Volunteer Administrator

Job Title: Volunteer Administrator

Responsible to: Office Manager

Hours: 24 hours to be worked Monday – Friday. One evening a

week working 3pm-9pm with a day off in the week. This will be agreed prior to the commencement of the position.

Time off in lieu will be given for any additional hours worked

Fixed Term: This post is for a fixed term of 1 year Job Purpose:

1. To provide administrative support to the Northamptonshire Rape Crisis team of

volunteer counsellors.

2. To support the Client Assessor in the allocation of counselling clients to

Northamptonshire Rape Crisis counsellors.

3. To enter data into the CORE database and RCEW’s before and after

questionnaire.

4. To monitor data entry by counsellors on the NRC database case management

system (DPMS).

5. To support the Volunteer Trainer and the Client Assessor to compile data for the

monitoring returns.

6. To provide photocopying, filing and general administration duties to all volunteer

counsellors to ensure the smooth running of the organisation.

7. To provide a warm welcome to survivors, volunteers and visitors coming to

Northamptonshire Rape Crisis.

8. To support the administration of the Helpline and the Helpline training program.

9 To hold responsibility for administration and monitoring of the systems and processes required to ensure that potential volunteers meet the expectations of NRC’s training.

10 To ensure volunteer representation and to provide reports on the volunteers, their placements, hours contributed and training provided etc. at team and management meetings.

11 To ensure records and data associated with the volunteers are recorded and kept on file (such as contact details and BACP or UKCP numbers).

12 To co-ordinate bi-monthly volunteer peer support meetings and ongoing training/social events.

13 To explore and develop new opportunities within NRC where volunteers could contribute their time and skills. 14 To ensure that there is a clear avenue of communication and feedback

between the volunteers and staff team. 15 To ensure administrative tasks involved in the safe practice for volunteers are

adhered too. 16 To identify and organise new opportunities and training needed for volunteers to

extend and develop their experience and to ensure that all volunteers undertake the mandatory Safeguarding Children training within the first 6 months of volunteering in line with the training being available.

The post holder is also expected to:

1. Attend full staff team meetings and supervisions. 2. Work flexibly as agreed within the team to meet the demands of the service – this

may involve some evening and weekend work. 3. Maintain confidentiality in all matters relating to NRC. 4. Avail of training opportunities as agreed with your Line Manager at induction,

appraisal or supervision. 5. Carry a caseload of two clients. 6. Undertake other related duties that the Office Manager deems appropriate and/or

necessary.
