pairs of socks and underwear, 1,000 coats, over 1600 jackets, and over 10,000 shirts and pants. This is slightly down from the previous year's total. District personnel could relate this decrease to the improved documentation procedures as well as the use of Care-to-Learn Wal-mart vouchers. In direct response to requests by families and district staff, the Cloth-ing Bank increased the number of Saturday openings to six throughout the school year. PTA members, students and community members provided the work force to staff the 150 hours of operation. Large monetary donations by Care-to-Learn, Educational Funding Group, Youth Empowerment Project, and race proceeds by Wilder Elementary 5K race provided much-needed funds to purchase coats, socks, and underwear. Bass Pro donated over $24,000 worth of boy’s jeans, men’s coats and jackets, and junior pants. The lack of suitable laundry facilities continues to be a problem and bar-rier to clothes being processed and distributed to students. Several organizations including Greenwood Laboratory School and the First Baptist Church of Springfield provided much needed assistance in this area.

Help Appreciated: Your help is needed and appreciated for committees with Springfield Council of PTAs. Please consider helping with at least one council committee. We have spaces for 52 helpers, so each unit PTA president or officer should plan to fill one space (either with your own name or a name of some-one from your unit). Committees and committee descriptions still needed:

Clothing Bank team Coordinators: Work with another PTA Clothing Bank team member to oversee ongoing operations of the clothing bank one Wednesday a month; help distribute clothing to shoppers, keeping track of necessary paperwork and submitting report to chairmen of clothing needs. Time Commitment: 8:45am-3:30pm one day per month plus meetings as necessary . Legislation & Resolution Chairperson: Informs the organization of pending legislation and existing laws affecting home, school and community; informs the council of resolutions adopted by MO PTA and National PTA, submit resolutions when issue exists. Arranges annual PTA legislative forum at December Gen. meeting and the school board candidates forum at March Gen. meeting.

Reflections Chairpersons: The chairman shall coordinate the Reflections program by encouraging units to participate, serving as a resource for chairman, presenting workshops and information, planning any recognition or showcase of student participants;

Membership Chairperson: The chairman shall work with units to increase and maintain membership by sharing suc-cessful programs and promotions from National PTA and Missouri PTA; keep records of local unit membership; present membership recognition at the May council meeting;

RIF Chairperson: The chairman shall promote effective library services for children and adults and shall cooperate with Reading is Fundamental of Springfield and other reading programs, disseminating relevant information to the schools.

winners were drawn at the April General Meet-ing. Those winning PTA's are for Business Memberships- Wilson's Creek and General Membership- Horace Mann. Horace Mann also received special recognition for the most memberships during the challenge. Congratulations to all who participated.!!!!!

Thank you to the following schools for their generous contributions to RIF this school year: Boyd, Disney, Field, Fremont, Gray, Harrison, Hickory Hills, Jeffries, Mann, McBride, Pershing, Pittman, Pleasant View, Robberson, Sequiota, Sherwood, Sunshine, Truman,

Watkins, Weaver, Westport, Wilder, York, Greenwood, Immaculate Conception, St. Agnes, St. Joseph. Because of your PTA’s and volunteer’s support, RIF of Springfield is one of the largest and longest running programs in the nation. In Springfield, 400,000 books have been made available for 1st and 2nd graders since 1979. It is an accomplishment of which we can all be proud. Thank you from us and from the generations of children.

RIF Springfield will be giving books next year – at least one or two distributions. We are waiting to see what kind of help the National RIF program can give us after the U.S. Dept. of Education decides how the grant program will work for literacy programs.

2010-2011 SCPTAs’ End of Year Historian Report President – Dawn Thompson

As President of SCPTAs for the school year of 2011-2012, I gratefully participated in the following activities: September: Lead the School Crossing Protection Committee meetings on Sept. 2, Oct 11, 2012, and Nov. 17. Feb. 28. Worked at the Clothing Bank starting in August and then once a month during the school year. A group of dedicated PTA members also worked several Saturdays the CB was open-Oct 1, 2011, Nov. 5, 2011, Dec.3, 2011, Feb. 2, 2012, March 3, 2012, and April 7, 2012. Approxi-mately 100 coats were delivered to Comet Cleaners on Sunshine who washed them free. SCPTAs matched Care to Learn's matching grant of $10,000 for the Clothing Bank through various donors such as EFG, YEP, Wilders 5 K run in April, the individual schools, and community donations. A check from EFG Group was presented for $3,000 to the Clothing Bank and it went to the Care to Learn matching funds program we had in place. The "All Pro Dad" breakfast program kicked off the year with a training session for the "team leaders" lead by Jeff Plaster of Hickory Hills Elementary. McDonald's and Chick- Fil- A" was our food sponsor with Krispy Cream providing coffee for the breakfasts. We had 11 Elementary school participate and one middle school. The PTA membership campaign was given a boost with the donation of tri-fold boards for the 52 PTA units to use to highlight the PTAs in their schools. The boards were posted on the SCPTAMO.com web site and were featured in the National PTA magazine "Our Children" Feb- March addition. October: Attended the "Kids First" meeting starting in October and continued throughout the school year. This group was put together by the Springfield school district to gather community leaders together to respond to the needs of our children here in Springfield. I also worked with the school district to have our PTA units in compliance with the district policy of carrying liability insurance for their PTA programs. It was my pleasure to attend the 4th grade play "The Musical Adventures of Flat Stanley” at the Little Theatre– SCP-TAs received a plaque for our participation. On October 14-15, 2011, I attended the Missouri PTA State Convention at Stoney Creek Conv. Center Columbia Missouri. SCPTAs held a reception at the convention for our incoming Missouri PTA President, Mrs. Donna Petiford. SCPTAs received the following awards at the convention: the At Law Award- for Child Advocacy, the Council Achievement Award, the Health & Safety Education Grant and the Council Web Site Award. November: Attended the MSIP5 meeting on October 25 at the KAC building. I also worked with the "League of Women Voters" on the upcoming legislative rally in December. December: SCPTAs conducted a Legislative Rally Dec.7, 2011 with State Senator Bob Dixon, State Representative Thomas Long, State Representative Sara Lampe, State Representative Shane Schoeller, and a representative from State Representative Lincoln Hough's office all in attendance. Representatives from the "League of Women Voters" were present to sign up attendees to vote. Mis-souri PTA President Mrs. Donna Petiford led the Legislative Rally. January: The Reflections Showcase held on Jan 8, 2012 was a great success! The showcase was held at the Battlefield Mall and the "Reflections” theme was "Diversity Means....".Donna Petiford took the entries to State for us for judging. February: It was exciting to be able to bring the "Save a Life Tours "(an interactive program about the dangers of distractive driving) to two of our high schools- Central and Hillcrest on February 14 & 15, 2012. SCPTAs sponsored the program for the schools. Photos and a write up were written in the Springfield News Leader on the event. The NED Show was introduced to the Springfield PTAs. This show is interactive and teaches the children to "Never Give Up, Do Your Best, and Encourage Others.” Thirteen schools partici-pated in the FREE program. All who attended the SCPTAs Founders Day Banquet on Feb. 28, 2012 hosted by Glendale High School had a great time. The theme this year was “A Night of Champions... Honoring the MVP's of PTA.” It was an honor to present Gerry Lee and Dot Atkinson with the Missouri Distinguished Service award at the banquet. A silent auction was held at the banquet and the proceeds whet into the Charlie Nichol's CARE Fund. March: On March 4, 2012, SCPTAs held a School Board Candidates Forum at Wilson's Creek. There were four candidates for three spots. VP of Organization and Development, Kim Horton led the School Board Forum. It was fun to present the principals with a gift on Principal's Day with pens engraved by Glendale's Technology Education Dept. On March 28, 2012, I attended Child Advocacy Day in Jeff City with Donna Petiford, Kim Horton, and Dot Atkinson. We spoke with Sen. Bob Dixon, Sen. Jay Wasson, Rep. Lincoln Hough, Rep. Charlie Denison, Rep. Sarah Lampe, and Rep. Eric Berlison about our PTA legislative priorities.” April: The Springfield Council of PTAs once again sponsored the EFG Card Program that involves the purchase of a "Preferred Din-ing Card.” This is councils only fundraising campaign. The campaign was from April 23- 27, 2012. May: Membership awards were handed out to Springfield PTA units. The new SCPTAs officers were installed: President: Mary Chris-tiano, VP of Org. & Dev: Dot Atkinson, VP of Promotions: Kim Horton, VP of Programs: Alice Lunn, VP of Health & Public Services:

Kim Wrinkle, Treasurer: Angela Knight, Secretary: Patty Dunn. The School of Information will be held on June 2, 2012 at Hickory Hills

Bylaws – Barb Bunselmeyer – Chair All PTA/PTSA units Bylaws that were due for review were contacted and given advance no-tice of their due dates. The importance of keeping units Bylaws up to date is critical so schools can participate in the Reflections pro-

gram. The SCPTA Bylaws will be up for review May 2013. No amendments were presented for this 2011/12 school year.

Fundraising – Beth Finke/Kim Horton The SCPTAs fundraiser for the 2011/2012 was the Education Funding Group Cards (EFG). We had 21 schools participating in this spring fundraiser. The dates were April 23 – April 30, 2012. The cards sold for $10 –with the council and school participating receiving $2.50 each per card. We received a $3,000 donation for the Clothing Bank from EFG this year as a “thank you” for returning business to EFG!

The SCPTAs held a Silent Auction at Founders Day Banquet in February 2012. This year was again a success with approx. $1,605 raised. This money goes into the Charlie Nickel Fund.

Legislative – Lisa Langley – Chair The Missouri AT Law award was presented to our Council at the Missouri State Convention in October.

Again, this year, our council held the Town Hall/Legislative Rally on December 7, 2011 at McBride Elementary. The following were present - Sara Lampe and Bob Dixon with the following sending representatives – Tom Long, Claire McCaskill and Roy Blunt. Donna Petiford, State President served as monitor of our rally. The League of Women Voters provided a table of information for those in attendance.

We also hosted the School Board Candidate Forum on March 7, 2012 at Wilson’s Creek School. This year Springfield school board had four candidates running for three spots on the board. All four attended. Kim Horton served as monitor of the event.

The Child Advocacy Day was held on March 28, 2012 in Jefferson City. We had the following attend to represent council: Dawn Thompson, Dot Atkinson, and Kim Horton. Donna Petiford, Missouri State President also attended with our group. Our group visited several senators and representatives – a very productive day!

Scholarships – Jennifer Givens – Chair The Scholarship committee met early in the school year to prepare. The Charlie Nickel Fund applications were distributed to all elementary schools including Greenwood. This year 27 schools each received $100 from this fund. Checks were issued in January 2012.

Gertrude McBride Fund applications were distributed to all Middle and High School principals. This year nine middle schools and all five high schools received $100. All schools PTA/PTSA units had to be in good standing to receive these funds. This year more funds were available, so each school received an increase over past years.

The schools scholarship committee will distribute the Four High School Scholarships that SCPTA offers following the selection of a senior. This year the scholarships will be given out to the following schools based on the rotation schedule. Each scholarship will be $350.

Hillcrest – G Carr Scholarship

Proof of enrollment must be submitted to council by the following September.

Handbook – Angela Knight/Kim Horton The 2011/2012 Council Handbook was distributed at the September Council Meeting. There were three copies provided to each PTA unit. QuickPrint – East Kearney provided excellent service and price. Angela Knight, Council secretary compiled the handbook.

VP of Promotions – Pam Bachus

Founders Day: Was held on February 28, 2012 at Central High School and hosted by Glendale High School. Theme was “A Night of Champions, Honoring PTA’s MVPs.” Tickets were $16 each. Tickets sales were 238 sold and 11 complimentary. Forty-six Volunteers of the Year were awarded a certificate and engraved pen made by the Glendale Industrial Tech Dept. Each PTA President was also recognized with a certificate and a flower. Past SCPTA Presidents were recognized and given flowers. SCPTA Executive Board Members Gerry Lee and Dot Atkinson were each awarded the Distinguished Service Award. Glendale Choir and Chamber Orchestra provided entertainment for the evening. For a third year in a row, the silent auction was held and netted $1,635.98. Proceeds from the auction funds the Care to Learn Fund. Promotions: Apples were purchased from Kiwanis Club in October. Council purchased two cases at $50 per case. Apples were de-livered to the administrators at the KAC Building. Salute to Schools: Hospitality chair Pam Spickard coordinated a “Salute to Schools” celebration for the administrators at the KAC Building. SCPTA board members provided desserts. Council purchased lunch catered by Pasta Express. Approximately 100 administrators are in the building. Hospitality: Council provided snacks for the August General Meeting at the Library Center. Council provided refreshments for the September meeting at the Discovery Center. Each hosting school provided refreshments for the general meeting in October, Novem-ber, December, January, February, March, and April meetings. SPS provided refreshments for the May meeting held at the Kraft Ad-ministration Building.

children2011-2012 SCPTA End of Year Historian Report (continued) Membership: Springfield public schools had approximately 6,401 PTA/ PTSA members this year (down 612 from last year). During the summer, tri-fold boards were donated to council by SMC Packaging Group and distributed to each PTA. The PTAs were asked to decorate and use the display boards throughout the year, promoting their PTA unit. We had two membership challenges within the year. One was in the fall and the other took place December-April. Winners of the fall “I am PTA” membership challenge received dinner and movie gift cards. PTAs that increased their membership by 10 from the previous year were entered in a drawing. Awards were given for General membership and Business membership. The spring “It’s Not Too Late” membership challenge was increase membership by one each month would earn an entry into the drawing. Increase by five would earn two additional entries. One winner was drawn for General membership and One for Business Membership. The prize for the Spring Membership challenge was a PTA gift bag and a gift card to Newk’s Deli. A prize was also awarded to the school that had the largest increase from December-April. Mediacom Ice Park also offered Elementary PTA members a day in the fall and winter a special day to come and receive special skate time and rental with their PTA membership card. Golden Gavel Membership awards were given at the May General meeting. Plaques were given for 1st place winners and certificates for the second place winners. Plaques were ordered from BJ’s Trophy Shop.

Clothing Bank: Another busy year for the SCPTAs Clothing Bank! 1635 visits were recorded for the 2011-12 school year through 4/25/12. The Clothing Bank provided over 16,000 new pairs of socks and underwear, 1,000 coats, over 1600 jackets, and over 10,000 shirts and pants. This is slightly down from the previous year's total. District personnel could relate this decrease to the im-proved documentation procedures as well as the use of Care-to-Learn Wal-mart vouchers. In direct response to requests by families and district staff, the Clothing Bank increased the number of Saturday openings to six throughout the school year. PTA members, students and community members provided the work force to staff the 150 hours of operation. Large monetary donations by Care-to-Learn, Educational Funding Group, Youth Empowerment Project, and race proceeds by Wilder Elementary 5K race provided much-needed funds to purchase coats, socks, and underwear. Bass Pro donated over $24,000 worth of boy’s jeans, men’s coats and jack-ets, and junior pants. The lack of suitable laundry facilities continues to be a problem and barrier to clothes being processed and distributed to students. Several organizations including Greenwood Laboratory School and the First Baptist Church of Springfield provided much needed assistance in this area. Student Wellness: The SCPTAs supplied funding for two important student wellness projects. The "Save a Life" Tour presented at Hillcrest, and Central High Schools provided students with an interactive opportunity to understand the dangers of texting while driv-ing. Students from Bailey Alternative High School attended the event at Central High School. These presentations were well received by both students and staff. "Don't Meth with Us" is a community project organized by the Rotary Club. It addresses the use of meth-amphetamine and its effect on an individual's health and well-being. Safety: Quarterly meetings were held at Busch Municipal Building to address school crossings and traffic flow surrounding school sites. Law enforcement, city officials, PTA representatives, and SPS personnel attended. Issues of note this year: Kearny pedestrian bridge, review of the School Crossing Protection Manual, child pedestrian and school bus safety program, bike-training clinic and education video. School of Information: This event will be held June 2 at Hickory Hills School from 8:45-12:00. Council will provide refreshments. Vice President of Programs – Denise Overton

Fourth Grade Play – Flo Graham – chairperson Thanks to an ongoing partnership between the Springfield Council of PTAs and the Springfield Little Theatre, approximately 2,000 fourth graders from our 37 elementary schools had the opportunity to attend the production of “The Musical Adventures of Flat Stanley” at the historic Landers Theatre. Four (4) performances were held on October 18th and 19th. Council donated to Springfield Little Theatre as a sponsor of the play.

Reading Is Fundamental (RIF) – Carrie Windes – chairperson The RIF year began with Coordinator Training on September 28. Since 1979, 400,000 books have been made available for first and second graders in the Springfield School District. This year’s theme was “Friends.” RIF’s distribution dates were Oct. 19, Jan. 18, and April 18. The annual poster contest deadline was March 15.

PTA Reflections – Carol Oliver and Michelle Boswell – chairpersons The theme for the National PTA Reflections program for 2011-2012 was “Diversity Means….”. Council sponsored a judging for students in the Springfield Public Schools. Thirty schools par-ticipated with 230 entries. Training for the chairpersons was held on Sept. 13 (morning) and Sept. 15 (evening) at the Brentwood Library Community Room. Representatives from 32 schools attended the training. The City Reflections Showcase was held on Jan-uary 8, 2012 at Battlefield Mall. Entries were viewed from 12:00-4:00 with an award ceremony at 3:00 pm. There were 47 students from the Springfield schools that placed in the state competition from first place to honorable mention. Four entries have gone on to the national judging with results being announced in May.

All Pro Dads-Jeff Plaster- chairperson This new SCPTA program is in its second year and has been quite successful. Training was held on September 8 at Hickory Hills School. Twelve elementary schools have participated in this program with over 4,000 dads and children attending 39 All Pro Dad breakfasts. Chick-Fil-A, Pasta Express, McDonalds, Krispy Kreme and Andy’s Custard, Springfield Police Department, Springfield Fire Department and Strafford Fire Department have all helped with this program.

NED Show- This was a new assembly program introduced this year. It is a free 45-minute assembly with a message about improving student behavior, raising test scores, enhancing instructional time, literacy, and attendance. NED stands for: Never give up, Encour-

age others, Do your best. Assemblies were held on Feb. 21-24 with 13 schools participating.
