1. Called to Order at 7:17PM

2. Updates

Lamba: Office staff signed their contracts. Met with Danika to explain about everything in

addition to signing documents. Next Bod Meeting date sent out. Mac mini scheduled for service

(happening on Sunday Oct.16th). OMC needs to sit down and figure out finances for OCs

Page 6: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

(Honorariums). Received a lot of request to book commuter lounge for meetings but let’s find

an alternative space because ww101 is for our students. Gala applications have been sent out.

Sarah: Contacted all licensors to get all gears set up. PR request for Cram Jam and Coffee crawls

received. Working on them now. PR committee meeting will take place within the next 2 weeks.

Miranda: All player registration promotions have been completed for intramurals. Budget

allocation for teams in progress. May be hosting a yoga event in the near future in collaboration

with other directors.

Kristine: It’s been very busy for the past week. First committee meeting took place, full house in

session. All details for pub crawl finalized. The three pubs are Duke of York, prenup pub, and

spin. Sam and I have worked on risk mitigation plans with Liza. Self-defense classes have been

finalized. Red party has been confirmed; it’s going to happen at Mercurios.

Forgas: Received a large portion of student fee. Working on audit and administrative things.

Financial policy may not be ready by October, but working on it.

Khan: Had a meeting with Hannah from CIE. Meeting with Liza tomorrow about equity chair.

Will be discussing who will be on the panel, and hoping to have everything done by October

21st. We also have our goal setting workshop during the next Board Meeting.

Jeong: I have been meeting with clubs and am looking to strike an External ad-hoc committee

at the next Board Meeting to get more Woodsworth students involved.

3. Orientation 2017

Lamba: Mariposa and the City of Toronto want us to send them the dates for Orientation soon

so we can book the date for Boat Cruise and get the permit for block party for the week

respectively. of T is planning on adding a fall reading break, which may come in conflict with the

orientation week. All street reservations have to be done as soon as possible as per the email of

the city.

Khan: We should have the exact updates and dates for Orientation Week by tomorrow. I will let

you know then

Bear: Is there a fee to obtain the permit from the city?

Forgas: Fees for the block party comes to over $4000, if you include everything.

Page 7: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

Khan: We can discuss what to do once I have my meeting tomorrow with Liza.

4. Halloween Streetcar Pub-crawl

Kristine: We really need WCSA support for this as this is a high-risk event. We are anticipating a

high turnout. Sam and I will be talking with everyone so that everyone knows the exact details

for the event. We will have 25 sober leaders so that we have a higher ratio of people to sober

leaders to ensure everyone’s safety. First bar is the Duke of York, and because there is no street

car service in the vicinity of the pub, we will have to walk everyone over. We will have food for

students to ensure that everyone doesn't have an empty stomach. I contacted the Prenup pub

yesterday and they said that they would like to have a ticketing system. We can pay them

afterwards. We are not too sure how this will work yet, any suggestions?

Khan: Weren’t we giving student at least one free drink ticket for every pub?

Kristine: Liza suggested that we don’t give anyone tickets because people may not know their

drink tolerance and it makes us as an organization promote students to drink through the

tickets.

Forgas: But people are going to drink anyways so why not give them a ticket for their first

drink?

Kristine: They are paying to go to the event, and getting free food.

Bear: What are they paying for then? We should give each student one ticket per bar.

Khan: It doesn’t make sense in principle though. It’s not about promoting or not promoting

drinking. It’s understood that this is a pub-crawl and people will be drinking. Makes sense to

give them at least one ticket per pub to make sure they get their money’s worth. Sober leaders

will monitor tolerance.

Bear: For the drink tickets, can we make it so that the drinks are limited to low alcohol %?

Kristine: That’s a great idea, will do! Again, we will have a lot of people who are sober to help

people get home safely. Not a lot of people have responded yet though.

Bear: When you submit a PR request, would you like to submit a separate one for the sober

leaders recruitment? We can also introduce CCR incentives for our leaders.

Kristine: Yes, thank you!

Page 8: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

Lamba: How are we selling the tickets?

Kristine: Through our traditional online platform.

Lamba: Great, I can send you the link to the HTML for the ticketing system.

Kristine: We will also be having training planned by myself, Sam, and Liza.

Khan: I also suggest getting in touch with other colleges to see how they implement their

ticketing system during their pub-crawls. We want to make our event as safe and logistically

sound as possible.

5. CIE and WCSA

Khan: Hanna Caplan has informed me that there is a lot of interest from our international

students to hold information sessions but not much attendance at the workshops that were

hosted recently by her. If we have any ideas as to how we could collaborate with the CIE and

increase student engagement, please let me know. Hanna has hosted workshops such

pertaining to intercultural experience in many other colleges and suggested hosting one here.

We could also potentially have her come over during Wellness Week to host a workshop usually

hosted by the CIE regarding faring through winter. Does anyone have any events coming up or

any other ideas to involved the CIE?

Bear: I think we can get them to come to WCSA Wednesdays.

Khan: I believe Hanna has already been tabling during WCSA Wednesdays.

Kristine: It would be great to introduce the international population to student groups on

campus that may help them. I will let you know if I have any events coming up where it would

be possible to collaborate with the CIE.

Khan: Sounds good, please feel free to get in touch with me later if you come up with any ideas.

Tuesday, October 11th, 2016

In Attendance:Novera Khan (President)Dylan Forgas (Vice-President of Financial Affairs)Ryan Minki Jeong (Vice-President of External Affairs)Sarah Bear (Vice-President of Public Relations)Kristine Sarah Medrero (Vice-President of Social Affairs)Miranda Li (Vice-President of Athletics)

Regrets:Radha Lamba (Vice-President of Internal Affairs)

Agenda1. Call to Order 8:07p

2. UpdatesLi: Not a lot going on with athletics. Our D2 basketball team got out of the waitlist. We made some changes to the teams like new captains and other changes. Looking into raptors tickets and potentially other games like soccer if we are in season for it.

Medrero: For social, Sam & I decided that Natalie Hackett and Keshini will be our execs on our committee. It’s the final days before the Streetcar Pubcrawl, so preparations are being conducted. Also, I would like to thank Sarah for the sober leader call outs on all of our social media.

Forgas: Biggest thing is the mac mini. Rohan brought it to the Apple Store on Sunday. Unfortunately, the hardware is failing. The lowest price for it is $569 and it will come out of my budget in the buffer. He was told to go to a 3rd party to see if the data is recoverable from the

Page 10: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

mac mini. We may have lost a lot of important data so please check your emails for policies, etc. Finally, the OMC will talk about the salaries of the OCs and have the final meeting of the year.

Bear: I sent out the first newsletter of the year. I have also decided what company to go with for WCSA wear and I will be placing the order soon.

Jeong: We held our elections for WPS and it was very successful. Co-Presidents are Nabiha Chowdhury & Sebastian Salomon, Vice-President is Guy Talmor and Director of Communications is Arpun Pannu. The newly elected execs are filled with talent so I am expecting a great year with them. I am still working on Howl logistics which should be figured out soon. Also, I will be meeting with UTSU Directors to discuss the rest of the year.

Lamba via. Khan: Hello everyone! I hope you all had a lovely long weekend. For the internal portfolio, there are a few updates. I have been addressing any questions or concerns raised by the office staff. I have ordered paper since we were running out of it. The printer is now working and the office staff computer can be used to print the documents off. I will be making a "escape plan" if a situation arises when the printer or the internet is not working in the office. Gala applications are due this week - depending on how many applications we get, we will be holding interviews next week and have our gala coordinators hired and they will be ratified at our board meeting. By-elections are also underway - hope you all voted! As soon as the results are declared, I will be sending out the Board welcome package. I still have to meet with the Secretary and Chair to go over their contracts. The OMC will be meeting sometime this week as well.

Khan: It has been very busy with meetings with the SGRT, Principal and Dean’s Office. I will sit in on the appointing of the new Vice Principal and I will be a part of the academic prosession for November convocation. Woodsworth graduation will be with OISE and Victoria College. November 2nd is our date for interviews with Equity Chair prospects. We are holding a meeting with SGRT President’s to decide on an O-Week date for 2017. In terms of the International Students’ Director position, Liza thinks it’s a great idea and we will move forward to define the logistics of the position & guidelines. In terms of Pubcrawl, Liza said that having a ticket system is a good idea.

3. Equity Chair Khan: I know we have 2 students who would be well versed in equity and want the role of Equity Chair. The hiring panel will exist of myself, Liza, Christina, and 2 other BoD members. I will ask anyone who wants to be on the panel to have a motivation as to why.

Page 11: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

Medrero: People may say that we are biased for having a panel of only board members.

Khan: I understand what you mean but a person wanting the position could just get their friends to join the committee and that wouldn’t be fair either. I need to strike a panel as soon as possible, so please give me any suggestions you may have.

Forgas: What is their role with the community? If there is one.

Khan: Their role won`t so much be on the Woodsworth community in an interactive perspective but rather trying to more formally look over the Board and ensure that they are remaining equitable.

Forgas: I think it would be really beneficial for WCSA and the potential Equity Chair for the hiring panel to define the role for what equity chair will be doing.

4. Streetcar Pub CrawlMedrero: We went over logistics last time but I just need to come up with a ticketing system for our event. We just want to know what your ideas would be on a ticketing system? In order to make the lines move faster, we were asked by the second pub location to buy tickets and issue them instead of people paying at the bar.

Forgas: Do we have to use their tickets or our own?

Medrero: The idea is that the one ticket gives you a free drink then they buy their own drinks after that.

Forgas: So we discussed this before, they would be getting more than $15 worth of product because they would get a free food at Duke of York, 1 free drink at the second place then a 3rd free one at the final place plus free streetcar rides.

Medrero: For Prenup, the thing is what they want to do is have students give us money, we give them tickets and they use the tickets instead of paying cash or credit, etc.

Jeong: I think there might just be a miscommunication between us and the pub.

Medrero: We are calling them tomorrow to figure this out completely.

Forgas: I think the idea with this is that they make more money, maybe.

Page 12: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

Medrero: They just want to make the process faster, which is strange to me.

Forgas: Do you mind if I sit in on the phone call just to understand better?

Medrero: Yes, that’s fine.

Jeong: If I was an attendee, waiting wouldn`t be an issue because it's not like it's the first bar and they would have a free drink already then people finish drinking at different times so lines wouldn`t be an issue.

Jeong: So the streetcar, Duke of York and Spin are go to go, including shirts for sober leaders. Prenup is the only issue, currently.

Khan: Just so we are clear with everyone, it`ll be free food at Duke of York and 2 free drink tickets per person for the remaining 2 pubs.

Medrero: One more thing, there is an issue with sober leaders. We do not have enough people and we do not even have 14 leaders which was last years’ number.

Jeong: What are the incentives?

Medrero: Maybe CCR, Liza still has to get back to me so that’s in the works and maybe a gift.

Forgas: With 2 drink tickets, we cannot get a gift.

Jeong: I think it`s really important for Liza to get back to us because that’s a huge incentive.

Khan: Maybe we can give away the water bottles and WCSA wear.

Bear: Email Barbara Track first because we could get in trouble for giving it away last time and I know we are not allowed to sell them. So just double check with her first so that if we do give them away, we don`t get in trouble for the trademark issue.

Khan: Even if we get $10 for every sober leader that’s $250 and if you could use your extra funds from the Welcome Back Social that you saved. Then if we get CCR, it would be CCR & a gift card.In terms of promotions, I am not sure if you want us to reach out to more people too to help?

Medrero: Yes, please.

Page 13: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

Jeong: Do they have security?

Medrero: Not positive but I will double check.

Khan: Have you had a meeting with the sober leaders yet?

Medrero: Not yet because we want to have all the sober leaders first. It will be next week sometime.

5. External Organization BookingsJeong: We have 2 clubs on campus. The first is the U of T Japan Association. They want to partner with us to book Kruger for their event. They are expecting 250 people for drop in style event with monitoring. They have people coming from all over for this event.

Forgas: Just to be clear, they are not promoting anything controversial or anything that would cause any issues for WCSA?

Medrero: No it is like what Wenjun did last year through WCSA.

Khan: Our logo has to be on all promo and a WCSA person has to be there at all times during their event.

Bear: Tell them to send their posters to me so that I can ensure the WCSA logo is on it.

Jeong: Perfect so the second club is Mercy Ships Club at U of T. They are non-profit and raise funds to support their cause. Essentially they want to book Kruger to host upcoming socials and events and potentially use our resources for promo. My question to you all is how will this help Woodsworth students?

Khan: I don’t see the correlation in their club & helping/benefiting Woodsworth students. I don’t see clearly what they want from us either.

Jeong: Let me ask what they exactly want and how it would benefit Woodsworth students. I will get back to you all with their answer soon.

6. Other BusinessMedrero: The DJ from Gala last year wants to know if we want his services for any upcoming events besides Gala.

Page 14: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

Khan: Do we need him for anything upcoming, besides Gala potentially? All executives shake their head. No, great.

Forgas: We have had these clothing boxes here for 4 months so my questions are a) what’s our policy with that? And b) can we move them?

Khan: We have no policy and you said 4 months it’s been here? As for leftover locker items, we will send a notice out for 2 weeks then everything gets discarded.

7. Adjournment 9:04p

Meeting of the Executive of the

Woodsworth College Students’ Association

Tuesday, October 18th, 2016

119 St. George Street

In Attendance:Novera Khan (President)Radha Lamba (Vice-President of Internal Affairs)Dylan Forgas (Vice-President of Financial Affairs)Ryan Minki Jeong (Vice-President of External Affairs)Sarah Bear (Vice-President of Public Relations)Kristine Medrero (Vice-President of Social Affairs)Miranda Li (Vice-President of Athletics)

Agenda1. Call to Order 8:02p

2. UpdatesLi: This week has been slow for athletics. I have been going back & forth with the intramural representative, Britney, to resolve some issues. The team registration for the winter season is opening soon. I also keep getting emails from a person who has claimed to have created the Wolfpack and it is the 20th year anniversary and they would like to do something. Once I verify whether or not this person is correct, I might do a combined event, where we watch a playoff game for one of our teams and celebrate the anniversary. Apparently, when this person was the Athletics Director, they created the Wolfpack and got Woodsworth an intramural team.

Page 15: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

Jeong: Hello, everyone! It has been quiet for external. Kruger Hall is booked for November 16th for one of WINC’s event. I have a meeting coming up with the UTSU Directors to discuss their involvement and our relationship with them for the school year. Lastly, an All-Woodsworth Clubs meeting will be taking place on November 7th, 2016.

Medrero: It has been very busy for social. We had the first self-defence class today and the next one will be Thursday. A better turnout would be nice so please tell your friends, guys are welcome to come as well. Sam & I had a meeting with Christina to help out our portfolio. We are still working hard on the Streetcar Pubcrawl. We have 17 sober leaders so far and we will have a meeting with them next week. Social committee meeting will be this Friday.

Lamba: For the internal portfolio, whenever the office is open it becomes busy. Gala interviews were yesterday. I informed the Hiring committee on the process of making a decision. Hopefully by Wednesday a decision will be made on our Gala Coordinators. The final OMC meeting happened with Dylan, Ryan and myself; Novera also sat in. The last honorariums for the OCs are ready and 1 OC has already picked up their honorarium. Office requirements have been made. The Staples delivery came which is great. I sent out emails to the new Board members about their login info. I will be sending out the motions to ratify them for the board meeting by tonight. If we are going ahead with the executive-mentor idea, then 3 people will be under each executive. My idea is to have monthly check-ins in person & weekly updates and to help them with the process.

Khan: The Gala interview panel met with applicants so that process is underway. I have received 3 applications for the position of Equity Chair. Thank you for all who helped with the by-elections. I also talked with Christina about suggestions and improvements. I attended the alumni association and they are sending out a pamphlet with a Woodsworth student on it to hopefully increase donations. Our November convocation will now be with 3 other colleges, OISE, Victoria College and New College. Finally, I will be attending the Woodsworth Council meeting this Thursday.

Forgas: I met with Christina to talk about updates with finance. I found some uncashed funds that were not deposited from a while ago and just in the basement so I deposited them into the bank. From OMC, we have $620 in unreturned leader deposits from O-Week. We have decided to donate the leader funds to SickKids Foundation; I will found out how to do that. I talked about the budget and the audit is progressing well; we are 50% in. Hopefully, I will be able to re-write the financial policy next semester.

Bear: It has been busy for PR with promotions of all the events happening. I contacted Pascal Impact about the WCSA wear order so I should hear about that soon.

3. WCSA SurveyKhan: About 2 or 3 years ago, WCSA would send out surveys to the Woodsworth student body. Last year, only the Off-Campus portfolio sent out a survey. A lot of the questions were like was the board effect, did you see what you wanted from the board, space utilization, etc. I believe

Page 16: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

we should bring this back. I hope to send out a survey by the second week of November. We will be combining the off-campus survey with the WCSA survey so that we can give away prizes for completion of the survey is a draw style. WCSA BoD cannot win any of the prizes. However, if anyone wants to add any questions let me know by the November 1st.

4. Board RetreatKhan: From the poll, I am inclined to have the board retreat on the 5th with a return on the 6th. So this means we would leave Saturday morning and come back on Sunday morning. This would be at Arrowhead Provincial. Are you all available? I want to have all the execs there.

Jeong: How are we getting there?

Khan: We still have to decide on this. I just want to book the pace first then the rest of the logistics will be figured out.

Khan: Is everyone okay with the date? The overnight aspect? And the idea of it?

Jeong: Do we have any other options?

Khan: Not necessarily, but I am very open to other ideas.

Bear: Have we planned out activities yet?

Khan: No logistics just yet, main concern is booking a place first.

Lamba: There will be a board briefing for sure.

Khan: We will have board bonding activities as well.

5. Equity Chair PanelKhan: I know at the last meeting I suggested getting 2 BoD members to sit on the Equity Chair Panel. I talked with Christina and the Equity Chair will also be working closely with the Equity person inside the Dean’s Office; that person is Nasra. So my question is, do we want myself, Liza, Christina, Nasra & 1 BoD member to sit on the panel or do we want myself, Liza, Christina & 2 BoD members to sit on the panel? The executives decided to have Novera, Liza, Christina, Nasra and 1 BoD member sit on the panel.

6. Board ConductLamba: I know we have discussed this before. However, I just want to emphasize again for everyone the key conditions I think are super important. The 3 things are; professionalism, confidentiality, and honesty/good relationship with the team. Professionalism as we have said before, is important because we represent WCSA and 7000 students. We should all be professional at our meetings and general conduct, even though we are all friends as well. For

Page 17: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

confidentiality, remember that with anything that is discussed in our meetings should be kept to the relevant parties. With being open & honest and maintaining a good relationship with the team, I know we are all super stressed and tired but try to be honest and relay information to the members, especially between us as executives. We need to communicate. This is just the second month of school and we all need to be on the same page. I think we should all be keep this in mind and strive to be united for the remainder of the year.

Khan: I understand that we have all been in WCSA before at different capacities with lesser responsibility but please understand that now we are executives and that is a whole other realm. In extension, if you feel like you have been unfairly targeted, you can always reach out to Christina if you don’t feel comfortable talking to the execs. We are a great team but please note that we are execs & must always be professional.

7. Other BusinessMedrero: I was approached by someone I know from high school and she is running a charity out of U of T. She was wondering if for Red Party, we could donate some funds to the charity. I said i would ask the execs first.

Forgas: Can’t come directly from revenues, it would have to be a separate line.

Khan: We get money from student fees so my only issue would be that we don’t have consent to use these funds to give to charity.

Lamba: What is the charity about? We need to know what we are representing and supporting if this does become a potential.

Medrero: I will find out and let you know once I know.

Khan: I was approached by the Innis President. We might have an event with their grad student rep but since we don’t have that position that would equal out to our Mature Students’ Director. So there might be an event soon.

Khan: We have 2 positions that are not filled. 1 more Mature Students’ Director position and the Woodsworth College Residence Director. We don’t have enough time to do internal before our BoD meeting but we will be sending out a call out soon.

Li: For athletics, we had the Jays game yesterday & it was the first event where we did a raffle to give away tickets because of the volume of people who wanted to buy tickets. We noticed that people signed up but didn’t take their tickets. We sadly wasted 12 tickets. We will think of

Page 20: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

a better system to sell tickets for higher volume games as well. In terms of intramurals, 10 teams have recruiting still open. Big thanks to Valerie for her help with intramurals and a thanks to Dylan & Novera.

Shah: I have started to work on the audit process. Expensify has slowed down a bit but otherwise everything is great.

Medrero & Davis: It has been busy for the social portfolio. Had a great O-Week, followed by a successful Welcome Back Social. We are very appreciative for those who collaborated with us. We had our first meeting yesterday with our social committee. We also met with the Duke of York; they will sponsor 3 of our events. If anyone else wants their support for an event, let us know. Homecoming has come and gone and that was successful as well. Finally, we met with Liza to discuss the Streetcar Pubcrawl.

Bear & Standish: It has been busy for PR, promoting O-Week, the Welcome Back Social, WCSA Wednesdays, etc. We will be having a WCSA wear meeting to make sure that we meeting trademark guidelines and details. The PR committee will be having a meeting as well.

Lamba: It has been busy for Internal. We completed the hiring of Chair, Secretary and Office Staff. We were busy with O-Week. Our office has set hours now. The by-elections meeting are coming up as well and we will be meeting with Apple to resolve some issues we’ve been having.

Khan: Huge congrats to the OCs, WOLF, OMC, BoD, Leaders and more for O-Week. It was a huge success. In terms of the SGRT, I have been continuously attending the meetings. We’ve been talking about a separate entity to be in charge of affairs. Vice-Provost is looking for feedback and a potential substitute for blackboard. Finally, elections are approaching so please familiarize yourself with candidates, positions, etc.

Forgas: It has been busy for finance; tracking finances & expenses from O-Week. Expensify is running, the audit is about to be underway and as I have mentioned before we invested some funds into a savings account at BMO that gives us more interest on the funds. O-Week’s budget was finalized Sunday, Amanda and Alyy did very well to reduce cost & add value. The audit prelim deadline is January 2017 and the official deadline is February 2017. I finished the finance policy and I am hoping to present it in October.

Lall: PR has been doing promotions for Prevention Review. Mock LSAT is approaching. For exotic animals, it will happen in Waters Lounge with either a kangaroo or a lemur. For coffee crawl, ⅖ shops have confirmed. Tomorrow we will be talking to the remaining 3 to confirm things. Cram Jam is also next month.

Dos Santos: No issue.

Dave: No issue.

Canceran: No issue.

Shah: I just want a clarification to the 6 weeks inactive portion.

Khan: This is just to make sure that the clubs are either having events or being present in other ways.

Medrero: No loopholes.

Bear: Just to clarify where it says for VP PR to give funds for promotions, is that to be a separate line on my budget or is it already incorporated?

Khan: This can either come out of your general or you can create another separate line, if you want.

Davis: Good to me.

Standish: Sarah hit the PR clarifications.

Lamba: Bookings have to go through Ryan correct?

Khan: Yes.Motion passes.

15. Approval of the Affiliated Clubs PolicyBIRT the WCSA BoD approves the Clubs Policy, attached in the appendix for review. Moved: Jeong Seconded: Medrero

Khan: What does WCSA offer to affiliated clubs?

Jeong: Mainly space and promotions. 30% of the club must be Woodsworth students in order to qualify as an affiliated club.

Forgas: Have we considered increasing the percentage of Woodsworth students in the club to qualify?

Jeong: Yes we have, I was thinking maybe 51%.

Medrero: With a club like WIND that is comprised of people from multiple colleges, 51% wouldn’t work

Jeong: This is why I arrived at 30% as a fair number.

Lamba: Is it just space?

Jeong: Yes, just to use 101.Motion passes.

17. Expectations of the BoardLamba: Since this is the first BoD Meeting of the year, I just have some initial things to say.

1. Office hours are very important. If you cannot make it, unless it is an emergency or illness, please let me know 24 hours in advance.

2. Directors Lounge and the Executive Room are to be used efficiently and for it’s correct purposes. Please do not have committee meetings inside the director’s lounge.

3. Thank you for all who cleaned the office.4. Some expectations for the By-Elections:

a. Familiarize yourself with the process & candidates.b. Be ready to answer questions about WCSA and the process if they happen to

come your way.c. Remember it is a democratic process.d. Do not like anyone’s campaign pages or posts, we as a Board are to remain

neutral to be unbiased.e. Don’t share campaign pictures and posts as well.

18. Halloween Streetcar Pub-crawlMedrero: We had a meeting with Liza yesterday regarding risk of our event; how to make the event safe & successful. We need sober leaders; moving from 14 to 25. We want better identifiers than glowsticks so we will be having t-shirts this year for sober leaders. Sober leaders are going to be signing contracts and we will be collecting a deposit similar to Orientation but less money.

Davis: We want to create better plans to mitigate danger. Better plans to get from point A to point B. Itr is on us to make sure everything works well & no one gets left behind as well. We want to have meetings with the venues to ensure that intoxicated, etc. people are not sent out by themselves. Wristband policies, as well, will be in effect & it will be 19+ with ID checks.

Page 25: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

Medrero: We will have criteria on how to bag check and reference check lists. We will have several meetings to have sober leaders as well. We are thinking about reaching out to Students Against Sexual Violence to present to us. Logistics of the event are it is Thursday October 27th at 7p to meet at Woodsworth, followed by a 10-15 minute talk on the schedule & consent, head over to Duke of York. If you are intoxicated, you will not come. Duke of York will provide us with food. We will then proceed to the 2nd location, then at 8:45p we will be going to Spinn. Finally, we will be back to Woodsworth at 11/11:30p. Thank you!

Li: I think it might be useful to for leaders to know about resources as well.

Khan: I have a couple questions. How many locations? Is it a 1 drink policy? Is there a deadline for Sober Leaders?

Medrero: We will be going to 3 places, we are just finalizing our second location. Sam & I will be making final decisions on the drink policy and deadline for sober leaders on Friday when we meet to discuss things further.

Standish: I think it would be useful to also as people sign up for the event, email out the rules and expectations.

Davs: We for sure will but that is a smart idea.

19. Coffee Crawl LogisticsLall: Next month is Coffee Crawl. In the past, this event has run into problems so we are considering pushing it to October 21st. We have planned for roughly 40 people and we will have it from 12-3p. Is anyone available to be at the event?Khan, Lamba, Jeong, Shah, & Dos Santos volunteer.

Lall: A more formal email will be sent out just in chance anyone else can help out as well.20. Random Acts of Kindness - Initiative

Daniel Peel via Forgas: Dear WCSA Executive and Student Leaders of our Esteemed College,I do apologize for being unable to gather with you today, the pursuit of academic greatness has required sacrificing my Tuesday evenings to the project of philosophy. Thankfully Dylan has agreed to voice my words and articulate for your ears my heart concerning Woodsworth.

This college has meant the world to me during my time at the University of Toronto. Within its walls I have found endless inspiration, true and lasting friendships and a deep sense of community. And while I would love to stay here forever (wouldn’t we all), alas, my time at

Page 26: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

Woodsworth is drawing to a close. As such my mind is filled with thoughts of giving back to this place that has given so much to me. And therein lies the reason for this letter.

I would like to commit random acts of kindness in Woodsworth College, as a thank-you to this wonderful place and all the beautiful people in it. No strings attached, no hidden motives, no agendas other than to hopefully bring a smile to someone’s face and a touch of positivity to their day. University can get very difficult and I believe it would be greatly encouraging to people if they knew that someone cared enough to put a positive post-it note on their locker, or to give them a candy cane during the Christmas season, or a flower on Valentine’s Day just because. The idea would be to do two acts of kindness this semester and two or three next semester during times in the academic year when it can be rough on those who call this bastion of learning their school.

It is my desire that WCSA be the face and the fund for this initiative. When proposing this to Dylan, he gave me a number that I believe is more than sufficient to achieve the goal of smiles and positivity ($250). I ask then, for the approval of all of you here today, to embark on this journey of kindness and blessing, spreading goodwill for no other reason than that it is good and a little bit of good goes a long way. Thank you for your time and attention.

#1LOVEWW

Daniel Peel

Forgas: Either finance or part of the Initiative Grant would go towards this.

Jeong: Just you are all aware, the Initiative Grant is where Woodsworth students apply for WCSA to support them in making their initiative happen. This is an application then funds are allocated to these people who are chosen. The individuals have to submit reports on how the funds are being used and also Finance/External have to approve purchases or receipts.

Forgas: Which do you all think would be better to have the funds come out of?

Standish: My only concern is that the logistics are a bit flawed in this, as well as funds. How will it involve more students?

Forgas: Ryan & I can smooth out logistics with Daniel so that everyone feels more comfortable.

Board agrees that the funds would come from the Student Initiative Grant.

BIRT the WCSA BoD approves to give Daniel Peel a Student Initiative Grant.Motion passes.

21. Other BusinessMedrero: It is the Duke of York’s 40th Anniversary and they want WCSA to go. It is from September 29th at 11am to September 30th at 1a. A lot of free food and $1 per beer goes

towards their charity. I will email everyone with a doodle because if there is a lot of interest, they want to give us a table.

Lamba; Please send me your schedules so I can pick board meeting dates and times for the rest of the semester. Also if you need anything from Costco, please talk to me. I will put out monthly google docs so people can sign up what they need from Costco and I can do one big run.

Forgas: Please update your budgets.

Jeong: Thank you to the PRC committee.

Vice-President of Social AffairsHey Woodsworth!I hope you’ve been doing well since midterm season rolled in!Since our last board meeting, the Social Portfolio has been extremely busy. First and foremost, my lovely Associate, Samantha Davis and I chaired the first and second Woodsworth College Social Committee (WCSC) meetings this and last month, additionally setting up meetings with those who could not make the initial meeting to catch up. We had such a high turnout and we have such a good feeling that the WCSC is going to plan such an amazing event in November, so make sure to look out for information on that! The Social Portfolio has also been involved in the Gala Coordinator interviews. We had such excellent candidates and we’re sure that the candidates that we picked are going to create such an amazing Gala for you!Additionally, we also hosted two Self-Defense classes on October 18th in Water’s Lounge and October 20th in Mini-Kruger, taught by Shireen Nadir. She is an incredible teacher who is extremely passionate about what she does and taught both classes the basics of self-defense. If you would like to contact Shireen about teaching a self-defense class for you, you can contact her at [email protected], the event that has been keeping the Social Portfolio busy for the past month is the Halloween Streetcar Pub Crawl. The event will be restricted to only Woodsworth students who are 19+. It will be happening on Thursday, October 27th from 7-11:30PM, visiting the Duke of York, Prenup Pub and SPiN Toronto. Sam and I have been extremely busy ensuring that the event will be both a fun and safe environment for all our participants. We have met multiple times with the Dean of Students for Woodsworth, Liza Nassim, as well as the Student Life Coordinator, Christina Alcena to ensure that we have a very thorough risk management, logistics and contingency plan. We also want to thank the 17 sober leaders who will volunteer their time to help us with the event. If you would like to be a sober

Hi Woodsworth! I hope this report finds you well. For the past month, I have been working on

various tasks including, holding an AGM for WPS, meeting with the Howl’s Editor in Chief, discussing

WCSA’s relations with the UTSU with our WW UTSU directors, and dealing with potential collaborations.

Woodsworth Political Society held a successful AGM just a few weeks ago, where we were able to elect

the new executive team members. I would like to welcome Nabiha Chowdhury, Sebastian Salomon as

co-presidents, Guy Talmor as vice president, and Arpun Pannu as communications director of WPS. I am

anticipating a great year for WPS, as all team members are highly qualified, full of creative ideas for

upcoming events. With regards to the Howl, our student periodical, I have been meeting with the

current Editor in Chief, Kevin Dudeguy to discuss future matters. Kevin is planning on conducting a hiring

process for the new executive team, which should be completed within the next month or so. Finally, I

have been meeting with Ahmad, and Christina, our amazing Woodsworth Directors for the UTSU to

discuss about how we could enhance our relations with the UTSU. We are looking into having Ahmad

and Christina hold office hours in the Woodsworth college building, where students can come in to talk

about anything they wish to discuss about. For the month of November, I will be working to achieve CCR

for some of our club executive teams, in addition to recruiting committee members for the new external

committee.

Have a wonderful day WW, and please feel free to come by the WCSA office to ask any questions!

Sincerely,

Professional Development DirectorHello Woodsworth!

I hope everyone is enjoying this lovely fall weather. For the past month, I have been planning for

a resume workshop, which will most likely be on November 25th. I have successfully booked Waters

Lounge as the venue for the aforementioned workshop. I am anticipating on inviting a facilitator from

the Career Centre to come to Woodsworth. For this workshop, all Woodsworth students are welcome to

join in to learn about writing, and solidifying their resumes. In addition to the workshop, I have also

been planning for the Leadership Conference. I have booked Waters Lounge again for this conference,

which will be held on January 21st. For the month of November, I will be recruiting the committee

members for the Leadership Conference. Applications will be sent out shortly. This being said, please

ensure to check WCSA’s newsletters for more information.

Have a lovely rest of October WW!

Off-Campus Students’ Directors Hey Woodsworth! We hope that you are all doing well during this busy time of the year! The Off-Campus portfolio has many exciting events and initiatives that we are planning for commuter students.

Page 31: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

We have formed our Off-Campus Committee (OCC) for the year after receiving many applications from interested students. Our first meeting was held on October 7 th and we expect to meet each month with our OCC to discuss ideas and plan events. We are very excited to work with our OCC this year to better the experiences of commuter students. We will be making applications available for our OCC members to apply for the OCC Council by the end of this month. We are also working with campus groups during WCSA Wednesdays to have them promote their programs and services to students. We are expecting to work with different clubs at Woodsworth College as well as other campus groups to provide students with more opportunities to become involved. Next month we will be collaborating with WINC to promote the week of eXpression Against Oppression (XAO), which is an important week for equity and anti-oppression. We want to make sure that Woodsworth College is a safe space for all students and raise awareness about equity and social justice issues. We are in the process of collaborating with Hart House for their $5 lunch on November 29thand are thinking of collaborating with other WCSA portfolios for that event. The Off-Campus portfolio really strives to reach out to as many off-campus students as we can and this year we have decided to come up with the Off-Campus Student Directory. Students can fill out a Google form with their name, email address, means of commuting, travel time and area where they commute. This way they will be eligible for prizes (i.e. gift cards, tokens etc) and can learn about upcoming commuter events. We will also be able to link them to other students traveling to the same area, with their permission, just to make sure that we are serving Woodsworth commuters in the best way possible. We will be hosting our first themed WCSA Wednesday next week and continue to raffle metropasses and tokens to commuters. If you have any questions or concerns, please email us at [email protected] or [email protected]. You may also visit us in Room 105 during our office hours. Upper Year Students’ DirectorsHi folks,

It’s been a busy October for us.

This past Friday, on October 14th, we had our first Cram Jam of both the year and the term from 9:00am to 5:00pm. We had fruit and baked goods, as well as hot coffee from Tim Horton’s, all of which were free for students. With a continuous flow of people in and out of Kruger Hall that day, the event was

Page 32: mywcsa.commywcsa.com/wdw/wp-content/uploads/2016/11/OctoberBoardPac…  · Web viewMeeting of the Board of the Directors of . Woodsworth College Students Association . Friday, October

quite successful. We hope to have some different snack options available for everyone at our next Cram Jam.

Organizing Coffee Crawl has been our main focus this month. At the time of writing this, Coffee Crawl is just two days away. Originally set for October 28st, we decided to push our event back by one week to October 21st so as not to conflict with the Social portfolio’s Halloween Streetcar Pub Crawl on the 27 th.

We have, finally, confirmed the participation of Manic Coffee, Put A Cone On It (owned by Jimmy’s Coffee), Voodoo Child, and FIKA Cafe, as well as newcomer Grk Ygrt, in the event. This year’s tour will feature sorbet and frozen yogurt in addition to coffee, and we have worked hard to accommodate our attendees allergies and dietary restrictions at all shops. Currently, we are finalizing the logistics of the event, and we hope it will be as much of a success this year as it was last year.

Looking ahead, we are hoping to collaborate with The Princeton Review on some more information sessions. We are also looking forward to collaborating with our Full-Time Students’ Directors on their puppy therapy event at the end of the term. And, of course, we hope to see you all again at our second Cram Jam of the year, taking place on Thursday December 8th.

Until next time,

Ashley and Bhavroop
