Web Time Entry approvalsWeb Based Time EntryUsing insidePacificFor Supervisors

This presentation will provide you with step-by-step instructions to approve and submit your student and temp casual timesheets.1Go to www.pacific.edu. Click insidePacificLog in using your PacificNet ID and Password

You will first need to log into insidePacific. On the Pacific home page you will find a link to insidePacific in the upper right hand corner. Once you click on the link, you will be directed to enter your PacificNet ID Username and Password. These log-on credentials are the same as the ones you use to log into the computer every day on campus. If you do not know your log in credentials, you will need to contact your campus help desk.2Click the Administrative Tab

Next you will click on the Administrative tab located towards the top of the page.3Click Time Sheet

Here you will find a Time Sheet box. In this box you will find links to documents that provide guidance in approving your time sheets, as well as a link to your time sheet needing approval. You will find the Student and Temp Casual Timesheet Calendar which will provide you with due dates to approve your time sheets. The Overtime Requirements NonExempt Employees provides guidance with overtime laws, Format Guidelines for Entering Hours provides guidance in rounding in and out times to the nearest quarter hour, and the Rest Periods & Meals Breaks provides guidance with requirements for rest and meal breaks. Click on the link to Time Sheet to begin approving your time sheets. 4Make sure the bubble for Approve or Acknowledge Time is filled in and click Select

In order to approve your student or temp casual timesheets, you will need to make sure the bubble is filled in for Approve or Acknowledge Time. Then click select. It is important that you do not double click any of the buttons while approving your time sheets. This could cause error messages to appear. Also, do not use the browsers back button. Make sure to use the buttons within the time sheet.

To set up a Proxy (someone to approve timesheets in your absence), you will click on Proxy Set Up. It is recommended that all supervisors set up a proxy immediately. Once the proxy is set up you will not have to do this again, unless your proxy changes.5Proxy Set Up

Select your proxy from the drop down menu and click the box to add. Once you have selected your proxy click the save button. To get back to the previous screen click Time Reporting Selection.6Select the Pay Period from the drop down menuChoose to sort records by Status then Name or just Name

From the drop down menu you will select the appropriate pay period you need to approve. Please note that you will have access to view but not change previous timesheets so it is important you choose the correct pay period. You can choose to sort the records by Status then by Name or by Name. It is recommended that you sort by Status then by Name. This will separate the timesheets that have been submitted for approval from the timesheets that have not been started. Once you have the appropriate choices selected, click on the select button.7Click on your employees name

On this summary page you will see your employees sorted by Pending, Not Started, or In Progress. Pending means that the timesheet is awaiting your approval, not started means that the employee has not started their timesheet, and in progress means the employee started their timesheet but has not submitted it for approval. You will only have the option to approve the pending timesheets. Under the Pending section click on your employees name to review their timesheet.8Review Employee Detailed Information

Here you will see your employees detailed time sheet information. In the Time Sheet section you will see the total hours by day. In the Time In and Out section you will see all of their in and out times by day. Please make sure to review all in and out times for accuracy yielding special attention to meal break and overtime requirements. If everything is accurate at this point click the approve button.9Make Necessary Adjustments

If, when reviewing the time sheet, you come across a discrepancy and need to make a change, click on the Change Record button.10Make Adjustments

Here you will be able to make any corrections to your employees time sheet. You can click on the hours for the day to correct any in and out times that have already been entered or enter hours to enter any hours that have been missed. 11Save Changes

Steps to Adjust Hours, If Necessary

Here you can make adjustments to the in and out times. Please make sure you are entering your hours to the nearest 15-minutes then click save. When adjustments are complete, click Previous Menu to return to the time sheet.12Comments

Any changes require comments

If you make any adjustments to your employees time sheet you are required to enter comments. Click on the Comments button.

13Enter Comments

Here you will enter any comments relating to the adjustments you make to your employees time sheets. For example, if you changed the in time from 10:30 am to 10:00 am on March 16th you will make a comment such as 03/16 changed time in from 10:30 am to 10:00 am due to being called in early. Do not use the confidential indicator. Please note: individual employees will be able to view the comments you make. When you are finished entering comments, click save. When comments are complete, click previous menu to return to the time sheet.14Approve if Accurate

After reviewing your employees time sheet and ensuring all data is accurate and any changes have been made, click on the Approve button.15Approved

You will now see that the time sheet has been approved successfully.
