BRIGHTER FUTURE RESEARCH INFORMATION As mentioned to Tom by Allisa Ragnanan, nursing students and researchers are under-

represented throughout the banners across.o A draft email has been constructed and will be sent to Patrick Dean in order to

ensure that nurses are receiving their due accreditation. The email will be forwarded to all of the executive and to our faculty as well.

BUDGET CHANGE PROPOSAL After going through the budget allotted to the Executive Assistant position for the year

as per the budget proposals and constitution, Andrea is proposing a reallocation of funds to another executive position in order to fund more resources and events for the council.

As of right now, the Spirit wear position does not have an allocation of funds.o Andrea is looking to reduce the budget of the Executive assistant from $100 per

meeting to be used on food for the council, to $80 per meeting. Based on the comparison of prices of pizza and certain specials, it is very

possible to reduce the biweekly budget while still maintaining enough funds for the food orders.

By changing the biweekly budget to $80 max for the ordered pizza, this changes the term budget from $700 to $560 ($80 x 7 meetings), allotting $140 per semester to spirit wear.

o Due to some budgetary issues put forth after our review of engagement, we are not presently able to put forth a formal budget proposal and reallocation, but once the budgeting problems are (hopefully) resolved come the new year/new term we will re-evaluate this proposal and change.

The money obtained from the proposal would be allocated towards merchandise and MUNSS swag for both MUNSS day and for the executive members

o Some of the money wold go towards MUNSS pens and silicone phone pockets with the MUNSS logo

The approximated total would be $307.30. with this specific supplier. Spirit wear is proposing that some of the re-allocated money when the budget change is

re-proposed once the funding is approved go towards the re-ordering of t-shirts, pending the amount that is still left over in the supply closets from last year and the previous years.

o All of the leftover shirts that we have in supply currently are in maroon, so we

are extending the option to the MUNSS executive and the ret of the student body to address whether it would be more favourable to reorder both the black and the maroon again or if it would be most cost effective to solely order the black ones.

o The black t-shirts sold well, but the printed designs posed some conflicts with some students after washing.

Conestoga still has quite a few t-shirts in storage from last year, but there was the issue of not having enough free merchandise for students in relation to frosh week activities and the available swag bags.

o Another issue that was raised was he variety in sizing, and increasing the number of certain sizes per site, particularly the smalls, and the unisex orders/sizes.

These issues will be addressed accordingly come the next semester and with the new printing company.

There is not a set number of minimum t-shirts that need to be sold, but the budgets can be adjusted accordingly as needed.

o There are also currently large amounts of sweaters with the MAC NURSING logo on the front that are leftover at both sites, and it was proposed by spirit wear and the rest of the executive that the sweaters NOT be re-ordered, and instead the funds be reallocated and focussed on the t-shirts which presented with a reasonable profit.

o It was also proposed that we could continue to sell them, potentially for even a lower cost – which would ultimately help with the team’s yearly budget

This year, Kayla will again be looking into providing the team (executive) the option to purchase jackets or MUNSS sweaters at the end of the year. Due to the positive outcomes from the initiative last year, Kayla will be putting forth some proposals for designs to be voted on by the executive, cost determinant and pending the approval of the budget.

The main focus will be providing swag for MUNSS day for the remainder of the school year.

UPDATES Level 2

o Because of the strike, there are not many updates as of this point, but they have contacted Diane to see if the level 1 review session is still a feasible idea

o CNSA had a booth set up at the Kitchener Auditorium this day (Monday November20th) so the level 2 reps are going to be contacting Chloe to look in to the possibility of hosting a collaborative event with the committee.

o The McMaster site reps were approached by a student in the midwifery program who was looking to see if our program and some of our level reps would be interested in working together on a charity event or a collaborative social event.

In the past, our program has worked well with some other programs throughout the various sites and divisions. Our representative and students are just advised to keep it professional, and advertise MUNSS

appropriately. The other main issue to consider would be the fact that the midwifery

students leave during second semester for clinical so it might be ideal to host the event throughout the first semester – because of this, this might be something to consider for the next coming years.

Acceleratedo The representatives are currently still looking for volunteers for the Mock OSCE

event being hosted next Thursday; students ate advised to email either of the students if they are interested in participating.

o The accelerated reps are currently in the process of also planning a yoga, de-stressing event for all students (nursing) that are interested. The event will be hosted on December 6th.

For Mohawk and Conestoga students, they are to keep in mind that any volunteering is added to their individual co-curricular record, but Conestoga does not require the student to obtain a minimum umber of hours for the activity to be added to their co-curricular record.

Level 1 o The representatives had planned on hosting a candy gram sale around the

holidays, but changed their minds after learning that GUNI was hosting a similar event.

o They are also hoping to put together an exam review package or an exam survival kit for students leading up to exams.

They have spoken briefly about the needed supplies and the kits will hopefully be going out to the students this coming week.

o The representatives have also spoken to Dr. Helli about the final anatomy review session

o The Mohawk reps set up a clinical assessment review for the following week, and are just requiring an EOHSS signature

RNAOo Last week, the team hosted the introduction to RNAO even for the level 1’s and

reported having a positive turnout for the event. CNSA

o This week was National Nursing Students week with lots of advertising and events happening throughout the week!

o November 20th was also Indigenous Nursing students day, which was celebrated and recognized today with the CNSA booth at the Aud.

o McMaster and Mohawk would be hosting events Wednesday and Friday from 11am to 1pm

o All of the planes for the national conference are booked and paid for and the scholarship recipients will be announced.

o The team will also be meeting with ONA next week to further discuss the donation and any following plans for the remainder of the year.

o As per the booth that CNSA hosted at the Aud, based on students feedback and

requests for the national conference, 10 people will be awarded Tim Horton’s gift cards for their submission – to be drawn at random.

Communicationso The first social media event is taking off and we are requesting students to

submit their feedback through our various communication avenues. o The remainder of the social media campaign is wrapping up and went on

successfully over the course of the semester. VP Conestoga

o Jessica is currently in the process of planning the final anatomy exams gifts for the Level 1 exam in December and is looking for volunteers to help organize this and hand out the gifts.

Level 3o The representatives are currently having trouble getting people to sign up and

commit to the Nursing games in January. Many of the issues are stemming from people signing up and them

backing out, or not paying the set amount by the deadline.o The therapy dogs event will most likely be cancelled. The event was initially

through St. John’s Ambulance, but as they did not reply in time to the team requests, the company is saying that they are booked straight through to February.

Another company with the same service cancelled last week.o The team members will re-evaluate this event and try again for next year and will

ensure adequate booking time. Level 4

o The sales for the grad sweaters have increased in the final days. o The career fair planning is going well and the reps are expecting there to be

about 16 booths, which well exceeds their initial goals and expectations for the event,

o Formal ticket sales will also begin in the coming months leading up to the event. Social

o The Ripleys event is planned for this previous Saturday and 27 people for all three sites came. Many reported positive outcomes and experiences and it was an overall good turnout for the event.

o Social has also created their own Facebook page and it currently had over 300 likes. They will continue to advertise through that page and through the other Facebook pages.

o In the coming weeks, the representatives will also be looking for additional volunteers to help out and be apart of the formal committee.

SRAo The plans are still in the works for the career panel for next semester but

students are encouraged to talk to their friends and get information about any potential nursing careers that they would like more information on.

o Adriana was approached by a engineer representative inquiring about a formal to be held with the engineers.

According to Tom, this again is a risky endeavour that is more than likely to be denied based on past experiences and the repercussions it could have across the board, especially with the potential presence of alcohol.

If we were to host a nursing-eng formal in the place of our formal, it would likely decrease the attendance and we would end up in more of a financial deficit.

If they are wanting to hold an event in conjunction with both programs, you can use the MUNSS logo to advertise the event, but try to avoid to advertising of the presence of alcohol for liability purposes.

Education o The reps are currently in the process of working on the mental health awareness

event and have started to contact the different organizations for assistance and information.

o They are hoping to also set up a collaboration with the Student wellness center here at Conestoga.

Executive Assistanto The plans for the mental health seminar are still in the very early stages of

planning but we are hoping to have different workshops as the basis for the training, ideally focussing on a multitude of mental health conditions to create heightened variety and awareness.

Facultyo There has been a change in the Associate Dean of Mohawk.

Lorraine will be sending out and responding to any emails on behalf of the associate dean until the position has been officially filled

They will be able to answer any questions that students from the mohawk streams may have.

o To clarify for all students however, all course objectives have to be met by December 22nd, therefore this means that no courses or exams will extend into the Christmas break for all of the students who had concerns about the timing.

o The level 1, 2 and 3 coordinators are looking at the gaps in learning and the times throughout the exam periods where they are going to be able to supplement the learning goals to ensure that all students are having the equal learning opportunities and are prepared to move onto the next level confidently and successfully.

This initiative will be carried on into next semester as the faculty evaluates where the changes can me made and supplemented.

For example, 2TT3 may not have to have met the required clinical hours for this semester, but students will be able to complete all following placements accordingly.

o As per the strike and the guidelines put forth by the school of nursing, students

will not be required to submit any assignments or evaluations for the first three days following the return to classes – this is universal across all other programs as well.

o The exam dates that are proposed by Mac do not leave a lot of wiggle room as the office of the registrar has already been notified – meaning that unless the class (PBL) was impacted by the strike depending on the course instructors , all exams will be held as previously scheduled.

President o Tom is in the process of trying to be a positive advocate for the students and the

school of nursing, especially in regards to faculty communication and class room organization.

The financial office at Mohawk has released a statement – in conjunction with the other Ontario colleges that the $500 refund will be given to those who qualify based on financial or strenuous need.

Because we are with the university curriculum however, we may not be afforded the same advantages that some other students in different programs may have.

o Further information on how the rest f the curriculum will be adapted will be updated by Maria Reva in the coming weeks.

o Heather cross has continued to be very supportive in the plans and advises students to focus on constructive not destructive feedback. Any complaints and concerns should be redirected to the site officers at Mohawk and Conestoga.

It is important for all students to remember that the faculty’s hands are tied until the university intervenes appropriately and decides on the future plan of action.

Financeo The forms for the approval of our budget have been sent out to the finance office

at McMaster. A couple of day prior to the meeting, Bethany received an email update noting that there was an issue with the funding and that our budget needed to be revised and edited accordingly.

o What we have proposed at this point has not been approved and what we are aiming to spend versus what we are aiming to make in revenue does not add up.

As of right now, we have proposed expenditure amount of $101 000 with a revenue of $88000, which was passed by the entire society back during the original budget proposal meeting.

o However, because our expenses are bigger that what we are bringing in, and we are unable to touch the extra funds or make them apart of the budget, we have to go off of solely what we have in our revenue and budget accounts.

As it stands right now until it can be reviews, we are standing at a 12 000 deficit between how much we are spending and how much we are bringing in.

In light of the revision, we were told that we would not be allowed to spend more than $66 000 for the year, which is simply not possible. This

is not a feasible amount as we would be required to cut way too much and we would essentially not have a MUNSS council anymore.

The goal from here on out to resolve this issue is to increase our revenue and therefore we can increase our expenses.

The problem is that we may not be able to sufficiently and effectively increase our funds enough simply by fundraising to equate to the initially propose $101 000.

o After some discussion, the faculty and the review panel agreed that we could go up to $90 000, but that means that we cannot under any circumstances go past this amount.

o Even with a reduced spending budget, that means we have to make a financial cut of up to $11 000.

This is the time now for the executive to propose what can be cut and what cannot.

o The council will have an opportunity to vote on any revisions, pending a revised review engagement. Based on our numbers, despite the budget cuts and changes, we are still faced with a $5000 discrepancy in our numbers.

After this amount was reviewed, now there is only a $3000 deficit between the to conclusions – our own and the accountants/school’s financial department.

Questions about the budget changeo How did this happen?

This is the first year that it has been caught and brought to the attention of the executive, but going back through the yearly budgets of up to four years ago, there was evidence of some discrepancy.

2015-2016 is the year that thing started to change; the revenue exceeded the expenses up until this point.

The revenue is now much less than the expenses. Some of the missing revenue does in fact come from the part time

student fees which was minimally addressed last year, but this missing amount still does not account for the drastic decrease in our revenue since then.

o The big events haven’t changed, however there is concern that we might have decreased the number of overall fundraising initiatives that we host per year, which could account for some of the missing funds.

o Some budgets have increased and some have decrease, but there is still a lot of confusion about where the money being spent is going.

Last year was the first year that we held a review engagement of our finances; this means that we send all of our paperwork, transactions, budgets and forms in accordance to us being a non-profit organization to an accounting firm for them to review and approve.

This means that the paperwork and the paper trail pass through a lot of different hands – meaning that the mistake is not only on our part, but is

in part the fault of the accounting firm as well.o We cannot touch our emergency funds because at one point, our account

depleted down to $6600. If we do not maintain our emergency fund and maintain our appropriate budgets, the council will cease to exist.

o We are unable to touch the leftover money from previous years unless it is an absolute emergency otherwise we will go into a further deficit and an audit will ensue.

o As of right now, we have about $30 000 in the leftover budget right now, but as the events start to be planed and paid for, all of the funds needed for these events will add up quickly.

The money in the account is all already accounted foro The idea now is being proposed to the group to think of grand scale fundraisers

to supplement the missing costs; assuming that thee is adequate money to be found elsewhere, what kind of large scale fundraisers could we do or what kind of sponsorships could we obtain from the community if possible

Sponsorships create a bit of a grey area as the money subsidized would be then reallocated but the revenue would not go up, meaning that we need to be actively bringing in extra money.

If we got company donations, those donations would have to go directly to that particular event.

o The option of increasing students’ fees is also not an option for this year as we have long since missed the deadline to put forth a referendum for the student body to approve or disapprove. We are also not able to increase the student fees past the rate of inflation – this may however be something to look at for next year in addition to the charging of the part time students.

o Because we changed our budget, the part time students do not pay their fees for the time being to the society.

The part time students would also be required to pay the same amount as the full-time students – this will continue to be re evaluated over the course of the coming years.

o The report for our budget was public for the 2015-2016 year, and if it had been a significant difference we would have seen the changes in the budget last year and the year before that if the part time fees created enough of a difference.

CNSA pays $6.00 per part time student RPN to BScN students are made up of quite a few mature students, and

for the most part as they will have most of their electives done, that means that the student in question will be dropped down to part time status if not enrolled in a full minimum hourly work load per week.

Basic stream students are also able to take elective over the summer, which creates the same issues as the RPN to BScN students.

With this many part time students, the lack of extra funding coming from these students and these divisions adds up and will continue to be re-evaluated.

o If we work to implement this change, this means that part-time students will pay the same amount as full-time students – a single payment of $36.10 that will be hidden in their tuition payments throughout the year.

This option will be put forth to the students in the coming years. o There are also questions as to how the accounting firm has continuously missed

this financial error They will look at our own numbers, and if our numbers and their addition

is equals and adds up accordingly, then we get the review engagement.

They are also in control of our rules, bylaws and the regulations with which our funds are allocated.

o Looking forward to the next coming years, we will have to put forth a referendum to charge the part time students appropriately as this has caused part of what is now a huge deficit for us as a council.

It is important to keep in mind that although they are in fact part time students, they still have full access to all f the full-time student privileges, and should therefore be paying for such.

We can start the process for next year and work to change the constitution accordingly.

The next step would be to include the deans of the program and the various sites as all parties, students and faculty must be in agreement.

o If this issue is not resolved and the funding is not adequately sorted out and distributed, the long-term result would be the ceasing of the MUNSS council to exist.

Budget Cutbackso The issue still remains in light of the $11000 budget cut that we have to adhere

to. The nursing survival kits for the level ones will likely be cut, as will the

executive assistant budget for food and refreshments for the meetings. CNSA has already paid and they are currently battling with the school of

nursing over the current cost of the membership fees. According to Chris Gibson, the funds are due December 1st 2017

otherwise the McMaster school of nursing would fall out of good standing with the organization.

CNSA brought up the fact that donation from ONA is still part of the accounted funds and they plan on continuing their fundraising throughout the course of the year.

The social committee has a fairly large budget as well, so they plan on going through their individual site budgets to see what can be altered to be made cheaper and more cost effective, and what can be cut completely.

They have already planned out most of, if not all of the events for the year on a monthly basis, and have worked out the plans so that the students are being charged on the most minimal basis

possible. Their solution is potentially increasing the charge per student for

the respective events where possible.o Last year, the formal tickets were $45 per person; this year

if they increased the selling price to $50 per person, that would bring in about an extra $2000 – however we need to also keep in mind the attendance and the expected number of people – last year we sold about 464 tickets total, not the expected 490.

o The goal for the budget changes is to not only decrease spending, not to just increase our revenue

o Level 3 has made the suggestion about combining events across the levels and streams across the sites in order to conserve more of the budgetary funds.

Constitution Review o The first change on the first page is the official changing of the president’s name.

the address of the school will also be included on the PDF form once finalised o The roles and the positions will be addressed first by the holding team member

and then the changes will be addressed as a whole executive. We are hoping to have this completed in about 3-4 meetings tops, so it is

essential for all members to have reviewed their individual portions to speed up the process of the review.

Following the “of” there should be a semicolon, not a period The key change that is being challenged in this article is that

MUNSS represents all students, part and full time. The question is how are they granted membership if they are

currently not paying any fees – this will be further investigated and edited through the financial portion.

Tom will be addressing this concern and bringing the issue up to the appropriate faculty and parties.

o ARTICLE 4 The deputy vice president is appointed at the start of the president’s

term. This person is to act as the president when the president is unavailable, and can also provide a substitute signature on official council documents as needed.

This year, Jessica Hill Porter seemed to be the most logical choice as she is at the Conestoga site and can therefore provide signatures on cheques and financing forms as required.

This goes to coincide with McMaster’s decision to include more members on their committees throughout the school in order to increase inclusivity.

The main idea with the inclusion of the Indigenous Students representative position is the goal to get them more involved and to create more opportunities for them and us

Although the students from Conestoga have declined the position for this year as they are trying to get more organized and settled in their individual roles, we are hoping that collaboration will increase in the future.

o The chart for statement #4 will also be modified and organized most efficiently for the final revision.

A large concern is the President’s obligation to be a member of the Yellow Suit welcome week committee and the Yellow suits position as an active and participating member.

This year Tom admits that he was present in spirit but was unfortunately not able to attend many of the events due to prior commitments.

This is an issue that can be resolved in the coming years with additional planning and evaluating event organization.

Because of this, some of the faculty and the program did not full agree with the president wearing yellow unless they had applied for and been appointed an official Yellow suit position for that year.

o All of the executive agreed however that it would still be important for the President to be present at some of the more relevant evets to talk on behalf of the MUNSS council and to welcome the incoming students.
