Position: Office Coordinator

Location: Kigali 

Reports to: Managing Director  

Start Date: ASAP

PRIMARY OBJECTIVE OF POSITIONThis position involves planning, organizing and coordinating office operations. The office coordinator

represents the company in a professional manner and is responsible for providing general administrative and

office support functions for multiple supervisors to ensure efficient operations.

TASKS, DUTIES AND RESPONSIBILITIES

1. Be a professional and friendly receptionist: Receive Jibu guests, partners, customers and vendors Answer, screen and transfer inbound phone calls Prepare written responses to routine enquiries Prepare and modify documents including correspondence, reports, drafts and emails Open, sort and distribute incoming correspondence

2. Manage administrative needs: Maintain filing system; retrieve documents from filing system, handle requests for information and

data Resolve administrative problems and inquiries Record, compile, transcribe and distribute minutes of meetings General clerical duties including photocopying, fax and mailing Maintain office supply inventories Coordinate maintenance of office equipment

3. Manage cash: Coordinate and maintain records for staff, telephones and petty cash Assist lead controller in various cashier activities

JOB ADVERTISEMENT- Event planning and coordination of company social gatherings, training, marketing events, and more Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors Manage corporate calendars

5. Support marketing department with social media management for Jibu Rwanda: Twitter, Facebook and other social media account content generation and posting Jibu fan/follower interaction and customer service via social media

6. Support with human resource needs: Administration support (maintening employee files and track vacation leave, holidays and sick days) Assist in recruitment (shortlisting, interview, email notification, and reference checks) Assist with contract execution and enforcement Assist with onboarding and set-up Provide avenue for staff to ask questions, provide feedback, etc about the company, their working

environment, their managers, etc. Channel this feedback as appropriate to HR and MD

MINIMUM EXPERIENCE REQUIREMENT*

Previous work experience, preferably in administrative assistant or similar role (customer service oriented)

MANDATORY SKILLS REQUIRED* Proficient with computer, able to use Microsoft Office (Word, Excel, Powerpoint) Excellent interpersonal skills: able to welcome visitors in a friendly manner, support staff in office in a

friendly and helpful way Excellent organizational skills: able to keep track of activities happening in office, provide support in

organizing events for staff, manage staff leave tracker, make sure there are sufficient office supplies, etc. Fluent in English, Kinyarwanda, knowledge of other local languages a plus Ability to work under minimum supervision
