The Walt Disney World Swan and Dolphin Resort in Orlando, Fla., will play host to the 112th Baseball Winter Meetings from December 9–12. The Baseball Winter Meetings is the annual gathering of members of The National Association of Professional Baseball Leagues, Inc. (d/b/a Minor League Baseball), Major League Baseball and their affiliated parties. Baseball front office personnel, trade show exhibitors and job seekers will fill the property during these four days in December, making it the largest gathering of baseball executives in the world. The meetings consist of seminars, league and organizational meetings, the Baseball Trade Show and special events, such as the annual Awards Luncheon, Banquet, Gala and the PBEO Job Fair. PBEO JOB FAIRCurrently in its 20th year of existence, the PBEO Job Fair gives individuals seeking employment inthe baseball industry the opportunity to meet face to face with club executives and interview on site for a variety of available positions. The process is simple and streamlined. Job fair attendees can search jobsranging from internships to full-time positions, then apply, interview and receive offers all while at the Baseball Winter Meetings. With December marking the height of the baseball hiring season, an average of 400-500 jobs are posted each year for between 450-550 job seekers. Most clubs are hiring for positions beginning in January 2014, with Short Season-ATM clubs hiring for later in the year. BOB FREITAS BUSINESS SEMINAR & WORKSHOP SERIESA staple of the Baseball Winter Meetings for more than two decades, the Bob Freitas Business Seminar continues its tradition of delivering insightful speakers and attention-grabbing topics to attendees. Morning breakout sessions, featuring presenters from the baseball world and beyond, provide valuable insight into the sports industry and its practices. Current Freitas categories include Sales & Marketing, Covering Your Bases, Grand Slam Operations, Licensing & Merchandise and Community & Media Relations. Organizations can benefit from the information offered by a diverse list of presenters.
This year, the Monday afternoon roundtable setup, which has typically taken place in a large ballroom-type setting, is being replaced with a number of smaller rooms for improved communication. The new model, called the Bob Freitas Workshop Series, will allow for closer interaction among attendees in a quieter, smaller location. Featuring a room for each track (as in the mornings), a moderator will present a topic and then allow those in attendance to share their experiences
and ideas on it with the group. Two sessions will be held simultaneously in each room.
Part of this updated programming includes providing additional learning experiences during the morning and afternoon on the trade show floor on Tuesday and Wednesday. Two informal workshop locations will feature speakers and discussions, giving attendees the freedom to stop in for a few minutes, while walking the trade show floor, or stay for the entire 30-minute session. The new format will allow participants to experience more speakers than ever before, hear a wider variety of relevant topics and have further opportunities to exchange and share ideas with their colleagues.
AWARDS LUNCHEONSponsored by Musco Sports Lighting, the Awards Luncheon recognizes some of the top individuals and clubs within the game of baseball. Highlights of the event include opening remarks from Minor League Baseball President & CEO Pat O’Conner, followed by award presentations for the Joe Bauman Trophy, Rawlings Woman Executive of the Year, Bowie Kuhn Award, Sports Turf Managers of the Year, Scouts of the Year, Baseball America Organization of the Year and Bob Freitas Awards. The Awards Luncheon is attended by more than 1,000 individuals each year as a way for attendees from both Minor League Baseball and Major League Baseball to honor their peers and colleagues.
OPENING NIGHT AT THE BASEBALL TRADE SHOWKnown as the “kick-off” of the Baseball Trade Show, Opening Night gives exhibitors and attendees their first opportunity to networksocialize on the trade show floor. GROUP RATEAttendees can reserve housing through the Minor League Baseball office through their Baseball Winter Meetings registration (online or brochure). The group rate for both hotels for a single or double room reserved through the Minor League Baseball office is $231.75 per night, including taxes and fees, where applicable. Although PBPC (Professional Baseball Promotion Corp./Minor League Baseball) will use reasonable efforts to accommodate the housing requests of each applicant, PBPC reserves the right, in its sole discretion, to assign, reassign, change or otherwise designate lodging for applicants at any of the Baseball Winter Meetings convention hotels.
Hotel Incidental Policy: Upon your check in to your assigned hotel, the hotel will require you to present a credit card. The hotel will hold a pre-authorization amount for the amount of room nights you are there (inclusive of tax and resort fee) and $100 per day for the length of your stay. Depending on your bank, it could take up to two (2) - 30 days for the unused funds to reappear back on your account. This is not an MiLB or Baseball Winter Meetings policy, but a policy directed by the hotels.

BASEBALL WINTER MEETINGS ATTENDEESThe Baseball Winter Meetings are not open to the general public. Only Minor League Baseball and Major League Baseball organizations, or Approved Non-Members* can attend. The registration deadline for this year’s Baseball Winter Meetings is October 25, 2013. Any registrations received after October 25 will be charged an additional $150 per registration.

Approved Non-Members can choose to attend the Bob Freitas Business Seminar & Workshop Series for an additional fee of $350. To qualify to attend as an Approved Non-Member, you or your organization must have an existing relationship with a Minor League Baseball or Major League Baseball club and/or league. You must provide two (2) references to the Minor League Baseball office to verify the nature of your relationship, as well your company name, website and contact information. The Baseball Trade Show is attended by nearly every attendee of the Baseball Winter Meetings. From owners and general managers to stadium operations personnel and buyers, representatives from all across Minor League Baseball and Major League Baseball will be in attendance. This annual gathering gives you the opportunity to make purchases for equipment, player apparel, retail merchandise, promotional items and services at the show or just check out the latest baseball products available on the market.
Spanning three days, the Baseball Trade Show is a catalyst for attendees and exhibitors to interact with one another and achieve valuable face-to-face time. More than 250 exhibitors will utilize approximately 100,000 square feet of exhibitor space in the Atlantic and Pacific Halls at the Walt Disney World Swan and Dolphin Resort during the week.
Exhibiting companies include manufacturers and distributors of apparel, caps, gift items, souvenirs, promotional products, stadium equipment, food and beverage products, player equipment and on-field suppliers and service companies, including insurance, architecture, concessions, printing, marketing, internet, entertainment and many more. The Baseball Trade Show offers a unique one-stop shopping experience for attendees in a simple, convenient forum.
While on-site, make sure to grab a complimentary Buyer’s Guide Directory to help you navigate way through the exhibits on the trade show floor. The Social Media Lounge serves as a meeting place to check emails, conduct business and network with other attendees, as well as complete an attendee survey to receive a free gift.

The PBEO Job Fair gives clubs the opportunity to post available positions, conduct interviews and hire qualified candidates through this streamlined and simple hiring process. Clubs can post jobs at the Baseball Winter Meetings free of charge and can pre-post jobs on or before November 22. Attendees can search the jobs ranging from internships to full-time positions, then apply, interview and receive offers, all while at the Baseball Winter Meetings. With December marking the height of the baseball hiring season, this is a great way for clubs to get a jump start on the season by filling their staffing needs. Approximately 400-500 jobs are posted each year for between 450-550 job seekers. Don’t miss out on the chance to find your next employee from a pool of national candidates. Your club can post available positions in advance of the Baseball Winter Meetings by using your club’s account at www.PBEO.com, or by filling out the Job Fair Posting Form on the following page.

Baseball Winter Meetings General Attendance PolicyThe Baseball Winter Meetings are not open to the general public. In order to attend, you must be (i) a member of The National Association of Professional Baseball Leagues Inc., d/b/a Minor League Baseball™, or Major League Baseball, (ii) a Baseball Trade Show Exhibitor, (iii) a PBEO® Job Fair Attendee, or (iv) an Approved Non-Member. Non-Member applications must be approved prior to registration and will be considered on a case-by-case basis, in Minor League Baseball’s sole discretion.
Minor League Baseball and Major League Baseball clubs and leagues may only register, purchase additional tickets or name badges, and request housing for individuals who are employed by their organization.
Any company that is in the business of selling a product or service to any Minor League Baseball or Major League Baseball club or league can only attend the Baseball Winter Meetings as a Baseball Trade Show Exhibitor.
Any professional or amateur sports league, club, or organization must go through the Non-Member approval process as mentioned above and will be considered on a case-by-case basis, at Minor League Baseball’s sole discretion.
Minor League Baseball, in its sole discretion, reserves the right to refuse admittance to any person or entity for any lawful reason. A member that has previously purchased a “Name Badge Only” registration may purchase an upgrade to a full registration package that includes tickets to all events by paying the on-site registration fee.
Non-transferable Convention Name BadgesA convention name badge serves as a license for admission to the Baseball Winter Meetings and Baseball Trade Show. Convention name badges are required to gain entry into the Baseball Trade Show. Convention name badges are non-transferable. Convention name badges must be worn at all times and must be presented upon request. Tickets are required to attend special events and are not transferable. Minor League Baseball reserves the right, in its sole discretion, to terminate an Attendee’s license at any time and require the Attendee to leave the premises. Anyone so removed from the convention will not receive any refund of fees previously paid. Re-entry to the convention will not be allowed. In addition, Minor League Baseball reserves the right, in its sole discretion, to terminate an Attendee’s license at any time and require Attendee to leave the premises if an Attendee presents a name badge that does not belong to him or her or cannot produce required identification. Sharing name badges is strictly prohibited.
Children’s Attendance PolicyChildren ages four (4) and older must have a ticket and convention name badge to gain entry to the Baseball Trade Show and Baseball Winter Meetings special events. Costs for children ages four and older are the same as for adults.
Registration & Room Reservation PolicyA person must be fully registered to attend the Baseball Winter Meetings in order to reserve housing through the Baseball Winter Meetings Office. A deposit equivalent to one night’s stay per room reserved is required to process the housing form.
Lost/Replacement PolicyIf you lose or leave your registration materials at home, a replacement name badge can be purchased on-site at the Baseball Winter Meetings registration counter. If you lose special event tickets or a full passport, the charge for a replacement is the face value of the individual ticket or full passport. Upon your return home, a refund will be issued if you return all materials intact to our offices within 14 days after the last day of the event.
Use Of Likeness Attendee irrevocably consents to NAPBL and Organizer, and their employees, agents, and personnel, using the likenesses of Attendee and Attendee’s employees, agents, personnel, invitees, and guests for purposes including, without limitation, the operation of the Baseball Winter Meetings and Baseball Trade Show, publicity, marketing, and promotion of the Baseball Winter Meetings and Baseball Trade Show and other programs. Attendee understands and agrees that the likenesses may be copied and distributed by various methods, including, without limitation, photography, video, television, websites, social media, brochures, email advertisements, magazines, and newspapers. Attendees and Exhibitor understand that, although NAPBL and Organizer will endeavor in good faith to use the likenesses in accordance with standards of good judgment, NAPBL and Organizer cannot warranty or guarantee that any further dissemination of the likenesses will be subject to NAPBL and Organizer’s control. Accordingly, Attendee, on behalf of himself, herself or itself and all of its employees, agents, personnel, invitees, and guests, releases NAPBL and Organizer from any and all claims and liability related to the likenesses or the dissemination thereof.
Use of Email AddressEmail addresses of registrants are shared with Baseball Winter Meetings Sponsors so that sponsors can provide information about industry products and reviews. In addition, if you reserve housing through the Minor League Baseball Office, your email address will be given to your assigned hotel in order for them to send registrants confirmation numbers.
RebatesPBPC will receive a room rebate in the amount of $3 per room night from Disney Resort Destinations (d.b.a. Disney’s Yacht & Beach Club Resorts) and $5 per night from the Walt Disney World Swan and Dolphin Resort. The rebate will help offset the costs of the Baseball Winter Meetings, Baseball Trade Show and related events.
