The Opry features a dynamic line-up of new stars, superstars, and legends of country music. Unlike a typical concert, the Opry presents eight or more artists on each show, giving the audience a sample of each artist’s musical style. Only the Opry... there’s nothing quite like it anywhere else!

Entertainment Line Up: Please note that due to the nature of the Opry, a complete artist line-up is not posted until the week of each show and even then may change.

Travel Arrangements: Our host hotel provides ongoing shuttles to the area. Please allow ample time to board the shuttle, as the shuttle is available to all hotel guests and not dedicated to RHS.

Payments, Policies, and Procedures

Registration and Cancellation: per person. Those registering by check must send in your payment within 15 days of registering or you will lose your reservation.

Refund/Cancellation Fees**All cancellations must be in writing via email

to [email protected] or by US mail. Cancellations by phone will not be accepted.

• All Cancellations received by May 8, 2019 will be assessed a $50 processing fee.

• Cancellations after May 8, 2019 will forfeit 50% of their Convention fee.

• Cancellations after June 10, 2019 will forfeit 75% of their Convention fee.

• Cancellations after July 8, 2019 will forfeit 100% of their Convention fee.

Registration transfers will be assessed a $25 fee per transfer.

No-Shows / Late Arrivals / Early Departures • No-shows – On Site Convention registrants who are

not checked in on their confirmed registration date at Convention Registration will be considered a (no-show) non-refundable cancellation.

• Late Arrivals – Onsite or Online Convention registrants who arrive after their confirmed registration date will be welcomed, but will NOT receive any refund from their missed Convention Activities.

• Early Departures - Attendees who leave before the Convention concludes will not receive any rebate or refund on their Convention Fee.

Payment PlansThe Red Hat Society is delighted to offer Hatters a payment plan option. There is a $50 non-refundable, handling fee for this request and independent of the cancellation fee, should you choose to cancel your reservation or be cancelled due to non-payment. Payments are structured monthly. Payments will ONLY be processed on the 15th of each month. If the 15th falls on a Friday, Saturday or Sunday the funds will debited on the following Monday.

An example of the payment plan:In September, you registered for the Payment Plan On Site Package and Pre convention Option: $450Your first payment of $50_plus $50 non-refundable handling fee will be processed in October. Subsequent payments will be $50 Monthly for 8 MonthsAll registrations must be paid in full by June 15, 2019.

Please remember the following are your responsibilities: 1. The funds must to be in your account on the 15th

of each month. If you do not have the funds on the 15th we will not notify you but we will process a double payment the following month along with a $15 processing fee. If they once again are not available you will be given the option to pay in full along with a $30 processing fee or be cancelled.

2. If your credit card number changes for any reason it is your responsibility to notify us. If you don’t contact us with new credit card information within 2 months you will be given the option to pay in full or be cancelled. If your credit card declines, a fee of $15 will be assessed.

3. If you are paying by check the check must reach Hatquarters by the 15th of each month. If your check is returned for NSF, you will be charged a $15 processing fee.

4. If you do not send a check for 2 consecutive months you will be given the option to pay in full or be cancelled. 5. Minimum monthly payment is $50 per month

6. Any changes or updates to credit cards must be paid by the 10th of each month in order to process by the 15th of the month.

7. Membership must be current during the registration period and the convention dates. Membership renewals can take place at the time of monthly convention payments.

While you can find shopping and dining right under our roof, you’ll also want to explore nearby attractions including the Grand Ole Opry, Opry Mills, the Country Music Hall of Fame and the General Jackson Showboat. During your getaway, make an appointment at Relâche Spa & Salon, or gather your group for an outing at Gaylord Springs Golf Links. Our hotel’s indoor and outdoor pools and 9 acres of lush, indoor gardens and cascading waterfalls will impress all visitors.

Room ReservationsRHS room rate is $199 per room, per night for single/double occupancy, Premium Rooms are available for $249plus applicable state and local taxes in effect at the time of check out (currently 9.25% sales tax, 6% occupancy tax and $2.50 city tax per room per night). Subject to availability, Group rates will apply three days prior to, and three days following the dates of the Convention. Each additional person to a room is $20.

RHS attendees will be making reservations directly with the hotel using GroupMax online group reservations. Individuals must identify themselves as part of Red Hat Society to receive the special group rate of $199USD for single or double occupancy. All reservations must be guaranteed with a deposit for the first night’s guestroom and tax charge. If reservation is guaranteed to a credit card, a first night’s guestroom and tax charge, per guestroom, will be billed immediately to the cardholder’s account. The hotel will not hold any reservations unless secured by one of the above methods.

A dedicated booking website has been created for RHS attendees so our guests will be able to make, modify and cancel their hotel reservations online, as well as take advantage of any room upgrades, amenities or other services offered by the hotel.

Q: What does my Convention fee cover?

A. Breakfast on Friday, lunch on Saturday, dinner event on Saturday, and various activities listed on the agenda such as: The

official REDuation and Coronation ceremonies, Gutsy Gal & First Timers Meet and Greet, The International Gathering (if

attending from outside the USA), a record decorating and Record Exchange event, A Pinkie Party, an RHS charm exchange,

shopping at Hat District, a photo session with Exalted Queen Mother Sue Ellen Cooper & Esteemed Vice-Mother Linda

Murphy and much more!

There is an additional cost for optional tours, a night at the Grand Ole Opry, the Pre Convention option, and the Social

Butterfly Social.

Q: What are the parking rates at the hotel?

A: Overnight self-parking rates for guests of the Gaylord Opryland Resort will be discounted by 25% per day, per vehicle.

Prevailing rates are subject to change without notice and should be confirmed at the time of check-in.

Q: What about Red Hatters with disabilities?

A: The staff at the Gaylord Opryland Resort is committed to ensuring that they meet and exceed all of the requirements for

the Americans with Disabilities Act. The hotel staff is trained to accommodate guests with special needs, so that all guests,

including those with disabilities, are able to have an enjoyable and safe stay. At the Gaylord Opryland Resort, they want to

make sure all their guests are able to take advantage of every activity the hotel has to offer. For more information, please

call the general manager of the hotel.

Q: Do I have to stay at the host hotel for The Red Hat Society onsite Convention?

A: It is highly recommended that you stay at the host hotel for a more complete Convention experience, but it is not

required.

Q: What if I need to cancel my Convention registration?

A: Onsite Convention registrations may be cancelled until May 8, 2019 for a full refund of your registration fee, minus a $50

processing fee.

IMPORTANT: The Red Hat Society is not responsible for refunds of any fees or expenses outside of the Convention

registration fee. Refunds for hotel reservations need to be handled through the hotel and are subject to those hotel’s

refund policies. All other refunds are subject to the refund policies of the companies involved, including but not limited to

airfare, transportation, car rentals, etc.

Q: Will there be merchandise for sale at the Convention?

A: Yes, the Hat District will be at the Nashville Gaylord Opryland Resort in the Ryman Hall B1-2 Thursday through Saturday.

Q: Can my husband/male companion attend the Convention events?

A: No, however, they may certainly stay in the hotel and spend time with you when you are not at Convention events.

Payment Plan TermsHatsville Live • 2019 Red Hat Society International Convention • Nashville, TN • August 8 - 11, 2019

We are pleased you will be joining us at our 2019 Red Hat Society International Convention in Nashville and that you will be taking advantage of our payment plan offer. Please read the terms of agreement as we have added additional charges for event changes, returned checks and credit cards issues, etc. These costs will help to cover the processing fees. It is important that you carefully review what you select for your event choices to avoid additional fees.

We look forward to another great event at “Hatsville Live” in Nashville, Tennessee.

Our payment plan terms have changed. Please read our new terms below and return your acknowledgement to us either by USPS or email. You will need to sign and agree to our terms before we can begin your Payment Plan.

1. There is a $50 non-refundable fee, which will be taken as soon as you return this acknowledgement.

2. The funds must to be in your account on the 15th of each month. If you do not have the funds on the 15th we will not notify you but we will process a double payment the following month along with a $15 processing fee. If the funds are once again not available you will be given the option to pay in full (full) along with a $30 processing fee or be cancelled.

3. If your credit card number changes for any reason it is your responsibility to notify us. If you don’t contact us with new credit card information within 2 months you will be given the option to pay in full or be cancelled.

4. If you are paying by check the check must reach Hatquarters by the 15th of each month.5. If your check is not received by the 15th of each month for 2 consecutive months you will have

the option to pay in full or be cancelled.6. If your check is returned for NSF, account closed etc. you will be charged a $15 processing fee.

If you have more than one check returned by your bank for any reason you will be required to pay the processing fees and pay by money order each month.

7. Minimum monthly payment is $50 per month or more depending on what you registered for.8. Any changes or updates to credit cards must be made by the 10th of each month in order to

process by the 15th of the month. If received after the 10th of the month the change will take effect the following month.

9. Membership must be current during the registration period and the convention dates. If membership becomes expired we will re-new your membership using the credit card number on file for payments before taking the monthly payment.

10. Any and all transfers of registration will be charged a $25 processing fee for each occurrence.11. Any additional fees will not be refunded if your registration is cancelled.

Remember we will not begin your payments until this is acknowledged and returned.
